The strongest privacy setup combines four habits: turn off Improve the model for everyone on a personal account, use Temporary Chat for sensitive one-off work, keep Memory and connected services under review, and never paste secrets you would not want exposed. Delete chats and separately stored files when finished, secure the account with multi-factor authentication, and remember that feedback, GPT actions, and workplace administrators create separate data paths.
What ChatGPT privacy controls actually cover
ChatGPT privacy is not one switch. Several independent systems can handle information you enter:
- Model improvement: whether new conversations from a personal account may be used to improve OpenAI models.
- Chat history: whether a conversation remains visible in your account.
- Memory and personalization: whether ChatGPT saves or references details to tailor later responses.
- Files: documents can remain in your Library even after the chat that used them is deleted.
- Connected services: GPT actions and apps can send information to another company under that recipient’s privacy policy.
- Account and workspace administration: multi-factor authentication, retention rules, access, and feature availability can be controlled by you or by an organization administrator.
Changing one category does not automatically change the others. For example, disabling model improvement leaves saved chats in your history, and deleting a chat does not necessarily remove a file saved in Library.

Choose the right chat type before you send anything

Plan, region, app version, and workspace policy can change which controls you see. Check the labels in your current ChatGPT interface rather than assuming every account has the same options.

Turn off training use on a personal account
For a signed-in personal account, the relevant control is Improve the model for everyone. OpenAI’s guidance states that when it is off, new conversations will not be used to train OpenAI models. Existing saved chats remain in your history until you remove them.
- Open ChatGPT and select your profile menu.
- Open Settings.
- Choose Data controls.
- Switch Improve the model for everyone off.
- Return to the conversation and verify that the setting remains off if you use another device.
The setting applies across devices for the signed-in account. It is not a retroactive eraser: conversations already retained in your account are still visible until deleted, and a separate feedback rule applies to thumbs-up or thumbs-down submissions.
Use Temporary Chat for a sensitive, one-time task
Temporary Chat is the closest built-in option to a disposable conversation. It stays out of chat history, does not create or update memories, and is not used to improve OpenAI models while it remains temporary. OpenAI may retain a copy for safety for up to 30 days.
How to start one
- Start a new conversation.
- Choose the Temporary option in the model or chat-mode selector. The exact placement can vary by app version.
- Confirm that the temporary indicator is visible before entering sensitive text or uploading a file.
Do not use Temporary Chat as a promise that no system will ever process the content. The safety-retention period still applies, and any external service used through an action has its own handling rules. If you save a temporary conversation, it becomes a regular chat and follows normal history, memory, and deletion behavior.

Control Memory and personalization separately
Memory determines whether ChatGPT can retain details for personalization; it is separate from model-improvement and history controls. Review the Memory or personalization section in Settings and disable the features you do not need.
- Turning Memory or personalization off prevents ordinary personalization behavior, but it does not eliminate limited safety and security uses of context in rare, high-risk situations.
- Use the memory-management screen to inspect and remove individual remembered items when that option is available.
- Turning off Reference chat history schedules remembered information derived from past chats for deletion within 30 days. This is different from deleting the chats themselves.
For a particularly sensitive request, combine a temporary conversation with a review of Memory settings. Do not assume that deleting a visible message removes every remembered detail immediately; use the memory controls as a separate cleanup step.
Share the minimum information needed
Privacy is safest when sensitive data never enters the conversation. Before sending a prompt or upload, remove information that is not necessary for the task.

- Passwords, recovery phrases, authentication codes, API keys, private keys, and session tokens.
- Government identification numbers, financial-account credentials, or full payment-card details.
- Confidential client records, medical details, employee files, or unreleased business information.
- Complete addresses, personal phone numbers, private email addresses, or other direct identifiers when an anonymized example will work.
Redact without destroying the task
- Replace names with neutral labels such as
CLIENT_Aand remove account numbers. - Crop screenshots to the relevant error and hide browser tabs, notifications, and document metadata.
- Keep only the pages or rows needed for analysis instead of uploading an entire archive.
- Describe a secret’s format or failure symptom rather than revealing the secret itself.
- For code, substitute environment variables such as
API_KEY_REDACTEDand rotate any credential that was accidentally exposed.
These steps reduce exposure regardless of which account plan you use. They also limit what could be disclosed if a conversation is shared, accessed by an authorized administrator, or sent to an integration.

Check GPTs, actions, and connected apps before using them
A custom GPT or connected app can send parts of your prompt, uploaded files, or generated content to a third party. That recipient’s privacy policy governs the data it receives; it may retain information longer than 30 days or use it for other purposes.
- Open the GPT or app details before starting the task.
- Read what actions it can perform and what account or service it can access.
- Grant only the permissions required for the immediate job.
- Disconnect services you no longer use and remove stale authorizations from the relevant account.
- Do not place confidential information in a prompt merely because an integration is convenient.
Temporary Chat does not override a third party’s policy. If an action is involved, treat that action as a separate data-sharing decision and use the third party’s own deletion and account controls when necessary.
Delete chats and files completely
Delete a saved chat
- In the chat list, open the conversation’s options menu.
- Select Delete and confirm.
OpenAI states that the chat is removed from your account view immediately. Permanent deletion from OpenAI systems is scheduled within 30 days, unless the data has already been de-identified or must be retained for security or legal reasons. This is a scheduled process, not a guarantee that every copy disappears instantly.

Deleting a conversation does not delete a file that remains in your Library. Open Library, identify the uploaded document, and delete it there as a separate action. Check for duplicate uploads in other conversations or workspaces.

Use broader account controls when appropriate
If you need a record of what is stored, use the account’s data-export function. For account-level removal, follow the account-deletion or privacy-request process available in your settings. Organization accounts may require an administrator or an internal records process.
Secure the account that holds your chats
- Enable multi-factor authentication in account security settings and protect the second factor independently.
- Use a unique, long password and never share it with a colleague or support contact.
- Review active sessions and sign out devices you no longer recognize or control.
- Keep your operating system, browser, and ChatGPT app updated, especially on shared or mobile devices.
- Lock your screen and avoid leaving an account signed in on a public computer.
Account security matters because privacy settings cannot prevent someone who legitimately gains access to your signed-in account from viewing chats, files, or memories that remain available.

OpenAI’s consumer-data guidance says content from ChatGPT Business, Enterprise, Edu, Healthcare workspaces, and the API Platform is not used to improve models by default. That default does not make the data invisible to an organization. Administrators can control retention, access, and which features are available, and an organization may have its own legal, security, and monitoring obligations.

Before entering employer or client information, determine who owns the workspace, how long administrators retain records, who can access them, and whether connected tools are approved. A personal account and a managed workspace can have different rules even when the chat interface looks similar.

Be cautious with thumbs-up and thumbs-down feedback
On individual plans, submitting thumbs-up or thumbs-down feedback can cause the entire associated conversation to be used to improve models even after you opted out of model improvement. Avoid feedback on a highly sensitive conversation when preserving that exclusion matters. If feedback is necessary for a non-sensitive task, submit it from a conversation that contains no confidential material.
A practical privacy workflow
Before sending
- Decide whether the task needs a normal chat, Temporary Chat, or an approved managed workspace.
- Turn off model improvement if you use a personal account and do not want new conversations used for that purpose.
- Check Memory and personalization settings.
- Remove secrets, direct identifiers, unnecessary pages, and metadata.
- Inspect GPT, action, and app permissions before connecting a service.
While chatting
- Use placeholders and describe only the context needed to obtain a useful answer.
- Do not upload a full database, mailbox, or case file when a short extract will do.
- Confirm that a chat is still marked temporary before sending additional sensitive material.
- Avoid feedback controls on conversations that contain confidential information if you have opted out.
Afterward
- Delete the chat if you no longer need it.
- Delete every related file from Library separately.
- Review and remove remembered information.
- Disconnect any temporary integration or revoke permissions you no longer need.
- Use export or account-deletion requests when you need a broader record or removal action.
Common privacy problems and fixes
“I switched off training, but my chats are still visible.”
That is expected. The model-improvement switch affects whether new conversations are used to improve models; it does not hide or delete saved chats. Delete the conversations separately.
“I deleted the chat, but the document is still available.”
Chat deletion and Library deletion are separate. Remove the file from Library and check for another copy.
“I used Temporary Chat and later saved it.”
Saving changes its status to a regular chat. Apply ordinary history, memory, model-improvement, and deletion controls to it.
“I turned Memory off but received a safety-related response based on context.”
Memory and personalization controls do not eliminate limited safety and security uses of context in rare, high-risk situations. Avoid supplying unnecessary sensitive details in the first place.
“An app or GPT handled information I expected to stay inside ChatGPT.”
Review the action’s recipient and permissions. Data sent to a third party follows that recipient’s policy, which may allow longer retention or other uses. Revoke the connection and use the recipient’s privacy process if appropriate.
“My organization has different privacy rules than my personal account.”
Managed workspaces have administrator-controlled retention, access, and feature settings. Ask the workspace administrator or consult the organization’s policy before submitting regulated or confidential information.
