The safest way to use an AI assistant is to disclose the minimum information needed for the task, then verify four separate controls: model-improvement use, history or memory, retention and deletion, and human review. Add a unique password, multi-factor authentication (MFA) where available, and a permissions audit for connected services. Voice assistants need extra safeguards because an unintended wake-up can send audio and a request to the provider.
These steps reduce exposure without promising that any assistant is risk-free. Settings and terms differ by provider, product, account tier, region and date, so check the controls for the exact service you use.
1. Start with data minimization
Before entering a prompt, ask: What is the smallest amount of information the assistant needs to complete this task? Remove names, addresses, account numbers, customer identifiers, medical details and confidential business material when they are not essential.

Use “Client A,” “Project North” or “my local clinic” instead of a person’s name, full address or account number. If the assistant needs context, provide only the relevant facts. For example, “Rewrite this complaint in a firm but polite tone” does not require the customer’s phone number or order ID.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Reduce documents before uploading
For a summary, copy the relevant section rather than an entire file. Remove email signatures, tracked links, hidden comments, metadata and unrelated pages. Check spreadsheets for hidden columns and tabs. A redacted excerpt usually gives the assistant enough material while exposing less if the content is retained or reviewed.
Keep secrets out of prompts
- Never paste passwords, one-time codes, private encryption keys or recovery codes.
- Do not upload identity documents unless the specific service and task genuinely require them and you have checked its terms.
- Treat unreleased financial, legal, health, employment and customer information as confidential.
- Use a fictional example when you are asking how to perform a task rather than asking the assistant to process the real record.
Minimization is a prudent exposure-reduction practice, not a guarantee that a provider will never retain, access or review what you submit.
2. Understand the four privacy controls separately
A switch labelled “training,” “improve the model” or “help improve the service” does not necessarily control chat history, saved memory, retention or human access. Review each category independently.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute| Control | What it addresses | Questions to answer |
|---|---|---|
| Model improvement or training | Whether submitted content may be used to improve models or safeguards. | Can I opt out? Does the choice apply to new chats, resumed chats, files, voice transcripts and coding sessions? Is it different for consumer and business accounts? |
| History and memory | Whether conversations are shown in your history or facts are saved for future responses. | Can I disable history or memory separately? How do I inspect and remove saved memories? Does deleting a chat also delete a memory derived from it? |
| Retention and deletion | How long content, recordings, logs or account data remain and what deletion actually removes. | Is retention a fixed period or configurable? Is there a deletion request or a trash-period delay? Are safety, legal or billing records excluded? |
| Human review | Whether staff or contractors can inspect content for quality, safety or abuse investigations. | Does the policy describe review, annotation or third-party reviewers? Can you limit review for your account or product? |
Record the date you checked these settings. Providers change interfaces and terms, and a setting that applies to one product may not apply to an integrated app, a voice device or an API account.

3. Read the policy for your exact product and account
Do not infer privacy terms from a company’s general reputation. Consumer, business, education, government, API and third-party-hosted offerings can have different defaults, retention periods and review practices. Confirm the product name, account owner, region and plan before relying on a control.
OpenAI accounts
OpenAI’s security and privacy overview says individual users can choose whether their data is used for training and model improvement, delete memories, conversations and account data, and use customizable security and privacy settings. It also says content is encrypted at rest and in transit. These are statements in the overview; verify the live controls in the particular app or service you use.
The same overview says data from business accounts is not used to train models by default and that business customers have enhanced retention controls. That does not automatically describe a consumer account, an API integration or a third-party application that sends data to an OpenAI model. Check the terms attached to that account and the application’s own logging.
Anthropic’s Claude consumer choice
In an announcement dated August 28, 2025, Anthropic said consumer Free, Pro and Max users could choose whether data from new or resumed chats and coding sessions is used to improve Claude and its safeguards. Anthropic wrote, “You’re always in control of this setting and whether we use your data in this way.” The announcement says selecting training extends retention to five years, while declining the choice keeps the existing 30-day period.

Those announced terms do not apply to Anthropic’s commercial offerings, including Claude for Work, Government, Education or API use, including access through Amazon Bedrock and Google Cloud Vertex AI. Do not transfer the consumer setting or the five-year/30-day periods to those services; read the applicable commercial or platform terms.
Google Assistant
Google’s Protecting Your Google Assistant Privacy page says Assistant waits for an activation phrase or manual activation and then sends the request to Google’s servers. Google also acknowledges that accidental activation can occur.
Google says Web & App Activity affects whether Assistant interactions are stored in My Activity. Its guidance explains that Assistant query text and related information may be read, annotated and processed by human reviewers, including third parties, for quality and improvement. It also describes linked device and service information that may include location, contacts, device names, tasks, events, alarms, installed apps and playlists. These statements concern Google Assistant; do not generalize them to every Google AI product.
4. Use a safer workflow for common daily tasks
Drafting an email or message
- Write the request yourself first and remove names, addresses, order numbers and signatures.
- Describe the relationship and goal in general terms, such as “a delayed service appointment,” rather than identifying the person or company.
- Ask for a tone, length and structure; supply the sensitive facts manually after receiving a draft.
- Check the result for invented promises, confidential details or a tone that reveals more than intended.
Summarizing a document
- Copy only the pages or paragraphs needed for the summary.
- Redact identifiers and remove comments, revision history and embedded metadata.
- Ask for a summary without requesting storage of personal details or a permanent memory.
- Delete the conversation or uploaded file using the product’s documented control when the task is complete, and verify whether a separate history or memory entry remains.
Planning a trip, purchase or schedule
Give a general destination, budget range and constraints instead of a home address, full calendar or payment details. If an assistant can access calendars, contacts or shopping accounts, enable only the integration needed for the task and disable it afterward if other household users should not have access.

Working with code or technical logs
Replace API keys, hostnames, customer IDs, internal URLs and proprietary code with placeholders. Preserve the error message and the surrounding lines needed for diagnosis, but remove authentication headers and personal data. If you use a work or API account, confirm its retention and training terms before sending source code.
5. Protect voice assistants in shared spaces
Voice adds two exposure points: the device may activate when nobody intended it to, and people nearby may hear the response. The Federal Trade Commission’s December 2022 guide says voice assistants can mishear wake words, send recordings to manufacturer servers and access email, calendars, contacts or shopping functions depending on granted permissions.
Control activation and listening
- Learn the device’s listening indicator and check it when speaking near the device.
- Review the wake phrase and manual-activation options; avoid placing a device where television audio or frequent conversations can trigger it.
- When discussing confidential information, use a physical microphone mute control if the device provides one. The FTC specifically recommends checking for this kind of control.
- Review recording retention and deletion controls in the device or account settings. Confirm whether deletion covers transcripts, audio and associated activity.
Limit what voice can reach
Review connected email, calendar, contacts, shopping and smart-home services. Disable voice ordering or payment-related actions if they are unnecessary. Require a voice match, device lock or confirmation step where the product offers one, but do not treat voice recognition as a substitute for account authentication.
Plan for other people in the room
Do not dictate another person’s medical, employment or financial information in a shared space. Explain the device’s indicator and mute control to household members and guests. If a sensitive conversation is unavoidable, mute or unplug the device first.

- What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.
6. Harden the account that controls the assistant
Use a long, unique password
The FTC’s December 2022 consumer guide advises using at least 15 characters and not reusing passwords. This is dated consumer guidance, not a universal product specification. A password manager can generate and store a different long password for the assistant account and its email recovery account.
Turn on MFA where available
Prefer an authenticator app, hardware security key or another strong method offered by the provider. Save recovery codes in a secure location that is not inside the assistant’s chat history. Confirm that adding a new device, changing the password and exporting data require reauthentication.
Audit sessions and delegated access
- Sign out devices you no longer own or recognize.
- Remove browser extensions, mobile apps and third-party integrations that no longer need access.
- Check whether a family member, workplace administrator or smart-home account can read conversations or issue commands.
- Review notification previews so sensitive assistant responses do not appear on a shared lock screen.
7. Perform a privacy audit step by step
- Inventory your use. List each assistant app, browser extension, smart speaker, phone integration and work tool that receives prompts, files or voice recordings.
- Identify the account type. Mark each as consumer, business, education, government, API or third-party hosted. Record the plan and region.
- Open privacy settings. Locate controls for model improvement, chat history, memory, recordings, activity logs and connected services. Do not assume one switch controls all of them.
- Set the least permissive useful option. Opt out of improvement use when that is your preference, disable memory you do not need, and shorten or disable history where the product permits it.
- Test deletion. Delete a low-risk conversation or recording and check whether it disappears from history, activity logs, saved memories and linked-device dashboards. Note any stated delay or exception.
- Review human-access language. Look for terms such as review, annotation, quality, safety, contractors and third parties. If the policy is unclear, avoid sending confidential content.
- Audit integrations. Remove calendar, contacts, email, shopping and smart-home permissions that are unnecessary or shared with other users.
- Secure access. Replace reused passwords, enable MFA, inspect active sessions and update recovery methods.
- Check physical devices. Verify the listening indicator and locate the microphone mute button before using the assistant in a sensitive room.
- Recheck after changes. Repeat this audit after a plan change, app update, new integration or policy notice.
8. Know what privacy settings cannot guarantee
No single control removes every risk. Disabling model improvement may leave history, memory, operational logs or safety review in place. Deleting a chat may not instantly remove backups, legal-retention records or information already copied into another connected service. A business default may differ from a personal account, and an assistant embedded in another application may follow the host application’s terms.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →The National Institute of Standards and Technology warns that AI can create new re-identification risks: predictive capabilities may reveal more about people and amplify behavioral tracking and surveillance. This is a risk framework, not a prediction of how often a particular assistant will cause harm.
The Federal Trade Commission has described enforcement actions requiring companies to delete products, including models and algorithms, developed in whole or in part from unlawfully obtained consumer data. That enforcement posture explains why providers’ data-use commitments matter; it does not mean ordinary prompts are necessarily being used unlawfully.
9. If you already shared sensitive information
- Stop further exposure. Do not continue the conversation or upload additional context.
- Use available deletion controls. Delete the chat, file, recording and any saved memory separately when the product presents separate options.
- Revoke connected access. Remove integrations that could expose the same information again.
- Rotate secrets. Change any password, API key, access token or recovery code that appeared in the prompt. Treat it as compromised even if the message was deleted.
- Notify the right person. For workplace, customer or regulated information, follow your organization’s incident-reporting procedure.
- Watch for account misuse. Review sign-in alerts, active sessions, email forwarding rules, calendar changes and purchases.
10. A practical decision rule
Use an assistant freely for low-risk transformations such as rewording a generic paragraph, brainstorming an itinerary without personal identifiers or explaining a public error message. Pause and verify terms before submitting information that could identify a person, reveal a secret, affect someone’s rights or grant access to another service. For highly sensitive material, use a provider and account specifically approved for that data, or keep the task offline.
Google’s Safety Center summarizes the responsibility clearly: “When you use Google Assistant, you trust us with your data, and it’s our responsibility to protect and respect it.” You still control the most immediate protection: what you disclose, which integrations you enable and whether your account is secured.
