Telehealth is not automatically private. Protect a video or online medical visit by controlling who can see and hear it, using your own updated device on a password-protected home network, securing the account with a unique password and multifactor authentication, and checking how the service handles data. Use a patient portal when available and verify unexpected links or messages with the provider’s established phone number.
U.S. privacy law also has limits. HIPAA protects health information handled by covered health-care providers, health plans, clearinghouses, and their business associates, but it does not cover every consumer health app or website. The Federal Trade Commission (FTC) and state laws may still protect information outside HIPAA, so read the service’s privacy terms before entering symptoms, medications, diagnoses, images, or payment details.
What privacy risks exist in an online medical visit?
Online care creates several separate exposure points. A person in the room may overhear your conversation or see the screen. Someone who can use an unlocked phone or computer may open visit messages, downloaded records, or browser history. An insecure network can increase interception risk. A deceptive link can send you to an impostor site that collects credentials. The service itself may retain recordings, share data with analytics companies, or use tracking technologies that disclose sensitive interests.

Encryption helps protect data while it travels between your device and the service, but it cannot stop physical eavesdropping, an unlocked device, a compromised account, or a company’s permitted secondary use of information. HHS Office for Civil Rights summarizes the issue this way: “Using video apps and other technologies for telehealth can create risks to the privacy and security of your health information.” (HHS, Telehealth Privacy and Security Tips for Patients, 2023.)

Prepare the room before the appointment
Start with the people and devices physically near you. These steps address risks that software settings cannot fix.
- Choose a private room. Close the door and tell household members when you must not be interrupted. If a fully private room is unavailable, use the quietest location you can and avoid discussing highly sensitive details where others can hear.
- Use headphones. Headphones prevent the clinician’s audio from playing through a speaker that people nearby can hear. Avoid speakerphone whenever another person could be within listening distance.
- Position the screen deliberately. Place the display so visitors, roommates, co-workers, or passersby cannot read it. A privacy screen protector can narrow the viewing angle on a laptop or phone, but it does not replace a private location.
- Disable nearby listening devices. Mute or unplug smart speakers, voice assistants, connected cameras, and other microphones in the room. Do not assume a device is harmless because you are not actively speaking to it.
- Check the camera view. Remove documents, prescription bottles, mail, or other personal material from the background. Use the camera’s shutter or software mute when you are not speaking if the service allows it.
- Keep paper and physical records controlled. Put referral letters, medication lists, and test results away after the appointment. Someone who can photograph a document can bypass the security of the telehealth platform.
Use a personal, updated device
A personal phone, tablet, or computer gives you more control over accounts, updates, permissions, and stored files than an employer’s or public machine. Employer devices may be monitored or managed under workplace policies, and public computers can retain credentials or files after you leave.
- Install operating-system, browser, and security updates promptly. Updates repair known weaknesses that attackers may already understand.
- Turn on a short automatic screen lock and use a device passcode, PIN, or biometric unlock. Do not leave a portal open while the device is unattended.
- Use the official app store or the provider’s known website. Avoid installing a telehealth app from a file sent by an unsolicited message.
- Review camera, microphone, contacts, storage, and notification permissions. Grant only what the visit requires and revoke access later if it is no longer needed.
- Delete downloaded visit summaries, images, or recordings when you no longer need them. Empty the device’s deleted-items folder if it keeps copies.
- Keep backups protected. A backup that contains medical documents needs the same access controls as the original files.
Secure your account
Use a unique password
Create a long password that you do not reuse on email, banking, social media, or another medical service. Reuse allows a password stolen from an unrelated breach to unlock a health portal. A password manager can generate and store a different credential for each service, so you do not have to memorize every one.
Recommended Free Tools
Turn on multifactor authentication
Enable MFA in the portal or app’s account-security settings whenever it is offered. An authenticator app or hardware security key can provide an additional factor; a FIDO2 security key works only when the service supports that standard. SMS codes are better than a password alone, although they are not available or equally resistant to every type of account attack.
Protect recovery options
Secure the email address and phone number used for password recovery. Review logged-in sessions and sign out devices you no longer recognize. Save recovery codes in a protected location, not in an unencrypted note beside your password.
Secure the connection
Prefer your password-protected home Wi-Fi network with current router software and a strong wireless password. Avoid public Wi-Fi in cafés, hotels, libraries, airports, and waiting rooms for a medical visit. Shared networks make it harder to know who else is connected and whether the network is genuine.

Do not use public USB charging ports for a device that will access medical information. Carry your own wall charger and cable, or charge before the appointment. A malicious or modified charging station can create data-access opportunities in addition to supplying power.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsWhen a browser shows a lock icon or shield, it indicates an encrypted connection to that site. It does not prove that the provider is legitimate, that the app is free of malware, or that the company will not use information for advertising or analytics. Treat the icon as one technical signal, not a complete privacy approval.
Verify the provider and every link
Scammers can imitate a clinic’s logo, appointment language, and video platform. Use the provider’s patient portal or type the organization’s known web address yourself instead of following an unexpected link. If a text or email asks you to install software, enter a password, upload an identification document, or pay a bill, pause and verify it.
- Find the clinic’s usual phone number on a statement, insurance card, or previously used official record.
- Call that number and ask whether the appointment, message, or payment request is genuine.
- Check the spelling of the domain and the browser’s security indicators before entering information.
- Confirm the clinician’s name, specialty, appointment time, and the method the clinic normally uses for video visits.
- Never provide a one-time MFA code to someone who contacted you unexpectedly; a legitimate support representative should not need your code.
A patient portal tied to an established provider generally gives you a clearer identity trail than an anonymous form on a stand-alone website. It is still your responsibility to confirm that you are using the correct portal.
Understand HIPAA’s boundary
HIPAA applies to covered entities and their business associates when they handle protected health information in covered transactions. A hospital, physician practice, health plan, or service provider working for one of those organizations may therefore have HIPAA duties. The label “HIPAA compliant” describes a legal-scope and contractual posture; it is not a promise that every privacy risk has been eliminated.
Many consumer wellness, symptom-checker, fertility, fitness, mental-health, and medication apps are not HIPAA-covered entities. Information you voluntarily enter into a personal app may fall outside HIPAA even if the information is medically sensitive. The app’s own privacy policy, the FTC’s consumer-protection authority, and state privacy or health-data laws may still apply.

The FTC Health Breach Notification Rule covers certain non-HIPAA personal-health-record vendors. The FTC updated the rule in 2024 to clarify coverage of health apps and similar technologies. Requirements vary by service and event, so do not assume that a non-HIPAA app has no obligations or that a HIPAA-covered provider has identical duties to every app it links to.
Read the service’s privacy terms before sharing data
Look for plain answers to the following questions. If the policy is vague, broad, or impossible to locate, treat that as a reason to choose another service or limit what you disclose.
- What is collected? Check whether the service gathers symptoms, diagnoses, medications, images, audio, video, device identifiers, precise location, contacts, browsing activity, or payment information.
- Why is it collected? Separate information needed to provide care from optional analytics, personalization, advertising, product development, or research uses.
- Who receives it? Look for cloud hosts, transcription vendors, analytics companies, advertisers, insurers, data brokers, and other contractors.
- How is it tracked? Tracking pixels, software-development kits, cookies, and similar tools can transmit page visits or appointment context. HHS warns that tracking technologies may expose diagnoses, medications, treatments, and care locations.
- How long is it kept? Find retention periods for account data, messages, recordings, images, and backups. Ask what deletion means if copies remain in legal, billing, or disaster-recovery systems.
- Can you withdraw consent or delete the account? Note the procedure, identity checks, exceptions, and whether deletion stops future collection only or also removes existing records.
- Will the service notify you after a breach? Read the stated notification process and the contact method used for security alerts.
Do not enter more information than the appointment requires. For example, a service that only schedules a consultation may not need access to your contacts, photo library, or continuous location.
Compare services on privacy features, not slogans
Before choosing an online medical service, compare the specific controls and policies below. Record the answers in a note so you can make an informed choice rather than relying on a badge or marketing phrase.
| Comparison point | What to verify | Why it matters |
|---|---|---|
| Provider identity | Named clinicians, licensing information, established organization, and a verifiable phone number | Reduces the chance that you are giving health information to an impostor. |
| Patient portal | Whether the service uses a portal connected to the provider and how invitations are issued | A known portal gives you a safer route than an unsolicited link. |
| Encryption | Encryption in transit and, where stated, at rest; secure browser or app connection | Protects data while it moves and while the service stores it, but does not address every risk. |
| MFA | Authenticator-app, security-key, or other second-factor support | Limits damage if a password is exposed. |
| Recording policy | Whether audio or video is recorded, who can access it, and how consent works | A recording can preserve more sensitive information than a text note. |
| Retention and deletion | Retention periods, deletion controls, and backup exceptions | Limits how long information remains available after care ends. |
| Tracking and advertising | Third-party pixels, analytics, advertising disclosures, and opt-out choices | Prevents an appointment or health interest from becoming an advertising signal. |
| Breach notifications | Which notification rules and contact channels the service commits to | Determines how quickly you may learn that information was exposed. |
| Legal status | Whether the relevant entity is a HIPAA covered entity or business associate, and which state terms apply | Clarifies which legal protections may govern the transaction. |
During the video or messaging visit
Join from the private room and keep headphones connected. Confirm that the clinician can hear you before discussing sensitive details. If another person enters the room, tell the clinician and pause or mute the visit until you decide whether to continue.
Do not assume a visit is being recorded. Ask directly whether audio, video, chat, screenshots, or transcripts are saved, who can access them, and how long they remain available. If you do not want an optional recording or transcription, ask whether it can be disabled without affecting care.

After the appointment
- Sign out of the portal or app, especially on a shared device.
- Close the browser tab and remove temporary downloads or screenshots that you no longer need.
- Review the visit summary, prescriptions, and messages for accuracy before forwarding anything.
- Check account activity and security alerts for unfamiliar logins or password-reset requests.
- Store necessary records in an encrypted location with a screen lock and backup protection.
- Revoke temporary camera, microphone, or file permissions if the app no longer needs them.
Keep only the records that help with ongoing care, insurance, or legal needs. A smaller digital footprint is easier to protect.

If you entered credentials on a suspicious page
Stop using the page, change the affected password from the genuine portal, and change it anywhere else you reused it. Enable MFA, sign out other sessions, and contact the provider through its established phone number. If payment information was entered, contact the payment provider using a trusted number.
If a device is lost or stolen
Use the service’s account controls to sign out the missing device, change the portal password, and revoke remembered sessions. Use remote-lock or erase features that you configured in advance. Notify the provider if records or a logged-in session may have been accessible.
If information may have been exposed
Save the relevant messages, dates, URLs, and screenshots without forwarding sensitive content unnecessarily. Ask the provider or app what information was involved, when the exposure occurred, and which protective steps are available. Watch for targeted phishing that uses the exposed diagnosis, medication, or appointment details.
HIPAA-covered organizations have federal breach obligations in applicable circumstances, while certain non-HIPAA health-app vendors may fall under the FTC Health Breach Notification Rule. State notification and health-data laws can add requirements. The responsible company should explain which process applies to your incident.

Common misconceptions to avoid
“A lock icon means the service is trustworthy.”
The lock indicates an encrypted connection to the domain you reached. It cannot confirm that the domain belongs to your clinician or that the company limits advertising and analytics.
“HIPAA protects anything called a health app.”
HIPAA coverage depends on the entity and transaction, not the app’s subject matter. A consumer app can handle very sensitive data without being a HIPAA covered entity.
“Encryption solves privacy.”
Encryption does not prevent a roommate from hearing a visit, a stranger from using an unlocked phone, or a service from making permitted secondary uses of data.

A quick pre-visit checklist
- Private room selected; headphones ready; smart speakers and nearby cameras disabled.
- Personal device updated, locked, and free of unnecessary downloaded health files.
- Home Wi-Fi password protected; public Wi-Fi and public USB charging avoided.
- Unique portal password stored in a password manager; MFA enabled.
- Provider identity and appointment link verified through a known phone number or patient portal.
- Privacy policy checked for collection, tracking pixels, advertising, retention, deletion, and breach notices.
- Recording, transcript, screenshot, and display-sharing practices understood before sensitive discussion.
These measures address the main risks in order: people nearby, device access, account takeover, insecure connections, impersonation, and uncontrolled secondary use. No single setting makes an online medical service private by itself; privacy comes from combining physical controls, secure technology, careful verification, and an accurate understanding of the law.
