Protecting farm data requires two separate reviews: data governance (who may collect, use, share, retain, or delete the records) and cybersecurity (who can sign in, what can be compromised, and how you recover). Before connecting equipment or committing records to a platform, inventory the data, read the provider’s specific terms, verify export and exit procedures, harden every account, and maintain an independent encrypted copy.
Why farm-data protection has two parts
Governance answers “who can use my records?”
A strong password cannot stop a contract from allowing broad secondary uses. Data governance covers the categories collected, the reasons for collection, the people and companies that receive the information, the farmer’s consent and control, permitted disclosures, aggregation, retention, deletion, and portability. A platform can have excellent login security while giving the provider or partners extensive rights to analyze or redistribute data.
Cybersecurity answers “who can get into the account?”
Clear terms do not prevent a stolen password, a compromised email account, ransomware, or an abandoned employee login. Account security, device updates, role management, backups, and recovery planning reduce those risks. Treat the two reviews as complementary: favorable data-use terms do not replace multifactor authentication, and multifactor authentication does not create ownership or portability rights.

Make a list before accepting an integration or uploading historical records. Exact categories vary by service, but the following inventory helps reveal what is at stake and what to ask about.

| Data category | Typical examples | Questions to ask |
|---|---|---|
| Agronomic | Field boundaries, planting and harvest records, prescriptions, input applications, yield maps, soil tests | Which fields are mandatory? Is the provider allowed to aggregate them with other farms’ data? |
| Land and location | Parcel identifiers, GPS traces, lease information, worker or equipment locations | Who can see precise locations, and are they retained after an account closes? |
| Financial and management | Budgets, invoices, contracts, crop sales, payroll or cost records | Are advisers, analytics companies, affiliates, or lenders listed as recipients? |
| Machine and telematics | Equipment identifiers, operating hours, fuel use, diagnostic data, machine positions | Which equipment manufacturer or integration partner receives the feed, and can that connection be revoked? |
| Weather and environmental | On-farm sensors, weather observations, irrigation or chemical-use conditions | Is the data used only to provide a feature, or also for modeling and commercial analysis? |
| Livestock | Animal identifiers, health, movement, feed, breeding, and mortality records | Does the service disclose individual-operation information or only aggregated results? |
| People and account data | Names, email addresses, roles, contact details, credentials, support tickets | Who can administer users, reset access, export records, or view employee activity? |
Record the source of each data stream, the business purpose, and the person responsible for approving access. This inventory becomes the baseline for a vendor review and for checking whether an export is complete.
A six-step review before signup or connection
- Map what will leave the farm. List every file, sensor feed, API connection, mobile app, and employee or adviser account involved. Include information that arrives automatically when machinery or weather services are linked; an integration may transmit more than the screen used to create it suggests.
- Test necessity and purpose. For each category, ask why it is needed and what stops working if access is declined. A useful answer identifies a feature and a limited purpose, such as generating a planting recommendation. Vague language covering “business purposes” or unlimited future uses deserves clarification before approval.
- Identify every recipient and use. Read the terms and privacy notice for the platform, equipment partners, integration providers, advisers, affiliates, analytics vendors, and other named recipients. Look separately for disclosure, sale, targeted analysis, and use of aggregated or de-identified data. A statement that the provider does not sell data does not answer whether it shares data with partners, uses it for analytics, or keeps aggregated results.
- Check consent and control. Determine whether collection and sharing require explicit consent, which administrator can give it, and how consent can be narrowed or withdrawn. Ag Data Transparent’s Core Principles state: "A provider’s collection, access and use of ag data should be granted only with the explicit consent of the farmer in digital or written contracts." Treat that as an industry principle and certification criterion, not as a universal law in every jurisdiction.
- Verify portability, retention, and exit. Ask for a sample export or a precise description of the available format, included history, export frequency, and post-cancellation access window. Confirm how to revoke machine and software integrations, remove users, request deletion where offered, and learn what copies remain for legal, backup, or aggregated purposes. If the provider cannot explain how records leave, do not make it the only repository for essential history.
- Inspect transparency evidence. Ag Data Transparent describes an independent review of provider responses to 11 questions covering ownership, use, portability, and security. Check whether the specific product and edition you plan to use are within the provider’s current certification scope, then read the provider’s own current contract. Certification is evidence to examine; it is not a guarantee that an incident cannot occur or that every product from a company is covered.
Compare platforms on the same evidence
When evaluating two or more services, fill out the same worksheet for each one. Marketing labels such as “secure,” “open,” or “farmer-owned” are not comparable evidence unless the contract and settings explain what they mean.

| Comparison axis | Evidence to record | Warning sign |
|---|---|---|
| Collection and purpose | Every category collected and the stated reason for each | Purposes are broad, indefinite, or unrelated to the feature requested |
| Control and consent | Who authorizes collection or sharing; how permissions change or are withdrawn | No practical way to narrow consent or identify the decision-maker |
| Recipients and use | Integration partners, affiliates, analytics providers, disclosure, sale, and aggregation terms | Recipients are described only as “partners” or may be added without meaningful notice |
| Portability | Export availability, file format, historical depth, frequency, and ability to move records | Only reports or screenshots are available, with no usable data export |
| Retention and exit | Retention periods, deletion terms, post-termination access, and revocation process | No stated timetable for copies, backups, or access after cancellation |
| Account security | MFA methods, user roles, audit information, recovery controls, and administrator separation | One shared login, no MFA, or no way to remove a former worker |
| Transparency | Current terms, clear answers to questions, certification status and scope, change notices | Support cannot identify the governing terms or answers differ between sales and legal documents |
| Operational fit | Compatibility with equipment, connectivity, staffing, offline work, and recordkeeping routines | A protection requires a process the farm cannot perform during field operations |
No universal ranking of farm platforms has been established on these measures. Choose based on documented evidence and the farm’s tolerance for operational and lock-in risk.

Secure the platform account and its recovery path
Account recovery is often the shortest route around a strong platform password. Protect the email account used for resets at least as carefully as the farm-management account.

- PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
- Create a unique password. Do not reuse a personal, email, banking, or equipment password. A password manager can generate and store a different long password for each service without requiring staff to write credentials down.
- Enable MFA on the platform and email account. Start with administrators and anyone who can export records, invite users, change permissions, or approve integrations. CISA states, "Strong passwords help, but they are no longer enough to keep accounts and systems safe when used alone."
- Prefer phishing-resistant MFA where supported. CISA identifies physical security keys using standards such as FIDO/WebAuthn as a strong option. Confirm that the particular platform, browser, phone, and recovery process support the key before purchasing or requiring it; a general recommendation does not establish compatibility with a specific farm service. Keep a controlled spare and document its custodian.
- Use individual accounts and least privilege. Give a worker only the functions needed for the job. Reserve export, billing, integration, and user-management rights for named administrators. Do not share an owner login to avoid paying for another seat; shared credentials prevent meaningful offboarding and make investigations harder.
- Review access and connected services. Remove former staff promptly. Recheck advisers, contractors, API tokens, mobile devices, and equipment connections on a schedule. Revoke anything no longer needed and rotate credentials when a person with access leaves.
- Protect devices and connectivity components. Keep phones, computers, browsers, mobile apps, gateways, and equipment communication components supported and updated. Updates reduce known weaknesses but do not by themselves prevent compromise. Lock unattended devices and avoid saving farm credentials in a shared browser profile.
Keep an independent, recoverable copy
A platform export is useful only if the farm controls a copy that can be opened. Backups also address accidental deletion, an account lockout, a provider outage, and ransomware; they do not solve a contract that never permits a usable export.
- Set an export schedule. Choose a frequency based on how quickly records change and how much work would be lost. Export essential maps, applications, yields, financial records, livestock history, configuration, and user or integration documentation—not just a dashboard report.
- Use a usable format. Prefer machine-readable files that another system can import, and preserve the provider’s data dictionary or field definitions. Keep a dated manifest showing what was exported, from which account, and which records were intentionally excluded.
- Test the files. Open a sample, verify dates, field identifiers, units, attachments, and historical coverage, and check that a second person can locate the records. This is a practical control rather than a claim that a provider has tested the export for you.
- Keep a second copy under farm control. Store it in a separate location or service with access limited to designated people. Encrypt portable media and devices. CISA warns that an external drive left connected could also be exposed to ransomware, so disconnect it when the backup is complete unless it is intentionally protected by a continuously managed backup system.
- Protect the recovery information. Store encryption keys, administrator recovery codes, and export instructions separately from the data, with a documented custodian and an emergency substitute. A backup that nobody can decrypt or locate is not a recovery plan.
Plan for an outage, account loss, or provider exit
During a service outage
- Use the latest verified local export for critical field, livestock, and compliance decisions rather than repeatedly retrying a failing integration.
- Record transactions made offline so they can be reconciled without guessing when service returns.
- Use the provider’s documented status and support channels; do not send passwords or full farm exports through an unverified message.
When a user or integration must be removed
- Disable the individual account, revoke API tokens and machine connections, and rotate shared secrets if any were used.
- Check whether downloaded files, synchronized phones, or third-party systems still contain copies.
- Document the date, person approving the change, and records or integrations affected.
Before cancelling a platform
- Read the termination clause and export instructions while the account is still active.
- Complete and verify final exports, including attachments, metadata, maps, and historical versions that matter to the farm.
- Save invoices, contracts, permission histories, and the provider’s data dictionary needed to interpret the files later.
- Revoke equipment, software, adviser, and employee access; then remove users according to the provider’s process.
- Request deletion where available and obtain the provider’s stated retention period for backups, legal holds, or aggregated data.
- Confirm the date on which post-termination access ends and keep evidence of the request and response.
Use a maintenance cadence instead of a one-time setup
| Timing | Review | Owner |
|---|---|---|
| At every new connection | Data categories, purpose, recipients, consent, export method, and integration permissions | Farm owner or designated data steward |
| Monthly or at a practical operational interval | Former staff, inactive users, administrator list, MFA status, and connected services | Platform administrator |
| On the export schedule | Export completion, file readability, backup encryption, and disconnected-media status | Records or IT lead |
| After a contract or terms notice | New purposes, recipients, retention, liability, security language, and choices that changed | Owner with legal or advisory support when needed |
| After an incident or suspected compromise | Reset credentials, revoke sessions and tokens, preserve evidence, notify affected parties as required, and restore from a known-good copy | Incident lead and provider support |
| Before renewal or cancellation | Certification scope, current terms, portability test, retention and deletion commitments, and exit records | Contract owner |
Understand the U.S. legal and policy boundaries
Farm-data rights depend on jurisdiction, contract language, the type of information, and the parties involved. Industry principles are useful review criteria but are not a substitute for binding law or individualized legal advice.

Ag Data Transparent and the farm-data principles
The American Farm Bureau Federation and participating organizations established Privacy and Security Principles for Farm Data in 2014. Ag Data Transparent says members updated its core principles in 2024. The principles address collection categories, consent, access and use, disclosure limits, portability, retention, and termination. A certification review can improve transparency, but read the current terms for the exact product, edition, and integration you will use.

USDA’s National Agricultural Statistics Service describes statutory safeguards for records collected under its confidentiality pledge, including restricted access and limits on disclosure of identifiable operation information. Its published statement says, "Published statistics from NASS surveys and censuses will not disclose reported data from an individual." That pledge applies to NASS surveys and censuses; it is not evidence that a commercial farm-management platform receives the same treatment, and it should not be generalized to every USDA program.

Recent USDA policy and proposed legislation
USDA announced a Data Modernization Plan on September 1, 2026, with commitments to explain why requested information is collected, how it is used, and how producer privacy is protected in USDA data collection. Those commitments concern USDA operations. A bill titled the Agricultural Data Privacy Act of 2026 appeared in the 119th Congress; unless current official legislative records show enactment, treat it as proposed legislation rather than a right or obligation that already applies.
Questions to put in writing to a provider
- What exact agronomic, machine, location, financial, livestock, weather, employee, and account data do you collect from this product and each integration?
- What function requires each category, and what stops working if the farm declines it?
- Which affiliates, equipment companies, advisers, analytics providers, contractors, or other recipients can access it?
- May you disclose, sell, license, or aggregate the data? Are aggregated or de-identified results retained after cancellation?
- How is consent recorded, narrowed, and withdrawn, and which farm administrator controls it?
- What export formats, historical depth, attachments, metadata, and export frequency are available?
- How long can the farm export data after cancellation, and when are production and backup copies deleted?
- Can the farm revoke every integration and remove every user without provider intervention?
- Which MFA methods, roles, audit records, recovery controls, and administrator protections are available?
- Is this exact product and edition within a current Ag Data Transparent certification scope, and where can the provider’s reviewed answers be read?
- How will the provider notify customers about material changes to data use, recipients, security practices, or retention?
Red flags that justify pausing a connection
- The contract claims broad, perpetual rights while the salesperson describes a narrower use.
- The provider cannot name integration recipients or explain whether machine data is sent onward.
- There is no practical export, the format is unusable, or post-cancellation access is undefined.
- One shared administrator login is required, MFA is unavailable, or former users cannot be removed.
- Terms can change without a clear notice or meaningful opportunity to stop using the service.
- Support will not answer retention, deletion, incident notification, or recovery questions in writing.
A pause is not a claim that the service is unsafe; it means the farm lacks enough evidence to accept the dependency. Document the unanswered question, the business impact, and the condition that would allow approval.
A practical approval record
Keep a short record for each platform and integration. Attach the version or date of the terms reviewed, the inventory of data categories, named recipients, consent decision, export test result, retention answer, MFA configuration, administrator list, backup location, and planned review date. When staff change or a new machine is connected, update the record instead of relying on memory. This turns a one-time signup decision into an auditable routine the farm can repeat across services.
