Before using Gemini on email, identify which Gemini feature and account you are using. Gemini Apps, Gemini built into Google Workspace, and experimental Workspace features on a personal account do not all have the same data terms. For confidential messages, do not assume that a privacy setting or a Workspace protection applies everywhere: keep the content out unless you have confirmed the rules for that specific feature and account.
First identify which Gemini and account you are using
“Gemini with email” can mean several different things: asking Gemini Apps about information from connected Google services, using a Gemini feature inside Gmail or another Workspace app, or trying a Workspace experimental feature with a personal account. Those are distinct product contexts, with different privacy terms and controls.
Before sharing or asking a question about a message, identify both the account and the feature surface. Is the account a personal Google account or an organizational Google Workspace account? Are you working inside Gmail with a Workspace feature, or sending information to Gemini Apps, Search, or another connected surface? Is the feature experimental? A protection described for one context should not be treated as a blanket rule for all the others.

Google’s official documentation describes these contexts separately; it does not establish one universal “Gemini privacy” switch that governs them all. The guidance below is based on Google’s relevant help and privacy documentation as accessed on October 13, 2026. Feature availability, account settings, and notices may change.

Decide whether the email is safe to share
If a message contains information that would cause harm if exposed or used beyond the immediate task, the safer choice is not to submit it to a Gemini feature until you have verified that feature’s terms and, for a work account, your organization’s rules. That includes not only the original message but also quoted replies, attachments, copied snippets, screenshots, and details in your prompt that could identify someone.
Google’s Gemini Apps Privacy Notice gives direct guidance: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” This is Google’s stated guidance for Gemini Apps, not an independent security guarantee or a claim that every Workspace feature follows identical terms.
Keep the task, remove the sensitive details
When you can get useful help without disclosing the underlying content, describe the problem generically. For example, ask for a neutral structure for a response to a delayed invoice rather than pasting an email containing a person’s name, account number, amount owed, and payment details. Replace identifying facts with general descriptions only if the remaining context is not itself confidential or identifying.

A message can still identify someone through a combination of dates, job titles, organizations, events, locations, or unusual circumstances. Attachments and screenshots can also contain details that are easy to overlook. If removing the details would not make the material safe to share, do not send it.

Use a stricter threshold for personal or regulated information
Be especially cautious with information about health, finances, legal matters, employment, credentials, security incidents, customers, children, or another person’s private life. The available Google guidance does not establish that every Gemini surface is approved for every category of regulated or confidential data. For organizational information, follow your employer’s policy and ask the appropriate administrator or privacy contact when approval is unclear.
Understand what Google says about Workspace protections
Google distinguishes data used within Workspace from data that a user shares into other Google services. Its Workspace guidance says: “We do not use your Workspace data to train or improve the underlying generative AI and large language models that power Gemini, Search, and other systems outside of Workspace without permission.” That statement concerns Workspace data and the described Workspace context; it does not automatically cover content moved into Gemini Apps, Search for Personal Intelligence, screen actions, or a separate experimental feature.
For users with a Google AI plan using Gemini inside Workspace apps, Google says Workspace content is used to answer prompts, is not used to train or improve Gemini or other generative AI models, and prompts and outputs are not stored without permission. Keep that qualification attached to the claim: it is about those users and Gemini inside Workspace apps, not every account, plan, feature, or route for sharing email with Gemini.

Check administrator controls for a work account
If you use an organizational account, confirm the rules with your Workspace administrator before using Gemini on sensitive email. The administrator can tell you whether Gemini is available, whether access to Gmail or other Workspace data is limited, and which policies apply to your account. Do not infer that a feature is approved just because it appears in the interface or can access a message.
- Identify the account and feature. Confirm that you are signed into the organization’s Workspace account, not a personal account, and note whether the feature is inside Workspace or opens another Google service.
- Ask about Gemini availability and scope. Ask whether Gemini is enabled for your account and whether access to Gmail messages or other Workspace data has been restricted.
- Confirm data-handling rules for the task. Ask whether your organization permits this type of message to be processed by the specific feature you intend to use. Clarify whether the feature is experimental or sends information outside Workspace.
- Check content-owner restrictions. Access may be subject to limitations imposed on particular content. In particular, Google says delegated Gmail messages are unavailable to Gemini through the documented Workspace access path.
- Use only the approved route. If the administrator confirms a feature is suitable, use that specific Workspace context. Do not copy the same email into Gemini Apps, Search, a screen action, or an experiment and assume the same protections follow it.
The Google documentation summarized here establishes that administrators can control Gemini availability and data access, but it does not provide a universal click-by-click settings path for every organization. Admin interfaces and available controls can depend on the organization’s configuration. Ask your administrator for the current route in your environment rather than relying on an assumed menu name.
Keep cross-service sharing separate from Workspace use
Personal-account Workspace content shared with Gemini Apps or Search for Personal Intelligence, or sent through screen actions that can include screenshots, is handled under the respective services’ terms, according to Google. Google warns that such data may be used for model training and improvement. A Workspace statement about how data is handled inside Workspace therefore should not be read as permission to pass the same material to another product surface.
Before using a connected service or screen action, consider what will actually be transmitted. A screenshot may show more than the selected message: other messages, names, account details, browser tabs, notifications, or interface content may be visible. If the action requires exposing information beyond what the task needs, stop and use a less revealing approach—or do not proceed.

- Do not copy a confidential email into Gemini Apps simply because Gemini inside Workspace has different protections.
- Do not assume that connecting Gmail to another service makes that service part of Workspace.
- Do not send a screenshot containing sensitive email unless you have checked the destination feature’s terms and can limit what is visible.
- When uncertain whether content remains in Workspace, ask your administrator for an answer about the exact feature and account.
Treat Workspace Experiments as a separate, higher-risk case
Google’s Workspace Experiments Privacy Notice and Terms for Personal Accounts describe a distinct experimental context. The notice says prompts, selected email or other Workspace content, outputs, refinements, and feedback may be used to improve products and machine-learning technologies and may be reviewed by humans. It explicitly advises against including sensitive, confidential, or identifying personal information.
The notice, shown as published or updated in September 2026, states that Workspace Experiments Data is retained for 18 months. It says copies reviewed or annotated by human reviewers may be retained for up to four years. These periods apply to the named Workspace Experiments personal-account notice; they should not be generalized to Gemini Apps or standard Workspace use.
If a feature identifies itself as an experiment and you are using a personal account, do not use it with sensitive email or identifying personal information. If you are unsure whether a feature is experimental, check its notice before sharing content rather than inferring its status from how closely it resembles Gmail or another Workspace app.

Review privacy settings—and understand their limits
Google documents separate smart-feature controls for Workspace and other Google products. Turning off the relevant control stops future active use for those smart features, but Google says learnings already developed may persist. Because the settings are separate, changing a smart-feature setting in one product should not be treated as a change to every other Gemini or Google service.

Gemini Apps activity controls also have limits. Google says that turning off activity does not stop all processing: chats are still used to respond and protect users, and human review may occur. Therefore, activity controls are not a substitute for withholding confidential information that you do not want processed under the service’s terms.
- Find the control for the product you actually use. Identify whether you need to review Workspace smart features, settings for another Google product, or Gemini Apps activity. These are not one universal setting.
- Read what the specific control changes. Check whether it affects future use for a named feature, activity history, or another data use. Do not assume that one setting disables every kind of processing.
- Consider prior use separately. Google says learnings already developed may persist after turning off the relevant smart-feature setting. Do not interpret switching a control off as erasing past learnings.
- For an organization account, ask the administrator. The organization may manage feature access or settings centrally, so a control visible to an individual may not settle the organization’s policy or the feature’s permitted use.
A practical decision checklist before asking Gemini about an email
Use this check each time the context changes—for example, when moving from Gmail to Gemini Apps, switching from a work account to a personal one, or using a new feature.
- Account: Is this a personal Google account or an organizational Workspace account?
- Surface: Is Gemini embedded in Workspace, operating through Gemini Apps or Search, or part of Workspace Experiments?
- Direction: Will the email stay in Workspace, or will you copy it, connect it to another service, or expose it through a screen action?
- Content: Does the message, attachment, prompt, or screenshot contain confidential, sensitive, or identifying information?
- Authority: If it is work content, has your administrator or organization’s policy approved this specific feature and use?
- Controls: Have you checked the relevant product’s smart-feature or activity controls, without assuming they stop all processing or erase past learnings?
If any answer is unclear, withhold the sensitive content until you can verify the applicable terms and organizational rules. You can often ask for general help without sharing the email itself, but a generic prompt is only safer when the remaining details do not identify a person or disclose protected information.

Google’s documentation gives materially different guidance for Gemini Apps, Gemini within Workspace, personal-account cross-service sharing, and Workspace Experiments. It describes Workspace administrator controls and identifies limitations to certain settings. It does not establish that every Gemini feature is risk-free, that all data receives the same treatment, or that a single account setting governs every route by which email can be shared.
For a sensitive message, the decision should turn on the exact product surface, account type, data path, and applicable organizational policy—not the Gemini name alone. When those details are not clear, do not submit the message. Google’s statements and notices cited here were accessed on October 13, 2026, and may change as features and terms evolve.
