Protect bank-statement data by sharing as little as possible: use your bank’s CSV or other structured export if it meets the task, and avoid uploading a PDF to a third-party converter unless you need to. If an upload is necessary, redact identifiers in a copy before sending it, check how the service processes and deletes data, and reconcile the converted file against the original statement. A CSV or Excel file is still sensitive financial information; changing the format does not make it anonymous.
Can you avoid uploading the statement?
Start with the bank. If it offers a CSV, OFX, or another structured export that works with your accounting software or task, use that instead of sending a PDF to a separate conversion service. This can remove a third-party upload from the workflow. Not every bank offers a suitable export, and the bank’s own download should still be handled as sensitive data.
Before exporting or converting, identify what the receiving workflow actually needs. If it only needs transaction rows, it may not need a full account number, home address, unrelated pages, or other identifiers. Remove unnecessary content only when doing so will not prevent the recipient from completing the task or verifying the records.
How to prepare a statement before an upload
Make a separate copy and redact for real
Keep the original intact and work on a copy. Redact only information that is unnecessary for the task and that the recipient has agreed can be removed. A black rectangle placed over text may hide it visually while leaving the text underneath selectable or recoverable. After applying redactions, export the file and test the exported copy: try selecting or searching for the covered text, and inspect the file in another viewer if practical. Do not upload it until the information is no longer present in the version you will send.

The UK Information Commissioner’s Office (ICO) guidance on disclosing documents safely recommends checking for hidden personal information and redacting where appropriate. It was published on 31 July 2025 and is UK guidance for organizations processing personal information under UK GDPR; the ICO notes that guidance may not remain up to date or guarantee compliance.
Check the service before sending anything
Read the converter’s current privacy policy, security information, and data-processing terms. Look for answers about the complete data path, not just the upload screen:

- Does the original PDF leave your device, or does the tool upload a rendered page image instead?
- Where do OCR, parsing, and output generation happen? A browser-based interface alone does not prove that processing is local.
- How long are originals, page images, extracted transaction rows, outputs, logs, and backups retained?
- How does deletion work, including backup expiry, and can you trigger deletion yourself?
- Can staff or subprocessors access the document or extracted data? Does the service identify any AI or extraction provider that receives it?
- Does the service state where processing occurs, which legal terms apply, and whether it offers a data-processing agreement for client or business data?
- Are security claims supported by a current independent audit or certification? A badge or marketing phrase alone is not proof of an audit.
- Can you inspect or correct the output before importing it into another system?
Encryption is one safeguard, not a complete answer. Ask whether data is encrypted in transit and at rest, who controls encryption keys, and whether the provider can access readable data while processing it. The ICO’s encryption guidance says the appropriate choice depends on context, risks, available technology, and cost; encryption can reduce risk without removing it. Its page reproduces UK GDPR Article 32’s requirement for appropriate technical and organizational measures, including pseudonymisation and encryption where appropriate.
Local and cloud conversion: what to weigh
Local processing can reduce disclosure if the original, rendered pages, and extracted data stay on a device you control. Confirm where parsing, OCR, temporary-file creation, and output generation take place. A self-hosted or local tool still needs to be trustworthy and properly configured; “local” should describe the actual data flow, not just where the interface appears.

A cloud service may be more convenient or necessary, but it receives some form of the document or its contents. If you use one, send only the minimum necessary redacted copy, and inspect any preview or audit file that shows what will be transmitted. Do not rely on an “encrypted” claim by itself: encryption in transit does not establish retention periods, staff access, backup deletion, or downstream processing.
Vendor statements illustrate why these questions matter, but they are not independent verification or a security ranking. ConvertStatement describes in-memory processing, no default disk retention, and TLS 1.3 in transit. Secure Academic Studio describes local rendering and redaction, followed by sending redacted images for extraction. PARE says uploaded PDFs are deleted after parsing, while also stating that hosted processing reads data in clear in memory, that it does not guarantee a storage region, and that it has no SOC 2 report. These descriptions can change; check each service’s current terms rather than treating a vendor statement as a guarantee.

For work involving clients or employees, use your organization’s approved process and agree on retention and deletion requirements before sending records to an external processor. Do not upload sensitive statements to an unfamiliar free converter simply because it promises encryption.

Conversion can change values even when the file looks plausible. The UK government’s National Fraud Initiative (NFI) uploading-data guide warns that Excel can remove leading zeroes, alter long numeric strings, turn some numbers into dates, and truncate rows. Its advice concerns submissions to that government program, but the spreadsheet risks are relevant when checking converted transaction data. The guide’s statement that the NFI’s own secure web application uses “256-bit Secure Sockets Layer encryption” describes that specific system; it is not a general assurance about conversion services.

Before using or importing the output, compare it with the source statement:
- Confirm the statement period and that the first and last transaction dates match.
- Compare the transaction count and check that no rows appear to be missing or duplicated.
- Reconcile opening and closing balances, allowing for the statement’s treatment of pending items or fees.
- Inspect representative amounts for decimal placement, debit and credit signs, and currency.
- Check dates and descriptions, including rows containing long numbers or values with leading zeroes.
- Review the spreadsheet’s row count for signs of truncation before importing it elsewhere.
If you find an error, correct it against the statement rather than guessing. Preserve the source PDF until reconciliation is complete, and avoid treating the converted file as authoritative until the checks pass.
After conversion: retain and share less
Keep only the output needed for the task. Protect retained files with appropriate device or file encryption and account access controls, and transmit them through an approved secure channel. If temporary files are no longer needed, delete them and clear trash or recycle-bin copies where applicable. For cloud processing, follow the service’s deletion process and any retention terms agreed for the work.
Encryption lowers exposure if a file is intercepted or accessed outside its intended context, but it does not undo an upload, control every copy, or guarantee safe handling by a service. The practical goal is to minimize disclosure at each step, confirm the actual processing and deletion arrangements, and validate the data before relying on it.
