The safest built-in workflow depends on the scan’s destination and format. Scan into Files when you need a PDF saved to a specific location, and scan into Notes only when the note contains content that Apple allows you to lock. A note containing a PDF cannot be locked with Notes’ built-in Lock command. For scans synchronized with iCloud, Advanced Data Protection can add end-to-end encryption, but you must prepare a recovery contact or recovery key first.
The practical baseline is a strong iPhone passcode, automatic locking, minimal sharing, and deliberate control over where each scan is stored. The steps below show what each Apple feature protects, what it does not protect, and how to avoid locking yourself out.
Decide where the scan should live
Apple supports scanning from either Notes or Files. The destination determines whether you are working with a note, a portable PDF, or data synchronized through iCloud. Apple’s current scanning instructions are documented at How to scan documents on your iPhone or iPad.

Choose Notes if the information needs to remain part of a working note and you have confirmed that the note’s contents are eligible for locking. Choose Files if you need a PDF that can be moved, uploaded, or opened by another document application. A PDF in Files is not automatically protected by a Notes password.

Scan into Notes
- Open Notes and create or open the note that should contain the scan.
- Tap the attachment button, choose Scan Documents, and capture each page.
- Review the page edges and retake any unclear page before saving.
- Keep the note unshared if the material is confidential, then apply Notes Lock only if the note meets Apple’s eligibility rules.
Scan into Files
- Open Files and browse to the folder or storage location where the document should live.
- Tap More, choose Scan Documents, and capture the pages.
- Review the pages, tap Keep Scan for each page, then tap Save.
- Confirm the folder name and storage provider before leaving the scan. Files lets you choose the save location, so do not assume that every scan goes to iCloud Drive.
Understand what Notes Lock can and cannot do
Apple’s instructions for locking notes are at How to lock or unlock notes on your iPhone or iPad. For an eligible note, open it, tap More, choose Lock, and authenticate with the device passcode or a Notes password. On supported hardware, Face ID or Touch ID can be enabled for faster unlocking.
A PDF makes the note ineligible
Apple expressly says that notes containing PDFs cannot be locked. The same support page also lists other exclusions, including notes with audio or video, certain iWork files, shared notes, and notes syncing from some third-party accounts. Therefore, do not tell yourself that placing a scanned PDF inside a note creates a password-protected document. If the scan is a PDF attachment, Notes Lock is unavailable for that note.
Before scanning sensitive material into an existing note, inspect the note’s attachments and account. A note that was previously lockable can become ineligible when you add a prohibited attachment or share it with someone else. If the document must remain a PDF, use Files and protect the storage and account instead of relying on Notes Lock.
Locking is not continuous while the note is open
A locked note is protected at rest, not every second after you authenticate. Apple says a locked note remains open for several minutes after you unlock it and relocks when Notes closes or the iPhone goes to sleep. Treat that interval as an exposure period: close Notes when you finish, press the side button before leaving the phone, and avoid opening a locked note while other people can see the screen.
Choose your authentication method carefully
The iPhone passcode is usually the least fragile choice because it uses the credential that already unlocks the device. A separate Notes password can isolate Notes from the device passcode, but it creates a recovery risk. Apple warns that forgetting a custom Notes password prevents access to notes locked with the old password; resetting the password does not unlock those older notes. Store a custom password in a trusted password manager before using it.

Secure scans saved in Files
Files is the natural destination for a PDF, but Apple’s scan workflow does not provide a per-file password command. Do not infer that a PDF in iCloud Drive has the same lock behavior as an eligible note. Its protection comes from the iPhone’s security, the account and storage provider, encryption settings, and careful sharing.
Use the strongest device baseline
- Use a long, unique iPhone passcode rather than an easily guessed short code.
- Keep automatic locking enabled and press the side button whenever you step away.
- Install current iOS updates so security fixes are applied.
- Do not leave a sensitive PDF open in the document preview, a browser tab, or a recently used app when handing the phone to someone else.
- Check which Files location is selected. A local folder, iCloud Drive folder, and another provider can have different synchronization and sharing behavior.
These steps protect the device and reduce casual exposure; they do not add a separate password to an individual PDF. If a recipient needs a password-protected file, use a document tool that explicitly supports PDF encryption and verify its sharing and recovery model before placing the file in it.
Distinguish local storage from synced storage
A folder under On My iPhone is stored locally, while an iCloud Drive folder is designed to synchronize with the Apple Account and other trusted devices. A third-party provider shown in Files follows that provider’s account, encryption, retention, and sharing policies. The Files app is only the interface; it does not make every provider’s file equally protected.
After saving, open the file’s information panel and verify its location rather than relying on the filename or Recents view. If you move a scan, check whether a copy remains in the original folder, an import folder, a messaging app, or a download directory. A scan can be exposed through an overlooked duplicate even when the intended copy is well protected.
Use Advanced Data Protection for stronger iCloud confidentiality
Advanced Data Protection is an optional iCloud setting that extends end-to-end encryption to additional categories, including Notes and iCloud Drive. Apple describes the effect this way: “With Advanced Data Protection, your protected data can be decrypted only on your trusted devices, protecting your information even in the case of a data breach in the cloud.” See Use Advanced Data Protection for your iCloud data and Apple’s iCloud data security overview.

Prepare recovery before enabling it
Advanced Data Protection changes who can recover the encrypted data. Apple says it cannot recover protected data if you lose access to your account and your recovery methods. Before turning it on, configure either a Recovery Contact or a Recovery Key, and make sure that method will remain available when you need it.

- Update the Apple devices that use the account so they meet the current requirements shown in Apple’s setup screen.
- Open Settings, tap your Apple Account name, open iCloud, and select Advanced Data Protection. Labels can vary slightly by iOS release.
- Follow the prompts to add a recovery contact or generate and securely store a recovery key.
- Read the device-removal and recovery warnings, then enable the feature only after testing that you can reach the chosen recovery method.
- Confirm that the folder containing the scan is actually in iCloud Drive, or that the note is syncing through iCloud. Advanced Data Protection cannot strengthen data that never enters the protected iCloud category.
What this setting does not mean
Advanced Data Protection is not a per-document password and does not make a shared scan private from every participant. It protects supported iCloud data with keys held by your trusted devices. Anyone who can unlock your iPhone, access an already authenticated device, or whom you deliberately share the document with may still be able to read it.
It also does not remove every piece of metadata. Apple documents metadata that can remain under standard data protection, including certain file or note dates, status fields, and checksums. Encryption of the document’s contents should not be described as anonymity or as proof that no information about the file exists in the cloud.
Handle shared scans as a separate risk
Sharing changes the protection boundary. A shared note may be ineligible for Notes Lock, and a shared Files item is accessible according to the participants and permissions you choose. Before sending a scan, ask whether the recipient needs editing, commenting, or view-only access. Remove access when the work is complete, and avoid public links for identity documents, financial records, medical paperwork, or anything containing account credentials.
Apple’s security documentation explains that secure-note attachments support images, sketches, tables, maps, and websites, while unsupported attachment types cannot be encrypted in secure notes. See Secure features in the Notes app. A scanned PDF should therefore be treated according to the PDF and storage rules above, not according to the more general statement that Notes content is secure.

Check every copy before sharing
Look for the original scan in Notes or Files, exported copies in Mail or Messages, previews in a browser, and files in Recently Deleted. If you create a redacted version, make sure the sensitive text is actually removed rather than merely covered by a shape. Share the minimum pages needed, use named recipients where possible, and avoid forwarding a link whose permissions you cannot inspect.
Notes versus Files: a quick decision guide
- Need a working note with text and a scan? Notes is convenient, but first confirm that the note has no PDF, audio, video, prohibited iWork attachment, unsupported account sync, or sharing that would disqualify locking.
- Need a portable document? Files is the better fit. It lets you select the destination and preserves the scan as a file, but it does not add a per-file password.
- Need stronger protection against a cloud breach? Put the scan in a supported iCloud category and consider Advanced Data Protection after arranging recovery.
- Need to give someone a protected PDF? Neither scanning workflow itself supplies that feature. Use a tool that explicitly offers PDF encryption, then verify how the recipient receives the password and how you will recover the file.
- Need collaboration? Treat participant access as the controlling boundary. A lock on your device does not override permission you grant to another person.
A practical protection workflow
- Classify the document. Decide whether it is an identity document, financial record, medical record, contract, or ordinary paperwork. The more damaging disclosure would be, the less you should share it.
- Select the destination. Use Notes for eligible note-based material; use Files when you need a portable PDF or a chosen folder.
- Verify the format. If the note contains a PDF, stop treating Notes Lock as an option. Continue with Files and account-level protections instead.
- Scan in a private place. Check the camera preview for unrelated pages, reflections, names, or screens in the background before saving.
- Save deliberately. Confirm the folder, account, and synchronization state immediately after tapping Save.
- Apply available locking. For an eligible note, use More > Lock and choose the iPhone passcode or a securely stored Notes password.
- Strengthen iCloud if appropriate. Enable Advanced Data Protection only after arranging a recovery contact or recovery key and confirming that all relevant devices are compatible.
- Close the exposure window. Close the note or file preview and lock the iPhone as soon as the scan is saved.
- Review sharing. Check collaborators, shared folders, links, and app permissions. Revoke access that is no longer necessary.
- Remove unnecessary copies. Delete temporary scans from Recently Deleted, other apps, messages, email attachments, and downloads when retention is no longer required.
Common mistakes and fixes
“I locked the note, but the scanned PDF is still accessible”
Check whether the note actually locked. If it contains a PDF, Apple does not permit Notes Lock for that note. Move the workflow to Files, secure the iPhone and iCloud account, and use a PDF-encryption tool only if you need a separate file password.
“The scan appeared in the wrong place”
Files saves to the location selected during the scan. Browse the Files sidebar and inspect local storage, iCloud Drive, and any other enabled provider. Move the document to the intended folder, then check whether the original remains in another location.
“I forgot my Notes password”
Do not reset it expecting old notes to become readable. Apple says resetting the password does not restore access to notes locked with the forgotten password. Use the original password if you can recover it; otherwise, treat the old notes as inaccessible and establish a documented password-recovery plan for future notes.
“Advanced Data Protection is unavailable”
Review the requirements shown by the setup screen, update devices that use the account, and configure a Recovery Contact or Recovery Key. If a device cannot be updated or removed from the account, the feature may require account and device changes before activation.

“I enabled stronger encryption but still see file information”
This is expected for some metadata. Apple documents dates, status information, checksums, and other metadata that can remain protected differently from file contents. Advanced Data Protection improves confidentiality; it is not a promise that every descriptive field disappears from Apple’s systems.

iCloud uses encryption, but the protection category depends on the data and settings. Advanced Data Protection extends end-to-end encryption to more categories, including Notes and iCloud Drive. It requires a compatible device setup and a Recovery Contact or Recovery Key, and Apple cannot recover protected data if you lose access to the required keys.
Does locking a note keep it locked while I read it?
