Protecting sensitive data in Claude for Business requires more than relying on Anthropic’s commercial “no training by default” policy. Use an organization-managed account, classify and minimize what employees submit, restrict integrations, configure retention and feedback controls, and verify the contract for regulated workloads. Anthropic’s published terms distinguish model training from storage, administrator access, and approved zero-data-retention arrangements, so your plan, settings, agreement, and workflow determine the protection actually in force.
Start with the four data questions that are easy to confuse
Before approving Claude for business use, separate four issues: whether Anthropic trains on your content, how long content is retained, who inside your organization can access it, and where or under what contractual terms processing occurs. A “no training” statement answers only the first question.
| Question | Anthropic’s published position | What your organization must verify |
|---|---|---|
| Is commercial input or output used to train models? | Not by default for commercial products such as Claude for Work and the Anthropic API. | Whether a user submitted feedback, reported a bug, or otherwise granted permission that creates an exception. |
| Does no training mean no storage? | No. Saved Work conversations remain in the product, and API handling follows a separate retention model. | Your plan’s retention settings, project rules, deletion process, and any API exceptions. |
| Can administrators access business data? | The Primary Owner can request exports that may include conversations, uploaded files, and usage patterns. | Which owner and administrator roles exist, who holds them, and how exports are approved and protected. |
| Does zero data retention cover ordinary Work chats? | No blanket coverage is established. Anthropic describes approved zero-data-retention arrangements for specific eligible APIs and Claude Code for Enterprise. | The exact product, organization configuration, and commercial agreement. |
| How quickly is deleted data removed? | Deleted saved conversations disappear from chat history immediately and from backend storage within 30 days. | How that timing fits legal holds, incident response, records schedules, and copies made through exports or integrations. |
Anthropic’s Privacy Center guidance, current in 2026, states that commercial inputs and outputs are not used for model training by default. That is a contractual and product-policy position, not a guarantee that data is never processed, reviewed for safety, retained, exported, or exposed through an incorrectly configured account.

Define an internal data policy before rollout
Claude should be an approved processing environment only for clearly defined use cases. Write the policy before inviting staff, then enforce it through training, identity controls, and review of representative prompts.

Create practical data classes
A four-level classification is easier to apply than a policy that says only “be careful.” Adapt the names to your existing information-governance program.
- Public: Published material, public documentation, and information whose disclosure creates no meaningful harm.
- Internal: Routine working material that is not public but has limited impact if disclosed, such as draft procedures or non-sensitive planning notes.
- Confidential: Customer records, non-public financial information, source code, product roadmaps, employee information, and material covered by a nondisclosure agreement. Require an approved Claude workflow, minimization, and access review.
- Restricted: Passwords, access tokens, private keys, recovery codes, unredacted regulated records, legal-hold material, and information barred by a contract or law. Keep this class out of ordinary Claude chats unless legal, security, and privacy teams have approved a specifically controlled arrangement.
Define allowed, conditional, and prohibited uses
For each class, state whether employees may paste the original material, must redact it, need manager or data-owner approval, or must use an API workflow with additional controls. Include examples for customer-support transcripts, human-resources cases, source repositories, financial models, and incident reports. Tell staff what to do when a prompt combines classes; the most restrictive class should govern.
Minimize every submission
Give Claude only the fields and excerpts needed for the task. Replace names, account numbers, exact locations, and unique identifiers with consistent tokens. Remove passwords, API keys, private certificates, session cookies, recovery codes, and other secrets entirely. Summarize a long record instead of uploading the whole file when the omitted detail is not needed. Minimization reduces the impact of retention, exports, accidental sharing, and a compromised user account; it does not replace access controls.
Train users on the feedback button
Thumbs-up or thumbs-down feedback and bug reports create a separate disclosure path. The related conversation can be sent for review and may be used for permitted purposes, including model training. Teach users not to include sensitive content when submitting feedback. On Team and Enterprise plans, an Owner or Primary Owner can disable the feedback mechanism in organization settings if the business does not need it.
Use an organization-managed Claude account
Require employees to sign in through the company’s Claude for Work account and approved identity path. Do not allow confidential work to migrate into personal consumer accounts simply because a user finds them more convenient. Anthropic describes Work-plan processing under the organization’s agreement and role as processor; consumer terms and privacy practices do not govern that use in the same way.
Establish ownership and accountability
Assign a Primary Owner, a security or privacy contact, and a backup owner. Document who can change authentication, retention, integrations, feedback settings, and export data. Keep an access register with the person, role, business reason, approval date, and review date. Treat owner accounts as high-value administrative identities: require strong authentication, monitor sign-ins where available, and avoid shared credentials.

Build offboarding into identity management
When an employee leaves or changes role, remove the account through the organization’s identity process, revoke connected applications, transfer business ownership of projects where appropriate, and review conversations or files that the person exported. If Enterprise SCIM is available in your plan, use automated provisioning and deprovisioning rather than relying on manual cleanup. Test the process with a non-production account.

Anthropic’s current Enterprise documentation lists administrative capabilities beyond ordinary chat use. Availability, roles, and commercial terms can change, so confirm the controls shown in your own administration console.
| Enterprise capability | Security or privacy purpose | Configuration question |
|---|---|---|
| SSO and authentication administration | Centralizes sign-in policy and makes account lifecycle management consistent with the rest of the company. | Which identity provider, authentication requirements, and emergency-access process apply? |
| SCIM provisioning | Automates user creation, role changes, and deprovisioning. | Are disabled or transferred identities removed promptly, and are groups mapped to least-privilege roles? |
| Audit logs | Supports investigations and oversight of organization activity. | Who may request or view logs, how long are they retained, and where are copies protected? |
| Custom retention | Lets the organization choose a retention period subject to a 30-day minimum. | Does the setting cover both chats and projects, and does it match legal holds and records rules? |
| Compliance API | Provides a programmatic route for approved compliance and monitoring workflows. | Which systems receive the data, who can call the API, and how are credentials secured? |
| Customer-managed encryption keys | Gives the customer control over key management for supported Enterprise data protection. | Who controls key rotation, revocation, recovery, and separation of duties? |
| US-only inference | Constrains inference geography for organizations whose requirements call for it. | Does the setting apply to every enabled feature, connector, and support workflow in your agreement? |
Owners and Primary Owners manage several of these settings. Limit those roles to people who need them, require documented approval for changes, and review the assignments at a regular interval.
Set retention deliberately for chats and projects
Retention is a business decision, not merely a technical preference. Select a period that supports legitimate work and incident investigation while avoiding indefinite accumulation. Anthropic’s Enterprise custom-retention control has a minimum of 30 days.
Understand chat deletion
For saved conversations, deleting a chat removes it from the visible history immediately. Anthropic states that backend storage deletion occurs within 30 days. That interval is not the same as instant erasure, so do not promise employees that a deleted message vanishes from every system at once.
Account for project precedence
Projects have their own activity rules. Retention for a project can take precedence over the retention setting applied to chats inside it. Messages, new chats, and edits to project knowledge or settings can reset the project’s retention clock; merely viewing a project does not. Document this behavior so teams do not assume an inactive-looking project is already scheduled for deletion.

Align settings with legal and operational needs
- Identify legal holds and investigations that require preservation before automatic deletion.
- Compare Claude retention with your records schedule and contractual deletion duties.
- Decide whether project knowledge should have a shorter or longer life than ordinary conversations.
- Explain to users what “delete” means in the interface and what the 30-day backend window means.
- Recheck retention after plan changes, ownership transfers, or new integrations.
Know what owners can see and export
The Primary Owner manages the Claude for Work account and can request exports that may include conversations, uploaded files, and usage patterns. This capability is useful for compliance, discovery, and incident response, but it also creates a concentrated data-access risk.
Protect the export process
- Require a documented purpose and approval from the data owner, privacy team, or legal team, depending on the content.
- Limit the requester and recipient to the minimum necessary people.
- Store exports in an approved encrypted location with an expiration or deletion date.
- Log what was exported, when, by whom, and under which authority.
- Destroy temporary copies, downloads, and local working files when the approved purpose ends.
Tell employees that organization-managed accounts are not private diaries. A conversation may be subject to organizational administration, policy review, or a lawful request even when it is not used for model training.
Control connectors and integrations
Enterprise documentation lists connectors for services such as Google Drive, Gmail, Google Calendar, GitHub, Microsoft 365, and Slack. A connector can make useful context available, but it can also expand the amount of data Claude can retrieve and the number of permissions that must be governed.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Apply least privilege
- Enable only connectors with a documented business purpose.
- Use dedicated groups or service identities instead of granting access to every employee.
- Start with read-only access where the workflow permits it.
- Scope repositories, drives, mailboxes, channels, and calendars to the smallest useful set.
- Review inherited permissions in the source system; Claude cannot make an over-permissive source permission safe.
- Disable unused connectors and remove access when a project ends.
Test for unintended retrieval
Before production use, create test documents containing clearly labeled dummy secrets and confidential-looking data. Ask representative questions to confirm that Claude cannot retrieve content outside the intended scope. Repeat the test after permission, connector, or model-feature changes. Do not use real credentials or live customer records as test fixtures.
Compare Claude for Work with API-based workflows
The right deployment depends on the task and the controls you need. Ordinary Work use is a managed conversational product with saved chats, projects, organization owners, and optional connectors. An API workflow can place Claude behind your application’s authentication, logging, redaction, and approval layers, but it creates engineering and operational responsibilities.
| Decision factor | Claude for Work | API-based workflow |
|---|---|---|
| Primary interface | Organization-managed user chat and projects. | Your application, service, or automation. |
| Retention model | Saved conversations remain in-product; Enterprise custom retention has a 30-day minimum. | Anthropic states that API inputs and outputs are generally deleted from backend storage within 30 days, subject to exceptions. |
| Access governance | Owners, roles, SSO, SCIM, and organization settings where supported by the plan. | Your identity, authorization, secrets management, logging, and deletion controls. |
| Integrations | Available connectors can reach approved work tools. | You choose what data your application sends and what systems it can call. |
| Zero-data-retention possibility | Not automatically included for ordinary Work chats. | May be available only through an approved arrangement for eligible APIs; verify the agreement and endpoint. |
API use does not eliminate retention or compliance work. Anthropic publishes exceptions, and your application may create additional copies in logs, queues, caches, analytics systems, backups, or error reports. Map the entire data flow before claiming that an API is safer.

Handle zero data retention as a contract-specific control
Zero data retention (ZDR) is not a synonym for commercial use or Enterprise. Anthropic describes ZDR as an approved arrangement for specific eligible APIs and Claude Code for Enterprise. The documented scope does not establish that ordinary Claude for Work chats qualify.
Quick wins for a faster PC:

- Whether connectors, feedback, exports, or administrator actions fall outside the arrangement.
- How the arrangement interacts with your data-processing terms and regional requirements.
Do not advertise ZDR internally until the approved scope is documented and tested in the actual configuration.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Understand published retention exceptions
Anthropic’s 2026 guidance gives specific figures that need their conditions attached:
- 30 days: Commercial API inputs and outputs are generally deleted within 30 days, subject to stated exceptions. Deleted saved Work conversations are removed from backend storage within 30 days.
- Up to two years: Inputs and outputs may be retained for policy-violation cases flagged by automated trust-and-safety systems.
- Up to seven years: Trust-and-safety classification scores may be retained for those flagged cases.
- Five years: Feedback data associated with submissions may be retained for this period.
- 30-day minimum: Enterprise custom retention cannot be configured below 30 days.
These are published policy figures, not independent measurements of how long a particular account’s data will remain. Your agreement and account configuration control the applicable result.

Roll out Claude safely in seven stages
- Inventory data and workflows. List the teams, repositories, connectors, prompt types, uploaded files, and regulated records that could enter Claude.
- Classify use cases. Mark each as approved, conditional with redaction or approval, or prohibited.
- Select the account model. Use the organization-managed Work plan for approved user workflows and assess an API architecture when application-level controls are necessary.
- Configure identity and roles. Enable the available authentication and provisioning controls, assign owners, and remove unnecessary administrative privileges.
- Set retention and feedback rules. Configure chat and project retention, document the 30-day minimum where applicable, and decide whether to disable feedback submissions.
- Test integrations and exports. Use dummy data to validate connector scope, owner exports, deletion behavior, and offboarding.
- Train, monitor, and review. Provide examples of safe redaction, prohibit secrets, monitor approved activity, review incidents, and reassess settings after product or contract changes.
Respond to common failure scenarios
An employee pasted a credential
Revoke and rotate the credential immediately, preserve the minimum evidence needed for investigation, notify the security owner, and determine whether the conversation was exported, shared, or sent through a connector. Do not rely on deleting the chat alone; deletion from history and backend deletion have different timing.

A user submitted feedback containing customer data
Record the incident, notify the privacy or security team, assess the affected conversation and contractual obligations, and decide whether the organization should disable feedback. Retrain the user on redaction and the separate disclosure path created by feedback.
A former employee still appears in Claude
Disable the identity in the organization’s identity provider, verify deprovisioning, revoke connected access, review ownership of projects, and check whether exports or local downloads require cleanup. Investigate any delay as an access-control incident.
A connector exposes material from the wrong team
Disable the connector or affected scope, correct permissions in the source system, preserve audit evidence, and retest with dummy data before re-enabling it. Review whether Claude responses containing the material were copied elsewhere.
Use this administrator checklist
- Organization-managed Claude for Work account is mandatory for business data.
- Data classes and prohibited content are written in plain language.
- Secrets, credentials, and recovery codes are never pasted into prompts.
- Primary Owner and Owner assignments are limited, documented, and reviewed.
- SSO, authentication, and SCIM are configured where the plan supports them.
- Audit-log access and export requests require approval and protected storage.
- Chat retention and project retention are both documented; project precedence is understood.
- Feedback handling is trained and the feedback control is disabled if appropriate.
- Connectors are approved individually, scoped narrowly, and tested after changes.
- API workflows account for application logs, backups, caches, and Anthropic’s stated exceptions.
- Any zero-data-retention claim is tied to a written, product-specific agreement.
- Privacy, security, and legal teams review regulated-data use before launch.
- Offboarding, incident response, and periodic configuration reviews are tested, not merely documented.
What a defensible policy statement looks like
A concise employee rule can say: “Use Claude only through the organization’s managed account and approved integrations. Submit the minimum necessary information. Remove identifiers and never include passwords, tokens, private keys, recovery codes, or prohibited regulated data. Do not submit sensitive content in thumbs-up/down feedback or bug reports. Conversations may be retained, exported, or administered under organizational policy. Ask the data owner or security team before using a new data type, connector, or workflow.”
That statement sets expectations without claiming that Anthropic’s commercial non-training default provides zero retention or universal regulatory approval. Pair it with the organization’s contract review, technical controls, and periodic audits.
