Protect sensitive media before it reaches an AI system. Define a narrow purpose and lawful basis, remove unnecessary faces, voices, documents and metadata, reduce resolution and channels, and choose a provider whose contract covers retention, model training, subprocessors, geographic processing, deletion and incidents. Encrypt files and keys, isolate processing, restrict access, and delete raw media and derivatives when the purpose ends. Treat face or voice identification as a high-risk biometric workflow and complete a DPIA where required.
Why AI media analysis creates a larger privacy problem
A recording can contain far more information than the question you want answered. A single video may show faces, badges, computer screens, medical details, addresses, vehicle plates, location clues and timestamps. Audio can reveal names, voices, health information, opinions and background conversations. Subtitles and transcripts can expose the same information in a more searchable form.
AI adds new derivatives and new ways to connect them. A service may create transcripts, speaker labels, face or voice embeddings, summaries, captions, object detections, sentiment scores or inferred attributes. Those outputs can identify a person even after the original image or recording is removed. NIST warns that AI can amplify re-identification, behavioral tracking and surveillance risks. Its Cybersecurity, Privacy, and AI page was updated on July 15, 2026.
Classify the original file and every derivative. A low-sensitivity camera clip can become highly sensitive once it is linked to a name, reference database or location history.

| Asset | Examples of sensitive content | Controls to plan |
|---|---|---|
| Source video | Faces, screens, documents, plates, locations, timestamps | Crop, redact, downsample, encrypt, restrict access |
| Source audio | Voices, names, conversations, health or financial details | Select only required channels, mute sections, encrypt |

| Transcripts and captions | Searchable statements, names, speaker turns | Apply the same classification as the recording; limit exports |
| Embeddings and labels | Face or voice vectors, identity matches, behavioral categories | Treat as personal data; limit reference access and retention |
| Reports and model outputs | Summaries, inferred attributes, alerts and decisions | Record provenance, reviewers, access and deletion dates |
Define the purpose and lawful basis before processing
Write one sentence describing the exact analysis: scene detection, captioning, redaction, quality control, speaker diarization or another defined task. “Analyze our archive” is too broad to govern collection, access or deletion. The purpose should state the media set, the output needed and who will use it.
Choose a lawful basis
For people in the European Economic Area, the GDPR requires a lawful basis for personal-data processing. The European Data Protection Board explains that special-category data requires additional conditions. The European Commission notes that data-protection rules apply whether personal data is stored in an IT system, video-surveillance footage or paper records. Document the basis before uploading, not after a vendor has already processed the files.
Face or voice identification is more sensitive than ordinary captioning because it can involve biometric data used to uniquely identify a person. Consent is not the only possible legal basis, and it may not be valid in every employment or public-authority setting. Have your privacy or legal team confirm the basis, purpose limitation and any national rules that apply to your people and locations.

Decide whether a DPIA is required
EDPB guidance says a data-protection impact assessment is required before processing likely to result in high risk. A DPIA should describe the data and purpose, necessity and proportionality, risks to individuals, safeguards, residual risk and consultation or approval. If residual risk cannot be mitigated, consult the relevant supervisory authority before proceeding.

The EU AI Act Service Desk lists facial or voice recognition for media archives among high-risk biometric examples. A workflow that compares faces or voices with a reference database therefore needs a higher level of governance than a tool that merely detects scene changes without identifying people.
Minimize media before it leaves your environment
Minimization is most effective before inference. Once a provider has received a complete recording, deleting an unnecessary person, document or conversation from your copy does not undo the disclosure.
- Inventory the file. Record faces, voices, names, account numbers, documents visible in frames, health information, location, timestamps, EXIF fields, subtitles, transcripts and any existing embeddings. Include information that can be inferred, not only what is plainly visible.
- Keep only the needed time range. Extract the segment that answers the question instead of uploading a complete event or archive. If a question concerns a product demonstration, remove unrelated breaks, backstage conversations and audience footage.
- Crop or redact irrelevant people and documents. Blur or mask faces, badges, screens, plates and paperwork when identity is not part of the purpose. Check the redacted result at full resolution; a weak blur or reversible overlay is not a reliable redaction.
- Strip unnecessary metadata. Remove EXIF GPS coordinates, device identifiers, author fields and exact timestamps when they are not required. Preserve only metadata needed for synchronization, chain of custody or the stated analysis.
- Reduce resolution and channels. Use the lowest video resolution that supports the task. For audio, select only the channels needed for diarization or transcription and remove silent or unrelated channels.
- Mask identifiers before upload. Replace names or account numbers with consistent pseudonyms when the model needs continuity but not the real identity. Keep the re-identification key in a separate, access-controlled system.
- Inspect derivatives. Verify that captions, thumbnails, extracted frames and sidecar files do not reintroduce the information you removed. Classify and protect each derivative before sending it anywhere.
- Document the decision. Note what was removed, why the remaining data is necessary, who approved the transformation and when the resulting file may be deleted.
FTC data-security guidance recommends collecting only what is needed, keeping it safe and disposing of it securely. EDPS guidance likewise says separate audio and video streams must each be justified under necessity and minimization.
Vet an AI provider as a data processor, not just a feature
Uploading confidential media is a vendor and contract decision. A privacy statement that says data is “secure” does not answer whether uploads, prompts, transcripts, embeddings or outputs are retained, reviewed or used to improve models. Ask for written answers and make the commitments part of the agreement or an incorporated data-processing addendum.

Do not rely on a sales presentation for a promise that matters to your risk assessment. The FTC states: “Model-as-a-service companies must also abide by their commitments to customers regardless of how or where the commitment was made.” Put the commitment in enforceable terms and check that the product configuration actually implements it.
Use a controlled storage and processing architecture
When cloud retention is unnecessary, keep raw files and derivatives on operator-controlled encrypted storage and send only the minimized working copy. An encrypted external SSD can be a practical physical storage component, but it is not a complete compliance solution: it does not by itself provide access governance, backups, key separation, deletion verification or incident response.
Protect the data path
- Encrypt in transit. Use authenticated encrypted connections for upload, download and internal transfers. Reject workflows that require sending files through unprotected transfer links.
- Encrypt at rest. Encrypt source media, staging directories, databases, transcripts and exports. Treat thumbnails and temporary conversion files as sensitive assets too.
- Separate keys from data. Store encryption keys in a dedicated key-management system or hardware-backed facility where practical. Limit key administration to a different role from day-to-day media analysis and rotate keys under a documented policy.
- Apply least privilege. Give an analyst access only to the project and derivatives needed for the assigned task. Use separate roles for ingestion, analysis, review, export and deletion.
- Isolate processing. Place staging systems on a restricted network, block unnecessary outbound connections and remove files from shared desktop folders. Do not allow a general-purpose collaboration account to browse the raw archive.
- Log meaningful events. Record upload, download, viewing, transformation, inference, export, permission changes and deletion. Protect logs from alteration and restrict their own retention because logs can contain filenames, identities and timestamps.
- Control removable media. Inventory encrypted drives, protect them from loss, require strong authentication and keep an independent backup only when the purpose and retention policy justify it.
NIST SP 1800-28, the final 2024 practice guide on identifying and protecting assets against data breaches, supports this asset-focused approach. Encryption reduces exposure, but it cannot correct excessive collection or an overbroad user population.
A practical processing sequence
- Ingest the original into an encrypted, access-controlled vault.
- Create a minimized working copy in a restricted staging area.
- Run the approved analysis with training and retention settings disabled or contractually prohibited where available.
- Review outputs for false matches, exposed identities and unnecessary detail before sharing.
- Move only the approved result to the business system; keep raw media out of general collaboration spaces.
- Delete staging files and other temporary artifacts according to the retention schedule, and record the deletion.
Set a purpose-based retention and deletion schedule
There is no safe default period for every recording. Retention should follow the purpose, legal obligations, investigation status and ability to reproduce a result. Keeping footage “just in case” is not an adequate policy. EDPS guidance says recordings should be retained only as long as necessary and that it is not acceptable to keep copies on a “just-in-case” basis.

The following is an illustrative schedule to adapt to your purpose; it is not a universal legal deadline.
| Asset | Example rule | Deletion check |
|---|---|---|
| Raw recording | Delete after the approved analysis and quality review, unless a documented legal hold or operational purpose requires longer storage | Confirm removal from the vault, replicas and user-visible recycle bins |
| Temporary conversions and extracted frames | Delete immediately after the model and reviewer no longer need them | Search staging directories and job queues |
| Transcript or captions | Retain only for the defined reporting or accessibility purpose | Remove exports and collaboration copies |
| Embeddings and identity matches | Keep only while the approved biometric or matching purpose remains active | Delete vectors, reference links and cached indexes together |
| Final report or alert | Retain under the business record or case policy, with access limited to the decision makers | Review permissions and expiration date |
| Audit logs | Retain for the security and accountability period justified by policy | Ensure logs do not preserve deleted media or unnecessary personal content |
Deletion must cover provider-side objects, caches, backups and derived indexes where the contract and technical design allow verification. If immediate removal from immutable backups is impossible, document the isolation, access restriction and expiry process. Suspend routine deletion only for a defined legal hold, record its owner and release date, and prevent the hold from silently becoming permanent.

Detection answers whether a face or voice is present. Identification attempts to determine whose it is, usually by comparing it with a reference database. The second operation creates greater privacy, security and fairness risk, especially when the reference set contains employees, customers, children, patients or members of the public.

- Use identification only when a documented purpose cannot be met with detection, redaction or human review.
- Define the reference database, inclusion criteria, source of consent or other legal authority, and an expiration process.
- Keep biometric templates and identity mappings separate from ordinary media and protect the linking key.
- Require a trained human to review matches before a consequential action; treat a model score as a lead, not proof.
- Measure and document false matches, missed matches and performance across relevant populations where testing is lawful and appropriate.
- Give subjects a route to challenge a match or request correction when applicable.
- Disable continuous tracking, broad watchlists and secondary uses unless separately assessed and authorized.
- Include the provider, subprocessors, model version, reference set and retention behavior in the DPIA.
The EU AI Act example concerning facial or voice recognition for media archives is a warning against treating archive search as ordinary tagging. The exact obligations depend on the system, provider role, deployment context and applicable law, so obtain current legal advice for the jurisdiction in which the system is used.

Use provenance and privacy-enhancing techniques for the right problem
Provenance credentials can document where an asset came from, what transformations occurred and which organization attested to those changes. The Coalition for Content Provenance and Authenticity (C2PA) supports pseudonymous identities, redaction of sensitive assertions and workflows in which required information stays encrypted end to end. Its AI guidance also supports credentials covering media ingredients and sidecar credentials for datasets.
Provenance answers “what happened to this asset?” It does not stop a recipient who already has the media from viewing, copying or identifying people in it. Continue to use encryption, access control, minimization and deletion. Protect provenance manifests themselves because they may contain filenames, identities, locations or workflow details.
For aggregate publication or model-training datasets, differential privacy can limit what a released statistic or model reveals about an individual. NIST SP 800-226, finalized in 2025, provides guidance for evaluating differential-privacy guarantees and privacy-loss trade-offs. Differential privacy is not a substitute for removing unnecessary source media, securing the training pipeline or controlling who can access an individual recording.
Score tools and vendors consistently
Use a written scorecard rather than choosing the product with the most impressive demo. Score each candidate against the same evidence and mark unknowns as unresolved risks, not as passing results.
Quick Recap
| Criterion | What a strong option demonstrates | Warning sign |
|---|---|---|
| Retention and deletion verification | Configurable expiry, documented deletion scope and evidence from provider systems | Indefinite retention or a deletion button with no defined coverage |
| Training restrictions | Explicit no-training or tightly controlled use covering uploads, prompts, outputs and feedback | Vague language about improving services |
| Region and subprocessors | Selectable processing region, current subprocessor list and transfer terms | Unknown locations or unilateral, unexplained changes |
| Encryption and key ownership | Encryption in transit and at rest, separation of duties and customer-controlled keys where needed | Provider-only key access with no clear isolation |
| Auditability | Exportable access logs, role-based permissions and incident records | No evidence of who viewed or exported media |
| Minimization features | Segment selection, channel control, redaction and metadata handling before inference | Only full-file upload with no preprocessing controls |
| Biometric governance | Identity matching can be disabled, reference data is isolated and DPIA support is available | Face or voice search is enabled by default or bundled into unrelated analysis |
| Exit and portability | Readable export, migration assistance and verifiable deletion at contract end | Proprietary lock-in or unclear destruction process |
Prepare for failures and incidents
If an upload goes to the wrong service
- Stop further transfers and revoke the affected account, token or link.
- Preserve logs showing what was sent, when, by whom and which provider received it.
- Ask the provider to quarantine and delete the source, derivatives, caches and backups, and request written confirmation.
- Determine whether the file contained personal, biometric, regulated or confidential information.
- Escalate to your privacy, security and legal contacts and follow applicable notification deadlines.
- Correct the process: approved-provider allowlists, upload warnings, data-loss prevention rules and a second-person review for high-risk media.
If a transcript or summary exposes more than the source task required
- Restrict access to the output immediately.
- Delete unnecessary names, quotations, inferred attributes and exported copies.
- Check whether the provider retained the prompt, transcript or output for training or diagnostics.
- Re-run the task on a minimized input with sensitive sections removed or masked.
- Record the model version, settings and reviewer decision so the result can be explained or challenged.
If an identity match is wrong
- Do not take a disciplinary, employment, safety or access decision solely from the score.
- Preserve the evidence and model output for the authorized review team, while limiting wider circulation.
- Have an independent reviewer compare the source, reference image or voice and context.
- Correct or delete the match and linked embedding if the purpose no longer requires it.
- Investigate whether the reference set, thresholds, audio quality or demographic performance caused the error.
Pre-upload checklist
- Is the purpose specific enough to state in one sentence?
- Is a lawful basis documented, including additional conditions for special-category data?
- Has a DPIA been completed or formally ruled out for the actual risk?
- Have unnecessary time ranges, people, documents, channels, resolution and metadata been removed?
- Are raw files, derivatives, keys and logs encrypted and separated by role?
- Does the provider contract address retention, deletion verification, training, subprocessors, regions, incidents and audit rights?
- Are face and voice identification disabled unless explicitly necessary and approved?
- Is there a written retention date for raw media, temporary files, transcripts, embeddings, outputs and logs?
- Can you prove what was uploaded, who accessed it and when it was deleted?
- Is there an incident and exit plan that works even if the provider becomes unavailable?
