Organizations can reduce the risk of employees exposing sensitive information to generative AI by approving tools and uses, fixing data access before connecting AI, enforcing identity and data controls, and monitoring use. An enterprise or “private” AI service is not a substitute for those steps: if employees already have inappropriate access to company files, an assistant that can retrieve those files may make them easier to find.
Start with approved tools, tasks, and data rules
Set the boundaries before employees enter business information into an AI service. Approve services and specific use cases by risk rather than assuming every tool or prompt is safe—or banning useful AI work across the board. The U.S. federal statutory guidance in 15 U.S.C. § 10.1(f)(i) directs agencies to limit access based on risk assessments, establish appropriate-use rules, and provide secure and reliable AI capabilities with safeguards. That direction applies to federal agencies; it is not a private-company mandate, though its risk-based approach can inform company policy.
A workable policy identifies approved services, permitted tasks, and which data classes employees may enter, upload, or connect. State clearly that credentials and information barred by law, contract, or company policy must not be disclosed. Explain how to request an exception or propose a new use case, and train employees on data handling and incident reporting. Federal guidance also calls out staff training, vendor terms, and protection of confidentiality, privacy, security, and records for agency use.
Fix data access before enabling AI retrieval
Inventory company repositories, identify sensitive content, assign owners, and classify information according to business and legal impact. The OWASP Top 10 for Large Language Model Applications distinguishes public, internal, confidential, and restricted information. Use those or equivalent categories to set controls: internal data needs stronger access and protection than public information; confidential material such as trade secrets or financial records calls for stringent encryption, granular access controls, and auditing. Regulated or legally protected information requires the most comprehensive safeguards appropriate to its obligations.

- FAST & CONVENIENT LOGIN: Plug in your YubiKey 5C NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
- MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
- PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
Then review who can access the content an AI assistant might retrieve. Microsoft’s Copilot deployment and architecture guidance emphasizes remediating oversharing and reviewing high-risk sites and files. Check inherited sharing links, group membership, external guests, stale accounts, and broad repository permissions. An assistant that honors employees’ existing access does not correct an overbroad permission structure; it can make already-accessible content easier to discover.
Enforce identity and data protections
Use least privilege and sound identity lifecycle processes so employees and services have only the access their work requires. Require multifactor authentication (MFA), and consider phishing-resistant MFA and compliant-device requirements for access to AI applications. Microsoft Entra’s guidance for generative AI app access says to require users to complete phishing-resistant MFA. These controls depend on suitable configuration and licensing; review and expire access grants as roles and needs change.

Where available, align sensitivity labels, data loss prevention (DLP), retention, and audit logging with company policy. Microsoft documents these controls in its Copilot context, but availability varies by plan and configuration. Confirm what is available and enabled in the organization’s actual setup rather than assuming a protection is on by default.
Check the provider’s terms and feature boundaries
Before allowing business data into a service, verify how it handles prompts, responses, uploads, and retrieved company data. Ask whether information is retained, used to improve or train models, shared with subprocessors, processed in particular regions, and available for deletion or audit. Confirm the data processing agreement (DPA) and other contractual commitments meet the organization’s needs.

Microsoft states that organizational use of Microsoft Copilot and Microsoft Copilot Chat is covered by its DPA and Product Terms, and documents encryption, tenant isolation, permissions, sensitivity labels, retention, auditing, and a commitment not to train foundation models on prompts, responses, and Graph data. These are claims for the specified Microsoft products and documented configurations, not a guarantee about other AI services or every connected feature. Microsoft says controls vary by plan; it also treats web queries separately and directs customers to check the privacy statements and terms for agents. Read the terms for the exact product, plan, and feature employees will use.
Limit connected agents and integrations
Agents, connectors, plugins, and other tools can give AI access to systems or the ability to take actions. Scope access to the task, avoid broad or unrestricted access to sensitive data and critical systems, and revoke permissions when they are no longer needed. Threat-model what an agent can read and do, apply identity controls and human oversight, monitor its operation, and reassess it regularly.

Joint guidance announced by CISA and partner agencies on May 1, 2026 recommends limiting agent autonomy so agents are not given broad or unrestricted access, especially to sensitive data or critical systems. See CISA’s announcement on secure AI agent identity and authorization. Treat an agent’s web access, connectors, and action permissions as separate boundaries to review; approving a core AI service does not automatically approve every integration.
