Before a typhoon threatens your area, gather the records you may need to prove identity, get medical care, contact insurers, access money, or recover your home and belongings. Keep essential paper copies together where you can take them, make secure digital copies with more than one way to reach them, and follow local evacuation instructions. The right document list depends on your household and local rules.
Which documents should you prepare?
Start with records that would be difficult to replace or useful in an emergency. Adapt this list to your household; it is not a universal legal checklist. Identity documents and examples such as Social Security cards vary by country.
- Identity and family: passports, driver’s licenses or other identification, and relevant family identity records.
- Health and care: medical information, insurance cards, current prescriptions, and care or accessibility details household members may need.
- Insurance and recovery: policy numbers and insurer contact details, property or vehicle ownership records, and a home inventory with photos or video.
- Financial and legal: account and financial-institution contact information, deeds or titles, wills, and other family records.
- Emergency and pet details: emergency contacts and, where relevant, pet medical and prescription information, vaccination records, photos, and identification details.
The FTC’s disaster document guidance and CDC hurricane safety guidance offer useful prompts; use local government advice for documents and legal requirements specific to your location.

How should you store paper records?
Put the paper copies you may need during an evacuation in one known, accessible place. NSW recommends a waterproof folder or fireproof safe and says the folder can go in a grab bag; Florida advises keeping copies of key records in a waterproof container. Guam’s typhoon guidance recommends securing important documents in a zip-top bag. These are general storage suggestions, not proof that any generic pouch or bag can withstand prolonged submersion, storm surge, extreme heat, or fire.

A waterproof document pouch or folder is an optional way to keep papers together. Close it as directed and check its stated limits rather than assuming it is floodproof or fireproof. Where practical, keep irreplaceable originals or additional copies somewhere appropriate as well. For records that do not need to travel, secure off-site storage—such as a safe deposit box or a trusted person’s location—may be suitable, but consider whether you might need to present an original.
Guidance: NSW Government, Florida Department of Health, and Government of Guam.

Should you take originals or copies?
Decide document by document. The FTC advises keeping most original records in a safe deposit box or another secure location, and asking an attorney to keep the original will. NSW notes that some originals may need to be presented and should be located and taken if evacuation requires it. Local rules and the document’s purpose matter, so do not leave behind an original that you know is required for a specific purpose.

How can you make digital copies safely and keep them accessible?
Scan important paperwork into legible files and give each file a clear name so household members can find it. The FTC recommends storing scanned PDFs in personal cloud storage protected by a strong password and multifactor authentication; it also recommends password-protecting a USB drive. NSW advises considering encryption and telling a trusted family member or friend where the files are stored. Keep sensitive identity and financial records private rather than sharing them casually.
Plan for a lost, uncharged, or unavailable phone. Cloud access usually depends on being able to sign in and may require connectivity, although some apps offer offline access. Before relying on an app during evacuation, check that offline access works if you need it and that you can recover the account without your primary phone. A password-protected or encrypted portable drive can provide another route, but one drive should not be your only copy.

|---|---|---|---|
| Paper copies in a waterproof folder | Immediate if packed or accessible | None | Protection against water depends on the actual container and its limits. |

| USB or portable drive | Portable and usable without internet | Requires the drive and a compatible device | Use a password or encryption and keep another backup route. |
| Secure off-site original storage | May not be available during evacuation | Depends on whether the provider or location is reachable | Consider access, local requirements, and originals that may need to be presented. |
Advice on cloud security and access is available from the FTC, NSW Government, and FEMA.

The FTC recommends reviewing household inventories and digital storage at least once a year. Its November 2023 advice says: “Review the contents of your household inventory, fireproof box, and safe deposit boxes, as well as your online and digital storage, at least once a year.” Use that review to replace outdated copies, check that files open, confirm account recovery options, and make sure a trusted person knows where the records are stored.
What should you do if authorities order an evacuation?
Follow local meteorological and civil-defense instructions. Typhoon, hurricane, and tropical cyclone terminology varies by basin, and the cited safety guidance is not interchangeable local authority: CDC’s page is U.S. hurricane guidance, NSW guidance is for Australian emergencies, Florida guidance is state-specific, and Guam’s is typhoon-focused. The CDC advises following evacuation authorities and cautions that protecting property is not worth risking health and safety. Take only what you need and leave when directed.
