Protecting data-center equipment is a controlled process that begins when the owner defines requirements and ends only after verified operation, training, and an evidence-backed handover. Plan the delivery route and storage conditions, inspect every shipment, move each unit with equipment rated for its actual load, apply the manufacturer’s ESD and environmental controls, keep cooling systems clean, and complete documented prefunctional and acceptance tests before energizing or accepting the installation.
Commissioning starts before equipment arrives
Commissioning is not a final-day startup activity. ASHRAE defines it as verifying that the facility and its systems meet the Owner’s Project Requirements (OPR), with documentation and training carried through design, construction, acceptance, and operation. That lifecycle view matters because many damage events originate before a unit reaches its final position: an unsuitable delivery route, an overloaded floor, condensation in temporary storage, contamination in a cooling loop, or an unreviewed lift.
Set protection requirements in the OPR and carry them into construction documents, equipment submittals, the manufacturer’s current installation manual, method statements, and the commissioning plan. Assign a named owner for each control so that a missing inspection or unresolved discrepancy cannot be mistaken for someone else’s responsibility.

Define responsibilities and records
| Party | Protection and commissioning responsibility | Evidence to retain |
|---|---|---|
| Owner and operations team | Approve the OPR, operating constraints, access rules, acceptance criteria, and training requirements. | Approved OPR, operational policies, acceptance criteria, and training sign-off. |
| Design and construction teams | Coordinate clearances, structural and electrical provisions, environmental controls, routing, and interfaces shown in the construction documents. | Issued drawings, equipment schedules, submittals, and approved method statements. |
| Installer and specialist trades | Use qualified personnel, approved lifting and isolation procedures, PPE, ESD controls, and manufacturer instructions. | Delivery inspection, lift plan, installation checklist, torque or connection records where required, and redlines. |
| Commissioning provider | Plan and witness prefunctional checks, control-point validation, staged testing, discrepancy closure, and integrated scenarios. | Commissioning plan, test scripts, trend data, issue log, witness records, and final report. |
| Suppliers and manufacturers | Provide current handling, storage, installation, startup, and service requirements and identify authorized commissioning personnel. | Current manuals, factory data, certificates, startup report, and warranty conditions. |
Keep a single controlled record set. At minimum, retain the approved OPR, current equipment manuals, delivery and damage reports, lift plans, environmental logs, ESD inspection records, prefunctional checklists, test results, trend data, discrepancy dispositions, training attendance, and the final as-built documentation.

Make the site ready before shipment
Do not schedule delivery until the route, destination, utilities, temporary storage, and protection measures are ready for the specific equipment. Confirm the crate can reach the unloading point without unplanned turns, slopes, door restrictions, overhead obstructions, or exposure to weather. Measure clearances rather than relying on a nominal doorway or corridor width.
- Confirm the equipment’s packed and unpacked dimensions, shipping weight, center of gravity, and approved lift points from its own manual.
- Verify floor loading, pallet or skid limits, ramps, dock plates, elevators, and temporary supports with the structural and safety teams.
- Reserve a covered, clean, dry storage area that meets the product’s stated conditions and is isolated from construction dust, water, vehicle traffic, and corrosive materials.
- Provide the rated hoists, forklifts, dollies, slings, spreader bars, restraints, and edge protection specified by the lift plan. Confirm inspection status before use.
- Coordinate delivery windows, security access, escorts, lifting supervision, weather limits, and emergency arrangements.
- Identify the commissioning scope, witnesses, required test instruments, control-system access, temporary power, and records that must be captured.
Align the plan with the OPR, construction documents, submittals, and the manufacturer’s latest instructions. If those documents conflict, stop and obtain a written resolution from the responsible design authority, owner, or manufacturer before moving the unit.
Receive and inspect every shipment
Inspect the crate, pallet, shock or tilt indicators, wrapping, and labels before signing the delivery receipt. Photograph damage, punctures, water marks, crushed corners, missing restraints, and disturbed seals from several angles. Record the date, carrier, shipment and serial numbers, condition, weather exposure, and the people who witnessed the inspection.

A clean delivery receipt does not replace a detailed inspection; open the packaging when the equipment instructions permit it and inspect the unit before installation. Preserve damaged packaging until the carrier, insurer, supplier, or project team has completed its review.
Use a controlled decision when damage is found
- Quarantine the item. Prevent installation or energization until the responsible parties decide whether it is safe to proceed.
- Document the condition. Record photographs, measurements, indicator readings, serial numbers, and any visible deformation, moisture, contamination, or missing hardware.
- Notify the defined contacts. Use the project issue process and manufacturer or supplier contact named in the contract and manual.
- Obtain disposition in writing. The disposition may be inspection, repair, replacement, or permission to continue with specified limits.
- Update the commissioning record. Link the disposition to the affected prefunctional and acceptance tests.
Move heavy and sensitive equipment without improvisation
Before a unit leaves its pallet, verify its actual weight, center of gravity, approved lift points, packaging-removal sequence, and route. Vertiv’s Liebert XDU1350 Installation and Commissioning Guide (2022) states: “Read all of the following instructions and verify that all lifting and moving equipment is rated for the weight of the unit before attempting to move, lift, remove packaging from or prepare the unit for installation.” Treat that as a product-specific instruction illustrating the control required; do not generalize its dimensions or lifting details to another model.

- IMPORTANT NOTE: Never connect yourself or any hardware you are working on to the mains electricity or any other electric power supply.
- Use only lifting and moving equipment rated for the complete load, including any temporary frame or attachment.
- Keep the load within the equipment, floor, pallet, and handling limits stated in the applicable documents.
- Use the marked lift points and restraints. Never attach slings to panels, pipes, cable trays, doors, or unapproved structural members.
- Keep people outside the drop zone and use a designated banksman or signal person where visibility is restricted.
- Control acceleration, turning, gradients, and stopping. Top-heavy equipment can tip even when its total weight is within a vehicle’s rating.
- Remove packaging only when the manufacturer’s sequence and the installation plan call for it; packaging can protect against impact and contamination during part of the route.
Qualified personnel must operate the handling equipment, and the site’s PPE, exclusion-zone, and permit requirements apply. If the route or lift differs from the approved plan, stop, reassess the load and clearances, and issue a revised plan before continuing.
Store equipment under its stated conditions
Use the exact storage limits and preparation instructions for the named product. Do not substitute general room comfort conditions or the eventual operating envelope for a manufacturer’s out-of-service storage requirements. Protect equipment from condensation, standing water, construction dust, salt, corrosive fumes, vibration, impact, and unauthorized access. Keep doors, covers, and protective films in the state required by the manual.
As one product-specific example, Vertiv’s PowerBar HPB guide calls for a covered, clean, dry, climate-controlled space to prevent condensation and advises avoiding corrosive fumes, liquids, salts, and other corrosive substances. This is guidance for that product family, not a universal temperature or humidity limit for every data-center component.
ASHRAE’s Chapter 20: Data Centers and Telecommunication Facilities (2023) explains why moisture control matters: “If both moisture and temperature are properly controlled, the result will be more reliable long-term operation, plus significant energy savings in the operation of the data center.” The chapter identifies dew point as a useful way to monitor moisture content because it is more consistent across changing temperatures than relative humidity. Use that operational insight alongside—not instead of—the storage limits in the equipment manual.
Maintain a storage log
- Log temperature, dew point or humidity measurement method, visible condensation, water ingress, and alarm events at a frequency appropriate to the project risk.
- Record when packaging is opened, desiccants are changed, heaters or temporary conditioning are used, and inspections occur.
- Keep equipment off floors where flooding or cleaning water is possible, while respecting the manufacturer’s support and clearance requirements.
- Inspect after every move and after any environmental excursion. Do not power up simply to “dry out” a unit unless the manufacturer authorizes that procedure.
Install with physical, electrical, and ESD controls
Use the installation manual for the exact device and the site safety program for the work method. Heavy electrical equipment requires qualified personnel, approved isolation and energization steps, appropriate PPE, and tools with the required ratings. Maintain clearances and service access shown in the drawings and manual; do not route cables, pipework, or temporary barriers through those spaces.

Do not energize a unit because its mechanical installation appears complete. The cited Vertiv UPS guide requires installation by properly trained and qualified personnel and says the UPS should not be started until installation is finished and an authorized engineer has commissioned the system. Other products may have different requirements, so follow the applicable manual and authorization chain.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesApply ESD protection to the device and work area
First determine from the manufacturer and site ESD program whether the device is static-sensitive and what controls are mandatory. In a Vertiv cross-connect cabinet manual, handlers are instructed to use an appropriate antistatic device, such as a wrist strap connected to a designated antistatic grounding point, and to use ESD-protective packaging when carrying or shipping the unit. That example establishes a relevant practice and accessory category; a wrist strap alone is not proof of a complete ESD program for every device or worksite.
- Establish the designated ESD work area and grounding point before unpacking sensitive assemblies.
- Use the approved wrist strap, footwear, mat, tools, and packaging specified by the equipment and site program.
- Keep circuit boards, modules, and spares in ESD-protective packaging until the moment of installation.
- Verify the ESD controls and test method required by the site program, and record exceptions or failed checks.
- Control clothing, packaging materials, and cleaning products that can generate static or leave residue.
Protect cleanliness and liquid-cooling systems
Construction dust, fibers, moisture, oils, and foreign matter can damage filters, contacts, fans, heat exchangers, and control components. Establish clean-work boundaries, protect open connections, and clean according to the equipment instructions rather than blowing contaminants deeper into a cabinet or loop.
Liquid-cooled deployments need a separate cleanliness and fluid-quality plan before IT equipment is exposed to the system. Define the permitted fluid, filtration, sampling, flushing, leak-check, and passivation methods in the design and commissioning documents. Confirm that temporary hoses, pumps, strainers, and treatment chemicals are compatible with the installed materials.
ASHRAE’s Commissioning & Performance Validation | AI Data Center Energy Performance Framework warns: “AI factories, especially liquid-cooled deployments, are particularly susceptible to equipment fouling due to insufficient cleanliness and preparation during construction and startup.” Fouling can restrict flow or impair heat transfer; inadequate commissioning rigor can also allow leaks to reach equipment. Treat cleaning, flushing, passivation where applicable, and fluid-quality verification as prerequisites, not optional maintenance.

Complete prefunctional checks before acceptance testing
Prefunctional checks prove that installation details are ready for functional and integrated tests. Resolve discrepancies before moving to acceptance testing; otherwise a wiring error, incorrect sensor range, missing label, or disabled alarm can be misdiagnosed as a system-performance failure.
Installation and safety checks
- Equipment is in the approved location, level and secured as required.
- Access, maintenance clearances, guards, barriers, labels, and emergency provisions are complete.
- Power, grounding, bonding, communications, piping, drains, and containment match the approved drawings and manual.
- Connections, fasteners, terminations, and protective devices have the required inspections or test records.
- ESD, cleanliness, environmental, and storage-excursion issues are closed or formally accepted.
Controls and monitoring checks
- Every sensor, alarm, status point, command, interlock, and protective trip is identified and mapped to the control system.
- Point-by-point signals are verified end-to-end, from the field device through the controller and network to the operator display.
- Alarm priorities, delays, setpoints, fail positions, time stamps, and escalation paths match the approved sequence.
- Trend logs are enabled for the variables needed to demonstrate stable operation and diagnose later faults.
Stage tests from component to system
- Component checks: Verify individual sensors, valves, breakers, fans, pumps, modules, and protective devices.
- Equipment startup and checkout: Start each item only after the manufacturer’s prerequisites and authorization are complete.
- Equipment-level functional tests: Exercise normal control, safeties, alarms, and expected operating ranges.
- System-level acceptance tests: Test coordinated sequences, redundancy, transfer or failure modes, and interfaces with other systems.
- Integrated scenarios: Use approved methods of procedure to demonstrate realistic operating events, record trends, and have operators witness the result.
ASHRAE’s data-center commissioning guidance describes this progression and treats completion of prefunctional checks as a prerequisite to acceptance testing. Record the procedure revision, test conditions, instruments, measured results, witness names, exceptions, and final disposition for each test.
Use discrepancies as a controlled risk process
Open an issue whenever the installed condition, measured result, document, or sequence differs from the requirement. Classify the effect on safety, equipment protection, availability, and acceptance. Assign an owner and due date, then retest the affected function after correction.
| Finding | Immediate protection | Closure evidence |
|---|---|---|
| Impact, water mark, or crushed cabinet | Quarantine; do not energize or remove evidence. | Supplier or manufacturer disposition, repair or replacement record, and repeat inspection. |
| Unknown lift point or insufficient capacity | Stop the move and secure the load. | Revised lift plan with verified weight, center of gravity, gear rating, and qualified approval. |
| Condensation or storage excursion | Isolate from power and inspect under the manufacturer’s procedure. | Environmental log, authorized recovery method, inspection result, and test evidence. |
| Failed ESD or contamination check | Stop handling or installation of the affected assembly. | Corrective action, reinspection, and updated ESD or cleanliness record. |
| Control point, alarm, or interlock mismatch | Hold functional or integrated acceptance testing. | Corrected point list, end-to-end retest, trend or alarm evidence, and signed witness record. |
Hand over usable evidence and trained operators
Turnover is complete only when the owner can operate, maintain, and protect the equipment using the records delivered. Provide the final OPR response, as-built drawings, current manuals, settings and point lists, warranties, spare-parts information, environmental and fluid records, lift and damage reports, commissioning results, trend files, issue log, and approved methods of procedure.
Train operators using the installed configuration, not a generic presentation. Include normal startup and shutdown, alarms, isolation boundaries, emergency actions, inspection points, ESD practices, leak response, environmental excursions, and when to call the manufacturer or service provider. Have operators witness relevant tests and demonstrate the procedures; retain attendance and competency records.

- [ESD-Safe Design] The FRXIE anti static bracelet features a built-in ~1 MΩ resistor to safely discharge body static, helping protect electronics from ESD damage while supporting personal safety. This durable ESD strap is an essential anti static wrist strap for PC building, electronics repair, treadmill static protection, professional lab ESD tasks, and other static-sensitive tasks.
- [How to Test Correctly] Every FRXIE antistatic wrist band is factory-tested. To verify its ~1 MΩ resistance, use a digital multimeter on the OHMS (Ω) setting (normal range: 0.8-1.2 MΩ). Do not use the Continuity/Buzzer mode. The grounding wrist strap will not beep in this mode—this is correct, as its high safety resistance (~1 MΩ) far exceeds the low threshold (<50Ω) that triggers a beep, confirming it will protect both you and your electronics.
- [How to Use Correctly] For effective protection, follow two steps: 1) Wear the anti static wristband with the metal plate pressed firmly against bare skin. 2) Attach the alligator clip firmly to a confirmed, unpainted grounded metal surface, such as the unpainted frame of the device you’re working on, a grounded appliance casing, or a certified ESD mat. This completes your safe ESD ground connection.
- [Upgraded for Durability & Flexibility] Upgraded to 8.2 ft with a 2.5mm Core: This anti-static wrist strap features a longer, thicker PU cord for enhanced durability and reach. Additionally, it includes a removable, 360° rotating snap button for flexible use. The static bracelet’s dual-purpose plug offers two grounding options: use the banana plug and alligator clip together, or connect the plug alone to a 4mm banana socket (not included).
- [Adjustable Comfort Fit] This anti static wrist band is made from a comfortable, elastic material woven with 6 conductive yarns for enhanced static dissipation. The static electricity wristband is standard sized and adjustable to fit wrists from 5 to 9.5 inches, with a circumference of 8 inches and a width of 0.7 inches.
ASHRAE’s commissioning framework includes documentation and training because evidence that cannot be found or understood during an event does not protect the facility. Make the data accessible in the operations system and identify who owns future updates when equipment, firmware, sequences, or operating limits change.
Protection priorities by equipment class
| Equipment class | Primary risks during installation | Controls that must be confirmed |
|---|---|---|
| IT hardware and modules | ESD, impact, contamination, moisture, and incorrect insertion or cabling. | Manufacturer ESD method, protective packaging, clean work area, approved handling, labeling, and point or alarm checks. |
| Racks and cabinets | Tip-over, frame distortion, floor loading, blocked clearances, and cable damage. | Route and load verification, restraints or anchoring, level and alignment checks, service clearances, and grounding. |
| UPS and power equipment | Electrical shock, incorrect isolation, heavy-load movement, heat, and premature energization. | Qualified personnel, PPE, approved isolation and energization sequence, rated lifting gear, connection checks, and authorized startup or commissioning. |
| Busway and distribution assemblies | Impact, misalignment, contamination, incorrect joints, and phase or grounding errors. | Packaging inspection, controlled lifting, joint and connection verification, cleanliness, labeling, and electrical test evidence. |
| Liquid-cooling equipment | Fouling, leaks, incompatible fluids, trapped air, and inadequate flow or controls. | Cleaning, flushing, passivation where applicable, fluid-quality records, pressure and leak tests, flow verification, alarms, and trend data. |
These are risk categories, not substitutes for product limits. For every class, the manufacturer’s current documentation, project specifications, local codes, and site safety procedures take precedence.
Common shortcuts that cause damage
- “The crate looks fine, so it is safe.” Hidden impact or moisture requires an actual inspection and record.
- “The forklift is rated for it.” Capacity alone does not prove route, center-of-gravity, attachment, floor, or stability suitability.
- “Relative humidity is within the room target.” Storage limits may differ, and dew point gives a more consistent view of moisture across temperature changes.
- “A wrist strap solves ESD.” ESD controls must match the device and the site program, including grounding and protective packaging where required.
- “We can flush the cooling loop after startup.” Liquid-cooled equipment should not be exposed until cleanliness, fluid quality, leak, and flow prerequisites are demonstrated.
- “Commissioning is just startup.” Skipping OPR alignment, prefunctional checks, control validation, and operator training leaves hazards undiscovered and evidence unavailable.
- “We will fix the paperwork later.” Missing serial numbers, photos, trend data, and witness records make damage attribution and acceptance disputes harder to resolve.
Final readiness gate
