The safest way to price a private restaurant event is to establish a cost floor that includes the revenue the space would have produced in normal service, then add the event’s food, beverage, labor, overhead, and special-service costs. Choose a pricing structure—food-and-beverage minimum, per-person package, or flat buyout—that makes the final bill easy to understand. Your proposal should show every charge, explain how a shortfall is handled, and distinguish deposits, taxes, service charges, gratuity, overtime, and optional extras.

There is no universal private-event rate. A room that is profitable on a Tuesday may be underpriced on a Friday, and a menu that looks profitable on paper can lose money after setup, cleanup, rentals, and displaced regular sales are counted.

Start with a price floor, not a guess

Your price floor is the lowest amount the event can generate without making the restaurant worse off than it would have been during ordinary service. It is a management calculation, not a published industry percentage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build the floor from four cost groups:

  • Opportunity cost: the regular-service revenue the reserved room, section, or entire restaurant would likely have produced during the same daypart.
  • Food and beverage cost: the actual ingredient, beverage, and packaging cost of the menu or package you are selling.
  • Incremental labor: setup, event service, bartending, kitchen prep, breakdown, cleaning, supervision, and any labor that would not exist without the event.
  • Overhead and event-specific additions: linens, rentals, audio-visual equipment, candles, printed menus, florals, décor, permits, delivery, waste, and other event-only costs.

Do not price below that floor. The calculation does not guarantee a particular profit margin because labor rates, fixed costs, demand, menu mix, and service standards differ by restaurant. Add the margin your own financial plan requires after the full cost is known.

Estimate opportunity cost from the same room and daypart

Opportunity cost is often the largest overlooked number. Ask what the reserved area would normally produce on that date and during those hours, rather than using the restaurant’s average daily sales. A private dinner that blocks a high-demand Friday room has a different economic cost from one held in a lightly booked Tuesday lunch period.

Use room-level historical sales where possible. Review covers, average revenue per cover, table turns, beverage mix, and the length of the proposed event. If a buyout removes several service periods, calculate the displaced revenue for each affected period. If regular service would probably have been weak, document that assumption instead of treating peak-night sales as automatic.

Cost the exact menu and bar offer

Use your own recipe costing and purchasing data. A package with a premium entrée, passed hors d’oeuvres, cocktails, wine pairings, and late-night snacks must include each item’s expected consumption and waste. For an open bar, model the beverage mix and duration rather than multiplying a standard drink cost by the guest count without checking history.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide which items are included in the minimum. If guests can order from an à la carte menu, identify whether all food and beverage sales qualify or whether certain items—such as retail bottles, take-home products, or vendor-provided services—are excluded.

Count labor that happens before and after the party

Write a labor timeline from load-in through final reset. Include menu preparation, room setup, furniture moves, service, dishwashing, coat check, security, vendor coordination, cleaning, and manager time. Include overtime or minimum shift requirements where they apply. A room that is occupied for three hours may consume many more paid hours than the guest-facing schedule suggests.

Add event-only overhead

List every cost that would not occur in ordinary service: rented glassware, specialty linens, staging, microphones, speakers, screens, candles, printed menus, floral pieces, décor installation, outside staffing, delivery, and disposal. Obtain written vendor quotes when a cost is material, and include a contingency based on your own past variance rather than an unexplained percentage.

Use a repeatable calculation

A practical worksheet can be expressed as:

price floor = displaced regular-service revenue + food and beverage cost + incremental labor + event-specific overhead

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Then set the selling price or minimum high enough to cover the floor and the return your restaurant requires. Keep the calculation separate from the client-facing quote: the guest needs a clear payable amount, while your internal worksheet should retain assumptions, cost evidence, and sensitivity checks.

Run sensitivity checks before quoting

  • Recalculate at the minimum guaranteed guest count and at the largest realistic count.
  • Test a lower-than-expected beverage mix and a higher-than-expected consumption mix.
  • Include an earlier setup, delayed departure, or overtime scenario.
  • Check what happens if optional rentals or entertainment become necessary.
  • Compare the event with the regular-service revenue you would give up on that exact date.

Choose the pricing structure that fits the event

Three structures are common. The right choice depends on how predictable your costs are, how much choice the host wants, and how easily the offer can be explained.

Structure How the guest is charged Strengths Risks to control
Food-and-beverage minimum The host commits to a minimum eligible spend on food and drinks; a stated shortfall charge applies if actual eligible spend is lower. Preserves menu flexibility and ties payment to consumption. The contract must define eligible spend, exclusions, room fees, service charges, taxes, and the shortfall calculation.
Per-person package A specified menu, beverage offer, and possibly room use are sold at a stated price per guest. Easy to compare and forecast when the menu and guest count are predictable. Underestimated portions, labor, premium substitutions, or late guest-count changes can erase the margin.
Flat-fee buyout One price covers a defined space and time period, with inclusions and exclusions listed. Simple for a host who wants exclusivity and a single headline price. You still carry food, labor, demand, and overtime risk; an apparently simple fee can conceal costly assumptions.

When to use a food-and-beverage minimum

Use a minimum when guests may choose from a menu and consumption is likely to vary. State whether the minimum is before or after tax and service charges, and whether a room rental fee counts toward it. If the event falls short, specify whether the balance is charged as a minimum-spend shortfall and whether service charges and taxes apply to that balance.

When to use a per-person package

Packages work best when the restaurant can define portions, service style, beverage limits, and staffing. Two or three tiers can make the decision easier: for example, a standard menu, a premium menu, and a top tier with enhanced beverages or production. The tier names and prices are yours to set; they are not universal market rates.

When to use a flat buyout

A buyout can cover a defined room or the whole restaurant for a stated start and end time. It should still identify the food and beverage assumptions, staffing, setup window, cleanup deadline, included equipment, and treatment of overtime. A flat fee is not a substitute for cost modeling.

Combining a room fee and a minimum

A room rental fee and a food-and-beverage minimum can coexist. Show them as separate line items and explain whether the room fee is refundable, creditable toward the minimum, or entirely separate. Other venues choose no room fee and set meal-period minimums instead. Either approach can work if the proposal leaves no ambiguity.

Set a starting minimum from your own trading data

Reunion describes a starting method of multiplying average regular-service revenue per cover by the number of seats in the event space, then adding 20–30%. That addition is a vendor recommendation, not an independently established industry statistic.

Its illustration uses 40 seats and $85 average revenue per cover: 40 × $85 produces a $3,400 baseline. The example rounds that to a $3,500 Friday minimum and a $2,500 Tuesday minimum. Those figures are examples from Reunion’s 2026 guidance, not rates to transplant into another restaurant.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Replace the illustration with your own room-level sales, actual costs, event duration, expected guest count, demand, and required return. If your room normally turns twice during a dinner period, a one-turn private event may displace more revenue than a simple seat count suggests. Conversely, a Tuesday event may protect labor utilization when regular demand is low.

Set daypart and weekday bands

Use historical booking and sales data to distinguish Monday through Wednesday, Thursday, and Friday through Saturday if those periods behave differently. Meal period, room size, season, and event length can each change the opportunity cost. A breakfast buyout and a Saturday dinner buyout should not automatically share one minimum.

Holiday season is often described as a higher-demand period for corporate events, while January and February are often slower. Those are broad observations, not guarantees. Validate them against your inquiry volume, conversion rate, occupancy, and realized sales. Published venue schedules also show that minimums may vary by weekday, weekend, meal period, and December, but the dollar amounts apply only to the named venues and locations.

What published venue terms show

The following dated examples illustrate how operators present minimums and fees. They are not benchmarks for your market.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Venue example Published arrangement Charges and qualifications
Caffé Molise Main-floor private room for up to 25; Sunday–Thursday dinner $1,500 food-and-beverage minimum; Friday–Saturday dinner $2,250. Event fees are listed separately, along with 8.75% tax and a 20% service charge. Extra services and rentals may also be charged.
Cento Semi-private room for up to 40; dinner minimums of $1,500 Sunday–Wednesday, $2,000 Thursday, and $2,500 Friday–Saturday for one of two time slots; brunch $750; weekday lunch $1,500. Tax and the stated 22% gratuity service charge are excluded from the minimum. A shortfall is charged, and prices may change.
Quentin’s Sentosa, Singapore Separate weekday and weekend minimums for private dining, indoor dining, outdoor terrace, and whole-restaurant use. Rates marked “++” carry a 10% service charge and 9% GST. Its 2026 corporate packages show bundled menus, beverages, floral pieces, place cards, and, in some tiers, AV.
The Modern Fall 2025 packet lists private-room food-and-beverage minimums of $4,000 for breakfast and lunch and $8,500 for dinner, with higher December minimums; no room fee for those rooms. The packet describes beverage billing, a signed agreement, a 50% deposit, cancellation terms, and 8.875% New York State sales tax on food and beverage charges.

These examples demonstrate why a headline minimum is not enough. Tax treatment, service-charge wording, room fees, deposits, and shortfall rules vary by venue and jurisdiction. They are not legal guidance for another location.

Design packages and profitable add-ons

Start with packages only when you can cost and execute them reliably. For each tier, specify the menu, courses, beverage limits, service duration, staffing level, room access, and permitted substitutions. If the host can upgrade entrée, wine, cocktails, dessert, AV, entertainment, flowers, décor, or event time, price each option from its incremental cost and labor burden.

Reunion lists premium bar choices, specialty cocktails or wine pairings, dessert, AV and entertainment, extended time, flowers, and décor as possible upgrades. It claims add-ons can increase revenue by 15–25%; that is a vendor-published claim, not a guaranteed or independently established result. Do not promise that increase in a proposal. Validate operational capacity before selling an upgrade.

Prevent package leakage

  • Define the included guest count and the price for each additional guest.
  • State whether children, vendors, entertainers, and no-shows count toward the minimum or package charge.
  • Set a deadline for final menu selections and dietary requests.
  • List premium substitutions and their prices before the event.
  • Specify whether unused package components are refundable or transferable; do not leave this to an informal conversation.

Write the quote so the final bill is predictable

Your proposal and contract should identify the event date, exact start and end time, setup and breakdown access, room or buyout scope, and the guest-count deadline. Then show the commercial terms in a way the host can reconcile with the invoice.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Describe the space. Name the room, private section, terrace, or full-restaurant area, and state the maximum and guaranteed guest counts.
  2. Describe what is included. List menu courses, beverage service, furniture, linens, staffing, AV, décor, and the time included.
  3. State the minimum or package price. Identify whether it is a food-and-beverage minimum, a per-person amount, or a flat fee.
  4. Explain a shortfall. Say exactly what happens if eligible food and beverage spend does not reach the minimum and when the balance is charged.
  5. Separate other fees. Show room rental, event fees, rentals, extra labor, vendor charges, delivery, overtime, and optional gratuity as separate lines.
  6. Show tax and service charges. State the applicable rates for the jurisdiction and whether each charge counts toward the minimum.
  7. Set payment milestones. Identify the deposit, due dates, payment method, final balance date, and whether the deposit is refundable or applied to the balance.
  8. State cancellation and change terms. Include the schedule, rescheduling rules, guest-count changes, and charges for late changes.

Never describe a service charge as automatically being a tip. Its treatment depends on the venue’s policy and local law. Likewise, do not apply one venue’s tax treatment to another jurisdiction.

A clear line-item layout

A client-facing quote can use this order:

  • Space or buyout fee, if any
  • Food-and-beverage minimum or per-person package
  • Estimated or selected guest count
  • Included services and equipment
  • Optional upgrades
  • Minimum shortfall rule
  • Service charge
  • Tax
  • Optional gratuity, if offered
  • Deposit and remaining balance

If tax and service charges are calculated after the minimum, say so beside the relevant line. If they count toward the minimum, say that instead. The host should be able to determine the maximum expected payable amount without a separate phone call.

Protect the margin during planning and service

Lock operational details at a stated deadline

Set deadlines for the guaranteed guest count, menu choices, dietary accommodations, seating plan, vendor access, AV requirements, and final timeline. A late increase can require more food, labor, rentals, and production time than the original quote allowed.

Use a written event order

Translate the signed proposal into an event order that the kitchen, service team, bar, and manager can execute. Include quantities, timing, room diagram, staffing, allergies, vendor contacts, and authorized changes. Any change that affects cost should be approved in writing and added to the event record.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Track consumption and time

During service, record actual covers, premium substitutions, opened bottles, additional rounds, overtime, damage, and vendor charges. The event order and point-of-sale record should support the invoice. If the minimum is not reached, calculate the shortfall using the contract’s definition rather than improvising at checkout.

Reconcile the invoice promptly

Compare the final invoice with the signed quote, approved changes, point-of-sale totals, rental invoices, labor records, tax, and service charge. Give the host an itemized explanation of any difference. A transparent reconciliation protects collection and makes future pricing more accurate.

Common ways restaurants lose money

  • Pricing from food cost alone: ignores displaced service revenue, labor, rent-related overhead, and event-only expenses.
  • Using one minimum for every date: underprices peak nights and may overprice slow periods.
  • Ignoring setup and teardown: the guest-facing duration is not the paid labor duration.
  • Hiding fees in vague language: leads to invoice disputes and concessions.
  • Letting the minimum include everything by default: a room fee, tax, or service charge may consume the minimum without generating the food and beverage revenue you modeled.
  • Offering unlimited beverages without consumption data: creates exposure to both product cost and labor.
  • Accepting late changes without repricing: turns convenience requests into unbilled work.
  • Treating a vendor’s percentage as a guarantee: a suggested 20–30% addition or claimed 15–25% add-on lift must not replace your own data.

A practical pricing workflow

  1. Collect the date, daypart, room, time window, expected guest count, menu style, beverage plan, and exclusivity requested.
  2. Estimate displaced regular-service revenue for that room and period using comparable historical dates.
  3. Cost food, beverages, incremental labor, rentals, décor, AV, cleaning, and other event-specific items.
  4. Run sensitivity checks for guest count, consumption, setup time, overtime, and optional services.
  5. Choose a minimum, package, or buyout structure that matches the event’s predictability and the host’s desired flexibility.
  6. Set the price above the floor at the return required by your business plan.
  7. Prepare a line-item proposal showing inclusions, exclusions, taxes, service charges, deposits, cancellation terms, and shortfall treatment.
  8. Obtain approval for material changes, issue the event order, track actuals, and reconcile the final invoice.
  9. After the event, compare actual revenue and cost with the quote assumptions. Update room-level daypart minimums and package costs from the variance.

Using software without outsourcing the judgment

A proposal or event-management system can calculate totals, apply service fees and tax, store versions, and generate a banquet event order. Reunion identifies a BEO Builder with those functions. Software is optional; it cannot decide the correct opportunity cost, validate your recipe costing, or determine whether a local tax rule applies. Keep the underlying assumptions visible and review the generated proposal before sending it.

Bottom line for operators

Price the private event as an alternative use of the restaurant, not as a menu multiplied by headcount. The minimum viable quote must recover displaced regular-service revenue, actual food and beverage cost, incremental labor, and event-specific overhead. Adjust it for the date, daypart, room, season, duration, and demand you can substantiate. Then select the structure that your team can deliver and explain every payable component—minimum, shortfall, room fee, tax, service charge, deposit, cancellation charge, overtime, and extras—in writing. That process prevents the most common form of private-event loss: a quote that looked attractive until the real costs arrived.
