Use a layered boundary: decide what data a task actually needs, remove or replace everything else before it reaches the model, keep credentials and authorization logic outside prompts, restrict retrieval and tools with ordinary application controls, and minimize or redact any prompt and output content that is retained in logs. A system prompt or a request to “keep this secret” is not an access-control mechanism.
This approach applies whether you are an individual using an AI assistant or an engineer operating an AI feature. The controls differ, but the objective is the same: sensitive information should enter the model context only when necessary, reach only the people and systems authorized to see it, and remain in stored telemetry only for as long as a documented purpose requires.
How do I stop sensitive data from leaking into AI prompts and logs?
Start with data minimization. Before sending text, files, retrieved passages, or tool results to a model, identify the fields that are personal, financial, health-related, confidential, proprietary, or security-sensitive. Remove fields the task does not require. Substitute realistic placeholders for names, account numbers, addresses, customer identifiers, contract clauses, or medical identifiers when the model can complete the task without the original values.
Then protect the remaining data through the whole path: the user prompt, system instructions, retrieval layer, connected tools, model response, application telemetry, provider-side records, and debugging or incident systems. OWASP’s GenAI guidance treats sensitive-information disclosure as a problem that can arise from any of these paths, not only from the visible prompt.

What counts as sensitive information?
Sensitivity depends on context and the harm caused by disclosure. OWASP examples include more than passwords or payment details.
Common categories
- Personal information: names linked to identifiers, addresses, contact details, government numbers, identity documents, or customer records.
- Financial information: bank and payment details, transaction records, credit information, payroll data, and tax material.
- Health information: diagnoses, treatment notes, prescriptions, insurance identifiers, and other data that can identify a patient.
- Confidential business information: unreleased plans, source code, pricing, contracts, internal correspondence, trade secrets, and customer or supplier information.
- Security credentials: passwords, API keys, access tokens, private keys, connection strings, signing material, and recovery codes.
Some data is sensitive only in combination. A public-looking name paired with an internal customer number, or a harmless log line paired with a host and token fragment, can create a serious exposure. Classify combinations and surrounding context rather than evaluating each field in isolation.
Where can a leak occur?
There are four boundaries to examine:
- Prompt input: a user, workflow, or template sends more information than the task needs.
- Instructions and context: system prompts, retrieved documents, conversation history, memory, tool output, and hidden application context are all exposed to model processing.
- Access and actions: a model can be connected to repositories, databases, files, or tools that return data belonging to another user or tenant.
- Storage and telemetry: prompts, completions, retrieved passages, traces, error reports, analytics, and support exports may be retained by the application, a provider, monitoring software, or an incident-response system.
Protecting only the text typed into a chat box leaves the other three boundaries open.

Safe workflow for individual users
If you do not operate the AI service, you cannot configure its server-side logs. You can still prevent many exposures by controlling what you submit and which account you use.
1. Decide whether the original detail is necessary
Write the task in abstract terms first. For example, a request to extract obligations from a contract may need clause text but not the parties’ names, addresses, signatures, or account numbers. A request to debug code may need the relevant function and error, not production credentials, customer payloads, or an entire repository.
- Ask what decision or transformation the model must perform.
- List the exact fields needed for that operation.
- Remove unrelated columns, paragraphs, attachments, and conversation history.
- Prefer synthetic examples when the task is about format, logic, or wording rather than a real person or transaction.
2. Replace identifiers before pasting
Use stable placeholders such as PERSON_A, ACCOUNT_001, DATE_A, or CLINIC_X. Preserve relationships that matter to the task: if two records refer to the same customer, use the same placeholder for both. Keep the mapping in a separate controlled location and do not send it to the model.
Mask values that must retain a shape. For example, replace the middle digits of an account number with X characters if the model needs to recognize formatting, or keep only the last four digits if that is sufficient. Do not assume that partial masking is safe when the remaining details can re-identify someone.

3. Keep secrets out of every prompt
Never paste a password, API key, access token, private key, connection string, cookie, signing secret, or recovery code. Do not put such values in a system prompt, custom instruction, reusable template, uploaded file, or example conversation. OWASP’s LLM07:2025 guidance states: “It’s important to understand that the system prompt should not be considered a secret, nor should it be used as a security control.”
If a troubleshooting task requires authentication, describe the error and the operation using a redacted value. Use a secret-management system or the application’s protected configuration mechanism for the real credential, and rotate it immediately if it has been exposed.
4. Use an approved account and workflow
For work data, use only an AI service and account that your organization has approved for that category of information. Check the current terms for the applicable account type and geography: retention, training use, deletion, administrator access, export, and support access can differ. A label such as “private” or “business” does not, by itself, establish that no content is retained.
When real records are necessary, use a documented process with approval, least privilege, and an access restriction appropriate to the data. A personal consumer account is not a substitute for an organization-controlled workflow.
5. Inspect files and conversation context
Before uploading a document, remove comments, tracked changes, hidden sheets, embedded files, metadata, and unrelated pages. Check whether the chat will include earlier messages or saved memory that contains sensitive details. Start a clean session when prior context is not required, and avoid enabling connectors that can search data outside the task.
6. Review the response before sharing it
A model can reproduce sensitive input, infer private facts, or include retrieved material that was not needed in the final answer. Check the output before forwarding it, placing it in a ticket, committing it to source control, or sending it to another service. Remove identifiers and confidential passages that do not belong in the destination.
7. Respond promptly if data was submitted
Follow your organization’s incident-reporting procedure and the service’s current support or deletion process. Treat exposed credentials as compromised: revoke or rotate them through the normal security process. Record what was sent, when, from which account, and who could access the conversation, without copying the sensitive content into another unprotected channel.

Controls for developers and application owners
An AI feature needs controls before prompt assembly, during retrieval and execution, and after the response is produced. OWASP recommends enforcing critical authorization and security functions outside the model.

Classify data at ingestion
Inventory the fields your application can receive and assign categories such as public, internal, confidential, personal, regulated, or credential material. Define which categories may enter model context for each feature. Reject or quarantine disallowed categories rather than relying on a later instruction to the model.
Use context-based protection for personally identifiable information. NIST SP 800-122 emphasizes that safeguards should reflect the information’s sensitivity, the environment, and the consequences of disclosure. Document an owner for each classification and a review date for the rule.
Sanitize before prompt construction
Validate input when it arrives and, where useful, validate again immediately before building the prompt. Remove fields that are not required, normalize formats, and redact known identifiers. Apply the same treatment to uploaded files, retrieved passages, conversation memory, tool results, and error messages; these are all part of the model’s effective context.
Sanitization is not only a pattern-matching exercise. A document can reveal a person through a combination of dates, role, location, and unusual events even after obvious names are removed. Define what level of re-identification risk is acceptable for the task and test the transformation against representative data.
Enforce authorization outside the LLM
Retrieve data only after checking the requesting user, tenant, purpose, and resource permissions in deterministic application code. Filter search results by authorization before they are placed in context. Give tools narrowly scoped identities and operations; do not grant a model broad database or file-system access and ask it to choose what is allowed.
An instruction such as “never reveal another customer’s information” can influence behavior but cannot guarantee tenant isolation. OWASP’s LLM02:2025 and LLM07:2025 guidance recommends strict access control over external sources and runtime orchestration, with critical bounds checks performed independently of the model.

Keep secrets and authorization rules in control systems
Store credentials in an appropriate secret-management facility and inject them only into the component that must use them. Keep connection strings, tokens, private keys, and signing material out of prompts, retrieved documents, examples, and logs. Keep authorization policy in enforceable application code or policy infrastructure rather than describing it as a hidden instruction.
Use separate service identities for separate tasks, grant the minimum permissions required, and make high-impact actions require an independent check or human approval. The model may propose an action; it should not be the sole authority that permits it.

OWASP Cornucopia’s LLM4 material recommends logging only the minimum AI interaction metadata needed for security monitoring and minimizing, redacting, or anonymizing prompt and output content before it is stored.
Choose useful security metadata
You can preserve detection capability without retaining every word. Depending on the feature, useful metadata may include a timestamp, request or trace identifier, authenticated principal, tenant identifier, model and application version, policy decision, tool name, latency, token counts, outcome category, and a hash or irreversible fingerprint used to correlate repeated events. Do not collect a field merely because the logging library makes it convenient.
Restrict access to the metadata and set a deletion period based on its security purpose. If investigators need content for a confirmed incident, capture it through a controlled, time-limited process with approvals and an audit trail instead of retaining all raw conversations indefinitely.

Prompt restrictions can be bypassed, misinterpreted, or overridden by malicious content in a user message, retrieved document, tool result, or compromised integration. A model may also summarize or infer information that an instruction did not anticipate. Treat behavioral instructions as one defense layer for reducing accidental disclosure, never as the primary security boundary.

Externalize sensitive data, enforce authorization and bounds checks in ordinary code, constrain tool permissions, and filter context before the model sees it. This separation also makes controls auditable: you can test a permission decision or redaction rule deterministically instead of judging whether a model followed a sentence.
Test the complete data path
Testing should cover both intended use and adversarial paths.
- Direct prompts: submit attempts to elicit another user’s records, hidden instructions, credentials, and previously supplied content.
- Prompt injection: place instructions in uploaded or retrieved documents that try to override application rules or cause data exfiltration.
- Retrieval boundaries: verify that searches, filters, caches, and indexes cannot return data from another tenant or unauthorized project.
- Tool calls: check argument validation, service identities, rate limits, destructive-operation approvals, and error handling.
- Cross-context leakage: test conversation memory, retries, batch processing, asynchronous queues, and shared caches for accidental mixing.
- Logging sinks: inspect the actual records produced by application logs, traces, provider gateways, analytics, and alerts; do not assume a redaction setting worked without viewing its result.
Include negative tests in continuous integration and repeat them after model, prompt-template, connector, or observability changes. Record the expected authorization and redaction result for each case.
How to evaluate a privacy or redaction control
When comparing a gateway, detector, policy layer, or deployment pattern, ask these questions rather than relying on a “secure AI” label:
| Evaluation question | Why it matters |
|---|---|
| Does inspection happen before data leaves the user or application boundary? | Late inspection cannot undo a disclosure that has already reached a provider, connector, or log. |
| Which sensitive data types can it identify and redact? | Coverage may differ for credentials, personal identifiers, health data, source code, and organization-specific secrets. |
| Does it cover prompts, completions, retrieval context, tool traffic, and logs? | Protecting only typed prompts leaves other context and storage paths exposed. |
| How are authorization and tenant isolation enforced? | A detector that masks text does not decide whether a user may access a record. |
| What retention, deletion, and audit controls apply to the control itself? | The protection service receives data too; its own copies and operator access must be governed. |
| What deployment scope and permissions are required? | A control with broad access can create a new concentration of sensitive information. |
Ask for evidence using your data categories and failure cases. A tool that detects an email address may not recognize a proprietary project code or a credential embedded in a connection string. Validate behavior in your own pipeline and log destinations.
A practical policy baseline
- Define prohibited prompt content, including credentials and unapproved regulated data.
- Specify which AI services, accounts, regions, connectors, and data categories are approved.
- Require minimization and placeholder substitution before human or automated submission.
- Require least-privilege identities and independent authorization for retrieval and actions.
- Disable raw prompt and output logging by default; document exceptions, redaction, access, and retention.
- Maintain an inventory of every prompt, retrieval, tool, and logging path.
- Test prompt injection, cross-tenant access, redaction, and telemetry after material changes.
- Provide an incident process for submitted secrets or regulated information, including credential rotation and access review.
What to do first
For a personal task, remove unnecessary details, replace identifiers, and keep secrets out before submitting anything. For an application, begin by mapping data flows and log sinks, then enforce authorization and redaction outside the model. Only after those boundaries work should you tune system instructions or refusal behavior. The result is not a promise that an AI system can never disclose information; it is a set of independent controls that limits what the model can receive, do, and retain.
