The reliable way to prevent unwanted reuse is to control more than model training. Identify the exact AI product and account, determine whether your prompts can be used for training, set retention and deletion rules, separate memory from training, restrict connected data, and minimize sensitive inputs. A training opt-out may still leave conversations retained for service or safety, remembered for personalization, accessible to authorized reviewers, or available through a connected repository.
This guide explains those separate pathways and gives practical controls for individuals, teams, and API deployments. Product policies change, so verify the current terms for the specific plan, endpoint, region, and account before entering regulated or confidential information.
What “reuse” means in an AI service
People often use “reuse” to mean any later use of a prompt or file. AI services actually handle data through several different mechanisms. Each has a different control, risk, and retention period.

|---|---|---|
| Model training or improvement | Prompts, responses, ratings, or uploaded files may be used to improve a model or safety system. This can create a long-lived derivative of the original material. | Check the training default, opt-in or opt-out scope, and whether it applies to future data only. A business/API default is not necessarily the consumer default. See OpenAI’s API data-controls documentation and Microsoft’s Copilot privacy FAQ. |
| Operational retention | The provider stores prompts, outputs, logs, or files to deliver the service, detect abuse, troubleshoot failures, or meet legal obligations. | Find the stated retention period and its safety, abuse-monitoring, support, backup, and legal exceptions. Turning off training does not automatically delete operational copies. |
| Memory and personalization | A service saves facts about you or your prior conversations so later answers can be tailored to you. | Review memory settings and the process for viewing and deleting remembered items. Microsoft says training can be disabled while personalization remains enabled, so treat these as separate choices. |
| Connected-data retrieval and actions | An assistant searches mail, documents, code, customer records, or other repositories and may take actions using the permissions granted to it. | Audit connectors, delegated permissions, indexing scope, sensitivity labels, and whether retrieval honors source-system restrictions. A prompt may be private while the connected record remains broadly accessible. |
| Human access | Authorized personnel or contractors may inspect content for support, safety, security, quality review, or legal response. | Read the provider’s access conditions, review process, logging, and contractual limits. “Not used for training” is not the same as “never viewed by a person.” |
| Copies created by your organization | Your browser, endpoint, identity provider, proxy, DLP system, application logs, or backups may retain the same material. | Include your own infrastructure and administrators in the data-flow review; a provider setting cannot remove copies you already control. |
Map every intended use before selecting a control. For example, a training opt-out addresses model improvement, while a deletion request addresses stored history. Neither one necessarily disables memory, connected repositories, or a safety review.

Identify the exact product, account, and endpoint
Privacy settings are product-specific. The same company can offer a consumer chatbot, a managed workplace assistant, and an API, each with different defaults, retention rules, administrator visibility, and contractual terms. Record the product name, subscription or tenant, account type, endpoint, region, and enabled features before making a decision.
Consumer chatbots
Consumer controls commonly include a data or privacy setting for model improvement, a conversation-history control, and a memory or personalization control. Microsoft’s FAQ describes product and account exclusions and says that future conversations from users who opt out of training are excluded from training unless they opt back in; it also explains that personalization can remain on independently. Read the exclusions rather than assuming the setting covers every Copilot experience: Microsoft Copilot privacy FAQ.
Business workspaces
Business plans may provide contractual no-training commitments, administrator retention policies, audit data, regional processing options, and enterprise identity controls. Those protections apply only within the covered tenant and services. A user who pastes the same document into a personal account, an unmanaged plug-in, or an unapproved browser extension has left that boundary.

API data handling depends on the endpoint, feature, and customer eligibility. OpenAI states that business and API data is not used to train models by default, while its documentation also describes retention for service provision and abuse monitoring, endpoint-specific exceptions, and approval requirements for stronger controls. Read the current terms for every endpoint you call: OpenAI API data controls.

Individual users: a practical prevention sequence
- Classify what you are about to send. Treat passwords, API keys, private encryption keys, identity documents, health and financial records, non-public customer information, source code, unreleased business plans, and legally privileged communications as sensitive. If you cannot explain where the content will be stored, who can access it, and how it can be deleted, do not submit it.
- Open the privacy controls for the exact account. Confirm whether you are signed into a personal account, an employer-managed tenant, or an API-backed application. Locate the settings for model training or improvement, history, memory, connected apps, and data export or deletion. Save a copy of the provider’s current terms and the date you checked them for your records.
- Disable model training if that is your goal. Turn off the training or improvement option and read the confirmation text. Determine whether it excludes only future conversations, whether feedback or ratings are treated differently, and whether the setting applies to uploaded files, voice, images, or other modes.
- Manage memory separately. Inspect remembered facts, delete entries that should not persist, and disable personalization if you do not want future answers based on prior conversations. A training opt-out can coexist with stored memories.
- Delete conversation history when appropriate. Use the service’s history deletion function and check whether deletion is immediate, scheduled, or subject to safety and legal retention. Deleting a visible chat does not necessarily erase provider logs, an organization’s compliance copy, or content already incorporated into a model.
- Review connected services before authorizing them. Remove unused connectors, narrow folder or mailbox scope, revoke broad write permissions, and avoid granting access to an entire drive when a single document is sufficient. Check whether the assistant can quote or summarize records that other members of the workspace are not allowed to see.
- Minimize the prompt. Replace names with role labels, remove account numbers, redact secrets, and provide only the excerpt needed for the task. Use synthetic or locally generated examples for troubleshooting. Never paste a credential merely to ask whether it is valid.
- Verify the result. Reopen the settings after a sign-out or device change, confirm the account shown, and test with harmless text if you need to confirm which feature is active. Keep a record of the date, setting, and scope rather than relying on a remembered toggle.
Controls organizations should implement
Publish an approved-tools and data-classification policy
Create a short matrix that maps data classes to approved AI environments. For example, public information may be allowed in a consumer tool; internal information may require a managed tenant; personal, regulated, or contractual data may require an approved API configuration or a prohibition. State whether prompts, outputs, uploaded files, feedback, and connector results are covered. Require employees to check the account identity before each new tool.
Choose a plan and contract that match the data
Verify the training commitment, retention schedule, support and safety access, subprocessors, processing locations, deletion terms, breach responsibilities, and audit rights for the specific service tier. “Enterprise” in a product name is not a substitute for reading the data-processing terms. Confirm whether regional or residency controls apply to the endpoint you will actually use and whether they cover backups and abuse-monitoring systems.
Apply least privilege to people and repositories
Give an assistant only the identities, folders, tables, and actions required for its job. Use separate read and write identities, limit high-impact actions, require approval for external sharing or deletion, and review permissions when an employee changes role. For Microsoft 365 Copilot, Microsoft documents how Purview Information Protection encryption and restricted permissions convey usage rights that Copilot honors; use sensitivity labels and source permissions consistently rather than assuming the assistant creates a new security boundary: Microsoft 365 Copilot privacy and security documentation.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteSet retention and deletion rules
Decide how long prompts, responses, files, audit records, and administrator reports need to remain available. Configure tenant retention and deletion policies, identify legal holds, and document which records are excluded from ordinary deletion. Microsoft describes Purview management for Copilot interaction data; align those controls with your broader records schedule rather than keeping every conversation indefinitely.

Review retrieval and generated actions
Inventory every connector and index. Test searches with users from different roles to verify that source permissions and sensitivity labels are enforced. Check whether retrieved snippets are copied into logs, citations, caches, or downstream tickets. For action-taking assistants, test both allowed and denied operations, including a user whose access was recently revoked.
Evaluate stronger API controls before deployment
For especially sensitive workloads, ask the provider whether Zero Data Retention (ZDR), Modified Abuse Monitoring, or an equivalent is available for your organization and the exact endpoints and features you need. OpenAI’s documentation says eligibility and approval apply, and that some features can still store application state. ZDR therefore requires an endpoint-by-endpoint review, customer configuration responsibilities, and testing of unsupported features: OpenAI data controls.
Keep an audit and incident process
Log which tool, tenant, user, connector, and policy applied to each sensitive workflow without copying the sensitive content into a new unrestricted log. Train staff to report accidental submissions immediately. Your process should cover access containment, credential rotation, deletion requests, provider notification, evidence preservation, and assessment of contractual and legal notification duties.
What API retention and Zero Data Retention do—and do not—mean
OpenAI’s API documentation says inputs and outputs may be retained for up to 30 days for service provision and abuse monitoring, subject to endpoint and feature exceptions. Eligible customers can request ZDR, but approval, supported endpoints, and operational obligations apply. The same documentation warns that zero retention does not make every endpoint or feature incapable of storing application state. Treat “up to 30 days” as a documented maximum for the covered activity, not a promise that every request follows the same path, and verify the current exception list before launch: OpenAI API data controls.

OpenAI announced ZDR for frontier models on 19 August 2026 and posted an update on 22 September 2026 about a phased Private Safety Processing rollout. Availability is not universal; confirm rollout status and eligibility for your account, model, endpoint, and region before representing it as a deployment guarantee: OpenAI’s ZDR announcement and rollout update.
When evaluating an API, ask these questions in writing:
- Is the exact endpoint covered by the no-training commitment?
- What prompts, outputs, metadata, files, and abuse-monitoring records are retained?
- What are the maximum periods and the safety, legal, support, backup, and outage exceptions?
- Does streaming, batch processing, fine-tuning, file storage, vector storage, or evaluation create a separate stateful resource?
- Who can request or approve ZDR, and what customer-side configuration is required?
- Which features become unavailable or change behavior under ZDR?
- Where are data and backups processed, and what deletion evidence can the provider supply?
Connected business data needs its own review
Retrieval-augmented assistants do not need to train on a document to expose it in an answer. They can search an authorized repository at query time, quote a passage, summarize it, or use it to trigger an action. The primary control is therefore permission design, not only a training setting.
Use a separate test account for each role and try prompts that request restricted material. Verify that a revoked permission stops retrieval, that sensitivity labels remain effective, and that citations do not reveal more context than the user could open directly. Limit write actions and require confirmation for sending messages, changing records, approving payments, or deleting files. Recheck indexes after a repository restructure, because stale permissions or cached content can outlive the source change.

Transparency and individual rights under UK guidance
The Information Commissioner’s Office (ICO) guidance is specific to UK GDPR and should not be treated as a global legal rule. It says privacy information should explain processing purposes, retention periods, and recipients. When data is collected directly, organizations should provide that information at collection and before using the data to train a model or apply it to people. For data obtained from elsewhere, the ICO generally describes providing the information within a reasonable period and no later than one month, subject to applicable exceptions: ICO guidance on transparency in AI.
The ICO also says organizations must consider erasure requests involving training data. Model erasure is not automatically required in every case; the question includes whether the model contains the person’s data or can be used to infer it, along with applicable exceptions. Document how requests are assessed, what data can be located and deleted, and why an exception applies when it does: ICO guidance on individual rights in AI systems.
Organizations operating elsewhere should map equivalent duties in the relevant jurisdictions, contracts, sector rules, and employment agreements. Do not promise universal deletion or a particular legal outcome until counsel has reviewed the applicable law and the provider’s technical limits.

What to do after an accidental disclosure
- Stop further exposure. End the session, revoke a shared link, disable the connector, and remove the affected user or application permission where appropriate.
- Rotate secrets. Immediately revoke and replace exposed passwords, API keys, tokens, signing keys, or certificates. Assume a secret pasted into a chat is compromised even if the message was later deleted.
- Preserve limited evidence. Record the account, service, time, feature, recipients, and actions taken. Store only the minimum necessary content in an access-controlled incident record.
- Request provider action. Use the documented deletion, abuse, privacy, or support channel and ask what retention or safety exceptions apply. Obtain a case number and written scope.
- Assess obligations. Notify your security, privacy, legal, and compliance teams. Determine whether customers, employees, regulators, insurers, or contractual partners must be informed.
- Prevent recurrence. Add the data class to blocked-input rules, update the approved-tools list, narrow permissions, and retrain the people or workflow that caused the submission.
Final pre-submission checklist
- Exact product, account, tenant, endpoint, model, and region are identified.
- Training, retention, memory, human access, connected-data, and deletion behavior are documented separately.
- Highly sensitive data is redacted, minimized, or kept out of the service.
- Connectors use least privilege and source permissions have been tested.
- Retention and deletion policies cover provider data and your own logs, backups, and exports.
- API deployments have confirmed endpoint eligibility for ZDR or another required control.
- Users know how to report accidental submissions and rotate exposed credentials.
- Jurisdiction-specific transparency and individual-rights duties have been assigned to an accountable owner.
Revisit this checklist whenever the provider changes a model, endpoint, memory feature, connector, retention term, or regional offering. Settings that were adequate for one account or feature should never be assumed to apply to another.
