Short answer: Treat a screenshot as a visual exhibit, not as the complete record. Capture the item promptly, save the full URL and an unambiguous UTC time, identify the account or author, preserve surrounding context, and keep the untouched original. Add a PDF, HTML/WARC capture, platform export, or API response whenever possible. Record hashes, maintain a manifest and custody log, and store at least two controlled copies.
This approach gives an executor, attorney, or court a readable image plus evidence about what was captured, when, by whom, and whether the file changed. No screenshot is automatically admissible; probate and evidence rules vary by jurisdiction.
Why a screenshot alone is usually insufficient
A screenshot records the pixels visible in a browser or app at one moment. It may show the post text, images, account name, interface, and a visible date. It normally does not retain hidden metadata, edit history, comments that were off-screen, linked content, or the page’s functionality.
The National Archives and Records Administration (NARA) describes a complete record as content, context, structure, and associated metadata such as author and creation date. Its social-media guidance says screenshots create only a picture and do not preserve metadata and functionality needed for permanent web-content records. NARA’s guidance is a preservation model for federal records, not a promise about a private probate case, but the distinction is important.

Use the screenshot for human-readable appearance and pair it with a structured capture or export for context and repeatability.
A preservation workflow for estate and legal records
1. Identify the exact item
- Copy the canonical URL, including the full path and any post identifier.
- Write down the platform, account or author, post or page title, and why the item matters to the estate or dispute.
- Record whether the item is public, requires a login, is visible only to certain people, or is already unavailable.
- Note the local date and time shown by the service, but use UTC for your capture log so events can be ordered unambiguously.
Do not rely on a shortened link, a search-result URL, or a profile URL that can later point to different content.
2. Capture the relevant context
Open the item in a normal browser session and capture more than the single sentence that prompted the request. Include the account name, profile or page identifier, post timestamp, replies or comments that affect meaning, linked media, and the navigation path used to reach it. If comments are long, capture them in a sequence with clear file names. Record anything you could not access, such as replies hidden behind a login or media that failed to load.

A full-page capture is useful when the page continues below the fold, but also keep a focused image of the specific passage.
3. Save multiple representations
- Save an untouched PNG or JPEG of the visible view.
- Print the page to PDF when pagination, page numbers, or a paper-style exhibit will help review.
- When available, export the platform data, save an HTML or WARC web capture, or retain an API response that includes identifiers and timestamps.
- Keep media files separately if the export references them rather than embedding them.
Never crop, annotate, convert, or overwrite the only original. Make a working copy for redaction or presentation and leave the original in a write-restricted location.
4. Record operator and time details
Use an ISO 8601 UTC timestamp such as 2026-10-17T14:32:08Z. Log the operator’s name or initials, device and operating system, browser and version, capture method, and the time zone configured on the device. Describe every transformation, including cropping, redaction, conversion, OCR, or filename changes. If another person repeats the capture, create a new log entry rather than replacing the first one.

5. Hash each original and create a manifest
A cryptographic hash is a practical integrity control: it lets you show that a file later matches the bytes you originally stored. The rules cited here do not require one particular algorithm, so choose an established algorithm used consistently by your organization.

6. Maintain a custody history
For every transfer, record the date and UTC time, sender, recipient, purpose, storage location, and whether the hash was checked. Restrict write access to the originals. A log can be as simple as a spreadsheet or append-only case record, provided entries cannot be silently rewritten.
7. Store redundant, controlled copies
Keep a primary copy and an independent backup, such as a dedicated external drive plus secure institutional or cloud storage. Encrypt private messages and personally identifying information, use individual accounts rather than shared passwords, and limit access to the executor, counsel, or investigators who need it. A drive by itself supplies storage, not metadata or proof of authenticity.
8. Test retrievability and prepare a handoff
At intervals appropriate to the case, open representative files, verify hashes, and confirm that required software or format documentation is still available. Preserve the export and metadata even while the original post remains online. Give the executor or lawyer the original files, manifest, capture notes, custody history, and a short declaration explaining who captured the material and how it was preserved.

Use the least complex method that still answers the legal question, then add a structured export whenever one is available. For a disappearing post, speed matters: capture first, document immediately, and improve the package afterward.
How to capture a post or page in a browser
- Open the canonical URL and wait for visible text, images, and timestamps to finish loading.
- Close unrelated tabs and disable extensions that could alter page content. Note any extension or accessibility setting that remains active.
- Take a screenshot that includes the account or site identity and the relevant content. For a long page, take overlapping segments or use a full-page capture, then keep the focused view as a separate file.
- Use the browser’s print command to create a PDF. Select the option that includes background graphics if they carry meaning, and record the browser and print settings.
- Save the URL, UTC time, operator, and unavailable elements in the capture log before leaving the page.
- Hash the files, add them to the manifest, and copy them into the controlled package.
Do not add arrows, highlights, or explanatory text to the original. Put any demonstrative markup in a clearly named working copy and retain the unaltered source beside it.

Federal Rule of Evidence 901 requires evidence sufficient to support a finding that an item is what its proponent claims. Rule 1001 treats a sight-readable output that accurately reflects electronically stored information as an original; Rule 1002 generally requires an original to prove content, subject to exceptions. Rule 1003 allows an accurate duplicate to the same extent as the original unless authenticity is genuinely disputed or admission would be unfair. These are federal baselines, not a guarantee that a particular screenshot will be admitted.
28 U.S.C. §1732 provides that an accurately reproduced record, when satisfactorily identified, may be admissible like the original in a judicial or administrative proceeding, subject to the statute’s conditions. Careful identification and reproducible handling still matter. State probate courts and other jurisdictions may apply different rules, so ask counsel which declaration, custodian testimony, certification, retention period, and privacy safeguards your case requires.

Keep private messages and personally identifying information access-controlled. Preserve the package through the probate or dispute period and follow counsel’s legal-hold and retention instructions; there is no universal retention period for every jurisdiction or estate.
Troubleshooting common failures
The screenshot shows a blank page
Wait for the page to finish loading, check whether JavaScript or a login is required, and capture the error or access state in your log. Do not describe a blank result as proof that the content never existed. Retry from an authorized session and preserve both attempts if the timing matters.
Cookie banners or chat widgets cover the text
Record that the overlay was present, then use the site’s legitimate dismiss control or a capture method that removes consent and chat overlays before rendering. Keep a note of what was removed so a reviewer can distinguish cleanup from alteration of the underlying post.

The page changes between captures
Keep every version with a distinct UTC timestamp and hash. Do not overwrite the earlier file. Capture the URL, visible revision date, and the difference you observed; a sequence can establish how the page changed even when no edit history is exposed.
Comments or linked media are missing
Capture the comments or media as separate, linked files and record the navigation path. If access requires a login or permission you do not have, state that limitation rather than guessing at the missing context.
The hash does not match later
Check whether someone opened and resaved the file, converted formats, changed line endings, or edited metadata. Compare the original bytes with the manifest, quarantine the mismatched copy, and document the discrepancy. Never replace the manifest entry to make a mismatch disappear.
A lawyer asks for the “original”
Provide the untouched file produced by the browser, platform export, or capture service, along with the manifest, logs, and a working copy clearly labeled as such. Explain the capture process and any conversion; do not claim that a screenshot is the original underlying platform record.

Frequently Asked Questions
Can I delete the online post after preserving it?
Do not make that decision solely from the capture. Ask the executor or lawyer about legal holds, discovery duties, account ownership, and privacy obligations before deleting or changing the source account.
Should I capture from a phone or a desktop?
Use the device that can show the most relevant context reliably, and record its model, operating system, browser or app, and time settings. If device differences could matter, preserve captures from both and keep them as separate originals.

Notarization may document a signer and date, but it does not restore missing metadata or prove that the image accurately reflects the underlying post. Authentication and admissibility remain matters for the applicable court and counsel.
How long should an estate keep these files?
There is no universal period supplied here. Follow the probate court’s schedule, counsel’s legal-hold instructions, and the estate’s records policy, while preserving the package in a readable format for the entire dispute or administration period.
