Preserve what you can before it disappears, but do not delay reporting if you cannot. Save an uncropped screenshot or screen recording that shows the post and its context, copy the exact post and profile URLs, record the account identifiers and the date and time with your time zone, and keep an incident log. Retain an untouched original and make separate redacted copies for sharing. Report promptly to the platform and the appropriate police or regulator; Police.uk says screenshots and other evidence are useful but are not required before you report.
What to preserve before the post is deleted
Online posts can be edited, deleted, hidden behind a login, or made inaccessible when an account blocks you. Work from the assumption that the visible page may be your only opportunity to record it. Preserve the smallest amount of material needed to show what happened, without replying, reposting, quoting, or otherwise amplifying the abuse.
- The content: capture the complete post, image, video, audio, or message as it appears.
- Identity: include the username or handle, display name, user ID or UID when shown, and the profile page.
- Location: copy the exact post URL and the account or profile URL into a separate text log.
- Context: include the parent post, surrounding replies, thread position, and any visible date or time.
- Timing: write down when you saw it, including your time zone, and when repeated or escalating incidents occurred.
- Risk: note threats, the targeted protected characteristic, doxxing, or any immediate safety concern in neutral language.
Do not crop identifiers out of the master capture. If you need privacy protection for a wider audience, create a redacted working copy and keep the original unchanged.

A practical preservation workflow
1. Stop engagement and assess immediate danger
Do not argue with the author or forward the material to friends. Engagement can increase its reach and may alter the thread. If there is an imminent threat, contact emergency services in your country first and move to safety. Evidence collection is secondary to personal safety.

2. Capture the full page and surrounding thread
- Open the post in the official app or website, not a cropped image in a chat.
- Take a screenshot showing the post, author, profile or post URL if visible, and the date or time.
- Capture additional screens above and below it so a reviewer can understand the thread and what prompted the statement.
- For a long or changing page, make a continuous screen recording while scrolling slowly. Keep the recording in its original format.
- Save separate captures of the author’s profile and any linked page that establishes identity or context.
Include the device clock or another time reference only when it does not obscure the content. Your incident log is the authoritative place for the time zone and the time you accessed the material.
3. Copy links independently of the image
Use the platform’s “Copy link” or “Share” function and paste the result into a plain-text log. Record both the exact content URL and the profile URL. A screenshot of a URL is not a substitute for the text value: deleted posts may leave the address unusable, while the text still gives investigators a precise identifier.
4. Create an incident log
Use one row per post, message, account, or event. Never overwrite an earlier entry; add a new row when content is edited, reposted, or escalates.

Write what you observed rather than deciding a legal classification. For example, record “the post names a religious group and calls for violence” rather than asserting that it is a particular offence.
5. Export originals when the service permits it
Download the original image, video, or message file when a platform offers an export. Preserve its filename, creation and modification metadata, and any accompanying text. A screenshot is a representation of a page; an exported original can retain additional metadata and quality. Do not open and resave the master in an editor, as that can change metadata.

6. Preserve metadata and make controlled backups
The UK Defence Science and Technology Laboratory’s Digital Imaging and Multimedia Procedure v3.0, published 16 November 2021, addresses capture, retrieval, storage, and use of evidential images and associated metadata. You do not need specialist software to follow its central principle: retain the untouched source and document what you did.
- Keep one read-only master in the original file format.
- Keep a second copy in encrypted cloud storage or on a labelled USB flash drive.
- Restrict access to people who need it and protect accounts with strong, unique passwords and multi-factor authentication.
- Preserve the incident log beside the files, and use stable filenames such as
2026-10-17_platform_handle_001.png. - Do not silently overwrite files; if you correct a log entry, append a dated correction.
Cloud storage is convenient but depends on an account and network access. An offline USB copy reduces that dependency but can be lost or damaged. Using both gives you speed and resilience; encrypt the USB and store it separately from the device used to collect the evidence.
Choosing a capture method

Use more than one method when the material is important: a screenshot for readability, a recording for sequence, and an export for the original file. Label each as an original capture and record the method in your log.
Reporting to the platform, police, or regulator
Platform report
Use the platform’s in-product reporting flow as soon as you have a safe capture. Submit the exact URLs and account identifiers, identify threats or targeting, and explain whether the conduct is repeated. Keep the platform’s confirmation number, email, or status page as another log entry. Do not assume that a platform report preserves data for investigators; request that police or another competent authority do so.
Police or regulator report
Police.uk states: “You don’t need to gather ‘evidence’ like screenshots, text messages, videos or photos before you report to us.” Therefore, missing screenshots should never stop a timely report. Give investigators the identifiers and description you do have, explain what was removed or inaccessible, and tell them where the original files and log are stored.

Include:
- Platform, app, and relevant country or region.
- Exact content and profile URLs, even if they now return an error.
- Username, display name, and user ID or UID when available.
- Date and time seen, time zone, and dates and times of repeats.
- Verbatim text or a neutral description of audio and video.
- Threats, the targeted protected characteristic, and any immediate safety risk.
- Whether the account blocked you, the post was edited or removed, or the link changed.
- Names of files supplied and confirmation that untouched originals remain available.
Definitions and reporting routes differ by country. The UK guidance cited here is most directly relevant to England and Wales; eSafety guidance is Australian, and you should use the police, regulator, and privacy process for your own location.

Tell police which platform is involved, provide every URL and identifier, and explain the risk of deletion. Crown Prosecution Service guidance says that when a matter is reported, police should make a data-retention request to the platform so evidence is secured for an investigation. X’s law-enforcement guidance describes a temporary 90-day preservation snapshot while valid legal process is obtained; its process requires an official, signed request with identifying URLs, usernames, or a UID. These are investigator-to-platform procedures, not a substitute for your own capture.
Cross-border hosting can require digital-forensics specialists and liaison with an internet service provider. The College of Policing notes that online activity can leave an electronic audit trail with significant evidential value, wherever the computer or user is located.
Protecting privacy and sensitive material
Separate originals from redacted copies
Keep the original in restricted storage. For a platform report or a conversation with a support worker, make a copy that masks unrelated names, addresses, phone numbers, faces, or private messages. Record that it is redacted and keep the original available to investigators. Do not add arrows, captions, filters, or other annotations to the master.
Intimate images and uncertain age
Do not screenshot, record, download, or share potentially illegal intimate material when the person’s age is uncertain. Report what happened using the platform’s safety route and tell police or the relevant authority that such material may exist. Follow their instructions for any lawful preservation. This precaution applies even when the material appears in a hate-speech thread.

Troubleshooting common preservation problems
The post disappeared before I captured it
Report immediately with the username, profile URL, approximate time, wording you remember, and any notification or email that contains a link. Tell police that the content was removed and ask them to make a retention request. Do not try to obtain it by impersonating someone or bypassing access controls.
The URL opens a blank page or login screen
Save the URL exactly as copied, note the error and time, and capture the page that is visible to you. A private or deleted post may be unavailable to your account but still identifiable to the platform. Include the account URL and any UID.
The page requires scrolling or changes while I capture it
Use a slow screen recording, then take still screenshots of the key frames. Keep the recording’s original file and note its start and end times. If content loads only after interaction, record the action in your log rather than repeatedly refreshing and risking loss.
The screenshot contains my private information
Keep the complete original in restricted storage. Produce a redacted copy for general support channels and tell the recipient that an unredacted original exists. Use the platform’s confidential or law-enforcement route for the full file.
I am unsure whether the post meets a legal definition
You do not need to decide that before reporting. Describe the words, images, target, threats, repetition, and effect. Police or a regulator determines whether the conduct meets the applicable legal or policy threshold.

For a defensible record, save the returned response, the request URL, the capture time, the options used, and the response headers such as X-Page-Verdict and X-Billed. A cache hit can be useful for retrieval but is not a new observation, so keep the original timestamp in your log.

Checklist before you submit a report
- Is there an untouched capture showing the content and surrounding context?
- Are the exact post and profile URLs copied as text?
- Are username, display name, user ID or UID, platform, date, time, and time zone recorded?
- Have repeats, edits, threats, and escalation been entered as separate log rows?
- Are originals read-only and backed up in two controlled locations?
- Is any shared copy redacted without altering the master?
- Have you avoided replying, forwarding, or amplifying the material?
- Have you reported promptly and asked investigators to request platform retention?
- Have you avoided capturing or sharing intimate material when age is uncertain?
Frequently Asked Questions
Should I wait until I have screenshots before contacting police?
No. Police.uk says screenshots, messages, videos, and photos are not required before making a report. Give the identifiers, URLs, timing, and description you have, and explain what was deleted or inaccessible.
How long will a platform keep a deleted post?
There is no universal period. Retention depends on the platform, jurisdiction, and legal process. Ask police to make a prompt preservation request; X’s guidance describes a temporary 90-day snapshot for legally appropriate requests.
