Use a copy, choose the exchange format deliberately, and inspect the saved file in the application that will receive it. Microsoft Office and open-source suites such as LibreOffice can open and save many of each other’s formats, but compatibility does not promise identical rendering. A document may open successfully while list spacing, page breaks, text boxes, graphics, formulas, or interactive features look or behave differently.
The safest process is to retain an untouched native file, create a separate exchange copy, open that copy in the destination suite, and repair any differences before sharing. The more complex the document, the more important that round-trip check becomes.
What compatibility does—and does not—mean
Microsoft Word can open and save OpenDocument Text files (.odt), and LibreOffice Writer can open and save Microsoft Word files such as .doc and .docx. LibreOffice Calc handles .xls and .xlsx, while Impress handles .ppt, .pps, and .pptx. LibreOffice also provides a folder conversion wizard for converting Office files to OpenDocument formats.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Those capabilities establish file exchange, not pixel-for-pixel equivalence. Each suite implements its own layout engine, feature set, defaults, and interpretation of the file-format specification. Microsoft warns that an ODT opened in Word may not retain its original formatting and recommends closing and reopening the saved copy to inspect it. LibreOffice similarly notes that complex Office documents may require manual reformatting.

Separate two questions during review:
- Formatting change: the words and data remain, but appearance changes—for example, a different line break, margin, bullet indent, font substitution, or object position.
- Content or feature loss: an object, field, revision mark, formula behavior, chart element, macro, or other information is removed, altered, or no longer editable.
A file that opens without an error can still have either problem. Treat the receiving application as the authority for the version you will deliver.
Choose the format before you convert
There is no universal format that guarantees identical display in every office suite. Decide who will continue editing the file, which features matter, and whether editability or visual stability is the priority.
| Situation | Safer working approach | Reason and qualification |
|---|---|---|
| Office users will continue editing an Office-heavy document | Keep the native Open XML file (.docx, .xlsx, or .pptx) as the working master. | Microsoft identifies Open XML as the default format in supported Office versions and recommends it unless there is a specific reason to use another format. |
| The recipient requires an OpenDocument file | Export a separate .odt, .ods, or .odp copy and retain the native master. | The recipient gets the required open format without making the converted copy your only source. |
| LibreOffice users will do most of the editing | Use the appropriate OpenDocument format for the working file, then provide an Office-format copy only when needed. | This minimizes repeated conversions in the suite doing the main editing; still inspect any copy opened elsewhere. |
| The recipient mainly needs a fixed visual reference | Provide a PDF in addition to an editable file when appropriate. | PDF can preserve a visual reference, but it is not a substitute when the recipient must edit content, formulas, fields, or slides. The cited guidance establishes Office PDF saving support but does not establish identical PDF workflows across all suites. |
Ask these four questions
- Which application will open the delivered copy? A file intended for Word, Writer, Excel, Calc, PowerPoint, or Impress should be checked in that application.
- What must remain editable? Text, formulas, charts, slide objects, comments, fields, and revision history have different compatibility risks.
- Does the document depend on specialized features? Macros, embedded objects, unusual graphics, complex columns, pivot tables, and advanced presentation effects require extra scrutiny.
- Can someone review and repair a round-tripped copy? If not, simplify the document or deliver a fixed-layout reference as well.
A safe conversion workflow
1. Preserve the originating file
Save an untouched copy in the format used by the authoring application. For an Office-first workflow, that normally means .docx, .xlsx, or .pptx. Store it separately from converted files and do not overwrite it during testing. This is your recovery point if a conversion removes content or introduces layout changes.

2. Make a clearly named working copy
Use a filename that identifies the target format and date, such as Project-plan_ODT_2026-10-16.odt. Keep the original extension on the source copy. Avoid repeatedly opening, editing, and resaving the same file through alternating suites; each round trip can introduce another interpretation of the layout.
3. Save or export to the required format
In Word, use File > Save As, choose OpenDocument Text (*.odt), and save the copy. Similar Save As choices are available for spreadsheets and presentations when the installed Office edition supports the relevant OpenDocument format.

In LibreOffice, use File > Save As and select the required Microsoft format or OpenDocument format for the document type. LibreOffice can also set a default file type by document type in its options; change that setting only if it matches your team’s workflow, because a default affects future saves.
4. Close and reopen the converted copy
Do not validate a file only while it is still open in the application that saved it. Close it, launch the receiving suite, and open the saved copy there. Microsoft explicitly recommends reopening an ODT copy to check its appearance. This step also exposes warnings, missing fonts, recalculated formulas, shifted objects, and unsupported features that a save dialog cannot report completely.

Review the copy beside the untouched source. Check the parts that matter to the recipient rather than relying on a quick first page. For a long document, inspect representative pages containing each layout pattern. For a workbook, check every sheet that will be delivered. For a presentation, review the slide master, notes, and slides with the most objects.
6. Repair only the delivery copy
Make corrections in the copy intended for the recipient. If a repair changes content or structure, compare it with the source and record the change. Save, close, reopen, and inspect again. Keep the native source until the recipient confirms that the delivered file is usable.
Word and Writer: preserving document layout
Writer and Word can exchange ordinary paragraphs, headings, tables, and images, but their layout models are not identical. Microsoft’s Word/ODT feature guidance identifies several specific areas where support is limited or different.

Items to inspect first
- Lists: bullet appearance, numbering, and spacing can change. Confirm that nested levels, restart numbering, and indents still communicate the intended hierarchy.
- Tabs and alignment: positional tabs that are unsupported in the receiving application can move text or change line wrapping. Replace fragile tab-based alignment with ordinary tables or consistent paragraph settings when practical.
- Sections and columns: text-column section properties may be lost or interpreted differently. Check column count, spacing, balancing, section breaks, and whether headers and footers remain attached to the intended section.
- Tables: inspect column widths, row heights, cell padding, borders, shading, repeated header rows, merged cells, and page breaks. LibreOffice lists tables among its conversion challenge areas.
- Text boxes and frames: verify anchoring, wrapping, stacking order, and whether text remains editable. Frames and text boxes can be positioned differently after conversion.
- Images and graphics: check cropping, wrap mode, anchor, resolution, transparency, and picture border styles. Microsoft identifies some picture border styles as unsupported in its ODT feature table.
- Fields and references: page numbers, cross-references, dates, captions, indexes, and fields may have only partial support. Confirm both their displayed value and whether they still update.
- Revision marks and comments: decide whether tracked changes must remain editable. LibreOffice lists revision marks as a conversion challenge area; accept or reject changes in the source before exchange if history is not required.
- Fonts and pagination: a missing or substituted font changes line lengths and page breaks. Check the font list, headings, widow and orphan behavior, and the final page count in the receiving suite.
Practical Writer/Word preparation
Use built-in paragraph and character styles instead of manually formatting every line. Keep layouts straightforward when the recipient cannot edit specialized objects. Replace decorative effects or floating elements that are not essential with ordinary paragraphs, tables, or anchored images. These steps reduce opportunities for divergent interpretation; they do not guarantee identical output.
Excel and Calc: protecting data and formulas
Calc opens and saves Excel formats, but spreadsheet fidelity involves more than visible cell formatting. A workbook can look correct while formulas, pivot behavior, conditional rules, or embedded objects differ.
Workbook checks
- Open every delivered worksheet and confirm sheet names, order, hidden sheets, frozen panes, print areas, page breaks, and repeating rows or columns.
- Compare number formats for dates, currencies, percentages, fractions, leading zeros, and negative values. A changed format can make correct data appear wrong.
- Recalculate key formulas and inspect cells showing errors. Verify references across sheets, named ranges, array or spill behavior, and formulas that depend on functions with different support.
- Review conditional formatting rules, icon sets, data bars, and color scales. LibreOffice identifies conditional formatting as a conversion challenge area.
- Inspect pivot tables and their refresh behavior. LibreOffice lists spreadsheet pivot tables among areas that may require attention; confirm that the recipient can refresh or edit them if that is part of the task.
- Check charts, labels, axis scales, trendlines, data ranges, and object placement. Reopen the workbook after saving to ensure chart edits persist.
- Review external links, embedded objects, protection settings, comments, and macros separately. If a feature is essential, test it in the exact destination application and version rather than assuming format support.
When to deliver both an editable file and a reference
If the recipient needs to edit formulas but a precise print appearance also matters, provide the validated spreadsheet and a PDF or printed reference for the key sheets. Label which file is authoritative for calculations and which is authoritative for visual review.
PowerPoint and Impress: slides, masters, and objects
Presentation conversion is especially sensitive to fonts, slide dimensions, theme definitions, grouped objects, and spacing. Impress can open and save Microsoft presentation formats, but LibreOffice lists presentation spacing and grouped objects among its challenge areas.
Slide-by-slide review
- Confirm slide size and orientation before checking individual slides. A different aspect ratio changes every position.
- Inspect the slide master, layouts, theme fonts, theme colors, headers, footers, and slide numbers.
- Check text boxes for wrapping, line spacing, overflow, and font substitution. A single extra line can push other objects out of alignment.
- Review grouped shapes, connectors, SmartArt-like diagrams, charts, tables, and embedded media. Ungrouped or repositioned objects may need manual rebuilding.
- Run the slideshow in the receiving application. Check transitions, animations, notes, presenter information, and any media that the recipient must play.
- Print or export representative slides to verify that objects are not clipped at the page edge.
Feature-risk matrix
The following matrix combines the compatibility areas identified in Microsoft’s ODT feature table and LibreOffice’s conversion guidance. A listed area is a reason to inspect the file, not proof that it will fail in every version or document.

Batch conversion and migration
For many files, LibreOffice’s Document Converter Wizard can convert a folder of Office documents to OpenDocument files. Treat the wizard as a first pass, not as proof that the migration is complete.
- Make a read-only or otherwise protected copy of the source folder.
- Group files by type and by complexity rather than converting an entire archive blindly.
- Run the converter on a working copy and preserve the output in a separate folder.
- Sample documents from each structure: short and long reports, multi-column files, workbooks with pivots, and presentations with grouped objects.
- Open the samples in the intended destination application and use the checklists above.
- Log recurring repairs, then apply them deliberately. Do not overwrite source files with automated output.
LibreOffice’s documentation states that complex documents can require manual reformatting. Sampling is a practical quality-control measure; it is not a published guarantee that a particular percentage of files will convert correctly.
Troubleshoot by symptom
The page count changed
Check font availability first, then margins, paragraph spacing, line spacing, section breaks, and column settings. Compare the same page in both applications and identify the first paragraph where line wrapping diverges. Fix the underlying style or font issue rather than inserting manual page breaks everywhere.
Images or text boxes moved
Inspect the object’s anchor, wrap mode, grouping, and position relative to the page or paragraph. If the object uses an effect or border style that the destination suite does not support, simplify it or replace it with a supported equivalent in the delivery copy.

Formulas display errors or results differ
Recalculate in the receiving spreadsheet application, inspect cross-sheet references and named ranges, and test the functions used by the affected cells. Compare values with the source before editing formulas. If the recipient only needs results, include a fixed reference, but do not present it as an editable calculation model.
Fonts are missing
Install the licensed font on the receiving system when permitted, or substitute a widely available font and then recheck every page or slide. Font substitution is a layout change, not necessarily data loss, but it can alter pagination and object positions.
Macros, fields, or embedded content no longer works
Identify whether the feature is required for editing or merely displayed. Microsoft’s format guidance warns that unsupported features can change or result in content loss when an Office file is saved as ODF. Preserve the native source, test the operation in the target application, and tell the recipient explicitly if the converted copy is display-only for that feature.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesFinal validation checklist
- The untouched native source is stored separately.
- The delivered extension matches the recipient’s requested format.
- The copy was closed and reopened in the receiving application.
- Fonts, margins, page or slide size, headers, footers, and page breaks were checked.
- Lists, columns, tables, text boxes, images, charts, and grouped objects were inspected where present.
- Formulas were recalculated and key results compared.
- Comments, revision marks, fields, links, macros, and embedded objects were tested or their limitations documented.
- Print or PDF output was reviewed when appearance matters.
- The recipient knows which file is the editable master and which is only a visual reference.
- The source copy will be retained until the recipient confirms successful use.
What to tell collaborators
Set a simple team rule: edit in the designated working format, export a separate exchange copy, and validate that copy before sending it. Ask recipients to report problems with the exact application and version, because Word 2016, 2019, 2021, 2024, and Microsoft 365 can differ from one another, and LibreOffice’s latest help pages may not describe every older release. No vendor document provides a complete feature-by-feature matrix for every Office and open-source-suite combination, so the actual file and destination application remain the decisive test.
