Act before your work account is disabled. Ask the company’s authorized IT, records, privacy, HR, successor, receiver, or other custodian contact what will be retained and which personal or employment records you may receive. Do not automatically forward an entire mailbox or copy a company drive. Access to an account, permission to make a copy, and the right to keep that copy are separate questions.
Work systems can contain employer records, customer information, confidential material, regulated data, and official records. Get written instructions when the boundary is unclear, use the platform’s supported export process, and verify every archive before access ends.
Start with authorization and the shutdown deadline
A closure, layoff, insolvency, acquisition, or account disablement can change who controls company data. The safest plan is to identify the deadline and the authorized custodian immediately, then preserve only what you are allowed to retain.
Find out exactly when access ends
- Locate the announced closure date, termination date, or scheduled account-disablement date. Treat an account that still works today as temporary access, not a guarantee.
- Ask who is authorized to give instructions: internal IT, a records or privacy officer, HR, a successor company, receiver, trustee, or another named custodian.
- Request written answers about mailbox retention, OneDrive or shared-drive preservation, legal holds, export permissions, and the method for receiving permitted personal or employment records.
- Save the instructions and the name and date of the person who approved the export. Do not bypass a disabled download, forwarding, sharing, or administrator control.
If no company contact responds, use the last official notice, board or insolvency contact, or applicable records office to identify the custodian. Employment, privacy, insolvency, and records laws vary by jurisdiction and industry; this guide does not determine ownership or your legal right to retain employer data.

Separate personal material from company records
Make a short inventory before downloading anything. Mark each item as personal, employment-related, company business, customer-related, regulated, confidential, or an official record. Examples of potentially personal or employment-related material include payslips, tax forms, benefits statements, performance documents, and correspondence about your own employment. Customer lists, contracts, product plans, source code, financial records, regulated data, and messages documenting business decisions normally require custodian approval.
Ask for specific records rather than taking an entire mailbox. A written request such as “Please provide my payslips and employment agreement in PDF, and confirm how business mail and shared files will be preserved” is safer than a bulk export that mixes categories.
Use the right preservation route
There are two legitimate routes. A user-initiated export is convenient when the administrator permits it. An administrator or records custodian export is necessary when controls, ownership, retention, legal holds, or shared-file permissions prevent self-service.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Question | User-initiated export | Administrator or custodian preservation |
|---|---|---|
| Authorization | Requires an active account and permission to download or export. | Performed by an authorized administrator, records officer, successor, receiver, or other custodian. |
| Data included | Usually only the products and items exposed in the user interface; work-account policies may remove options. | Can cover mailboxes, shared drives, legal holds, retention settings, and organizational data that users cannot access. |
| Versions and ownership | A copied file may not preserve every version, sharing relationship, or ownership attribute. | The custodian can preserve the source system, version history, metadata, and access controls according to policy. |
| Timing | Can be started immediately, but archive creation may take time and may miss changes made afterward. | May take longer to arrange, but is the correct route when closure or account deletion is imminent. |
| Retention and legal holds | You cannot override a hold or retention policy from a user account. | Administrators can apply or maintain holds and follow statutory or corporate retention rules. |
| Destination | You choose an approved, secure location with enough capacity. | The organization controls the preservation repository and can issue an authorized copy later. |
When the two routes conflict, follow the custodian’s written direction. An export does not transfer ownership, remove the company’s original, or authorize you to use confidential information elsewhere.
What to ask IT, HR, or the successor
Send a focused request before attempting an export. Include the account address, the date you expect to lose access, and the categories of records you need.
- Which mailbox, calendar, contacts, Drive or OneDrive folders, shared drives, and collaboration spaces will be retained?
- Who will own or administer those records after closure?
- Is there a legal hold, regulatory retention rule, litigation requirement, or insolvency process?
- May I download specified personal or employment records, and in which format?
- Can an administrator create a mailbox archive or preserve shared files if self-service export is blocked?
- Will file versions, comments, permissions, audit information, and shared-drive ownership be preserved?
- How will I receive an authorized copy after my account is disabled?
- What secure destination should I use, and who may access the copy?
Ask the administrator to preserve business records centrally rather than asking an employee to take them home. This protects the company’s records and avoids placing customer or regulated information in a personal account.

Microsoft 365: mailbox and OneDrive preservation
Microsoft’s published former-employee process describes administrator-controlled offboarding for Outlook and OneDrive. The exact result depends on tenant configuration, licensing, retention policies, and the permissions of the person performing the steps.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Mailbox export as a PST
An administrator can save mailbox contents as a PST using the process described in Microsoft’s mailbox offboarding guidance. This is an administrator task and requires appropriate permissions. Ask the custodian to decide whether a PST is the correct record format, whether a hold applies, and where the file may be stored.
Do not forward the entire mailbox to a personal email address as a substitute. Forwarding can expose customer information, attachments, internal discussions, and regulated data, and it may violate policy or a legal hold. Request specific employment messages or an authorized PST instead.
OneDrive and shared-file access
Microsoft’s OneDrive and Outlook access guidance describes giving another employee access and moving or copying files. A copy or move may retain only the latest OneDrive version, so ask explicitly about version history if earlier versions, comments, or audit context matter.
Microsoft says deleted former-employee OneDrive and Outlook content is retained for 30 days by default in the documented scenario. That is a Microsoft 365 administrator default, not a universal grace period. Licensing, tenant settings, retention policies, holds, and the organization’s deletion workflow can change the outcome. Do not wait for the default window; have the custodian preserve the data before account deletion.
If you are allowed to download your own files
- Confirm in writing which folders and file types you may copy.
- Download from the supported OneDrive interface or the organization’s approved method, preserving folder names and file extensions.
- Do not alter, rename, or delete the source files while the organization is preserving them.
- Record whether the download contains only current versions. Request an administrator export or source-system preservation for historical versions.
- Open representative documents after download and report missing or inaccessible files immediately.
If the download button is unavailable, the account is read-only, or a shared file belongs to another user, stop trying to circumvent the control. Ask the administrator to create the export or provide an approved copy.

Google Workspace: Takeout, Drive, and Gmail
Google Takeout can create archives for products such as Gmail, Drive documents, and calendars. The user flow and available products depend on the organization’s Google Workspace settings.
Creating an authorized Takeout archive
- Sign in to the work account only while access is authorized.
- Open Google Account Help’s “How to download your Google data” instructions and select the permitted products.
- Choose an archive format and a destination approved by the organization. Google lists cloud-storage destinations as well as downloadable archives; use a destination you control only when the custodian has authorized it.
- Start the archive and keep the confirmation. Large exports can take time and may arrive as multiple files.
- Download every archive part before the account is disabled, then verify the contents.
Google warns that changes made after archive creation begins may not be included. If people continue sending mail or editing files, ask the administrator to preserve the source account or create a second export at the appropriate cutoff.
Work-account restrictions
Administrators can limit what a work or school account may download. Google’s Drive export guidance and Gmail export guidance explain that some organizational data may be unavailable for user download. If Takeout omits Gmail, Drive, shared-drive content, or other products, that is a control to respect, not a problem to solve by using an unapproved tool.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsAsk an administrator or authorized successor to export organizational data. They can determine whether a legal hold, retention rule, shared-drive ownership, or account policy requires an administrator-managed process.
Google states: “If you download your Google data, it doesn’t delete it from Google’s servers.” An archive is a copy; it does not remove the company’s source data or change ownership.
Verify the archive before access ends
A successful download message does not prove that the archive is complete or usable. Verification should happen while the work account and the custodian are still reachable.

- Confirm that every archive part finished downloading and that file sizes are plausible. Keep the original archive unchanged.
- Open representative documents from each important folder, including PDFs, spreadsheets, presentations, images, and email files.
- Check critical date ranges, senders, attachments, labels or folders, and employment records. Compare the result with your inventory.
- Look for version-history gaps, missing shared-drive items, broken links, and files that require an organizational license to open.
- Record the export date, account, products selected, archive filenames, storage location, and any exclusions shown by the service.
- Report omissions to the authorized contact and request a custodian-managed export or preservation where necessary.
Do not edit the only copy during verification. Work on a duplicate and retain the original archive as evidence of what the service produced.
Store authorized copies securely
Choose storage with enough capacity, encryption, access control, and a recovery plan. An external hard drive can be an optional destination for an authorized export, but only after permission is clear and the drive is protected. A second authorized backup can protect against drive failure or accidental deletion.
- Use a device or storage account controlled by you, with a strong unique password and multi-factor authentication where available.
- Encrypt sensitive archives at rest and protect the encryption key separately.
- Limit access to people named in the authorization. Do not upload company records to a personal cloud account merely because it is convenient.
- Keep the original archive unchanged and label working copies clearly.
- Store one backup in a separate location if the custodian permits it and the data’s sensitivity allows it.
- Follow the approved retention and disposal date. The Federal Trade Commission advises businesses to retain sensitive personal information only as long as needed, limit access, and maintain security, retention, and disposal policies in its guide to protecting personal information.
If the records contain customer, health, payment, government, or other regulated information, ask the custodian or qualified counsel for the required security and retention method before making another copy.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Federal records are a special case
National Archives and Records Administration guidance applies to federal employees, not automatically to private-company workers. It states: “Federal employees cannot take records with them when they leave.” Federal employees may be able to take personal materials and certain releasable copies, but should consult agency records staff or counsel. A private employer’s rules, a contractor’s agreement, or another country’s law may differ.
Regardless of sector, do not remove official records or defeat an agency or company records process. Ask the designated records officer what may be copied and how the official record will remain in custody. See NARA’s Records Management Guidance for Federal Employees, updated June 10, 2024, for the federal context.

Common failure modes and the safe response
“I will wait until the last day.”
Account deletion, a license change, an emergency shutdown, or a receiver’s instruction can remove access earlier than expected. Start the authorization request as soon as closure is announced and ask for a written cutoff.

“I will copy everything now and sort it out later.”
Bulk copying can transfer confidential, personal, regulated, and official records without permission. Inventory first, request specific records, and let the custodian preserve business data.
“The service says the export is ready, so it must be complete.”
Archives can omit concurrent changes, unavailable products, shared files, or earlier versions. Inspect representative content and ask for an administrator export when the archive does not match the inventory.
“The 30-day Microsoft window gives me plenty of time.”
The 30-day figure is a documented Microsoft 365 default for a particular former-employee workflow. Tenant settings, licensing, holds, and deletion actions can change it. Treat access as ending at the earliest announced date.

“Downloading changes ownership.”
It does not. Google explicitly says downloading does not delete the server copy, and an export generally does not transfer ownership or permission to use the records outside the organization.
“A personal email forward is the simplest backup.”
Forwarding can violate policy, expose third-party information, and lose mailbox structure or metadata. Use an approved export or administrator-managed copy instead.
