Microsoft Teams gives you two practical ways to show a PowerPoint deck: PowerPoint Live, which opens the presentation inside Teams, and window or screen sharing, which broadcasts PowerPoint as it appears on your computer. For most meetings, select Share > PowerPoint Live; use window sharing when a desktop-only feature, animation, add-in, or workflow does not work correctly in PowerPoint Live.
PowerPoint Live supports .pptx and .ppsx files up to 2 GB, according to Microsoft. Legacy .ppt, .pps, .odp, and .pot files are not supported in PowerPoint Live.
Before you start
Have the presentation ready and join the Teams meeting before sharing it. For the smoothest result:
- Open the final version of the file and close unrelated windows.
- Check that the presentation is saved in OneDrive, SharePoint, or on your computer.
- Use the desktop Teams app or Teams for the web with a current browser.
- Tell attendees when you are about to start sharing, especially if the meeting is already in progress.
- If the slides contain video or audio, test playback before the meeting.
- Run PowerPoint’s Accessibility Checker and fix important issues before presenting.
You can present a file stored in .pptx or .ppsx format, up to 2 GB. If the deck contains confidential material, check who can access the meeting and the file before uploading or sharing it.

PowerPoint Live is not available in some contexts, including Teams live events and meetings using CVI or VTC devices. Anonymous users cannot present through PowerPoint Live. Use window sharing if your meeting or device is unsupported.
Method 1: Present with PowerPoint Live
PowerPoint Live is the standard way to present a PowerPoint file in Teams. It places the slides in the meeting presentation area instead of simply showing a copy of your screen.
Start PowerPoint Live in a meeting
- Join or start the Teams meeting.
- In the meeting controls, select Share (also labeled Share content in some versions).
- Under PowerPoint Live, select the presentation.
- If it is not listed, select Browse OneDrive or Browse my computer, then select the PowerPoint file. You can also use Present in Teams from an open PowerPoint file when that option is available.
- Wait for the file to load. Teams then displays the first slide to attendees and opens presentation controls for you.
The exact wording can vary between the Teams desktop app and Teams for the web, but the route remains Share > PowerPoint Live.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →A file selected from the recent PowerPoint Live list is available to meeting participants during the meeting without changing its permissions outside the meeting. When you browse for a new file, Teams uploads it: in a channel meeting it is placed in the channel’s Files tab, while in a private meeting it is uploaded to the presenter’s OneDrive for meeting participants.
If the file has changed since it appeared in the list, use Present the latest version when Teams offers that option.
Move through the slides
Select the next- or previous-slide buttons in the presentation controls, use the keyboard arrow keys when the presentation area has focus, or select a slide thumbnail. Grid view can help you jump to a particular point in the deck.
PowerPoint Live normally gives the presenter controls that are not visible to the audience, such as slide navigation, notes, chat, reactions, raised hands, a laser pointer, and drawing tools. Use the controls at the bottom or top of the presentation area to open notes, change the presentation layout, or access additional options. If the controls disappear, move the pointer over the shared presentation.
Let attendees navigate or keep everyone on your slide
Depending on your meeting settings and Teams version, attendees may be able to move through the deck independently, magnify and pan, use high-contrast viewing, or translate slides. They can select Sync to Presenter to return to your current slide. If you need everyone to stay together, disable independent attendee navigation in the presentation controls.
Use presenter view features
Depending on your Teams and Microsoft 365 version, PowerPoint Live can show presenter tools such as speaker notes, a slide navigator, meeting chat, reactions, a laser pointer, and pen tools. These tools are useful when you need to refer to notes without placing them on the slide.

Do not assume that every attendee sees your presenter controls. The audience generally sees the presentation, while your notes and navigation tools remain in your presenter interface. If presenter view is hidden on a small screen, open the presentation’s more-options menu and choose Show presenter view. Microsoft also documents Ctrl+Shift+X when the sharing window is selected. In Teams for the web, Microsoft lists Edge 18 or later or Chrome 65 or later for presenter view.
Stop presenting
- Move the pointer over the presentation to reveal the meeting controls.
- Select Stop presenting, or select the main Teams Share control and stop sharing from there.
Stopping the presentation does not necessarily end the meeting. It only removes your shared content.

Method 2: Share a PowerPoint window
Use window sharing when you want attendees to see PowerPoint exactly as it appears on your computer, or when PowerPoint Live does not support a particular object or workflow.
- Open the presentation in the PowerPoint desktop app.
- Start the Teams meeting and select Share.
- Under Window, select the PowerPoint window. Select the entire screen only if you need to switch between multiple applications.
- Start the slide show in PowerPoint by selecting Slide Show > From Beginning, or press F5 on Windows. To start from the selected slide, choose Slide Show > From Current Slide, or press Shift+F5 on Windows.
- Present the deck in PowerPoint. Keep the Teams meeting controls available so you can mute yourself or stop sharing when finished.
For Microsoft’s slide-control workflow, share the presentation window (not the whole desktop), put the presentation in full-screen slide-show mode, then select Slide control in the presenter toolbar and choose recipients. Up to 20 people can receive slide control, and only people who have permission to share can receive it. Slide control is available for presentations started from Teams desktop; it is not supported in Teams Rooms or mobile presentations. Mac users can receive control but cannot start it.
On macOS, Teams may request permission to record the screen. Approve the request in System Settings > Privacy & Security > Screen Recording, then restart Teams if necessary.
Window sharing avoids exposing other applications, notifications, or desktop contents. It is safer than sharing the entire screen when you have private material open.
Method 3: Share the entire screen
Select Share > Screen only when you need to demonstrate more than PowerPoint—for example, switching between a spreadsheet, a browser demonstration, and the slide deck.
Before selecting this option, close private windows and turn off desktop notifications. A notification, message preview, or unrelated application displayed during screen sharing is visible to attendees.
How to share PowerPoint audio and video
If a slide contains a video with sound, enable Include sound in the Teams sharing panel before you start sharing. The wording and position can differ by Teams version, but the option appears with the screen, window, or PowerPoint sharing choices.

- Presenter mode, built-in Class 2 red laser pointer for presentations, intuitive touch-keys for easy slideshow control. AAA batteries required (best with Polaroid AAA batteries)
- Bright red laser light - Easy to see against most backgrounds, works as a pointer clicker for presentation and clicker for powerpoint presentations
- Up to 50-foot wireless range for freedom to move around the room
- There's no software to install. Just plug the receiver into a USB port to begin. This power point clicker wireless solution makes presentations easy, and you can store the receiver in the presentation remote after use.
- 2.4GHz RF wireless technology, built-in docking bay stores receiver for easy pack up and portability; works well as a presenter clicker wireless or computer clicker for presentations.
- Select Share in the meeting.
- Turn on Include sound or Share sound.
- Select PowerPoint Live, the PowerPoint window, or the screen.
- Play a short section of the video and ask an attendee to confirm that both the picture and sound are working.
Microsoft says embedded videos work best in PowerPoint Live and recommends only one media file per slide to avoid simultaneous playback. For a video-heavy deck, test the file in the same Teams environment you will use for the real meeting. A video can play normally on your computer while attendees experience buffering, missing sound, or a black frame.

Present a deck with Cameo
PowerPoint’s Cameo feature places your live camera feed on a slide. It is supported in PowerPoint for Microsoft 365 on Windows and Mac, PowerPoint 2024, PowerPoint 2024 for Mac, and PowerPoint for the web. The relevant PowerPoint 2024 features are also included in commercial PowerPoint LTSC 2024 unless otherwise noted.
To add Cameo in PowerPoint desktop:
- Open the presentation in Normal view.
- Select Insert > Cameo.
- Select the preview camera icon in the placeholder to activate the live feed.
- Select the Cameo object, then open Camera Format.
- Choose a camera under the arrow below Preview if the wrong camera is selected.
- Use Camera Styles, Camera Shape, Camera Border, and Camera Effects to format it.
- Resize or reposition the object, then present the deck through Teams PowerPoint Live or by sharing the PowerPoint window.
In PowerPoint for the web, use Insert > Cameo in Normal view. The first time, the browser asks for camera permission. During the slide show, open the toolbar near the edge of the screen; select More if necessary, then choose the camera.
Cameo can be animated and used with transitions, Morph, and Design Ideas. Microsoft documents one video feed per slide. In a shared document, only the person presenting sees their own video feed; collaborators do not automatically see that presenter feed while editing the shared file.

Use the same camera position on multiple slides
Adding Cameo separately to every slide makes consistent positioning difficult. Instead, add it to a custom Slide Master layout:
- In PowerPoint, select View > Slide Master.
- Select Insert Layout, or select an existing layout in the left pane.
- On the Slide Master tab, select Insert Placeholder > Cameo.
- Click or drag where the camera placeholder should appear.
- Use Shape Format to format the placeholder.
- With the layout selected, choose Slide Master > Rename, give it a distinct name, and select Rename.
- Select View > Normal View.
- On the Home tab, select New Slide or Layout, then select the named layout.
The Cameo object appears only on slides that use that layout. It will not appear on slides using a different layout until you apply the custom layout.
PowerPoint Live in Teams versus screen sharing
| Option | Best for | Main drawback |
|---|---|---|
| PowerPoint Live | Most slide presentations, presenter notes, navigation, accessibility features, and lower-bandwidth delivery | Unsupported meeting/device contexts and some unusual PowerPoint features; videos, animations, and annotations are not captured in recordings |
| Share window | Showing the PowerPoint desktop app, custom animations, add-ins, or shared slide control | You must manage the slide show in PowerPoint and verify that audio is shared; slide control has desktop and role limitations |
| Share screen | Demonstrations that switch between several applications | Private windows and notifications can be exposed |
Microsoft’s reviewed PowerPoint Live page lists a maximum of 1,000 attendees. Product limits can change, so verify the current Microsoft guidance for an unusually large meeting.
Fix common Teams PowerPoint problems
PowerPoint Live is not listed
Check that you selected Share while inside the meeting, rather than the general Teams window. PowerPoint Live is unavailable to anonymous presenters and in some Teams live-event, CVI, and VTC contexts. If the option is still missing, use Share > Window and select PowerPoint. You can also update Teams, try the web version, or ask the meeting organizer whether organizational policies restrict live sharing.

Attendees see a blank or frozen presentation
- Wait for the presentation to finish loading before changing slides.
- Stop sharing and start PowerPoint Live again.
- Check your network connection and close bandwidth-heavy applications.
- For a media or animation problem, switch to sharing the PowerPoint window.
- If the audience sees an old version, stop sharing and select Present the latest version or select the current file again.
The Cameo box is blank
In PowerPoint, inserting Cameo creates the placeholder first; it does not automatically mean that the live camera feed is active. Select the Preview camera icon. If it remains blank, check that another application is not using the camera and that Windows, macOS, or the browser has camera permission.
The wrong camera is being used
On desktop PowerPoint, select the arrow below Preview on the Camera Format tab and choose the correct device. In PowerPoint for the web, use More in the slide-show toolbar and select the camera.
The browser blocks the camera
PowerPoint for the web requires browser camera permission the first time Cameo is opened. Select Allow when prompted. If the prompt was previously blocked, open the browser’s site permissions for PowerPoint, allow camera access, reload the presentation, and try again.
People in the shared document cannot see the presenter’s video
This is expected behavior for a shared document: Microsoft states that only the person presenting sees their own video feed. If attendees need to see you, use the Teams meeting camera as well as the slide presentation, or use a meeting layout that displays the presenter.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →There is no sound from a video

The presentation opens but does not show the intended slide
PowerPoint Live may open at the first slide or the last saved location. Select the required slide thumbnail before continuing. If you are sharing the PowerPoint window, start with Slide Show > From Current Slide when you need to begin at a specific point.
Attendees are on different slides
Attendees may have independent navigation enabled. Ask them to select Sync to Presenter, or disable independent navigation from the presenter controls if everyone must follow the same slide.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Recommended meeting workflow
- Join the meeting five to ten minutes early.
- Open the deck and confirm the correct version and supported file type.
- Select Share > PowerPoint Live.
- Check the first slide, notes, camera, accessibility, and any embedded media.
- Ask a colleague to confirm that the slide and audio are visible.
- Present using PowerPoint Live unless a specific feature requires window sharing.
- When finished, select Stop presenting before discussing private material.
If you present through PowerPoint Live in a Teams meeting, Teams detects Cameo and switches to Cameo mode. Teams camera settings, including supported background effects and filters, are inherited by Cameo during that PowerPoint Live session.

Which PowerPoint file types work in PowerPoint Live?
Microsoft lists .pptx and .ppsx as supported, with a maximum file size of 2 GB. .ppt, .pps, .odp, and .pot are unsupported.
Should I use PowerPoint Live or share my screen?
Use PowerPoint Live for ordinary slide decks because it provides presentation controls, notes, accessibility features, and avoids exposing your desktop. Share the PowerPoint window when a particular animation, video, add-in, or desktop-app feature does not work correctly in PowerPoint Live.
Can attendees see my speaker notes in Teams?
PowerPoint Live is designed to give the presenter separate controls and notes. Attendees normally see the slides rather than your presenter notes, but check the selected Teams layout before presenting confidential notes.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesCan attendees move through the slides themselves?
They may be able to navigate independently when that feature is enabled. They can select Sync to Presenter to return to your current slide, and you can disable independent navigation when everyone must stay together.
What happens to a PowerPoint file I browse for during a meeting?
A newly browsed file is uploaded during the meeting. In a channel meeting it is placed in the channel’s Files tab; in a private meeting it is uploaded to the presenter’s OneDrive for meeting participants. A file selected from the recent list does not change its outside-meeting permissions.
Why can’t I find Cameo in PowerPoint?
Microsoft currently documents Cameo for Microsoft 365 desktop editions, PowerPoint 2024, PowerPoint 2024 for Mac, and PowerPoint for the web. It is not listed on the current support page for PowerPoint 2021, 2019, 2016, iPhone, or iPad.
Can one PowerPoint slide contain two Cameo camera feeds?
No. Microsoft’s current documentation states that a slide can use one video feed. Use the Teams camera separately if you need another person visible in the meeting.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Do recordings include PowerPoint Live videos and animations?
No. Microsoft says PowerPoint Live recordings do not capture videos, animations, or annotations from the session. If those elements are essential, explain this limitation or use another recording approach.
Do all collaborators see my Cameo video in a shared presentation?
No. Microsoft states that, in a shared document, only the person presenting sees their own video feed.
The Bottom Line
For most meetings, select Share > PowerPoint Live, choose a supported deck, test any audio or video, and use Stop presenting when finished. Share the PowerPoint window instead when exact desktop-app behavior or slide control matters. If you use Cameo, activate its Preview feed, confirm camera permissions, and remember that Microsoft documents one video feed per slide and does not include PowerPoint Live videos or animations in recordings.
