To prepare for ISO certification, first identify the exact standard and edition, define what your certificate should cover, and choose an independent certification body whose accredited scope fits your organization. Then make sure the management system is operating in practice and prepare the people, records, and process information the auditors will need. ISO does not certify organizations; an external certification body assesses the system.

This guide uses management-system certification to ISO 9001 as its example. “ISO submission” is not one universal process: product, service, process, personnel, and other certification schemes can have different requirements. Confirm the applicable scheme and steps with the relevant certification body.

What does “ISO submission” mean?

ISO develops standards but does not certify companies or products. Certification is an independent body’s written assurance that a product, service, or system meets specified requirements; accreditation is a separate recognition of a certification body’s competence. For management-system certification, the certification body—not ISO—audits the organization and makes the certification decision. ISO’s certification guidance explains these roles.

For a quality management system, the relevant standard is ISO 9001. A certificate demonstrates conformity of the management system within its stated scope; it does not mean ISO approved the organization or that every product it sells has been certified. Use the full standard reference and edition when describing a certificate.

Which ISO 9001 edition should you apply for?

ISO 9001:2026 was published on 16 September 2026, replacing ISO 9001:2015. ISO/TC 176 describes the update as including clearer wording, stronger focus on leadership, quality culture and accountability, clearer treatment of risks and opportunities, a new Annex A clarifying terms and requirement intent, and closer alignment with other ISO management-system standards. See the ISO 9001 standard page and the ISO/TC 176 release notice.

The transition schedule below is from ISO/TC 176’s notice, published 23 September 2026. If you are applying now, tell the certification body which edition you intend to use and confirm that it is ready and accredited for that edition and your scope.

Date Transition milestone
31 March 2027 Accreditation bodies should be ready to assess the 2026 edition.
30 June 2027 Accredited certification bodies must submit their transition declaration and supporting information.
30 September 2027 Accreditation-body transition decisions are to be completed.
31 March 2028 New and initial accredited certifications may only be issued to ISO 9001:2026.
30 September 2029 Organizations certified to ISO 9001:2015 must complete transition.

Existing certified organizations may transition during surveillance or recertification, or through a separate transition audit. Confirm your dates, audit plan, and required evidence with your certification body; the schedule should not be treated as a substitute for your organization’s specific transition arrangement.

Is ISO 9001 certification necessary?

ISO 9001 certification is optional. An organization can implement the standard without seeking a certificate; certification may be useful or necessary where a customer, contract, procurement process, regulator, or business objective calls for independent assurance. ISO’s guide, ISO 9001:2015 — How to use it, advises organizations to evaluate whether certification makes sense for them. Because that guide predates the 2026 edition, use it for the general decision, not as a current-edition checklist.

How to prepare your organization

1. Identify the standard, edition, and purpose

Replace a vague goal such as “get ISO certified” with the exact standard and edition you need. Confirm the requirement with the customer, contract, procurement program, or other party that prompted the project. If no external party requires certification, decide whether implementing the standard without third-party certification meets your objective.

2. Define the proposed certification scope

Before requesting proposals, document the legal entity or entities, locations, activities, products or services, and processes you want included. The scope affects which expertise a certification body needs, how it plans the audit, and what the certificate will represent. Ask the candidate body to validate the proposed scope before you commit; application forms and scheme-specific scope rules vary.

3. Compare certification bodies

ISO recommends evaluating several certification bodies and checking whether they use the relevant CASCO standard. Accreditation is not the same as certification: confirm with the relevant accreditation body or its official directory that each candidate’s accreditation covers the standard, sector, activities, and locations you need. ISO’s page on ISO/IEC 17021-1:2015 describes requirements for competence, consistency, and impartiality of management-system certification bodies.

Request written proposals that you can compare on the following points. These are practical procurement criteria, not a single checklist mandated by ISO.

  • Accreditation status and scope for the intended standard, edition, and activities.
  • Sector and scheme expertise, including coverage for all proposed sites.
  • Audit-team availability, working language, and geographic coverage.
  • Application information, proposed audit plan, and how findings and certification decisions are handled.
  • Fees, contract terms, and any conditions that affect the proposed schedule.

Record why you selected the body and clarify its accreditation and audit arrangements in writing. Consultants may help implement a management system, while the certification body performs the independent assessment. Check applicable impartiality requirements rather than assuming one provider can perform both roles for the same organization.

4. Make the management system work before the audit

Read the applicable edition and build evidence around how your organization actually operates, rather than producing paperwork solely for an auditor. Be ready to show that processes are defined and used, responsibilities are understood, records can be retrieved, performance is monitored, internal audits and management review are carried out where required, and identified problems are addressed.

There is no universal document package established by the title or the certification process alone. The standard, organizational context, and applicable scheme determine what documented information is needed. Use templates only as aids, ask the selected certification body for its application and audit-preparation requirements, and retain control of your own system and evidence.

What happens in Stage 1 and Stage 2?

The ISO/IAF Auditing Practices Group’s Guidance on Two Stage Initial Certification Audit describes Stage 1 as a way for the audit team to understand the organization and its quality management system, evaluate readiness, and scope and plan Stage 2. It is guidance, not a replacement for the standard or the certification body’s rules.

Prepare for Stage 1

Stage 1 may cover the QMS, policies, objectives, risks, processes, and locations. Make the following information accessible and ask the certification body how it wants to receive it and whether the review will be remote or on site.

  • The proposed scope, locations, and a clear map or explanation of key processes.
  • Current system information and relevant records.
  • Your quality objectives, organizational context, risks, processes, and significant changes.
  • Key contacts and process owners who can explain how the system operates.
  • Known gaps, with planned actions and accountable owners.

Prepare for Stage 2

Stage 2 examines sampled evidence and whether the system is implemented against the requirements. Arrange access to relevant process owners, sites, and records, and ensure staff can explain how work is performed. The certification body evaluates audit findings under its process and makes the certification decision; timing and evidence needed to resolve findings depend on the body and the finding.

How should you respond to audit findings?

If the audit identifies nonconformities, follow the certification body’s reporting and corrective-action process. Address the issue and its cause, implement the action, and retain evidence supporting your response. The auditor or certification body determines whether its closure requirements have been met; do not assume a fixed resolution period without confirming the body’s process.

After certification, the organization is subject to ongoing surveillance and eventual recertification under its certification arrangement. Confirm the schedule and conditions with the selected body, and maintain the system rather than treating the initial audit as a one-time paperwork exercise.
