The best way to prepare for a startup conference is to choose one measurable outcome, then build a two-day plan around the sessions, people and meetings that support it. Reserve open time for travel, meals and unexpected conversations; arrange a small number of targeted meetings through the organizer’s app; capture context and next actions immediately; and follow up while the conversations are still fresh.
This approach matters because startup conferences are dense, mixed-format events. Bits & Pretzels describes its event as “Two days filled with networking, masterclasses and a highly curated speaker line-up, providing you the resources for growth.” Its 2026/2027 conference site lists 7,500 attendees, a curated 2:1 founder-investor ratio and 21,000 real founder-investor meetings. Those numbers make random wandering and an overbooked calendar poor strategies.
Start with one outcome, not a list of activities
Write one sentence that defines what would make the conference worthwhile. Examples include:
- “Leave with three qualified customer-discovery conversations.”
- “Understand how seed investors in my sector evaluate this market.”
- “Meet five investors whose thesis matches our stage and geography.”
- “Find two potential design or distribution partners for a launch this quarter.”
- “Return with a clearer view of the regulatory or technical risks affecting our roadmap.”
Use that sentence to decide which invitations, sessions and introductions deserve your limited attention. A conference can offer keynotes, masterclasses, exhibitions, matchmaking, speed-dating, roundtables, dinners and workshops. You cannot do all of them well in two days. Your primary outcome is the filter.

- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Turn the outcome into a target you can count
Choose a result that can be verified after the event. “Network more” is too vague; “three customer calls booked for the next two weeks” is useful. “Meet investors” becomes stronger as “five conversations with investors who have relevant stage, sector and check-size fit.” A learning goal can be measured by a written decision, such as changing a pricing assumption, adding a risk to the roadmap or rejecting a market.
Set a secondary goal only after the primary one is clear. If the main objective is customer discovery, investor conversations are useful only when they do not displace qualified customer meetings or the sessions that inform your questions.
Read the official agenda and access rules
Download or bookmark the organizer’s current agenda before requesting meetings. Mark every item as an anchor, optional session or open block. Check the venue map and the walking time between rooms, registration hours, ticket access, RSVP requirements and any founder-, investor- or sponsor-only areas.
Recommended Free Tools
Access can differ by attendee type. Venture Atlanta’s published guidance says some sessions require an RSVP and that access varies by participant category. Its 2026 schedule page showed 63 schedule results, illustrating how quickly a two-day program can become unmanageable without triage.
Build three agenda lists
- Must attend: sessions or meetings directly connected to your primary outcome, including any event with limited access or a required RSVP.
- Worth attending if nearby: useful content that can replace an anchor only if the original item changes or fills up.
- Skip unless circumstances change: interesting topics with no clear connection to your target.
Save the room name, floor and start time for each anchor. If the organizer publishes a mobile schedule, add sessions to its personal agenda and enable schedule-change notifications. Do not assume that a calendar listing guarantees entry; confirm ticket tier, RSVP and capacity rules.
Use the event app before the doors open
Complete your attendee profile as soon as the platform becomes available. Include your role, company stage, sector, geography, the problem you solve and the kind of conversation you want. A specific profile is easier for the right people to recognize than a generic founder description.
Venture Atlanta says its event app opens two weeks before the conference and supports 1:1 meeting setup, with designated meeting areas at the venue. Bits & Pretzels says its platform provides attendee access, direct messaging and meeting scheduling. The exact labels and opening dates vary by organizer, so use the current event instructions rather than assuming another conference follows the same process.

Search for a short list, then request selectively
- Search by role, sector, stage, geography and stated interests.
- Review the person’s company and the reason the match supports your primary outcome.
- Send a short request that explains the relevance and proposes a focused topic.
- Offer a small number of time windows instead of asking for an open-ended meeting.
- Confirm the location inside the venue and the expected length.
Do not send dozens of generic requests. High-volume outreach creates a calendar full of weak matches and makes it harder to prepare for the conversations that matter. A practical starting point is to request only the meetings you can prepare for individually, then leave room for introductions that happen on site. There is no universal ideal meeting count; the right number depends on travel, venue size, session density and your ability to recover between conversations.
Prepare a conversation opener and a discovery plan
Prepare a 20- to 30-second explanation of your startup, but do not treat the first exchange as a full pitch. Lead with a specific observation or question about the other person’s role, market or current priority.
Useful openers include:
- “I noticed your team works with regulated healthcare buyers. How are procurement timelines affecting new pilots this year?”
- “You invest at the seed stage in developer tools. What evidence tells you a team has found a repeatable acquisition channel?”
- “We are testing a workflow for finance teams. Which part of implementation usually creates the most resistance for your customers?”
Prepare three questions for each high-priority meeting. Ask about the person’s goals, constraints and decision process before presenting your product. If the conversation reveals no fit, end courteously rather than forcing a pitch.
Define the next step before you sit down
For every meeting, write down one thing you want to learn and one action that would justify a follow-up. The action might be a customer interview, a product demonstration, an investor-data request, an introduction to a colleague or a date to revisit the discussion. Close by confirming the action, the owner and an approximate timing.
Pack for access, power and continuity
Keep the essentials in a small bag that remains with you:
- Ticket, QR code and identification if the organizer requires it.
- Phone with the event app installed and notifications enabled.
- Charging cable and, if useful, a portable USB-C power bank. The phone may manage meeting bookings, messaging and schedule changes.
- Pocket notebook or notes app for immediate context capture.
- A concise deck, demo link or one-page summary, but only if the organizer permits sharing and the material supports a real conversation.
- Comfortable shoes and a layer suitable for rooms with different temperatures.
Test your demo on the device you will carry and keep a low-bandwidth version available. Do not depend on a hallway having reliable Wi-Fi, a free power outlet or enough time for a complete product tour.
Design the two days as anchors, buffers and discovery
A robust conference plan has three layers:
- Anchors: two or three sessions or meetings directly tied to your primary outcome each day.
- Buffers: travel between rooms, meals, queues, note capture and recovery time.
- Discovery: open periods for useful conversations, booths, introductions and carefully chosen side events.
Venture Atlanta’s published schedule combines talks, meals, networking and meetings across multiple locations. Bits & Pretzels combines matchmaking, speed-dating, roundtables, exhibitions and side events. These formats create value outside a stage session, but only if your plan leaves room to participate.

Day one: orient, validate and adjust
- Arrive early enough to complete registration, test the app and locate the rooms used by your first anchors.
- Attend the sessions most closely connected to your outcome, recording one practical implication rather than transcribing every slide.
- Use the first open block to test your opener and questions with a lower-stakes conversation.
- Keep scheduled 1:1 meetings focused on learning and fit. Capture the next action immediately afterward.
- Review your notes before the evening program. Drop or replace meetings that no longer support the outcome.
Day two: deepen the best relationships
- Revisit the strongest conversations from day one and prepare a specific follow-up question for each.
- Use the most relevant track or roundtable to fill an identified knowledge gap rather than chasing every headline session.
- Cluster meetings by venue area when possible, but keep walking and recovery buffers.
- Spend discovery time with people who match your target audience, even if they were not in your original meeting list.
- Before leaving, confirm next steps with the highest-value contacts and note any promised introduction or resource.
The exact sequence will change with the organizer’s agenda. The principle is stable: protect capacity for conversations that cannot be scheduled in advance.
Choose side events by fit and timing
Side events can provide more relaxed relationship-building than a crowded exhibition floor. Examples include founder runs, breakfasts, power lunches, dinners, mixers and workshops. Select them for audience fit, not novelty.
Converve’s organizer guidance recommends placing approved side events outside core 1:1 meeting blocks. Apply the same rule to informal invitations: do not accept a dinner, breakfast or workshop that forces you to abandon a confirmed meeting unless the side event has a clearly higher value for your primary outcome.
Use a side-event decision test
- Who will be there? Are the likely participants customers, investors, partners or peers relevant to your goal?
- What can happen there? Is the format conducive to the type of conversation you need?
- Does it collide? Check travel time and booked 1:1 meetings, not just the published start and end.
- Can you leave gracefully? A short appearance may be better than an all-night commitment if the next morning contains important meetings.
Run better meetings in limited time
Before each meeting
- Read the person’s profile and company information.
- Write one learning objective and one plausible next step.
- Bring one relevant proof point, customer example or product screen.
- Know where the designated meeting area is and arrive with enough time to find it.
During the conversation
- Confirm the available time and ask permission to focus on one topic.
- Ask discovery questions before presenting your solution.
- Reflect back what you heard to check your understanding.
- Share only the evidence relevant to the person’s problem or investment criteria.
- Agree on the action, owner and approximate timing before closing.
After the conversation
Move a few steps away and record the person’s name, role, what they cared about, your promise and the next trigger or date. A stack of business cards without context is not a relationship system. In an event with thousands of attendees and large meeting volumes, these details are what make a later message personal.
Capture notes that remain useful after the event
Use the same compact structure for every meaningful conversation:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Context: where and when you met.
- Person: name, role, company and relevant expertise.
- Need or thesis: the problem they described, the market they watch or the investment criteria they mentioned.
- Your commitment: the resource, introduction or answer you promised.
- Next action: owner, action and approximate timing.
- Fit rating: follow up now, nurture later or no action.
Record exact language when it clarifies the person’s concern. Avoid writing a long transcript; the goal is enough context to restart a useful conversation.
Follow up within a few days, with a reason to reply
There is no universal statistic proving that a particular follow-up deadline produces a specific conversion rate, and no universal 48-hour rule. A practical standard is to sort contacts within a few days, while names and context are still fresh.

Follow up now
Send a short message when there is a clear next step, a customer-discovery opportunity, an investor fit or a promised introduction. Refer to the actual discussion, attach or link the agreed resource, and propose a concrete action.
Nurture later
For a promising but not urgent contact, record a trigger such as a product launch, funding milestone, hiring need or industry event. Add the trigger to your CRM or task list rather than relying on memory.

Do not force a sequence for a contact with no fit or no agreed reason to continue. Keeping a clean record protects time and makes future outreach more relevant.
A useful follow-up structure
- Thank the person and identify where you met.
- Reference one specific point from the conversation.
- Deliver the promised resource or introduction.
- Suggest one clear next step and a reasonable time window.
Update your CRM while the notes are fresh. Measure the conference against the original outcome: qualified customer conversations, investor follow-ups, partnerships, learning captured or a decision changed.

Attendance should be judged by fit and infrastructure, not headline speaker count alone. Use these comparison axes when choosing among events:
- Audience fit: founders, investors, customers, corporate buyers or a mixed audience.
- Meeting infrastructure: attendee directory, messaging, matchmaking, 1:1 booking and designated meeting areas.
- Agenda density: parallel tracks versus protected networking time.
- Access rules: RSVP requirements, ticket tiers, invite-only sessions and attendee categories.
- Side-event quality: relevance, curation and whether times avoid core meeting blocks.
- Travel friction: venue location, hotel availability and early or late programming.
