Choose a chart by deciding what you want someone to notice first: a category comparison, a change over time, a share of a whole, a distribution, or a relationship between two measures. Then check that your spreadsheet’s data is laid out for that chart. This approach works in Excel and Google Sheets, though menus and features vary by version and platform.
Start with the question, not the chart menu
Ask what relationship the chart should make easiest to see. The UK Office for National Statistics recommends choosing the chart type that best illustrates the most important relationship you want to convey. Its guidance lists relationships including time, ranking, magnitude, distribution, geography, correlation, deviation, and parts of a whole. A chart that tries to show several relationships at once can be harder to understand.
For a small spreadsheet, keep the chart focused on one main question. If you need readers to retrieve exact values from just a few rows, a small table may communicate them more clearly than a chart; there is no universal row-count cutoff for that choice.

Match the chart to the data and message
Compare categories: bar or column chart
Use a bar or column chart to compare values for distinct categories, such as monthly sales by product or votes by option. A horizontal bar chart can make long category names easier to read. Microsoft describes bar charts as comparisons among individual items, and Google Sheets describes them as showing differences among data points across categories.

Show a trend over time: line chart
Use a line chart when observations are ordered over time and the intervals between them are meaningful—for example, monthly values across a year. Microsoft’s Excel guidance recommends line charts for continuous data shown over evenly scaled intervals, such as months, quarters, or fiscal years. If your entries are unordered categories rather than a sequence, a line can suggest a continuity that is not present.
Show a share of a whole: pie chart
Use a pie chart only when the values are parts of the same whole and the point is a simple composition. Excel’s detailed guidance recommends one data series, nonnegative values, almost no zero values, and no more than seven categories. Microsoft’s accessibility guidance describes pie or doughnut charts as appropriate when the total equals 100%. If the values do not represent a meaningful whole, compare them with bars instead.

Show the relationship between two numeric measures: scatter chart
Use a scatter chart when each observation has a paired numeric X value and Y value—for example, study hours and test scores. The plotted points can reveal patterns, clusters, or association. An apparent association alone does not establish that one measure caused the other.

Show a distribution: histogram
Use a histogram to show how numeric observations fall into ranges, or buckets. It answers a different question from a category bar chart: instead of comparing named groups, it shows where values cluster across a numeric scale.

Distinguish amounts over a period from levels at a point in time
A flow measures activity over a period; a stock is a level at a particular point in time. The Office for National Statistics uses a monthly budget deficit as an example of a flow and total public debt as an example of a stock. It notes that stock data is typically better suited to a line or area chart. Make the time basis clear in labels so readers do not confuse a period total with a point-in-time level.
Check the spreadsheet range and layout
Before making a chart, select only the labels and values that belong in it. Exclude totals or unrelated cells that could distort the display. The exact range shape matters because chart types expect different arrangements.

- Bar, column, line, area, and radar charts: Excel can use data arranged in rows or columns.
- Pie chart: Excel expects one series of values plus category labels.
- XY scatter chart: Excel expects X values in one column and corresponding Y values in the next. Google Sheets similarly uses the first column for X values and subsequent columns for Y-value series.
If Excel offers a Recommended Chart, treat it as a starting point, not a decision-maker. Microsoft says recommended charts can be customized to the selected data; you still need to check whether the suggested chart answers the question you intend to communicate.

A chart that fits the data can still be difficult to interpret if its labels or distinctions are unclear. Before sharing it, check the following:

- Title: Say what is being measured and, where relevant, the period covered.
- Labels: Name categories and axes clearly; include units where they matter.
- Legend: Keep it when readers need it to distinguish multiple series. Remove it if there is only one series and it adds no information.
- Focus: Avoid extra series or decoration unless they answer a real question. Combining multiple relationships can make a chart less clear.
- Precision: If readers need exact values, keep values available in the sheet or use a table rather than relying only on visual estimation.
- Accessibility: Do not rely on color alone to convey meaning. Excel documents keyboard workflows for creating and selecting charts, including reaching Recommended Charts and choosing chart types; clear titles and labels also help readers understand the display.
When two chart types seem plausible
Use these checks to settle the choice:
- Question fit: Is the goal to compare, show a trend, explain composition, display a distribution, or reveal a relationship?
- Data structure: Are the values categories, ordered time periods, parts of one whole, or paired numeric measurements?
- Small-scale readability: Will the labels, values, and series remain legible in the spreadsheet or exported image?
- Precision: Does the reader need exact comparisons, or is the overall pattern enough?
- Accessibility: Can the meaning be understood from the title, labels, and series distinctions without depending only on color?
The first two checks reflect chart-selection guidance from the Office for National Statistics, Microsoft, and Google. The remaining checks are practical considerations for making a compact chart useful to its readers.
