Make two photographs of the poster: a wider frame that shows where it is posted and a closer frame that makes its text readable. Then record the date, location, creator if known, and relevant context in a separate caption or catalog record linked to the image. This preserves both the poster’s details and the information a photograph alone may not retain.
Check the location’s photography rules
A poster being visible in public does not mean every property has the same photography policy. Check posted signs and the rules for the specific place before taking pictures. For example, the National Archives Museum encourages non-flash photography for personal use in public areas unless posted otherwise, while prohibiting flash, supplemental lighting, selfie sticks, and monopods under its facility policy. That is a site-specific example, not a universal rule. Check the National Archives Museum’s visitor information and confirm the policy where you are.
Take a context frame and a detail frame
Start with the surroundings
Photograph the poster in relation to its setting: the wall, noticeboard, storefront, street, or nearby landmark that helps explain where it appeared. Include enough surrounding detail to establish that relationship, but avoid including identifying details of passersby when they are not needed.

Take a second photograph that clearly records the poster’s wording, imagery, dates, sponsor, and other visible details. A wide context view may not preserve small text. Check the closer image before leaving so you can retake it if the wording is blurred, blocked, or too small to read.

These two views serve different purposes: the context image helps establish place, while the detail image preserves the poster’s content. There is no single camera setting or framing sequence required by the archival guidance; use whatever approach produces clear, useful records.
Write a caption while the details are fresh
Link a caption or note to each image using a stable item ID or filename. Record what you know, and mark uncertain details as unknown rather than filling them in by guesswork. Library and Archives Canada recommends describing who created a record, when it was created, and why or for what program, as well as relevant locations, subjects, and copyright information. Its guidance cautions: “Remember that undescribed documentary art records may, over time, lose the context of their purpose, creation and use.” See Library and Archives Canada’s documentary art description guidance.

Item ID — Poster wording/title or short description. Creator/organization: [known name or unknown]. Photographed: [date and time, if useful]. Location: [specific location or a less precise public location]. Context: [surface/site and nearby landmarks or event]. Purpose/event: [known purpose or unknown]. Source/rights notes: [known information or not established].Keep the image and its description together in a catalog, index, caption sheet, or linked record. The Canadian Heritage Information Network explains that metadata gives digital images “meaning, context and organization,” and supports access to image content and technical information. Read its guidance on digital images and metadata.

For future identification, an exact location can be useful in your private working record. Before publishing, consider whether the public caption needs that same precision. A less specific location or delayed publication may be appropriate when the wider image or a set of images could expose a person or sensitive activity.

Removing GPS metadata does not necessarily conceal where an image was made. A 2019 research preprint describes how locations can be inferred from visual content across collections of photographs, even without geotags. This is a privacy consideration, not evidence that every poster photograph identifies a person. Read the 2019 preprint on location inference from photographs.
Preserve the original and keep notes separate
Retain an unaltered original image. If you crop, blur, or redact a copy for sharing, save it as a separate derivative and label it clearly so it is not mistaken for the original. This is a practical recordkeeping recommendation for maintaining a faithful source image.

Do not write on a fragile poster or attach a sticky note to it to preserve context. Record the information separately. U.S. National Archives guidance says not to write directly on archival records without an archivist’s concurrence and warns that pressure-sensitive adhesives can damage paper. A well-framed image and contemporaneous caption can document what a poster showed, where it appeared, and when you photographed it. They do not by themselves settle whether photography or publication is permitted at a particular location, who owns the poster’s copyright, or whether publishing its contents is appropriate. Those questions depend on the property, jurisdiction, rights holder, and intended use; check the applicable rules and seek permission or rights guidance where needed.
