Use a small, consistent set of keywords for details you may search across many albums—such as people, places, projects, subjects and status—and use albums for collections you browse or share. On an iPhone, Apple Photos lets you add and manage keywords manually. Google Photos relies more on automatic recognition and natural-language search, so a hybrid of deliberate labels, search and albums is usually easiest to maintain.
Decide what belongs in a keyword
A keyword is a short retrieval label, not a description of everything visible in a picture. Add terms that answer how you will look for the image later:
- Event or project:
2026-family-reunion,kitchen-renovation - Place:
Lisbon,backyard - People:
Maya,grandparents - Subject:
receipt, garden, whiteboard - Status or intended use:
to-print,portfolio,favorite-candidate
Keep the vocabulary short. A photo can have several keywords when it belongs to more than one retrieval path—for example, Lisbon, 2026-family-reunion and grandparents. Pick one spelling and one singular/plural style, and keep it consistent. Lowercase words joined with hyphens are easy to type when you expect many labels, although names and places may be easier to recognize with normal capitalization.

Add and search keywords in Apple Photos on iPhone
Apple describes keywords as tags or labels added to photos and videos so they can be found later. The controls are built into the Photos app.

- Tap Add Keywords, enter one or more terms, then tap Done.
- Close the Info view.
- To retrieve the item, tap Search, enter a keyword and choose the suggested keyword result. Apple also allows multiple keywords to be typed with spaces between them.
Clean up the keyword list
From Collections, tap your profile icon and choose Manage Keywords. You can favorite, rename or delete terms there. Renaming is useful when two labels mean the same thing, such as NYC and New-York; choose one and apply it consistently. Delete temporary labels after a printing, filing or submission task is finished.
Test labels before tagging a whole library
Apply two or three keywords to a few representative photos, search each term immediately and check the results. Replace labels that are too broad, easy to mistype or unlikely to be remembered. This small test prevents a large library from being built around a vocabulary that does not work in practice.

Organize with Google Photos search
Google Photos on iPhone can search across people, things, places, albums and documents, often without a manually entered keyword for every image. Tap Search (or Ask, when available), type a query or select a face label, and review the suggested results.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Concrete searches such as Barcelona 2025, dog beach and receipts are more useful than vague descriptions. Google Photos also documents quotation marks for exact text matches in filenames, camera models, captions or text detected inside photos. Add names to people or pets when the app prompts you, and check that location information is enabled when place-based retrieval matters.

What Ask Photos changes
Ask Photos supports more descriptive questions, such as asking for pictures that would make a good phone background. It is an experimental feature that requires opting into Gemini features, and Google says availability varies by region, domain and account type. Results can be unexpected or inaccurate, so confirm that the returned images are actually the ones you need before sharing, editing or deleting anything.
Keywords, captions and albums: which should you use?
| Tool | Best use | Strength | Limitation |
|---|---|---|---|
| Manual keywords | Facts that cut across many collections | Explicit control over names, projects, places and status | Requires consistent maintenance |
| Automatic search | Broad visual discovery | Can find people, things, places, documents and text without tagging each photo | Recognition and advanced features vary; results may need checking |
| Captions | Longer context or a memorable phrase | Useful when a keyword is too short to explain the image | Exact search and export behavior depends on the app |
| Albums | A project, trip or set you will browse or share | Provides a visible collection and easy sharing | One image can be in several albums, but albums are less convenient for cross-cutting facts |
Use an album for “kitchen renovation” when you want the whole project together; use a keyword such as to-print when that status applies to selected photos across different events. Captions can preserve extra context, such as who took a document photo or what a receipt covers.

A practical hybrid workflow
- Choose a vocabulary. Start with a few people, places, projects, subjects and workflow statuses you genuinely expect to search.
- Tag high-value photos first. Begin with current projects, important documents, family milestones and images you regularly reuse.
- Use multiple labels where retrieval paths differ. A single image may need a person, place and project keyword.
- Let automatic recognition handle broad categories. In Google Photos, search for visual concepts, faces, places and documents instead of manually labeling every obvious object.
- Build albums for browsing and sharing. Keep project, trip and presentation sets separate from your keyword vocabulary.
- Record critical labels in portable metadata when possible. Captions or filenames can help preserve meaning across exports, but verify how your chosen app carries that metadata before depending on it.
Monthly maintenance and safe cleanup
- Search for near-duplicates such as
NYCversusNew York, or singular versus plural labels. - Rename or remove inconsistent keywords rather than adding another synonym.
- Delete temporary workflow terms after the task is complete.
- When importing older photos, process one event or year at a time instead of attempting the entire library at once.
- Keep originals backed up before large-scale edits.
- Confirm that a search returns the intended photos before deleting, moving or exporting anything.
Privacy, availability and portability checks
Manual Apple Photos keywords give you direct control over the labels you create. Google Photos adds automatic discovery, but some search and Ask Photos capabilities depend on region, account type, domain and enabled settings. If a location, face or document does not appear in results, check the relevant permissions and metadata rather than assuming the photo is missing.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteBefore migrating libraries, test an export containing a few keyworded photos and inspect the resulting filenames, captions and metadata. Applications do not necessarily preserve every custom label in the same way, so a vocabulary that matters for long-term access should also be represented in a field you have verified will travel with the file.

- Note: This is only compatible with Apple devices that have a USB‑C port (including iPhone 15 and later, as well as all iPads with USB‑C). Using a Lightning to USB‑C adapter will not resolve the compatibility issue.
Common mistakes to avoid
- Tagging every visible object: exhaustive labels take time and create noise. Tag what you will retrieve.
- Inventing synonyms: inconsistent terms split your search results.
- Using albums as the only system: an album for every small status or subject becomes difficult to browse.
- Trusting automatic results blindly: review face, text and natural-language matches before taking action.
- Editing without a backup: preserve originals before bulk renaming or deletion.
