Stacks is macOS’s built-in Finder desktop view for reducing icon clutter without moving your files into new folders. It groups desktop items in place, and you can open a stack to reach the original files at any time. Click an empty area of the desktop, open Finder’s View menu, and turn on Use Stacks when you are ready to group the icons.
Stacks is a presentation feature, not a filing system. It does not decide where project files should live, replace folders, or synchronize your desktop to another Mac. Use it to keep the desktop readable while you use folders, Finder tags, or Smart Folders for longer-term organization.
What Mac Stacks actually does
When Stacks is enabled, macOS gathers desktop items into visual piles according to one grouping rule. The files stay on the desktop in their existing location; the change is how Finder presents them. New files that arrive on the desktop are automatically added to the appropriate stack under the selected rule.
For example, a desktop holding screenshots, PDFs, images, and presentation files can be shown as separate groups by kind. Change the rule to a date-based view and the same files are regrouped by timing instead. Choose Finder tags when your files already carry meaningful labels such as a client, project, or status.

Because Stacks changes the view rather than the storage location, it is safe to turn on and off while deciding on a better filing system. A stack is not a folder you can rename, move, or share. If a group needs to remain together as a project, create a real folder and place the selected files inside it.
Turn on Stacks on the desktop
- Click an empty area of the desktop. This makes Finder the active app; the desktop’s own View menu is different from the View menu of an open document or another application.
- Choose View > Use Stacks. You can also Control-click an empty area of the desktop and choose Use Stacks from the contextual menu.
- For a keyboard-only activation, press Control-Command-0, the shortcut documented in Apple’s Stacks guide.
Your icons should immediately collapse into grouped stacks. If nothing changes, click the desktop again and repeat the command from Finder’s desktop menu rather than from another app.
Choose the grouping that fits your current task
Open View > Group Stacks By to change how the desktop is grouped. The useful choice depends on what you are trying to find, not on a permanent “best” setting.

| Kind | You work with several file formats at once. | Files are collected by type, such as images, PDFs, or presentations. This is practical when you want to open all files of one format without sorting by hand. |
| Date | Recency or timing matters more than format. | macOS uses date information, such as when an item was created or last opened. The exact date labels shown can vary with the macOS release. |
| Tags or Finder Tags | You already label files by project, client, or workflow stage. | Items with the same Finder tag appear together. Untagged files will not gain a project label automatically; they remain grouped according to the available tag information. |
To switch, open View > Group Stacks By and select the category you want. You can change this setting whenever the job changes: use Kind while processing downloads, Date during a time-sensitive review, and tags when your project labels are reliable.
Open, browse, and collapse a stack
Click a stack once to expand it and reveal the items inside. Double-click a file to open it in its associated application. When you have finished, click the stack’s down-arrow icon to collapse it again.
Trackpad users can browse a stack by swiping left or right across it with two fingers. On a Magic Mouse, swipe across the stack with one finger. These gestures let you preview the contents without permanently expanding every group.

Stacks are designed for quick access, not deep file management. If you need to rename many files, move them to a project folder, or inspect their complete paths, expand the stack and use normal Finder commands on the individual items.
Make stacked icons easier to scan
Stacks can remove clutter while still leaving too much information on a small display. Choose View > Show View Options on the desktop to adjust the presentation.
- Icon size: Increase it for quick visual recognition or reduce it to fit more stacks across the screen.
- Spacing: Adjust the distance between desktop items so groups do not feel crowded.
- Label placement: Change where file names appear relative to icons.
- Displayed detail: Show additional information, such as the number of files in a stack, when that helps you decide which group to open.
These settings affect the desktop view; they do not change a file’s name, contents, or location. If a setting seems to have no effect, confirm that you opened View Options while the desktop was active.
A practical Stacks workflow
1. Start with Kind for mixed downloads
After downloading installers, images, documents, and PDFs, enable Stacks and group by Kind. The desktop becomes a small set of format-based entry points. Open the relevant stack, move files that belong to a project into its folder, and delete items you no longer need. Stacks keeps the remaining temporary files from spreading across the screen while you process them.
2. Switch to Date for a short review period
If you are reviewing files received over several days, choose a date grouping. Date-based stacks make it easier to focus on recent arrivals or locate an older item by its timing. The available date descriptions depend on the macOS version and the metadata recorded for each file, so use the item’s Finder information when the exact date matters.
3. Use Finder Tags for an active project
Apply consistent Finder tags such as a project name or a status label, then choose the tag-based grouping. This works best when you tag files deliberately. A tag is metadata, not a folder: one file can carry a tag while remaining in its original location, and changing the stack view does not apply tags for you.

4. Collapse the desktop when the work session ends
Expand only the stack you need, open or move the files, and collapse it afterward. This keeps the desktop as a temporary work surface rather than a growing archive. Set a recurring cleanup point—such as the end of a project or the end of the week—to move long-term files into their proper folders.
When folders are better than Stacks
Use a folder when you want to intentionally collect selected files. Select the items on the desktop, Control-click the selection, and choose New Folder with Selection. macOS places the selected items into a real folder that you can rename, move, back up, and share. Apple notes that locked items cannot be grouped this way.
Folders are the right choice for a deliverable, a tax year, a client handoff, or any collection that should remain together after the desktop view changes. Stacks are the right choice when the files are still in transit and you need a cleaner way to reach them without deciding on permanent locations yet.
Keep manual control of icon positions
Stacks is one way to organize the desktop, but it is not the only one. If you prefer to place individual icons yourself, leave Sort By set to None. You can then position items manually. Use Clean Up By when you want Finder to arrange the current icons according to a chosen criterion without adopting a continuing sort rule.
Manual placement and Stacks serve different purposes. Manual placement preserves a spatial layout you create; Stacks prioritizes automatic grouping. Switching between them changes the presentation, so choose the method that matches whether recognition or automatic order is more important.
Use Finder tags and Smart Folders for organization beyond the desktop
Stacks can group by Finder tags, but it does not create a complete cross-location filing system. Finder tags remain useful when related files are stored in different folders or drives. Apply the same tag to those files and use Finder’s tag views to find them later.

For searches you perform repeatedly, create a Smart Folder in Finder. A Smart Folder saves search criteria and presents matching files together without moving the originals. This is useful for combinations such as a file type, a date range, or a tag. It complements Stacks: Stacks keeps the desktop readable, while a Smart Folder gives you a reusable view across locations.
Stacks and iCloud Desktop and Documents are separate features
You do not need iCloud to enable or use Stacks. Stacks works as a local desktop presentation feature.
If you want access to the same desktop items on another Mac, Apple documents iCloud Desktop and Documents as an optional solution. Enable the feature on both Macs while signed in to the same iCloud account. This concerns file access and synchronization; Stacks itself does not synchronize files between computers.
Before enabling Desktop and Documents, understand that files in those locations will be managed through iCloud according to your storage and account settings. Treat that decision separately from choosing how the local desktop is displayed.

A file is hard to find inside a stack
Expand the relevant stack and use the file’s name or icon to identify it. If the group is too dense, open View Options and adjust icon size, spacing, or displayed detail. For repeated searches across folders, use a Finder search or Smart Folder instead of relying on the desktop.
The desktop is tidy, but the project is still disorganized
That is a storage problem rather than a Stacks problem. Create a folder, use New Folder with Selection for the chosen items, and establish a consistent location for the project. Keep Stacks enabled if you still want automatic presentation for temporary desktop files.
Items will not go into a new folder
Check whether any selected item is locked. Apple’s desktop organization guidance states that locked items cannot be grouped with New Folder with Selection. Unlock or copy the item when appropriate, then try the folder command again.

Apple’s current Mac User Guide material includes macOS 26 and macOS 27 editions. The Stacks concept and core commands are consistent, but labels, menu placement, and the date choices displayed can vary slightly between releases. If a label differs from the wording here, look for the desktop commands Use Stacks, Group Stacks By, Show View Options, Sort By, and Clean Up By.
Use the instructions for the macOS version installed on your Mac rather than assuming that a screenshot or menu label from another release is identical. Apple’s current desktop guides are the best reference when an update changes the interface.
Decide which method to use
| Your goal | Best method | Reason |
|---|---|---|
| Reduce visual clutter while keeping files on the desktop | Stacks | Groups items in place and automatically adds new desktop files to the relevant group. |
| Keep selected files together permanently | Folder | Creates a real container that can be renamed, moved, backed up, and shared. |
| Find related files stored in different locations | Finder tags or a Smart Folder | Tags add metadata; Smart Folders save criteria without moving files. |
| Choose exact icon positions | Sort By: None | Preserves manual placement, with Clean Up By available for one-time arrangement. |
| Reach the same desktop items on another Mac | iCloud Desktop and Documents | Provides optional cross-Mac access when enabled on both Macs with the same account; it is independent of Stacks. |
A maintenance checklist that keeps Stacks useful
- Click the desktop and confirm the grouping rule whenever the stacks no longer match your task.
- Process temporary downloads instead of treating the desktop as permanent storage.
- Move completed work into named folders with a predictable location.
- Use Finder tags consistently if you rely on tag-based stacks.
- Use Smart Folders for recurring searches that span multiple folders.
- Adjust View Options if stack names, spacing, or item counts are difficult to read.
- Review locked files when New Folder with Selection fails.
- Keep iCloud Desktop and Documents decisions separate from the local Stacks setting.
Stacks is most effective when it handles the visual clutter and you handle the filing decisions. Turn it on for an automatic, reversible desktop view; use folders, tags, and Smart Folders when the files need durable organization.
