To access a work or home network drive from outside its network, first get the approved remote-access method and share address from the network owner or IT team. Connect using that method—often the organization’s VPN—then open the share with your authorized account. A VPN can make network resources reachable, but it does not provide the share path, grant file permissions, or ensure the server is turned on.
What you need before connecting
Ask the network administrator or share owner for the details below before trying to connect. Microsoft recommends using a VPN to reach company servers from home and advises checking with IT if you need help setting it up: Microsoft’s guidance on securing a computer at home.
- The approved remote-access method and, if needed, its client or setup instructions.
- The exact server or share address.
- The account, sign-in method, and any additional authentication required.
- Confirmation that your account has permission to use the share and that your device is allowed.
Do not guess the server address or assume that connecting to a VPN automatically grants access to every file share.

Connect to your organization’s approved VPN or other remote-access service before opening the share. Once connected, use the same share path and account you would use on the organization’s network. Whether the share opens still depends on network reachability, server availability, and your permissions.

Map the share in Windows
After connecting to the remote network, use File Explorer to map the path provided by IT. Microsoft’s Windows file-sharing instructions describe mapping a network drive; their LAN-focused sharing steps do not themselves establish remote connectivity: File sharing over a network in Windows.
- Open File Explorer and select This PC.
- Select Map network drive.
- Choose an available drive letter and enter the folder or computer path supplied by the administrator.
- Select Reconnect at sign-in only if it suits your device and your organization’s policy.
- Select Finish and authenticate if prompted.
A mapped drive is a convenient shortcut to a share; it does not create the VPN connection or make an otherwise unreachable server available.

Connect to the share from macOS
First connect to the approved remote-access service. Then use Finder with the server address provided by your administrator. Apple supports connecting to file servers, including SMB servers, by entering a network address: Connect your Mac to shared computers and servers.
- Open Finder and choose Go > Connect to Server.
- Enter the network address supplied by IT, then select Connect.
- Authenticate with the authorized account or select the shared volume when prompted.
Protect the share: do not expose SMB to the public internet
Do not forward SMB traffic from the internet to a home or workplace file server as a do-it-yourself remote-access fix. CISA recommends blocking TCP port 445 at the internet perimeter, and Microsoft recommends blocking inbound SMB access from the internet. See CISA’s #StopRansomware Guide and Microsoft’s guidance on securing SMB traffic in Windows Server. CISA also recommends using multifactor authentication on VPN connections.

SMB over QUIC is a TLS 1.3-protected transport option for eligible Windows deployments, but it must be supported and configured by the organization’s administrators. It is not a consumer workaround to set up by opening a port yourself.
When an organization uses something other than a VPN
A VPN commonly gives a remote endpoint access to the organization’s network. Depending on the organization’s architecture and policy, an application proxy, virtual desktop, or another intermediary may provide access to a narrower set of applications or servers. These are administrator-managed arrangements, not settings to improvise on a personal device. Microsoft describes privileged-access intermediaries; in a June 18, 2024 alert, CISA and partner organizations urged businesses to consider approaches such as Zero Trust, Secure Service Edge, and Secure Access Service Edge: CISA’s guidance on modern network-access security.

Choose a different option if you need internet file sharing
Remote access to an existing network share and sharing files over the internet are different needs. A cloud file-sharing service may be more appropriate when people need to share files without connecting to the original network, but it can change where files are stored and how access is managed. Microsoft points to OneDrive for file sharing in its Windows file-sharing guidance.
For an organization that needs a hosted file share, Azure Files is a separate architecture choice with its own connectivity and data-governance considerations. Microsoft documents networking considerations for Azure File Sync here. Ask the organization’s administrator which option meets its security and data-handling requirements.

Troubleshoot a drive that will not open
- VPN or remote connection is not active: Connect using the method approved by IT, then try the share again.
- The address is missing or rejected: Confirm the exact server or share path with its owner rather than guessing.
- You are prompted for credentials or denied access: Check that you are using the required account and ask the administrator to verify your permissions.
- The server cannot be reached: The server may be offline, or your device may not have a route to it. Ask the administrator to check server availability and remote reachability.
- Windows mapping fails: Confirm that you entered the path supplied by IT and that the remote connection is active; Microsoft notes that an unavailable host or missing permissions can prevent a connection.
- Finder cannot connect: Confirm the address and remote reachability, then check with the server owner or administrator about access rights.
