To nominate someone successfully, choose the exact honor first, verify the candidate’s eligibility, then build a concise case that connects the person’s own engineering achievements to the award’s published criteria. Recruit only permitted nominators and referees, assemble the required narrative and evidence, and work backward from the awarding body’s current deadline. Requirements differ sharply between society awards, Fellow grades, and honorary fellowships, so an example from one organization cannot be applied automatically to another.
1. Identify the exact honor before writing anything
“Engineering award” is not a single process. A society may offer prizes for one project, medals for a body of technical work, professional grades such as Fellow, or an honorary fellowship for exceptional distinction or service. Each can have different eligibility rules, nomination rights, documents, review dates, and limits on repeat nominations.
Start on the issuing organization’s current official awards or fellowship page. Record these details in a working sheet:
- Issuing society or academy and the exact honor name.
- Award year, election cycle, or review round.
- The achievement the honor is intended to recognize.
- Eligibility requirements for the candidate, including membership, years of practice, discipline, geography, and career stage.
- Who may nominate and who may provide supporting letters.
- Required forms, narrative limits, CV format, evidence, file types, and upload rules.
- Deadline, time zone, review schedule, and whether incomplete submissions are deferred.
- Rules on conflicts, organizational balance, self-nomination, previous nominations, and interaction with other honors.
ASME’s nomination guidance makes the principle explicit: become completely familiar with the requirements for the particular honor before making a nomination. Treat every other society the same way. If a rule is ambiguous, ask the awards office in writing rather than inferring eligibility from a similar program.

2. Test the nominee’s fit and eligibility
Separate two questions: does the candidate satisfy the formal rules, and does the candidate’s record match the purpose of the honor? A distinguished engineer can be an excellent candidate for one recognition and a poor fit for another.
Formal eligibility checks
- Membership: confirm the required grade, duration, and whether membership must be current at submission.
- Experience: check how the organization defines active practice, professional service, or qualifying years. Student membership or student work may be excluded.
- Scope: verify that the nominee’s discipline, location, employer status, or type of contribution falls within the rules.
- Nomination authority: determine whether a peer, Fellow, committee, employer, member, or any individual may nominate.
- Restrictions: look for bans on self-nomination, judges, trustees, officers, direct reports, family members, or excessive representation from one organization.
Fit with the honor’s purpose
Classify the record before choosing the award:
- Single contribution: a design, discovery, paper, project, or innovation with a defined result.
- Sustained technical achievement: a career of influential engineering work, leadership, or professional contributions.
- Service or public benefit: long-term work advancing education, public safety, policy, access, or the profession.
- Honorary recognition: an exceptional lifetime record or a person whose distinction and future contribution warrant a special relationship with the institution.
Do not nominate for a lifetime honor merely because the candidate has one famous achievement. Conversely, do not force a career-long narrative into an award intended to recognize a narrowly defined result.
3. Build an evidence map tied to the criteria
A persuasive nomination is an argument, not a biography. Translate each criterion into a claim about the nominee’s personal contribution and the resulting impact. A useful evidence map has four columns:

| Public or societal benefit | The mechanism by which the work helped users, communities, or the profession | Reach, durability, access, safety, or measurable improvement | Public documentation, deployment evidence, evaluations, or beneficiary testimony |
For every achievement, answer four questions: What did the nominee do? What changed because of it? How do you know? Why does that change satisfy this honor’s criterion? Distinguish the candidate’s own decisions from the work of a large team, employer, laboratory, or consortium. “Led a team” is incomplete unless the nomination explains the candidate’s technical or strategic contribution.
Use specific, verifiable examples
Replace broad praise with dated, attributable facts. Identify the project, the problem, the nominee’s responsibility, and the outcome. If a result belongs to a team, state the team’s role and then isolate the nominee’s contribution. Independent corroboration is especially useful when the nominator was not present for every stage of the work.
Do not inflate uncertain figures or imply that an award body has endorsed a claim when it has not. Where an outcome is confidential, describe the evidence that can be disclosed and explain the limitation to the awards office if necessary.
4. Choose nominators and supporters who can give first-hand evidence
Check the rules before approaching anyone. A senior title does not make a person an eligible sponsor, and a famous name cannot compensate for a generic letter.

Verify each person’s eligibility
- Confirm membership grade and current status where required.
- Check the permitted number of nominators and sponsors.
- Check whether the nominator and supporters may come from the nominee’s employer or must be independent.
- Review conflict-of-interest, governance, judging, family, and reporting-line restrictions.
- Confirm whether the person is willing to submit through the portal personally or must sign a supplied form.
Brief supporters without scripting them
Give each supporter the criteria, the submission deadline, the candidate’s CV, and a short fact sheet identifying examples they know directly. Ask for concrete evidence rather than a letter that repeats the nomination. A useful supporter explains what they observed, the nominee’s individual role, the significance of the result, and why it meets the honor’s standard.
Preserve independence. Coordinating factual accuracy is appropriate; asking several people to submit identical language weakens credibility. Keep a record of invitations, acceptances, conflicts disclosed, and letters received.
5. Assemble the nomination package
The exact package varies, but most engineering recognitions use some combination of a nomination narrative, professional record or CV, evidence of achievement, and reference letters.
The central narrative
Open with the reason this specific honor fits this candidate. Organize the body by the published criteria, not by a year-by-year career history. For each criterion, give the strongest example first, explain the nominee’s personal contribution, and state the resulting impact. End by connecting the evidence to the honor’s distinction without repeating every detail.
Respect the portal’s word count and formatting limits. A short, precise narrative is stronger than a long catalogue of activities. Define technical terms for a multidisciplinary selection panel and explain why the result mattered beyond the immediate project.
The CV or professional record
Make the CV easy to audit against the narrative. Include dates, roles, employers or institutions, major responsibilities, patents, selected publications, professional contributions, and significant engineering achievements where the rules request them. ASME’s Fellow guidance, for example, asks for work history, patents, no more than ten selected publications, contributions to the profession, and other significant engineering achievements.
Use the same dates, job titles, project names, and outcome descriptions across every file. If a publication list is capped, select items that demonstrate the criteria rather than adding a complete bibliography.

Evidence and letters
Label files clearly and explain each attachment’s relevance in the form if space is provided. Letters should add first-hand detail, not merely confirm that the nominee is respected. Check whether signatures, institutional letterhead, confidentiality, or direct submission by the referee are required.

Follow the portal’s file instructions exactly. The ASME instructions reviewed for Fellow nominations require uploaded documents to be PDFs. Do not assume that a PDF, page limit, naming convention, or email submission method used by one organization applies to another.
6. Work backward from the deadline
Set an internal deadline well before the official cutoff. Your schedule should allow time for eligibility questions, supporter availability, revisions, portal problems, and a final consistency check.
- Six to eight weeks out: select the honor, confirm the current cycle, and ask the awards office any eligibility questions.
- Five to seven weeks out: complete the evidence map, obtain the nominee’s current CV, and secure eligible nominators and supporters.
- Three to five weeks out: draft the narrative, circulate factual sections for verification, and request letters with a firm internal due date.
- Two weeks out: edit to the criteria and word limits, convert files as required, and confirm every required field.
- Several days out: upload the package, check previews and attachments, and retain the submission confirmation.
- After submission: monitor for requests, record the cycle, and note whether a future resubmission must use updated evidence.
Published dates can change. Recheck the live page immediately before submission, including time zone and whether the deadline is an opening date, a receipt date, or a portal closing time. An incomplete package may be deferred rather than reviewed in the intended round.
7. Example: ASME Fellow nominations
ASME Fellow is a useful example of why organization-specific checks matter. ASME states that a Fellow candidate must be an ASME Member with at least 10 years of active practice and at least 10 years of active corporate membership. Student membership time does not count. Confirm the candidate’s records with ASME before relying on the calculation.
Required people and letters
The reviewed ASME instructions require four letters in total: the nominator’s letter and three sponsor letters. The nominator and two sponsors must be ASME Members or Fellows. No more than one letter should come from the nominee’s organization. ASME also says nominators, nominees, and sponsors need current membership before supporting the nomination.
Deadlines
ASME lists quarterly Fellow deadlines of March 1, June 1, September 1, and December 1. These dates are tied to ASME’s published instructions, whose page version and cycle should be checked before submission.

What the record should show
ASME’s nomination instructions recommend reviewing the nominee’s record, obtaining a résumé or CV, and making a clear case based on qualifying achievements. The CV guidance calls for work history, patents, up to ten selected publications, contributions to the profession, and other significant engineering achievements. Supporting letters should identify specific achievements and explain why the candidate merits Fellow status rather than rely on general praise. Upload documents as PDFs when the current instructions require that format.
ASME restrictions to check
For Society-level awards generally, ASME excludes certain people involved in judging or governance from nominating and bars self-nomination, with a stated exception for a student award. Do not assume those general restrictions are identical for every ASME honor; read the rules for the particular program.

8. Example: ASME Honorary Membership
ASME describes Honorary Membership as recognition for a lifetime of service to engineering or related fields, including science, research, and public service. Candidates must be corporate members, and ASME lists a March 1 nomination deadline in the guidance reviewed.
This is not simply an alternative route to Fellow. ASME cautions that receiving the lifetime honor may preclude another ASME honor later. Before nominating, compare the candidate’s full body of work with the purpose of Honorary Membership and consider whether a different recognition would be more appropriate.

Fellowship
The Royal Academy of Engineering’s 2025 Fellowship prospectus describes Fellowship as a national honor for outstanding personal engineering achievement. It says the detailed citation is largely written by one Academy Fellow proposer, often working with the nominee, and should explain the candidate’s principal personal engineering accomplishments.
That prospectus describes a portal open year-round with a September 1 cutoff for each year’s nominations and calls the process highly competitive. Because this is 2025 guidance, verify the current prospectus and cycle before relying on the date or procedure.

The Academy describes a separate route for Honorary Fellowship: a letter to the President signed by the proposing Academy Fellow. The letter should explain why the candidate merits consideration and what the candidate may offer the Academy. This route differs from the ordinary Fellowship process in both proposer and submission format.

10. Compare honors before committing the nomination

| Interactions with honors | Could accepting this recognition affect eligibility for a later or alternative honor? |
11. Final submission quality check
- The honor name, cycle, and current deadline are recorded from the live official page.
- The candidate meets every stated eligibility requirement, including current membership.
- Each criterion is supported by at least one specific, attributable example.
- The narrative distinguishes personal contribution from team or employer achievement.
- Dates, titles, project names, publications, and outcomes agree across the narrative, CV, and letters.
- Every nominator and supporter is eligible, independent where required, and free of a disqualifying conflict.
- The correct number of letters has been requested and received.
- Word counts, page limits, signatures, file names, formats, and upload fields meet the current instructions.
- A complete copy and confirmation receipt are retained.
12. Common failure modes and fixes
Choosing the honor after drafting
Problem: The nomination becomes a generic biography that does not satisfy the selected criteria.
Fix: Choose the honor first and use its criteria as the outline.
Using praise instead of evidence
Problem: Letters call the candidate “outstanding” without describing an observed contribution or result.
Fix: Give supporters dated examples they know directly and ask them to explain significance.
Claiming team results as individual achievements
Problem: The panel cannot tell what the nominee personally did.
Fix: Name the decision, technical work, or leadership action attributable to the nominee and then describe the team context.

Ignoring independence rules
Problem: A required letter comes from a prohibited colleague, judge, officer, or excessive number of people from one organization.
Fix: Check the restrictions before invitations and keep a backup eligible supporter.
Submitting old instructions
Problem: A prior year’s deadline, form, or file rule is used for the current cycle.
Fix: Reopen the official page immediately before uploading and save the current instructions with the submission record.
Confusing honorary fellowship with Fellow membership
Problem: The nomination uses the wrong route, proposer, or evidence standard.
Fix: Read the honorary fellowship page separately and follow its stated letter and approval path.
13. What happens after submission
Keep the confirmation, submitted files, and a calendar reminder for any published decision or request for clarification. If the nomination is deferred or unsuccessful, ask whether the organization permits resubmission and whether the next package must update letters, dates, achievements, or the form itself. Do not simply re-upload an old nomination: refresh evidence and check the criteria and cycle again.
