The safest approach for most people is to turn on Windows Backup on the old laptop, let it sync the supported folders and settings to OneDrive, then sign in to the new laptop with the same Microsoft account and accept the restore offered during setup. Confirm that important files are visible in OneDrive online before you wipe, sell or retire the old computer.

This process is a migration of supported files and preferences, not a complete clone. You will usually need to reinstall applications, sign in to services again and handle saved passwords or other credentials separately. If you want an offline copy or have more data than your cloud storage allows, use an external drive instead.

Choose the transfer method before you start

Your choice depends on how much data you have, whether the old laptop can upload reliably and whether you want a second physical copy of your files. The methods are not equivalent: OneDrive makes synced files available on another device, Windows Backup adds supported Windows preferences and setup restoration, and external storage copies files without relying on an internet connection.

Method Best for What it can move Important limits
Windows Backup and restore Most users who want files plus supported Windows settings Selected user folders and supported preferences; may restore app pins and offer Store-app reinstalls It does not copy every installed program, program data, password or credential. Availability and OneDrive capacity matter.
OneDrive Files, photos and videos already stored in the OneDrive folder Files that finish syncing to your Microsoft account It is not a complete settings or application migration method. Unsynced files remain only on the old laptop.
External storage Offline transfers, large collections or readers who do not want to upload files Folders and files you deliberately copy to a USB drive, SD card or external hard drive You must choose everything manually and verify the destination copies before removing the originals.
PC-to-PC transfer Eligible setup experiences that offer a direct transfer over a local network Files across folders or drives and some personalization settings Microsoft’s page warns that the feature is no longer available and directs users to Windows Backup and Restore. Eligibility, geography and exclusions are substantial.

Windows Backup and OneDrive can be used together. Backup handles supported preferences and setup restoration, while OneDrive provides the file copy. An external drive can be a second backup even when you use cloud sync.

Prepare the old laptop

Find every location that contains personal data

Do not assume that all important files are in the standard folders. Review Desktop, Documents, Pictures, Videos and Music, plus Downloads, project folders, folders on a second internal drive and any location used by photo, music, accounting or creative applications. Check the root of each drive for folders you created yourself.

  • Open File Explorer and inspect each internal drive.
  • Search for file types that matter to you, such as .docx, .xlsx, .pdf, photos and videos.
  • Check application-specific export folders and local archives.
  • Identify files that are stored online but marked as available only on demand; make sure you understand whether a local copy exists before disconnecting the old laptop.

Make a short checklist of irreplaceable items. Include tax records, school or work projects, photographs, browser bookmarks if they are not synchronized, and any license files or configuration exports that an application requires. Windows Backup and OneDrive only protect locations and data that you select and successfully synchronize.

Check account, power and capacity

Use the Microsoft account that you intend to use on the new laptop. The same account is required for the normal Windows Backup restore offer and for accessing OneDrive files on the replacement device. Connect the old laptop to power and allow it to remain awake while a large upload runs.

OneDrive includes 5 GB of free storage with a Microsoft account. That may be enough for documents but not for a large photo or video library. Storage allowances and eligibility can vary by plan; Microsoft says some new Microsoft 365 subscribers have changed allowances beginning October 7, 2026. Check the storage shown for your account before you begin rather than assuming that a quoted allowance applies to you.

Use Windows Backup for supported files and settings

Turn on the backup on the old laptop

  1. Open Start, type Windows Backup, and open the Windows Backup app.
  2. Sign in with the Microsoft account you will use on the new laptop if the app asks you to do so.
  3. Review the folder selections. Microsoft lists Desktop, Documents, Pictures, Videos and Music among the user folders that can be selected for OneDrive backup. Select the locations that contain your data, and separately account for folders outside those locations.
  4. Review the settings categories. Supported information can include installed-app information, accessibility options, accounts and Wi-Fi information, and personalization such as wallpaper, colors, theme and Start layout. Availability can depend on the account type and available OneDrive storage.
  5. Start the backup and leave the laptop connected to power and the internet until synchronization finishes.

The app backs up supported information; it does not create a sector-by-sector image of the old computer. A setting may be restored only when the new Windows installation and account support it. Treat the backup as a way to recreate the working environment, not as a replacement for application-specific exports.

Seagate Portable 5TB External Hard Drive HDD – USB 3.0 for PC, Mac, PS4, & Xbox - 1-Year Rescue Service (STGX5000400), Black
  • Easily store and access 5TB of content on the go with the Seagate portable drive, a USB external hard Drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Verify the cloud copy before setting up the new laptop

  1. Open OneDrive online in a browser and sign in with the same account.
  2. Open the folders you selected and check that representative files appear, including several of the documents or photos you cannot replace.
  3. Compare recent files and file sizes with the old laptop. If something is missing, return to the old laptop, place it in a selected OneDrive folder or upload it manually, and wait for synchronization.
  4. Do not erase, reset or give away the old laptop until the online copy has been checked.

A green or completed-looking sync icon is useful, but the decisive check is that the files can actually be opened from the online account. A file that has never finished uploading cannot be restored during setup.

Restore during setup of the new laptop

  1. Start the new laptop and proceed through Windows setup.
  2. Sign in with the same Microsoft account used for the backup. Using a different account prevents the expected backup from appearing.
  3. When Windows offers a backup to restore, choose the relevant backup and continue. The restore can bring back supported preferences and may recreate app pins.
  4. If Windows lists Store apps for reinstall, select the ones you want. For a non-Store application, Windows may provide an installer download rather than restoring the application itself.
  5. After setup, open OneDrive and sign in with the same account. Use File Explorer or the OneDrive taskbar icon to reach the synchronized folders.

Allow the new laptop time to download files. Files may appear progressively, especially when the account contains many photos or videos. Keep the old machine available while you confirm that the files and settings you care about are present.

Move files with OneDrive when settings are not the priority

OneDrive is appropriate when your main goal is to move files, photos and videos. It does not, by itself, transfer all Windows settings, installed applications, application databases or credentials.

  1. On the old laptop, open the OneDrive folder in File Explorer.
  2. Make sure the files you need are inside that folder or another location that OneDrive is configured to sync.
  3. Wait for synchronization to complete. Large files can take considerable time, and the old laptop must remain connected to the internet.
  4. Sign in to OneDrive online and verify that important files are present. Upload anything missing before moving on.
  5. On the new laptop, sign in to OneDrive with the same Microsoft account.
  6. Open the files through File Explorer or the OneDrive taskbar icon. Keep the old copies until you have opened representative files on the new device.

If the account lacks sufficient storage, do not start a partial upload and assume the rest is protected. Move a smaller, prioritized set to OneDrive or choose an external drive for the complete collection.

Use an external drive for an offline transfer

Microsoft’s offline method is to copy selected files or folders to removable storage, connect that storage to the new laptop and copy the data across. A USB flash drive, SD card or external hard drive can serve as the transfer medium. Choose a device with more capacity than the data you intend to copy and leave room for a second verification copy when practical.

  • The available storage capacity may vary.

Copy from the old laptop

  1. Connect the external storage device to the old laptop and wait for it to appear in File Explorer.
  2. Create a clearly named top-level folder, such as Old laptop transfer, on the device.
  3. Copy the selected Desktop, Documents, Pictures, Videos and Music content into that folder. Add folders you found elsewhere during your inventory.
  4. Wait for all copy operations to finish. For a large transfer, copy in batches so that a failure identifies a manageable group.
  5. Open several files directly from the external device to confirm that the copy is readable.
  6. Use the operating system’s eject command before disconnecting the device.

Copy to the new laptop and verify

  1. Connect the device to the new laptop and open it in File Explorer.
  2. Copy the transfer folder to the intended destination, such as Documents or a dedicated data folder.
  3. Open representative documents, photos, videos and project files from the new laptop, not only from the external device.
  4. Compare folder sizes and file counts for important collections. Investigate missing or unusually small files before deleting anything from the old laptop or the transfer device.
  5. Keep the external copy until the new laptop has been used successfully for a reasonable period.

External storage moves files, not the Windows configuration that created them. Applications may need to be installed again, and an application may require an import step before it can use copied data.

Understand the limited PC-to-PC transfer option

Microsoft’s dedicated transfer page includes the warning: “This feature is no longer available. Use Windows Backup and Restore instead.” The same page also documents a setup-time PC-to-PC experience. Because the documentation is contradictory, do not promise that every reader will see the option. Check the Windows Backup app and the new laptop’s setup screens; use Windows Backup or external storage when the direct-transfer choice is absent.

Published eligibility requirements

  • The old computer can run Windows 10 or Windows 11.
  • The new computer must run Windows 11 version 2024 or later.
  • The new-PC setup requires a Microsoft account, and Microsoft says that account must not already have an existing backup.
  • Both computers must be connected to the same Wi-Fi or local-area network and connected to power.
  • The experience is unavailable in China and currently supports most Intel- and AMD-based PCs.

These conditions describe Microsoft’s documented scenario, not a guarantee that the feature is enabled on your hardware or in your region. If setup does not offer it, stop looking for a hidden switch and use the supported backup, OneDrive or external-storage route.

What direct transfer does and does not include

The documented transfer can include files from multiple folders or drives and personalization settings such as wallpaper and themes. It excludes system and operating-system files, OneDrive files, installed applications, saved passwords and sign-in credentials, and data on BitLocker-encrypted drives.

If you need data from an encrypted drive, Microsoft says the drive must be decrypted before starting if that data is to be included. Decryption can take time and changes the protection of the data while it is unencrypted, so do not begin it casually; use the recovery and security procedures required by your organization or household.

Seagate Portable 4TB External Hard Drive HDD – USB 3.0, 1-Year Rescue | Everyday HDD storage. Plug-and-play backup. Windows & macOS. Adobe CC trial included. 1-Year Warranty
  • Easily store and access 4TB of content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

If the new laptop has less storage than the old one, deselect items until the transfer fits. A direct transfer is not a way to overcome a smaller destination drive.

Reinstall applications and handle credentials separately

None of these methods should be treated as a complete application clone. Windows Backup can remember installed-app information, restore pins and offer Store-app reinstalls, but non-Store software may require an installer download. You should expect to reinstall desktop applications from their legitimate installers and then sign in or import their data according to each application’s instructions.

  • Make a list of applications you use before disconnecting the old laptop.
  • Record license information through the vendor’s normal account or recovery process rather than copying hidden program files.
  • Export application data when the application provides an explicit export or backup command.
  • Reinstall security software, browsers, office tools, creative applications and utilities before relying on the new laptop for work.
  • Sign in again to services that require authentication. Saved passwords and sign-in credentials are specifically excluded from the documented PC-to-PC transfer, and they are not guaranteed by OneDrive file sync.

For browsers and password managers, use their own synchronization or export-and-import process. Do not assume that a copied profile folder contains usable credentials; modern applications often protect those credentials with the original Windows account or hardware.

Verify the migration before retiring the old laptop

Verification is the step that prevents a sync misunderstanding from becoming permanent data loss. Work through the same inventory you made at the beginning.

  • Open recent and older files in every important category.
  • Check folders outside the standard Windows locations.
  • Confirm that photos and videos play, not merely that their thumbnails exist.
  • Launch the applications you need and open representative project files.
  • Reconnect printers, cloud services, network shares and other devices.
  • Check that Wi-Fi networks, accessibility choices and personalization settings are as expected; supported settings may restore, but device-specific settings can still require adjustment.
  • Confirm that the new laptop has enough free storage after the files and applications are installed.

Keep the old laptop powered off but available until this checklist is complete. If you plan to sell or recycle it, sign out of accounts, remove personal data using an appropriate reset procedure and retain the external or cloud copy until the reset has been confirmed.

Common problems and fixes

A file is missing from OneDrive

Return to the old laptop and locate the original. If it is outside a selected backup folder, move or upload it to a synced location. Wait for synchronization, then refresh OneDrive online and verify the file there before checking the new laptop.

The restore prompt does not appear

Confirm that the new laptop is signed in with the exact Microsoft account used for the backup. Check Windows Backup on the old laptop and verify that synchronization completed. If the account already has a different backup or the setup experience does not offer restoration, use OneDrive for the files and reinstall applications manually.

There is not enough OneDrive space

Check the storage meter for the actual account. Remove only files you have intentionally excluded from the move, or switch the larger collection to external storage. Do not rely on a partial upload as though it represented the entire old laptop.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The new laptop has less storage

Prioritize personal files and required applications. During any documented PC-to-PC transfer, deselect items until the data fits. For a manual copy, transfer in batches and keep an inventory of folders that still need attention.

An application opens without its old data

Reinstall the application, sign in to its account and use its documented import or restore function. A copied folder is not necessarily a usable application database, and the migration methods do not promise to move application data wholesale.

Windows 10 timing and support

Microsoft says Windows 10 support ended on October 14, 2025. A new laptop purchased or configured in 2026 should normally run a supported Windows 11 release, while an old Windows 10 laptop can still be the source of the files. The end-of-support date does not automatically move your data; it is a reason to complete the migration and ensure the replacement device receives current security updates.
