Use Apple’s built-in Migration Assistant to copy selected documents, applications, user accounts, and settings from your old Mac or a Time Machine backup to a new MacBook Air. You can run it during first-time setup or later from Applications > Utilities, Spotlight, or System Settings > General > Transfer or Reset > Open Migration Assistant. The old Mac is not erased by this process.
Choose the migration source before you begin
Migration Assistant is the standard Apple utility for moving a Mac to another Mac. It transfers the items you select rather than forcing you to recreate your environment manually. The source can be either the old Mac itself or a usable Time Machine backup.
| Path | What you need | Best fit |
|---|---|---|
| Direct Mac-to-Mac transfer | Both Macs available, updated, close together with Wi-Fi enabled, and laptops connected to power | You still have the old Mac and want to migrate from its current contents |
| Time Machine backup | A usable Time Machine backup and its backup disk connected and turned on | You prefer to migrate from an existing backup or the old Mac is unavailable |
Apple’s documentation does not establish a dependable speed winner between these methods, and it does not recommend a particular cable for current MacBook Air models. Do not buy a cable solely because you expect it to make Migration Assistant faster. An external drive is also optional: it is needed for the Time Machine-source route only if you do not already have a usable backup.
What Migration Assistant does—and does not do
Apple describes the utility plainly: “Migration Assistant transfers documents, apps, user accounts and settings from one Mac to another.” Your information on the old Mac remains there after migration. Copying is separate from erasing, trading in, or resetting the old computer, so postpone those actions until you have verified the new Mac.

You can transfer broad categories or refine the selection. The Mac User Guide identifies these areas:
- Applications: apps detected on the source Mac.
- User Accounts: accounts and, where offered, parts of each user’s data.
- Other Files & Folders: data outside the selected user accounts.
- Privacy & Security Settings: applicable privacy and security preferences.
- System & Network settings: system-level and network configuration.
Migration is not a guarantee that every app will launch afterward. Apple warns that an incompatible app, or an app for which a newer version is already installed on the destination Mac, may not transfer or may not work. Plan to reinstall or update software when the destination Mac’s macOS version, processor architecture, license, or account requirements make that necessary.
Prepare both Macs for a direct transfer
Install available macOS updates
Before opening Migration Assistant, install available macOS updates on both computers. The Macs do not have to run the same macOS version, but updating reduces avoidable compatibility and connection problems. Restart if an update requires it, then confirm that each Mac has reached the normal desktop or setup screen.

Put the computers in the right physical conditions
- Place the Macs near each other.
- Turn Wi-Fi on for both Macs.
- Connect both laptops to power. A migration that stops because a battery runs down is avoidable.
- Keep the old Mac awake and available until the transfer has finished.
For older OS X El Capitan-era Macs, or when you are unsure about the network arrangement, Apple’s instructions refer to using the same Wi-Fi network. The current guidance does not establish a specific wired accessory or a universal cable recommendation for a MacBook Air, so follow the connection choices shown by Migration Assistant rather than improvising a cable setup.
Temporarily disable software that can block the connection
If antivirus, firewall, or VPN software is running, Apple advises turning it off for the migration. These programs can interfere with the Macs discovering or communicating with each other. Turn the protections back on after Migration Assistant has closed on both machines. If your organization manages the Mac, check its policy before disabling security software.
Keep credentials and free space in mind
Have the administrator credentials for the accounts you intend to migrate. The destination Mac also needs enough available storage for the categories you select. Migration Assistant calculates the amount of storage used as you make selections; use that estimate to remove unnecessary categories before starting if the new Mac is short on space.
Start Migration Assistant during first-time setup
If the new MacBook Air is still in Setup Assistant, the transfer choice appears as part of setup. The labels can vary slightly by macOS release, but the path is the same: choose to transfer information from a Mac, a Time Machine backup, or a startup disk, then follow the prompts.

- On the old Mac, open Migration Assistant and choose the option to transfer information to another Mac.
- On the new Mac, select the old Mac when it appears. If you are using a backup instead, select the connected Time Machine backup as the source.
- Compare the security code shown on both Macs. Continue only when the codes match and you recognize both devices.
- Choose the categories and individual accounts or folders you want to bring over.
- Let the transfer finish, then complete Setup Assistant and sign in to the migrated account.
The security-code check protects against accidentally selecting the wrong nearby Mac. Do not approve a mismatch; cancel and identify the correct source before trying again.

Run Migration Assistant after the new Mac is already set up
You do not need to erase or reset a new Mac that has already gone through setup. Apple supports starting Migration Assistant afterward.
- Open Applications > Utilities > Migration Assistant, or search for Migration Assistant with Spotlight.
- Alternatively, open System Settings > General > Transfer or Reset > Open Migration Assistant.
- Authenticate if macOS asks for an administrator password, then choose to transfer from a Mac, Time Machine backup, or startup disk.
- On the old Mac, open Migration Assistant and choose to transfer to another Mac.
- Select the source on the new Mac and verify that the security code matches on both computers.
- Review the calculated storage and select the data categories, accounts, and folders to transfer.
- Start the migration and wait for both Macs to report completion before closing the utility.
Running the utility after setup can add a user account or other data to the existing installation. Read every account prompt carefully, because the destination may already contain an account with the same short name.
Use a Time Machine backup as the source
A live connection to the old Mac is not required when you have a usable Time Machine backup. Connect the backup disk to the new MacBook Air, turn it on if it has its own power switch, and keep it connected for the duration of the transfer.

- Choose to transfer from a Time Machine backup or startup disk.
- Select the connected backup when it appears. If more than one backup or Mac is listed, identify the correct one by its name and backup details.
- Continue through the security and administrator prompts shown by macOS.
- Select the user accounts, applications, settings, and other files you want to restore.
- Start the transfer and do not disconnect the backup disk until Migration Assistant finishes.
This route is useful when the old Mac is being repaired, has already been wiped, or is not physically available. The backup must be readable and contain the information you need; a drive that was never successfully backed up cannot serve as a complete migration source.
Review the items Migration Assistant offers
Applications
Select Applications only after considering compatibility. An app may be omitted because it is incompatible, or because a newer version is already present on the new Mac. Some applications also require a fresh sign-in, a new license activation, a vendor update, or a separately installed helper component. Treat the migrated application as a starting point, then open it and verify that it works before relying on it.
User Accounts
Selecting a user account can bring over its documents, desktop, downloads, preferences, and other account data, depending on the sub-options shown. A transferred administrator account needs a password set for the new Mac. A transferred standard account may receive a temporary password that must be replaced at its first sign-in.
Other Files & Folders
Use this category for data that is not contained in the selected user account. Review the size carefully; large shared folders, media libraries, and old archives can consume substantial space on a new MacBook Air.

These settings can make the new Mac feel more familiar, but they can also carry over configuration that is no longer appropriate. Review the selected settings, especially if the old Mac belonged to a different workplace, used old network profiles, or had restrictions you do not want on the new computer.

Resolve account-name conflicts without losing data
If the destination Mac already has an account with the same name as an incoming account, Migration Assistant asks how to proceed. Apple presents two meaningful choices:
- Replace the existing account: the incoming account takes its place. macOS may retain the replaced account’s data in Deleted Users.
- Rename the incoming account: both accounts remain, with the incoming account given a different name.
Read the prompt before selecting either option. Replacing an account can remove the destination account from normal sign-in, while renaming can leave you with two separate home folders and preferences. If you created a temporary account merely to get through setup, determine whether it contains anything you need before replacing it.
Wait for the transfer and recognize normal pauses
Apple says a large migration may take hours and can appear to pause occasionally. The displayed estimate is not a guaranteed duration. Keep both Macs connected to power, leave the source awake, and do not close the lid or disconnect a backup disk while the process is active.
If the progress display appears unchanged, give it time rather than immediately force-quitting. A large account, application collection, or many small files can make progress look uneven. Interrupting the process can leave the destination with only part of the selected data, requiring you to run Migration Assistant again.
When Migration Assistant reports completion, close it on both Macs. If you disabled antivirus, firewall, or VPN software, turn it back on now.
Verify the new MacBook Air before retiring the old Mac
Sign in to the migrated account
Sign out of the temporary setup account if necessary and sign in to the migrated account using the password you established. For a standard account that received a temporary password, replace it at the first sign-in as macOS requires.
Check the files that matter most
- Open several documents from Desktop, Documents, Downloads, and any custom folders.
- Confirm that photographs, videos, music, project files, and browser bookmarks are present.
- Check file ownership and permissions if a document opens read-only or an app cannot save to its former location.
- Compare the storage used on the new account with the source estimate shown during migration.
Open and update important applications
Launch the applications you depend on rather than assuming that a copied icon means a working installation. Sign in when asked, install compatible updates, and confirm that each app can open its existing library or project files. If an app does not transfer or will not launch, obtain a current compatible version from its developer and restore its documents separately if needed.

Apple says email can transfer while still requiring the email account to be set up again in the email application. Open your mail app, verify that the expected mailboxes are present, and complete the account setup or authentication prompt before assuming that sending and receiving work.

Reconnect services and peripherals
Test network access, cloud storage, printers, external displays, and other devices you use daily. A migrated system setting does not guarantee that every driver, security approval, or device pairing remains valid on the new MacBook Air.
Only after these checks should you decide whether to erase, sell, trade in, or repurpose the old Mac. Migration itself does not perform any of those actions.
Troubleshoot common migration problems
The old Mac does not appear
- Confirm that Migration Assistant is open on both Macs and that the old Mac is set to transfer to another Mac.
- Turn Wi-Fi on, move the Macs closer together, and connect both to power.
- Install available macOS updates and restart both computers.
- Temporarily turn off antivirus, firewall, or VPN software as Apple advises, then retry.
- For older OS X systems or an uncertain network arrangement, place both Macs on the same Wi-Fi network.
The security codes do not match
Stop the selection and check that you chose the intended source. Do not proceed with a mismatch. Reopen Migration Assistant if necessary and compare the complete code displayed on both screens.
There is not enough storage
Cancel before starting, return to the item-selection screen, and deselect unneeded applications, old user accounts, or large folders. You can copy an archive later to another drive instead of placing everything on the internal storage.
An application is missing or will not open
Migration Assistant can omit incompatible applications or applications superseded by a newer version already installed. Check the app’s current macOS requirements, install a compatible release, and restore its documents or library from the migrated account or backup. A migrated app may also require its own sign-in or license activation.
The transfer seems frozen
Large transfers can take hours and may appear to pause. Keep the Macs powered and wait. If macOS displays an explicit error or the process stops, note the message, restart both Macs, and retry with a smaller selection. A Time Machine backup can be an alternative source if the direct connection repeatedly fails.
Email is present but not working
Open the mail application and complete its account setup again. Verify the account address, authentication prompts, and any provider-specific requirements rather than assuming that copied mail data means the account is fully configured.

Direct transfer or Time Machine: which should you choose?
Choose the source you can verify and keep available throughout the process. Direct migration is straightforward when the old Mac is healthy and nearby. A Time Machine migration is practical when you already maintain a readable backup or cannot use the old Mac as a live source. Neither option should be ranked by an assumed speed advantage because Apple’s cited guidance provides no reliable speed comparison.

Questions readers commonly ask
Can I use Migration Assistant after setting up my MacBook Air?
Yes. Open it from Applications > Utilities or Spotlight, or use System Settings > General > Transfer or Reset > Open Migration Assistant. You do not have to erase the Mac just because you completed setup.
Will migration delete anything from my old Mac?
No. Migration copies selected information. The old Mac remains unchanged until you separately choose to erase or reset it.
Do both Macs need the same macOS version?
No. Apple’s guidance says the Macs do not have to run the same macOS version. Installing available updates on both is still recommended.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Do I need a Time Machine drive?
No. A drive is relevant when you choose a Time Machine backup as the source. Direct Mac-to-Mac migration does not require an external backup drive.
Will every app and its data transfer?
Not necessarily. Apple warns that incompatible apps, or apps for which a newer version is already installed, may not transfer or work. Verify critical apps after migration and reinstall compatible versions when needed.
How long will Migration Assistant take?
Apple says large transfers may take hours and may appear to pause. The actual time depends on the amount and type of data and the connection conditions; Apple does not provide a guaranteed duration in this guidance.
What happens if the new Mac already has my account name?
Migration Assistant asks whether to replace the existing account or rename the incoming account. Replacing can retain the old destination data in Deleted Users, while renaming keeps both accounts. Read the prompt and choose based on which data you need to preserve.
The safe finish
Use Migration Assistant, select only what the MacBook Air has room for, wait through any apparent pauses, and verify files, applications, accounts, and email before touching the old Mac. Keep the old Mac or Time Machine disk available until those checks are complete; migration is a transfer step, not an erase or trade-in step.
