Use Proton Mail’s built-in Easy Switch to copy Gmail messages (including attachments), contacts, and calendars. The recommended Google connection can also forward new Gmail messages and let you send from your existing Gmail address while people and services are updated. Keep Gmail active until you have tested the new mailbox and changed every important account address.
What moving from Gmail to Proton Mail actually does
A migration has two separate jobs: copying your existing data and handling mail that still arrives at Gmail. Easy Switch can do both, but the settings are different.
- Historical mail: Easy Switch copies Gmail messages and attachments into Proton Mail.
- Future delivery: A connected Gmail account can forward new messages to Proton Mail.
- Old-address sending: The connection lets you send from your Gmail address inside Proton Mail.
- Contacts and calendars: You can import either or both in addition to email.
Choose the approach that matches your transition:

The connection is a transition aid, not a full two-way synchronization service. It does not keep Gmail read/unread status, stars, folder moves, or calendar events synchronized with Proton Mail.

Check these requirements before you begin
Confirm that you have a personal Gmail account
The personal Easy Switch connection supports a regular Gmail address. It does not support Google Workspace accounts or custom-domain addresses in this flow. Workspace users need Proton’s business migration path instead.

Create and verify Proton Mail
Sign in to the Proton Mail account that will receive the data and complete any requested account verification. Decide whether you need a free or paid plan before connecting Gmail: free users can connect one Gmail account, while paid plans can connect up to three.
Make an independent backup
Before moving or deleting anything, use Google Takeout to download a copy of your personal data. A Proton import should not be your only backup, particularly if you need to preserve Gmail data that Easy Switch does not reproduce exactly.
Plan around important accounts
List banks, healthcare providers, government services, subscriptions, recovery addresses, and sign-in accounts that still use Gmail. Keep the Gmail connection active while you update them; changing an address at one service does not change it at another.

Recommended method: connect Gmail with Easy Switch
This option imports Gmail and keeps the old address useful during the handover.
- Sign in to Proton Mail.
- Open Settings → All settings → Import via Easy Switch.
- Select Google, then choose Connect to Gmail.
- In Google’s consent screen, grant all permissions requested by Proton. The connection uses Google OAuth rather than asking Proton for your Gmail password.
- Review the import and connection settings, then start the transfer.
Proton runs the transfer in the background, so you can continue using your computer while messages are copied. The connected setup imports Gmail data and configures the Gmail address for sending and receiving in Proton Mail.
How many accounts can run at once?
Easy Switch can transfer from up to two different source email accounts at the same time. Only one transfer at a time is allowed from the same source account.

Use a data-only or customized import
If you do not want a continuing Gmail connection, or you want to control exactly what is copied, use the expanded import choices.
- Open Settings → All settings → Import via Easy Switch in Proton Mail.
- Select More import options.
- Choose Google, authenticate with Google, and select Emails, Contacts, and/or Calendars.
- Review the summary and customize the selection.
- Click Start import.
Choose the email range
For email, Easy Switch offers all mail or only the last 1, 3, 6, or 12 months. A shorter range can make a staged move faster; choose all mail if Proton is to become the complete archive.
Control labels and folders
You can change the import label and deselect folders before starting. This is useful when Gmail contains old test folders, automated archives, or material you do not want in the working Proton mailbox.
Choose calendar placement
For calendars, Proton creates a new Proton Calendar by default. You can instead merge the imported events into an existing Proton calendar. Proton supports up to 20 calendars per account, so check your existing calendar count before importing many separate calendars.
Import contacts
Contacts are imported as-is, with a limit of up to 10,000 contacts according to Proton AG’s current support documentation accessed in 2026. Review the result for obsolete entries and duplicates after the transfer.
Keep receiving Gmail while you change addresses
Leave the connection enabled during the transition
With Gmail connected, new Gmail messages can be forwarded to Proton Mail, and you can choose the Gmail address when sending from Proton. This lets you update outside services in stages instead of changing every address on one day.

Understand what is not synchronized
The connection does not synchronize read/unread state, starred state, folder moves, or calendar events. A message marked read in Proton can remain unread in Gmail, and moving it to a different Proton folder does not move it in Gmail. Calendar invitations sent to the Gmail address can still be added to Proton Calendar, but existing calendar changes are not kept in two-way sync.
Check Gmail filters if forwarded mail is missing
Gmail filters that skip the inbox can prevent those messages from being forwarded through the connection. Review filters for newsletters, receipts, rules that archive immediately, and any rule that sends mail directly to Trash or Spam.
Know the address-connection restriction
One Gmail address can be connected to only one Proton Mail account at a time. If another Proton account already owns the connection, disconnect it there before attempting a new connection.
How Gmail labels, folders, and messages appear in Proton
Gmail labels are not identical to Proton folders, so an exact visual copy is not guaranteed. Easy Switch maps the imported organization into Proton’s folder and label structure where possible.

Before starting, rename overlong folders, reduce unnecessary folder counts, and decide how to handle Gmail labels that collide with existing Proton folders. This prevents an otherwise successful transfer from stopping for avoidable organization problems.
Monitor the import and verify the result
Let Easy Switch finish in the background
Do not close the Proton account or revoke Google access while a transfer is running. You can continue normal computer work, but leave the account available until the import status indicates completion.

Check representative messages
Open recent and older messages, messages with attachments, and mail from important senders. Verify that dates, recipients, attachments, and conversation grouping are usable. Compare a few Gmail folders with their Proton destinations rather than relying only on the reported message count.

Search for several known contacts and inspect imported calendar events in both the new or merged calendar and the original Google Calendar. Confirm recurring events, invitations, and time zones before relying on Proton for appointments.
Repeat an import safely if needed
Running an import again does not duplicate messages that Easy Switch has already imported. Proton detects previously imported messages and skips them. A repeat can therefore be used to pick up a failed or newly selected range without intentionally creating another copy of every message.

The Proton mailbox is smaller than Gmail
This does not necessarily indicate a failed transfer. Gmail messages marked Spam or Trash, duplicate messages, and messages from failed transfers can all explain a size difference. Check the import status and sample the affected Gmail locations before restarting.
Some folders are absent
Check for names over 100 characters, more than 2,000 folders, label-to-folder conflicts, and nesting deeper than three levels. Rename or simplify the Gmail structure, customize the selection, and run the import again.

New Gmail messages do not arrive in Proton
Confirm that the Gmail connection is still active, then inspect Gmail filters. A filter that skips the inbox can prevent forwarding. Also verify that the messages are not being delivered to Spam, Trash, or an alternate Gmail address.

Google will not authorize the connection
Restart the connection from Proton’s Easy Switch page and complete every Google permission request. If the address is a Workspace or custom-domain account, use the business migration route rather than the personal Gmail flow.
The Gmail address is already connected elsewhere
Disconnect the Gmail address from the other Proton Mail account first. Proton permits one Gmail address to be connected to only one Proton account.
A second transfer cannot start
Easy Switch allows only one active transfer from a particular source account. Wait for that transfer to finish before starting another from the same Gmail account; a different source account can transfer concurrently, up to two source accounts total.

Day 1: prepare and import
- Create and verify Proton Mail.
- Download a Google Takeout backup.
- Connect Gmail through Easy Switch and choose the required email range, contacts, and calendars.
- Review the proposed labels, folders, and calendar destination.
During the transition: keep the old address working
- Leave Gmail forwarding and send-from-Gmail enabled.
- Change the email address on banks, healthcare, government, subscriptions, shopping, employment, and recovery accounts.
- Tell frequent contacts which address to use, while continuing to monitor the Gmail address in Proton.
- Test password-reset messages, two-factor codes, receipts, and other time-sensitive mail.
Before disconnecting Gmail
- Search Proton for recent mail from every critical sender.
- Confirm that important attachments open.
- Verify contacts and future calendar events.
- Check that recovery addresses and sign-in addresses now point to Proton.
- Keep the Google Takeout backup in a safe location.
Finish the move
Once no important service depends on Gmail, disconnect the Gmail connection in Proton if you no longer need forwarding or send-from-Gmail. Do not delete Gmail until you have completed the checks above and are certain that any remaining data has been backed up.
Personal Gmail versus Google Workspace
The steps in this guide apply to personal Gmail. Google Workspace mailboxes and custom-domain addresses are outside the personal connection flow. Their administrators should use Proton’s business migration process, with the organization’s domain, user list, authentication, retention, and cutover requirements planned separately.
