The safest way to move from a Mac to a Windows laptop is to make a complete file inventory, copy the files through OneDrive or an external drive, verify the copies on the Windows computer, and keep the Mac originals until that check is complete. A file transfer does not automatically recreate your Mac applications, licenses, preferences, or account settings, so treat this as a personal-file migration rather than a one-click system conversion.
What actually moves from Mac to Windows?
Your documents, photos, videos, music, downloads, project folders, and other ordinary files can be copied between the two computers. The two supported approaches are cloud synchronization with OneDrive and a physical copy through an external SSD or hard drive. Microsoft describes both routes in its Windows transfer guidance.
Neither route is established as a complete migration of macOS. Applications may need Windows versions or replacements, licenses may require separate activation, and macOS-specific preferences, services, and account settings do not become Windows settings automatically. Before moving, list the programs and online accounts you rely on so you can reinstall or configure them separately. For important files, plan to open them in the Windows applications you intend to use; a file that copied successfully can still require a compatible Windows program.
Use Windows 11 as the current destination for a new laptop. Microsoft support documentation covers Windows 10 and Windows 11, but Windows 10 support ended on October 14, 2025. The steps below therefore use current Windows 11 labels where the interface matters.

Choose the transfer route before you copy anything
| Decision point | OneDrive | External storage |
|---|---|---|
| Internet | Required for uploading and later syncing the files. | The physical copy does not depend on cloud access. |
| Capacity | Check the account’s available space. Microsoft’s current overview states that a Microsoft account includes 5 GB of free OneDrive storage; allocations and plans can change, so check your account before starting. | Check free space on the SSD or hard drive and confirm that the complete selection fits. |
| Mac/Windows compatibility | Install OneDrive on both computers and use the same account. | The drive must be readable and writable by both systems. Apple documents exFAT as a cross-platform choice, including a recommendation for disks larger than 32 GB. |
| Verification | Confirm the files appear on OneDrive online before relying on the Windows copy. | After copying to Windows, open the destination and check important folders and files. |
| Main risk | OneDrive synchronizes changes. Deleting or changing content in a synced folder can propagate to the cloud and other signed-in devices. | Formatting erases the disk. Do not reformat a drive that already works for both computers unless you have backed up everything on it. |
Choose OneDrive when your available cloud space and internet connection are adequate and you want an online copy during the transition. Choose an external drive when the library is larger than your cloud allowance, you prefer an offline intermediary, or internet upload would be impractical. If the data is important and you have enough space, keeping both a cloud copy and a physical copy provides separate transfer paths.
Step 1: Make a complete inventory on the Mac
Do not start by dragging only the folders you remember. Create a checklist of every location where your files might live. Microsoft’s transfer guidance names common folders; use that list as a prompt and add your own locations.
- Desktop
- Documents
- Downloads
- Pictures and photo-library exports
- Movies and video folders
- Music and audio projects
- Custom folders at the top level of your home folder
- Files on connected external drives, SD cards, or network locations
- Work, school, tax, project, and archive folders stored outside the standard folders
Open Finder and inspect the locations you actually use rather than assuming the standard folders are exhaustive. If you use an application that stores files in a custom location, record that location. Also note the approximate size of each folder and the total amount you plan to transfer. This lets you compare the total with OneDrive’s available space or the free space on an external drive.
Check the Windows laptop’s available storage before choosing to keep a local copy. The amount required depends on your files and the Windows installation; there is no universal capacity figure. If you plan to keep files online-only with OneDrive, decide which folders must also be downloaded for offline use.
Method 1: Move files with OneDrive
Microsoft’s documented cloud route is to put the Mac files in OneDrive, wait for synchronization, verify them on the web, and then sign in to the same account on the new Windows PC. The full sequence is described in Microsoft’s OneDrive transfer instructions.

Prepare OneDrive on the Mac
- Install OneDrive for macOS if it is not already installed, then sign in with the Microsoft account you will use on the Windows laptop.
- Open the OneDrive folder in Finder and confirm that it is the account and location you intend to use.
- Compare the inventory you made with the available OneDrive space. Microsoft’s current overview lists 5 GB free for a Microsoft account; your account may have a different allowance.
For the initial transfer, copy files into OneDrive rather than deleting the originals immediately. Copying gives you a source to fall back to if a folder was missed or a file needs to be transferred again. You can later decide whether to remove duplicate local copies after the Windows destination has been checked.
Copy the Mac folders into OneDrive
- In Finder, select a source folder such as Documents or Pictures.
- Copy it into the appropriate folder inside OneDrive. Keep the same folder names where that makes the later Windows organization easier.
- Repeat for each inventoried location, including custom folders and files on connected volumes.
- Leave the Mac connected to power and allow OneDrive to finish uploading. Large libraries can take substantial time, and the exact duration depends on file size, connection speed, and service conditions.
OneDrive’s macOS and Windows synchronization behavior is documented in Microsoft’s sync guide. Do not treat a file as transferred merely because it appears in the local OneDrive folder; the upload must complete.
Verify the cloud copy before using Windows
- Open OneDrive on the web in a browser and sign in to the same account.
- Browse the folders you copied and confirm that they are visible online.
- Open representative documents, photos, and videos in the web interface where supported, and inspect critical project folders.
- If a folder or file is missing, return to the Mac, copy it into OneDrive, and wait for synchronization before continuing.
Microsoft specifically advises verifying the old-device files on the web and uploading anything missing before accessing them on the new PC. This check separates a completed upload from files that are still pending or were never placed in the synced folder.
Set up OneDrive on Windows 11
- On the Windows laptop, complete Windows setup and connect to the internet.
- Install or open OneDrive and sign in with exactly the same Microsoft account used on the Mac.
- Open File Explorer and select the OneDrive folder in the left navigation pane.
- Wait for the folders to appear. Choose files or folders that must be available offline and use the OneDrive availability option to download them locally, if offered by your configuration.
- Open important files from the Windows OneDrive folder and confirm they work in the Windows applications you plan to use.
Remember that OneDrive is synchronization, not a frozen archive. If you delete a synced file from the Windows folder, that deletion can synchronize to the cloud and other devices. Keep the Mac originals until your verification is complete and be deliberate about any cleanup inside the synced folder.
Method 2: Copy through an external SSD or hard drive
An external SSD, portable hard drive, or other removable storage device works as an offline intermediary. Microsoft’s procedure is to copy files from the old computer to the device, connect it to the new computer, copy the files to their destinations, and check that they arrived. Follow Microsoft’s external-storage instructions for the Windows portion.

Check the drive before copying
- Connect the drive to the Mac and inspect its current format in Finder or Disk Utility.
- Check the drive’s free capacity against the size of your inventory.
- Confirm that the drive already mounts normally and that you can create a test folder and file.
- If you need a format that both macOS and Windows can read and write, Apple documents exFAT for this purpose and recommends exFAT for disks larger than 32 GB.
Do not reformat simply because the drive was previously used with a Mac. If it already works on both computers, leave it as it is. Apple’s Disk Utility guidance gives this explicit warning: “Formatting a disk or volume erases all the files on it.” Read the full instructions at Apple’s guide to formatting a disk for Windows computers.
If reformatting is genuinely necessary, copy every existing item on the drive to another safe location first, verify that backup, and only then erase and format the drive. Formatting changes the file system; it does not preserve the data that was on the disk.
Copy from the Mac to the drive
- Open the external drive in Finder and create a clearly named transfer folder, such as
Mac-to-Windows-Transfer. - Copy the folders from your inventory into that transfer folder. Copy rather than move so the Mac remains an intact source.
- Wait for each copy operation to finish. Check that the expected folders and approximate sizes are present on the external drive.
- Eject the drive from Finder before unplugging it. A safe eject reduces the risk of disconnecting while data is still being written.
For a very large library, copy in logical batches such as Documents, Photos, and Video. A batch structure makes it easier to identify what was copied and what still needs attention, without claiming that any particular transfer speed or duration is guaranteed.
Copy from the drive to Windows 11
- Connect the drive to the Windows laptop and wait for it to appear in File Explorer under This PC.
- Open the transfer folder and choose the destination for each category, such as Documents, Pictures, Videos, or a project folder.
- Copy the files to the Windows laptop. If Windows asks how to handle a duplicate name, stop and determine whether the existing item is the intended file before choosing a replacement.
- After the copy finishes, open the destination folders and inspect important files.
- Use the Windows eject option before disconnecting the drive.
Microsoft’s guidance says to check files at their new location. This is a destination check, not a formal forensic audit or checksum comparison, so give extra attention to irreplaceable documents, recent work, and large media files.
How to verify that nothing important was lost
Verification should happen before you erase, trade in, or repurpose the Mac, and before you wipe or reuse the external drive. Use the following checklist for either transfer method:

- Compare your original inventory with the folders now visible on Windows or in the verified OneDrive account.
- Open several representative documents, including the most important files in each project folder.
- Open sample photos and videos in the Windows applications you expect to use.
- Check recent files, archived files, and folders with unusual names or nested subfolders.
- Confirm that files on any additional external volume or SD card were included.
- Check that the Windows laptop has enough free space for the local copies you intend to keep.
A copied file can still be unusable if the Windows application does not support its format or if the file depended on a Mac-only application. Test critical files early enough that you can return to the Mac while it is still available.
What does not transfer automatically
A file-copy method does not install Windows equivalents of Mac applications, transfer application licenses, recreate browser profiles, reproduce macOS settings, or move every account configuration. Make a separate setup list for:
- Applications that need Windows installers or new licenses
- Fonts, plug-ins, templates, and creative-app libraries
- Email accounts, calendars, password managers, and two-factor authentication devices
- Browser bookmarks, saved passwords, and extensions
- Printers, scanners, VPN profiles, and other peripherals
- Developer tools, virtual machines, databases, and software-specific workspaces
For file formats that matter to your work, install the intended Windows application and test an actual file from the transferred collection. The available guidance supports copying files, not automatic conversion of Mac-specific formats.

OneDrive says there is not enough space
Check the account’s actual available storage rather than assuming the free allowance will hold your library. Remove unnecessary transfer items, split the migration into a different storage plan, or use an external drive for the files that do not fit. Do not delete the Mac originals to make room until another verified copy exists.

Files appear on the Mac but not online
Confirm that the files are inside the OneDrive folder, check the sync status, and leave the Mac online until the upload completes. Refresh the OneDrive web view and search for the filename. If it still is not present, copy the item again and verify it online before setting up Windows.

The external drive is readable on the Mac but not on Windows
Do not format it immediately. First confirm the cable, adapter, and Windows connection, and check whether the drive mounts under a different letter in File Explorer. If the file system is not suitable for both systems, back up all existing contents elsewhere before considering a reformat to exFAT. Formatting erases the disk.
Windows reports a duplicate filename
Open both versions and compare their dates, sizes, and contents. Keep the newer or deliberately chosen version, and preserve the other in a clearly named archive until you are certain it is unnecessary. Avoid blanket replacement when a folder contains years of similarly named files.
A file copied successfully but will not open
Test the file with the Windows application designed for its format. If the format is tied to a Mac-only application, export or convert it on the Mac while the original remains available, then transfer the exported copy. The transfer route itself does not guarantee application compatibility.

When is it safe to clean up the Mac?
Only after you have checked the verified OneDrive copy or the Windows destination against your inventory and opened representative critical files. Keep the Mac powered off or unchanged during this review so you still have a reliable source if a folder is missing. Keep the external drive untouched as well if it is your only intermediary copy.
Once you are satisfied, sign out of personal accounts and erase the Mac only according to your privacy and resale plans. If you continue using OneDrive, remember that deleting items inside the synced folder is a synchronization action, not merely local cleanup. Preserve at least one independent copy of irreplaceable material before deleting duplicates.

- Microsoft: Move files to a new Windows PC using OneDrive
- Microsoft: Sync your computer’s files and folders with OneDrive
- Microsoft: Move files to a new Windows PC using an external storage device
- Microsoft: Move your files to a new Windows PC
- Apple: Format a disk for Windows computers in Disk Utility on Mac
The Bottom Line
Copy first, verify second, and erase the Mac last. OneDrive is convenient when your account has enough space; an exFAT-compatible external drive is the practical offline route. Neither method replaces Mac applications or settings, so test your important files and Windows software before retiring the old computer.
