The dependable way to move files from OneDrive to another cloud storage service is to copy them in controlled batches, upload the copies to the destination, verify representative files and folders, and only then remove the OneDrive originals. For a personal account, this normally means downloading from OneDrive, extracting the ZIP archive, and uploading or syncing the extracted folders. A Google Workspace administrator has a separate migration service for organizational moves.

Plan for storage, download limits, sharing differences and special file types before starting. Keep OneDrive intact until the destination has passed your checks.

Choose the transfer route before touching your files

Your account type, data volume and need to preserve collaboration features determine the safest method. There is no single consumer control that universally moves a OneDrive library directly into every other cloud service.

Situation Most suitable route What to expect
Personal OneDrive or a small library Download from OneDrive, then upload to the destination Uses local temporary storage; folder selections become ZIP archives.
Large collection with adequate local or external storage Several download and upload batches, or the destination’s desktop sync app Slower to stage, but easier to retry and verify than one very large transfer.
Work or school OneDrive moving into Google Workspace Administrator-led Google Workspace data migration Runs from the Admin console and has documented exclusions; it is not a consumer shortcut.
Insufficient local disk space Use smaller batches or temporary staging storage such as an external SSD A direct cloud-to-cloud service might avoid staging, but its support, privacy terms and preservation of permissions must be checked separately.

For a managed account, ask your IT administrator first. Files may belong to a department, be subject to retention rules, or be shared with people who must continue to access the material.

Prepare OneDrive and the destination

Confirm quota, formats and ownership

Check the destination’s available capacity, per-file limits, naming rules, supported formats and organization policies in its current help pages. A destination can reject a file even when OneDrive allowed it. Count the source data, including hidden or nested folders, and leave headroom for duplicate uploads during retries.

Decide whether you are copying or truly relocating. Copying leaves a recoverable source; relocating means deleting OneDrive only after validation. Treat the first pass as a copy operation. Do not cancel a subscription or empty the recycle bin while the destination is still unverified.

Inventory what must move

  • List the top-level folders and any files stored at the OneDrive root.
  • Identify shared folders, shortcuts, notebooks, encrypted files and files with information-rights or download restrictions.
  • Record folders that have external collaborators, public links, expiration dates or special ownership.
  • Mark very large files and uncommon formats for individual testing after upload.

A simple spreadsheet containing folder names, approximate counts and a verification status makes a large move auditable. Include the batch name and date so a failed upload can be repeated without creating confusion.

Make shared material downloadable

OneDrive’s documented web workflow does not download items directly from the Shared view. Open the item and use Save a copy, or have the owner place a copy in a folder you control, then include that copy in a normal download. A shared item can also have a policy that blocks downloading; an administrator or owner must resolve that restriction rather than attempting to bypass it.

Manual transfer: download, upload and verify

1. Select a manageable batch in OneDrive

Sign in to OneDrive on the web and open the folder containing the material. Select a folder or a group of files, choose Download, and let the browser finish creating the archive. Selecting multiple items produces one ZIP file, as described in Microsoft’s OneDrive download instructions.

Do not select an entire very large library just because the interface permits it. Smaller batches let you identify a failed download, keep browser sessions manageable and match destination quotas. Use stable names such as OneDrive-Batch-01-Projects.zip so you can trace each archive to its source folders.

2. Respect OneDrive download limits

Microsoft documents a 250 GB file-size limit for the relevant download and ZIP contexts, a maximum of 10,000 files for the download operation, and a 10,000-file limit in a folder. These are OneDrive limits for the documented workflow, not universal limits for every destination. The current figures and exceptions are listed in Microsoft Support’s download page.

OneNote notebooks and some encrypted or information-rights-managed files may not be included in a ZIP download. Check the resulting archive against your inventory and handle excluded items through the application or administrator workflow that owns them. If an archive fails, divide the selection again rather than repeatedly retrying the same oversized batch.

3. Extract without changing the hierarchy

When the ZIP finishes, extract it to a local folder with enough free space for both the archive and the uncompressed files. Keep the folders in their original hierarchy. Do not drag individual files out of nested folders unless you have deliberately mapped a new structure; flattening names can create collisions and makes later verification harder.

If local disk space is tight, extract one batch at a time and delete only the ZIP and extracted copy after the destination confirms receipt. An external SSD can provide temporary staging room, but it is an optional convenience rather than a OneDrive requirement. Use a reliable connection, eject the drive safely and keep at least one verified copy during the process.

4. Upload to the destination

There are two common upload paths:

  • Web upload: Open the destination’s web interface, choose its upload control, select the extracted folder or its contents, and wait for the browser to report completion.
  • Desktop sync folder: Install and sign in to the destination provider’s official sync application, then copy the extracted folders into its local sync directory. Leave the computer online until the client reports that synchronization is complete.

Upload controls, folder-upload support, file-size limits and conflict behavior vary by provider. If a destination cannot upload a folder in one action, recreate the top-level folders first and then upload their contents in batches. Do not rename files merely to satisfy an error until you understand the destination’s naming rule; record any intentional change.

5. Wait for cloud confirmation

A file appearing in a local sync folder is not proof that it has reached the provider. Watch the sync client for errors, paused states and unresolved conflicts, then open the destination’s web interface. For web uploads, keep the browser tab open until every item reports success and check for an error list before starting the next batch.

Temporarily pause unrelated edits to the same files. Editing during upload can produce a newer local version, a conflict copy or an incomplete transfer. For a large move, work in a documented migration window and tell collaborators which folders are read-only until verification ends.

6. Verify before deleting OneDrive originals

Verification should be deliberate rather than a quick glance. Compare the expected top-level folders, sample file counts and, where practical, total sizes. Open representative documents, photos, videos and large or unusual formats from the destination. Test a download from the destination to confirm that the file is usable outside the browser view.

  • Check at least one file from every batch and every important folder.
  • Include the largest file, a recently edited file and a format that is uncommon in your collection.
  • Confirm that names, extensions and nested paths are intact.
  • Inspect sharing and access settings and recreate them when necessary.
  • Record exceptions, failed files and the action taken to resolve each one.

Keep the OneDrive originals until these checks pass and any collaborators confirm access. Only then delete the source copies, and retain them in OneDrive’s recycle area for the period your account policy allows in case a mistake is discovered.

Limits that often change the plan

Several Microsoft numbers are easy to confuse because they describe different operations:

Limit or recommendation Applies to How to use it
250 GB Documented OneDrive file-size limit in the listed download or ZIP contexts Split selections and check the destination’s own per-file limit; it is not a universal cloud-transfer limit.
10,000 files Total files in the relevant OneDrive download operation Create multiple archives below the limit.
10,000 files Files in a folder for the documented download workflow Move subfolders separately if one folder exceeds the threshold.
2,500 files at one time Copying through the OneDrive website Do not confuse this website-copy figure with ZIP-download limits; use smaller copy operations.
300,000 items Microsoft’s recommendation for optimum sync performance Treat it as a performance guideline for synchronization, not a hard upload or download allowance.

The latter two figures and other service restrictions are summarized in Microsoft’s OneDrive and SharePoint limitations page. Destination quotas, blocked extensions, path-length rules and rate limits can impose stricter conditions.

Moving OneDrive to Google Drive in a work or school organization

Google Workspace provides an administrator-controlled data migration service that can copy content from OneDrive and other providers into Drive. Google describes the process as planning the Workspace setup, running the migration in the Admin console, then organizing files and setting destination access permissions. Its migration page states: "You can transfer a variety of files and formats, including content from Microsoft OneDrive, SharePoint Online and Dropbox." The statement refers to the business migration service, not a consumer Google account feature. See Google Workspace’s data migration documentation.

Plan an administrator-led migration

  1. Inventory users, OneDrive locations, shared material, ownership and retention requirements.
  2. Choose a migration window and communicate a temporary editing freeze for the folders being copied.
  3. Configure the migration in the Google Admin console using the organization’s administrator credentials and authorization requirements.
  4. Run a pilot with representative users and file types before the full job.
  5. Monitor errors and exclusions, then organize the resulting Drive folders and set destination permissions.
  6. Have users test access and document recovery procedures before retiring the OneDrive source.

Understand what the service may exclude

Google warns that some content cannot be migrated, including items with restricted permissions, files blocked from downloading, content created by external users outside the organization and OneDrive folder shortcuts. Therefore, an administrator migration is not a guaranteed byte-for-byte copy of every source item. Resolve exclusions with owners, export them through an approved application, or document why they remain in OneDrive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Avoid editing documents, folders or shared drives while the migration runs. Google notes that changing content or permissions during the process can cause errors and make versions harder to maintain. After completion, compare source inventories with destination results and review permissions before allowing normal editing.

What may not transfer exactly

Sharing links and permissions

A copied file is not necessarily the same collaboration object. OneDrive links, inherited permissions, guest access, expiration dates and organization policies may not have equivalents in the destination. Recreate access deliberately, using least privilege, and send new links to collaborators only after testing them in a private or pilot account.

Versions, comments and metadata

The manual download-and-upload route creates new destination objects. It should not be treated as proof that version history, comments, audit data, custom metadata, shortcuts or ownership records survived. Keep the original library until the business owner confirms which history is required. For critical records, export or archive history through the source application’s supported administrative tools before deleting anything.

Names, paths and special files

Destination systems can reject characters, reserved names, very long paths or file types that OneDrive accepts. Compare a sample of deeply nested paths and files with unusual extensions. If you must rename an item, preserve its extension, record the old and new names, and tell users who rely on links or scripts.

The ZIP is incomplete or will not open

Compare its contents with the selected folders and look for OneNote, encrypted or rights-managed items that are excluded from ZIP downloads. Re-download a smaller selection, allow the browser to finish, and use a current archive utility. Keep the failed archive until you know which files were missing so you do not lose an audit trail.

Upload errors or duplicate files appear

Read the destination’s error report for a blocked extension, quota shortage, path conflict or file-size violation. Fix one cause at a time, then retry only the failed subset. If the destination created conflict copies, compare modification dates and sizes before keeping one; never delete both until the source is still available.

Sync remains pending

Check the client’s account, network, quota and local-folder status. Large batches can take considerable time. Leave the computer awake and connected, pause other heavy transfers, and confirm completion in the provider’s web interface rather than relying on an icon alone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Users cannot open the new files

Test whether the problem is a missing permission, a file-format incompatibility or a damaged upload. Open the destination copy with the appropriate application, download it again, and compare its size with the source. Recreate sharing permissions on the destination instead of assuming the old OneDrive link will work.

Can files move without downloading them first?

A direct cloud-to-cloud transfer can reduce local staging, but the available services, supported OneDrive destinations, prices, privacy terms and authorization scope vary. The documented consumer workflow here does not establish one universally reliable tool, nor does it establish that such a service preserves OneDrive permissions or version history. Treat any third-party option as a separate due-diligence decision: verify its current provider support, data handling, cancellation process, encryption claims, account scopes and deletion behavior before granting access.

For a small or sensitive collection, the local download-and-upload method is easier to inspect because you control the files and can keep the source untouched. For an organizational move, use the administrator migration path when its exclusions and governance controls match your requirements.

Finish the move safely

  1. Run the final inventory comparison and resolve every recorded exception.
  2. Ask owners of shared folders to test destination access from their normal accounts.
  3. Save a migration log containing batch names, dates, failed items and permission changes.
  4. Keep OneDrive originals for an agreed retention period and confirm that backups or legal holds do not require them.
  5. Delete source data in stages, then monitor the destination for quota, sync and access errors.

This sequence gives you a recoverable path: the source remains available while the destination proves it can store, open and share the files your users actually need.
