The fastest reliable way to find your largest AI costs is to start with each provider’s own usage and cost reports, rank spending by model and project or workspace, then drill into users or API keys where those dimensions are available. If those reports cannot identify the product feature or team responsible, add a stable service, feature, or team identifier to your request telemetry and join it with provider exports or APIs.
Use token counts to understand workload volume, but use monetary cost reports to reconcile spending. Token totals and final billed amounts answer different questions, especially when a provider reports non-token charges or when an anomaly view is still an estimate.
What token usage tells you—and what it does not
A token report measures how much text-processing activity occurred. It can show usage by request, model, project, user, or time interval, depending on the provider. A cost report answers a different question: how much money the provider records for that activity and any other billable categories.
OpenAI documents individual response usage and aggregate usage reporting separately from its Costs API, which reports monetary amounts. Therefore, adding token totals and assuming they equal the final invoice is not a dependable reconciliation method. Use token data to diagnose volume and cost data to verify spend.

Anthropic’s reporting illustrates why the distinction matters. Its documented cost categories include token usage, web search, and code execution. A team can therefore have relatively stable token volume while total spend changes because a non-token category changes.
- Token usage: useful for workload volume, throughput, and model-level comparisons.
- Cost: the value to use when ranking what consumed the budget and reconciling a bill.
- Request count: a workload signal, but not a cost ranking; requests can vary substantially in token volume and model selection.
- Early anomaly estimates: useful for detecting a change quickly, but not a substitute for finalized billing data.
Prepare a measurement plan before opening a dashboard
Use one date range and one time-zone convention
Choose a reporting period before comparing systems and record the time zone alongside every export. OpenAI’s Usage Dashboard displays data in UTC. If application logs are stored in local time, convert them to UTC before joining records or daily totals. A one-day shift can make a correct report appear inconsistent.
Inventory every organization, project, workspace, and billing account
List the provider accounts that can generate charges, including separate organizations or cloud projects. OpenAI explicitly states that its Usage Dashboard does not combine cost or usage data across organizations. A report from one organization is therefore not a complete company total unless you collect the other organizations separately.

Confirm access before designing a report
Access differs by provider and role. OpenAI’s dashboard is available to organization owners or users with the relevant dashboard permission. Anthropic’s console usage and cost reporting is visible to Developer, Billing, and Admin roles. Anthropic’s Usage & Cost Admin API requires an Admin API credential or another eligible organization-level credential.
Decide what “owner” means in your organization
Provider dimensions rarely match an internal product taxonomy. Model, project, workspace, user, and API key are useful starting points, but a feature can span several projects and a shared key can serve several teams. Decide whether the report must answer “which project spent the most?” or the more specific question “which product feature caused the spend?” The second question generally requires application telemetry.
How to check token usage and costs in OpenAI
Use the Usage Dashboard for activity and token detail
- Open the organization’s Usage Dashboard.
- Select a consistent UTC date range.
- Review API activity and usage details, then export the data if you need to combine it with internal records.
- Use the shortest interval that answers the question. OpenAI documents one-minute intervals for usage views, which can expose tokens per minute.
- Keep the interval label in your report: the one-minute view describes usage, not billing.
The dashboard is useful for finding spikes, comparing periods, and checking whether a deployment changed token volume. It should not be treated as a consolidated, cross-organization ledger.
Use the Usage and Costs APIs for grouped analysis
For repeatable reporting, OpenAI documents a Costs API and usage APIs. The documented cost groupings include model, project, user, and API key. Start with model and project to find the largest broad categories, then use user or API key to investigate ownership where those fields are populated.

OpenAI’s cookbook describes custom usage and cost monitoring. Custom reporting is helpful when you need scheduled exports, a company-specific dashboard, or joins with deployment metadata, but the cookbook also notes that the default dashboards are sufficient for many users. Build a custom pipeline only when the built-in views leave an important attribution question unanswered.
Interpret OpenAI dimensions correctly
| Dimension | Question it answers | Typical next step |
|---|---|---|
| Model | Which model generated the largest recorded cost? | Check whether a feature is using a more expensive model than intended. |
| Project | Which project owns the spend? | Map the project to a product or team in your internal inventory. |
| User | Which individual account generated usage, where supported? | Investigate unusual activity or confirm an owner. |
| API key | Which credential generated the usage, where supported? | Map the key to a service and replace ambiguous shared-key practices. |
Reconcile with the cost view, not token arithmetic
Use the Costs API or the provider’s cost reporting path for monetary reconciliation. Treat the Usage Dashboard’s token and usage intervals as operational evidence about volume. Keep both datasets in the same report so a reviewer can see why a cost changed without mistaking a token total for an invoice amount.
How to monitor Anthropic usage and cost
Use the Claude Console for a quick monthly view
- Open the Claude Console usage and cost report.
- Select the workspace, model, and month you want to inspect.
- Rank the displayed costs by workspace and model.
- Export the cost data as CSV when you need to archive it or combine it with a finance workbook.
The console currently reports by workspace, model, and month. It does not provide an individual-user cost breakdown. If a workspace contains several teams, you need an internal mapping from workspace activity to a more specific owner.
Anthropic documents console visibility for Developer, Billing, and Admin roles. If a qualified user cannot see the report, check the role before assuming that the data is missing.
Use the Usage & Cost Admin API for historical and automated reporting
Anthropic’s Usage & Cost Admin API is intended for historical organization data, reconciliation, analysis, and alerting. It supports daily time buckets and reports cost categories that include tokens, web search, and code execution. The documentation describes grouping by workspace or description rather than an individual user field.
- Use an Admin API credential or another eligible organization-level credential.
- Keep the daily bucket and month boundaries explicit in your warehouse.
- Separate token, web-search, and code-execution categories before ranking totals.
- For Claude Enterprise, use the documented Analytics API path instead of assuming the standard organization API applies.
- Do not plan on these programmatic endpoints for Claude Platform on AWS; Anthropic documents them as not currently available there.
Know the user-attribution limitation
Because the console does not currently show individual-user cost, a question such as “which employee caused the increase?” cannot be answered from that view alone. Use workspace and model data for provider-level analysis, then add application-level ownership fields if the business needs user, team, or feature attribution.
How to check Gemini usage and Google Cloud model activity
Check Gemini API usage in Google AI Studio
- Open Google AI Studio.
- Go to Dashboard > Usage.
- Review the project or account usage for the selected period.
- Record which billing plan and account the view represents before comparing it with finance data.
Google documents that Prepay and Postpay billing plans began taking effect on March 23, 2026. Rollout and account assignment may vary, so check the live billing page for the account instead of assuming that every account has the same plan treatment.

Analyze supported third-party models with Google Cloud logging
For supported third-party model activity on Google Cloud, the documented approach is to use Cloud Logging and Observability Analytics to calculate token consumption by model, day, and user. This requires a project linked to an invoiced Cloud Billing account that receives an active monthly invoice. Projects without that billing relationship do not meet the stated requirement for this analysis path.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Logging can answer a user-level question that a provider console may not expose, but it is still a token-consumption analysis. Join the result with the applicable billing records when you need a monetary total.
Use Billing Anomalies as an early warning
Google Cloud Billing Anomalies can monitor project and linked-billing-account changes, including early anomalies for AI workloads such as the Gemini API and Vertex AI. Google describes early AI anomalies as near-real-time estimates made before finalized billing. Use them to investigate a change while it is happening, then confirm the amount against final cost data.
A repeatable workflow for finding the biggest cost sources
1. Establish the reporting boundary
Write down the providers, organizations, cloud projects, workspaces, date range, currency, and time zone included. If separate organizations are excluded, label the result as partial rather than presenting it as a company-wide total.
2. Collect provider-native cost data first
Export or query each provider’s monetary cost report. Keep the provider, account, reporting period, and export timestamp with the data. This creates the reconciliation layer that token-only monitoring cannot provide.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches3. Rank by cost, not by request count
Sort models and projects or workspaces by recorded cost. Request count can identify a busy service, but it does not identify the most expensive service when requests differ in size, model, or billable features.
4. Drill into the dimensions the provider exposes
For OpenAI, continue from model and project to user and API key where available. For Anthropic, continue from workspace and model to the cost categories and descriptions available in the console or Admin API. For Google Cloud logging, inspect model, day, and user when the project meets the invoiced-account requirement.

5. Add an internal attribution field when provider dimensions stop
Record a stable identifier such as service_id, feature_id, or team_id with every AI request. This is an operational recommendation inferred from the provider dimensions: the documented systems offer useful groupings, but they do not establish a universal cross-provider attribution standard.
6. Join telemetry to provider data
Use a request or trace identifier, provider request identifier when available, model, timestamp, project or workspace, and internal owner fields to connect application events with provider exports. Preserve the original provider cost record so a later adjustment can be traced back to the source.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
7. Reconcile and label estimates
Compare the total in your internal report with the provider’s cost report or billing record. Mark anomaly estimates and operational projections as preliminary. Do not close a financial period using an early estimate when finalized billing is available.
Designing useful request telemetry
A minimal event should identify the business owner without storing more user data than the organization needs. An illustrative event shape is:
{
"timestamp_utc": "2026-10-17T12:34:56Z",
"provider": "provider-name",
"account_id": "account-identifier",
"project_or_workspace": "project-identifier",
"model": "model-identifier",
"service_id": "checkout-service",
"feature_id": "order-summary",
"team_id": "commerce-ai",
"provider_request_id": "request-identifier",
"input_tokens": 0,
"output_tokens": 0
}
The field names are an internal example, not a provider-standard schema. Keep identifiers stable over time; changing a feature name every release makes trend analysis unreliable. Store token fields when the provider returns them, but do not calculate final cost from those fields unless the provider’s billing rules and cost data support that calculation.
Provider capability comparison
| Provider or tool | What to inspect | Useful dimensions | Limits and requirements |
|---|---|---|---|
| OpenAI Usage Dashboard | API activity, usage details, exports, and token-per-minute views. | Organization, project, supported user views, and response usage. | Data is shown in UTC; one-minute intervals apply to usage, not billing; separate organizations are not combined; access requires the appropriate owner or dashboard permission. |
| OpenAI Usage and Costs APIs | Custom usage and monetary reporting. | Model, project, user, and API key cost groupings. | Custom reporting requires implementation work; default dashboards may be enough for many users. |
| Anthropic Claude Console | Usage and cost report with CSV export. | Workspace, model, and month. | No individual-user cost view; visibility is documented for Developer, Billing, and Admin roles. |
| Anthropic Usage & Cost Admin API | Historical organization usage and cost data. | Workspace or description, daily buckets, token usage, web search, and code execution. | Requires an eligible Admin-level credential; Enterprise uses its Analytics API; not currently available programmatically for Claude Platform on AWS. |
| Google AI Studio | Gemini API usage at Dashboard > Usage. | Project or account usage. | Prepay and Postpay changes began March 23, 2026; account rollout and assignment can vary. |
| Google Cloud Logging and Observability Analytics | Token consumption for supported third-party model logs. | Model, day, and user. | Requires a project linked to an invoiced Cloud Billing account with an active monthly invoice. |
| Google Cloud Billing Anomalies | Early and finalized cost-change signals. | Project and linked billing account. | Early AI anomalies are near-real-time estimates before finalized billing. |
Common monitoring mistakes and fixes
Mistake: treating tokens as the invoice
Fix: keep token usage and monetary cost as separate measures. Use the cost report for reconciliation and token data for operational diagnosis.
Mistake: ranking by request volume
Fix: rank by provider-recorded cost first, then use request count and token totals to explain why a category is expensive.

Mistake: comparing local dates with UTC data
Fix: convert application events to UTC before comparing them with OpenAI dashboard data, and store the timezone in every report.
Mistake: assuming one dashboard covers every account
Fix: inventory organizations and projects. OpenAI’s dashboard does not combine organizations, and Google Cloud analyses are scoped to eligible projects and billing accounts.
Mistake: expecting every provider to expose user-level cost
Fix: check the documented dimensions first. OpenAI documents user and API-key cost groupings; Anthropic’s console does not currently provide individual-user cost. Add internal service or team identifiers when provider dimensions are insufficient.
Mistake: treating anomaly alerts as final charges
Fix: use early alerts to trigger investigation, then reconcile with finalized provider cost data.
Mistake: overlooking non-token categories
Fix: keep categories such as web search and code execution separate when the provider reports them, rather than attributing the entire amount to tokens.
Choosing between built-in reports and custom monitoring
| Need | Best starting point | Why |
|---|---|---|
| Check whether usage spiked today | Provider dashboard or anomaly view | Fast operational feedback with little implementation work. |
| Find the most expensive model or project | Provider cost report grouped by model and project or workspace | Uses provider-recorded monetary values. |
| Attribute spend to a user or credential | Provider dimensions where supported | OpenAI documents user and API-key groupings; availability is provider-specific. |
| Attribute spend to a product feature or team across providers | Internal telemetry joined to provider exports or APIs | Provider-native dimensions do not form a universal cross-provider ownership standard. |
| Automate historical reconciliation | Usage and cost APIs plus a warehouse | Supports scheduled collection, normalization, and audit trails. |
| Catch an emerging increase before the invoice closes | Anomaly monitoring | Useful as an early signal, provided the result is labeled an estimate until billing is final. |
Set an operating cadence
Use a short operational loop and a slower financial loop. Review usage and anomaly signals frequently enough to catch an unexpected change, rank model and project or workspace costs on a regular schedule, and perform a final reconciliation against provider billing records at the end of the billing period. Keep the same dimensions and timezone from one period to the next so trends are comparable.
When a report identifies a costly model, project, workspace, user, or key, investigate the associated service and feature telemetry before changing configuration. A high-cost category may reflect intentional product demand, a legitimate model migration, or an attribution gap rather than waste.
