Give each person the least powerful WordPress role that still lets them complete their work. On a single site, that usually means Administrator for the technical owner, Editor for a content lead, Author for a writer who publishes only their own work, Contributor for a writer whose drafts require review, and Subscriber for profile-only access. In WordPress Multisite, reserve Super Admin for people who genuinely need to control the entire network.
WordPress roles are bundles of capabilities. Capabilities are the individual permissions that WordPress and plugins check, such as writing posts, publishing, moderating comments, managing themes, or managing users. Understanding that distinction lets you grant useful access without handing out unnecessary control.

A role is a named group of permissions. A capability is one specific permission inside that group. When you assign a role, WordPress gives the account the capabilities attached to that role. A user can therefore gain or lose access when their role changes, without changing the account itself.
The WordPress.org documentation describes the purpose this way: “A site owner can manage the user access to such tasks as writing and editing posts, creating Pages, creating categories, moderating comments, managing plugins, managing themes, and managing other users, by assigning a specific role to each of the users.”

This model matters for teams because a person may need to write but not publish, publish but not change settings, or manage content across authors without touching plugins. WordPress and well-designed plugins should check the current user’s capabilities before allowing a protected action. A role is a convenient starting point; the capability list is what ultimately determines what the account can do.
WordPress roles compared
WordPress provides six predefined roles. The table shows the practical boundary for each role; “site” means one WordPress site, while “network” applies to the whole Multisite installation.
| Role | Can publish? | Can edit other users’ content? | Settings, plugins, themes, and user administration | Scope |
|---|---|---|---|---|
| Super Admin | Yes, on sites where the account is assigned access | Yes | Network-level control, including sites, network users, themes, plugins, and network options | Entire Multisite network |
| Administrator | Yes | Yes | Broad administration of one site, including site settings and the administrative areas available to that site | One site |
| Editor | Yes | Yes, for other users’ posts and pages | Content-management authority; not the normal role for plugins, themes, or site-wide technical administration | One site |
| Author | Yes | No; manages their own posts | No broad site administration | One site |
| Contributor | No | No; writes and manages their own drafts | No broad site administration | One site |
| Subscriber | No | No | Can manage their own profile only | One site |
The exact capabilities can be changed by plugins or custom code, so treat the built-in definitions as the baseline. Check the actual account on a staging site before relying on a customized permission set.
What each built-in role is designed to do
Super Admin: the Multisite network operator
Super Admin is the network-level role in WordPress Multisite. It is intended for a small group responsible for the infrastructure shared by all sites. Super Admin capabilities include creating and deleting sites, managing network users, controlling network themes and plugins, and changing network options.
Do not use Super Admin as a convenient synonym for “experienced user.” A person who only publishes for one site does not need the ability to alter every site in the network. Explain the network boundary before assigning this role, and keep the number of Super Administrators as small as practical.
Administrator: technical owner of one site
An Administrator has broad control over a single WordPress site. This is the normal role for the site owner or technical operator on a standalone installation. It is also the role for a person who must manage site settings, users, themes, plugins, and content in that one site.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsOn Multisite, a site Administrator is not automatically a Super Admin. The account can administer its assigned site while lacking network capabilities. That separation is intentional: it prevents routine site work from becoming network-wide infrastructure access.

Editor: content lead and publishing gatekeeper
An Editor can publish and manage other users’ posts and pages. This makes the role suitable for a managing editor, content lead, or newsroom coordinator who reviews drafts, corrects copy, schedules work, and keeps the publication pipeline moving.
Editor is powerful for content but is not a substitute for Administrator. If the person does not need to install plugins, change themes, manage users, or alter site configuration, keep those technical capabilities out of the assignment.
Author: independent staff writer
An Author can publish and manage their own posts. Assign this role when a writer is trusted to take an article from draft through publication but should not edit another writer’s work or administer the site.
Author works well for a stable staff member with a defined publishing beat. If the writer’s work always requires an editor’s approval, Contributor is a safer starting point.
Contributor: writer whose work is reviewed
A Contributor can write and manage their own posts but cannot publish them. Use this role for freelancers, guest writers, interns, or subject-matter experts whose drafts must be checked and published by an Editor or Administrator.
Set expectations explicitly: the Contributor can prepare the draft, but a separate publishing role must approve and release it. If the person later needs to publish only their own work, promote the account to Author rather than granting a broad administrative role.
Subscriber: profile-only access
A Subscriber can manage their own profile and has no normal content or site-administration responsibilities. This role fits a membership or comment workflow when an account is needed for identity or profile management but not for writing or publishing.

Match a team member to the smallest suitable role
Start with the work, not the person’s seniority or technical confidence. List the actions the account must perform and choose the narrowest built-in role that covers them.
| Team task | Starting role | Reason | When to change it |
|---|---|---|---|
| Own site settings, users, plugins, themes, and content | Administrator | Requires broad control of one site | Use Super Admin only if the same work spans the entire Multisite network |
| Review, edit, and publish everyone’s content | Editor | Manages other users’ posts and pages | Consider a custom role if the editor must not receive a particular content capability |
| Publish only the writer’s own articles | Author | Publishes and manages that author’s work | Move to Contributor if every article needs approval |
| Submit drafts for editorial approval | Contributor | Can write and manage drafts but cannot publish | Move to Author only when self-publishing is an explicit requirement |
| Maintain a profile without content access | Subscriber | Profile management is the required task | Choose a content role only if the person gains a defined writing responsibility |
Keep plugin, theme, user-management, and network permissions with a small trusted group. Convenience is not a reason to make a writer an Administrator: privileged accounts can change settings, add code through extensions, alter other users, or otherwise damage or compromise a site.
How to add and change team access safely
Use this workflow whenever you onboard a person, change their duties, or move an account between sites.
- List the required tasks. Write down whether the person must draft posts, publish their own work, edit other users’ posts, create Pages, create categories, moderate comments, upload media, manage users, or administer plugins and themes. Include the site or sites involved.
- Choose the closest built-in role. In the WordPress dashboard, open Users > Add New for a new account or Users > All Users to edit an existing account. Select the role that covers the listed tasks without adding unrelated authority.
- Set access on the correct site. In a Multisite installation, confirm whether the account is being added to one site or being granted a network role. A site Administrator does not gain Super Admin capabilities merely by being an administrator on that site.
- Test the real workflow. Use a staging site or a restricted test account. Have the person perform the exact sequence they need: create a draft, upload required media, submit or publish it, edit an existing item if applicable, and handle comments if that is part of the job. Also verify that settings, plugin, theme, and user screens remain unavailable when they should be.
- Add only missing capabilities. If the built-in role is nearly right, identify the single blocked task instead of jumping to Administrator. Record the capability added, the job it supports, who approved it, and which site it affects.
- Document the assignment. Keep a simple access register containing the person, role, sites, custom capabilities, approver, date granted, and review date. Documentation prevents informal privilege creep and makes handovers possible.
- Review and remove access. Recheck accounts when someone changes jobs, stops contributing, or leaves the team. Remove unused accounts or reduce their roles promptly; do not leave former staff with publishing or administrative access.
Tell each user what their role means. A Contributor should know that an editor must publish the draft. A site Administrator on Multisite should know that network settings are outside their authority. Clear boundaries reduce accidental requests for excessive access.
When a custom role or capability is appropriate
Use a custom role when a built-in role is too broad
Built-in roles cover common workflows, but a specialized team may need a narrower combination. For example, a person might need to perform a particular content task without receiving every capability bundled into Editor, or might need a carefully limited administrative function without becoming Administrator.
The WordPress Plugin Handbook documents creating roles and adding or removing capabilities. Treat that configuration as a controlled change, not a quick fix made directly on a production site. Test the role, record its purpose, and verify how plugins interpret the capabilities it receives.
Design the permission around a job
Give the custom role a plain-language name and a written purpose such as “review submitted articles” or “manage comments for the support site.” List every capability, the task it enables, the sites where it applies, and the person who approved it. Revisit the list when the job changes.

Code that protects an action should check the current user’s capabilities rather than relying only on a role name. Capability checks remain meaningful if a role is renamed or if a second role later needs the same permission.

The core documentation warns that edit_theme_options can expose broader theme-related administration in addition to Site Editor access. Do not add it merely because someone needs to edit a page layout. Confirm exactly which screens and settings become available in the current WordPress version and theme, then test with a non-administrator account.
Protect the built-in roles
Do not delete the built-in Administrator or Super Admin roles. If a custom role is needed, create a separate role and document it. Retaining the standard roles preserves a known recovery path and makes future access audits easier.
What changes in WordPress Multisite
Multisite separates network administration from administration of an individual site. This is the distinction that causes the most serious access mistakes.
| Area | Site Administrator | Super Admin |
|---|---|---|
| Content and settings for one site | Can administer the assigned site | Can administer sites within the network |
| Create or delete sites | No network authority by default | Yes |
| Manage network users | No network authority by default | Yes |
| Control network themes and plugins | No network authority by default | Yes |
| Change network options | No network authority by default | Yes |
Assign Super Admin only when the person’s responsibilities include network infrastructure. A content lead for one site should normally receive Editor on that site, even if the installation contains dozens of other sites. A network operator may be Super Admin and still need a separate, ordinary account for routine content work so daily publishing is not performed with maximum privilege.
Before granting a network role, explain that a change to users, plugins, themes, or options can affect every site. Test site-level workflows with site roles, and reserve network changes for the small group responsible for the installation as a whole.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Team-access practices that prevent privilege creep
Separate content work from infrastructure work
Most publishing tasks belong to Editor, Author, or Contributor. Plugin installation, theme changes, user administration, and network options belong to a much smaller technical group. Keeping these responsibilities separate limits the number of accounts that can alter code, settings, or the access of other people.

Use staging for permission changes
A staging or restricted environment lets you test both success and failure. Confirm that the intended action works, then deliberately try an action the account should not perform. For example, test a Contributor’s draft submission and verify that the publish control is unavailable; test an Editor’s content workflow and verify that unrelated technical screens remain restricted.
Review access at role-change events
Do not wait for an annual audit if someone changes jobs. A writer promoted to content lead may need Editor, while a departing contractor may need immediate removal. Review every site membership in Multisite, not only the person’s primary site.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Keep an approval trail
Record who requested the access, what task required it, who approved it, when it should be reviewed, and whether a custom capability was added. This makes unusual permissions explainable and gives the next administrator enough information to remove obsolete access confidently.
Troubleshooting role and access problems
| Symptom | Likely cause | Action |
|---|---|---|
| The user can draft but cannot publish | The account is a Contributor, or a plugin has removed a publishing capability | Confirm the role and test the workflow on staging. Promote to Author only if self-publishing their own work is required. |
| The writer can see other authors’ posts | The account has Editor-level content capabilities or a custom role that includes them | Return to Author or Contributor, or remove the specific cross-author capability from the custom role. |
| The user cannot edit a page or post they should manage | The selected role does not include the required capability, or a plugin is restricting it | Identify the exact blocked action, test the closest built-in role, and add only the missing capability if a custom role is justified. |
| A site Administrator cannot change network settings | This is the expected Multisite boundary | Use a Super Admin only for a person who is responsible for network-wide administration. |
| A custom role exposes unexpected theme screens | The role includes edit_theme_options or another broad theme-related capability |
Remove the capability unless the broader access is explicitly required, then retest the account. |
| An account still appears after a person leaves | Access was not revoked across every site | Review the account in Users > All Users, remove site memberships or delete the account according to your retention policy, and check Multisite assignments. |
| A plugin behaves differently for two users with the same role | The plugin may add, remove, or interpret capabilities independently | Compare the effective capabilities, test in a restricted environment, and consult the plugin’s documentation before broadening the role. |
A practical access policy for a small WordPress team
For a typical single-site publication, begin with one or two Administrators who handle technical operations, Editors who coordinate publishing, Authors who self-publish their own work, and Contributors whose drafts require review. Use Subscribers only where profile access is genuinely needed. Keep the Administrator group small even when the team is friendly; the role’s power is technical, not social.
For an agency or Multisite network, assign content roles separately on each site and reserve Super Admin for the network operator. A freelancer working on one client site should not receive network access simply because the sites share an installation. If a recurring specialist task does not fit a built-in role, create a documented custom role instead of granting Administrator everywhere.
The reliable sequence is consistent: define the task, select the least powerful built-in role, test it, add only a documented missing capability, and review the account when the task ends. This keeps WordPress access understandable for the people who use it and controllable for the people who secure it.
