Start by identifying the file format and storage location. Microsoft documents a manual sensitivity-label workflow for MP4 files stored in SharePoint or OneDrive after an administrator enables video-file labeling. That procedure does not automatically extend to standalone MP3 or WAV files. Treat the label as a classification and protection control that must be applied, inherited, and audited through a supported workflow—not as metadata that every AI audio tool carries forward automatically.
Decide which workflow applies to your audio file
“AI-generated audio” can mean several different artifacts. An audio track may be delivered in an MP4 container, while other tools export MP3 or WAV. The same extension does not guarantee the same Microsoft 365 labeling behavior. Record the format, the storage service, and whether users must download or redistribute the file before choosing a label.

This distinction prevents a common design error: enabling a feature for MP4 and then telling users that every generated audio file is protected in the same way.
Prepare the tenant for MP4 labeling
Confirm that SharePoint and OneDrive labeling is enabled
An administrator must enable sensitivity labels for files in SharePoint and OneDrive and review the tenant’s supported file types and label configurations. The MP4 path depends on the SharePoint Online tenant setting named EnableSensitivityLabelForVideoFiles. Enable the setting through the SharePoint Online administration tools used by your organization, then allow for tenant rollout before testing.

Do not assume that enabling the setting changes existing files immediately or that every tenant receives the behavior at the same time. Microsoft notes that the setting and related behavior can roll out by tenant. Verify the effective state in the tenant where the files actually reside.
Handle Multi-Geo tenants deliberately
In a Multi-Geo organization, Microsoft instructs administrators to connect to each geo-location and run the video-file setting separately. A setting applied only to the central location does not establish support in every satellite geo. Keep a record of each geo where the feature is enabled and test a file in each location that will host generated audio.
Check the label configuration before enabling encryption
Review which labels classify content only and which labels apply encryption or usage rights. Encryption changes how users and applications can open, extract, play, and move the file. A label that is appropriate for an internal recording may be unsuitable for a production workflow that requires downloading an MP4 for editing or delivery.
Apply a sensitivity label to an AI-generated MP4
Microsoft’s documented route is manual labeling. It is not an automatic or default-label workflow.

- Save the generated file as MP4 in a supported SharePoint or OneDrive location. Confirm that the item is an MP4 container, not an MP3 or WAV with a renamed extension.
- Open the file’s details experience. In the SharePoint library or OneDrive file list, select the MP4 and open its details or information pane.
- Choose the sensitivity-label control. Select the organization-approved label that matches the audio’s classification and intended audience.
- Apply and wait for processing to complete. Keep the file in the service while the label is applied; do not assume that a browser display alone proves that protection is active.
- Validate the result with a test account. Check that an authorized user can open and play the file, while an unauthorized account is denied according to the label policy.
- Test every required movement operation. If the workflow needs download, editing, conversion, or hand-off to another system, perform those actions before adopting an encrypted label for production files.
Microsoft’s concise rule is: “MP4 files support manually applying sensitivity labels, but can’t be labeled automatically or by default.” Build a human review step, an approved upload location, or an application-side control around that limitation rather than promising silent protection.
Understand the encrypted-MP4 download limitation
Microsoft states that encrypted labeled MP4 files cannot be downloaded from SharePoint or OneDrive. This is a functional limitation, not merely a user-interface detail. A user may be able to open or play the protected item in the service while being unable to obtain a local copy.
When encryption may fit
- The audience can consume the recording inside SharePoint or OneDrive.
- Preventing local copies is an explicit security requirement.
- Editors and downstream systems do not need to download the file.
When to reconsider the label
- A post-production team must download the MP4 into an editing application.
- A media pipeline converts the file outside Microsoft 365.
- A customer, contractor, or external service needs a downloadable copy.
If downloading is essential, test a classification-only label or a different approved distribution design with your compliance team. Do not remove encryption casually; document the business requirement and verify that the alternative still meets your organization’s policy.

The documented SharePoint and OneDrive automatic-labeling guidance lists Office formats and PDF. The documented DLP sensitivity-label condition guidance likewise lists Office formats and PDF for the relevant workloads. Those documents do not establish content-based automatic labeling or a complete service-side sensitivity-label workflow for standalone MP3 or WAV files.

That is a scope boundary, not proof that no Microsoft or third-party method could ever attach metadata or protection to an MP3 or WAV. It means you should not publish or implement an MP4 procedure as if it covered these formats.
Use this verification checklist
- Which Microsoft 365 service stores the file?
- Which client or application applies the label?
- Does the method classify the item, encrypt it, or both?
- Does protection survive download, copying, conversion, and movement to another service?
- Can Copilot and other approved AI applications read the protected format?
- Can Purview audit the labeling event and later access?
- Is the method supported in every geo and tenant configuration where the workflow will run?
Until those questions have documented answers for your exact tenant, treat MP3 and WAV labeling as an unresolved, format-specific design problem. Keep the files in a controlled location, restrict access through ordinary permissions, and avoid claiming that a sensitivity label follows the audio automatically.
Check Copilot access to labeled source content
Sensitivity labels do not bypass normal Microsoft 365 permissions. Copilot evaluates the user’s existing access to a source item. If a label applies encryption, Microsoft says the requesting user needs both VIEW and EXTRACT usage rights for supported AI applications to return the protected content.
Why VIEW and EXTRACT are separate
VIEW permits the user to open or consume the protected item. EXTRACT controls whether an approved application may retrieve content from it for another operation, such as grounding a response or creating new content. A user who can play a recording may still receive no Copilot result if EXTRACT is not granted.

Test rights with the actual scenario
- Use a test label that matches the production encryption and rights configuration.
- Assign a test user the same Microsoft 365 access and label rights as the intended audience.
- Ask the supported Copilot experience to use the labeled source.
- Record whether the source is returned, ignored, or rejected, and capture the permission or rights condition that explains the result.
- Repeat with a user who lacks VIEW or EXTRACT to confirm that the denial is intentional.
Do not interpret a successful response from one Copilot experience as proof that every AI application, file format, or creation scenario has the same support.

Microsoft documents label inheritance for certain Copilot content-generation scenarios. The behavior is app- and scenario-dependent, so it should not be generalized to every AI-generated audio output or to third-party audio tools.
Documented Microsoft 365 examples
Microsoft describes inheritance examples in Word, PowerPoint, and Outlook. Where inheritance is supported and multiple labeled sources are involved, the highest-priority source label is used. The exact result can also depend on configuration, the creation experience, and whether the user has defined permissions in that scenario.
What inheritance does not mean
- A labeled Team, Microsoft 365 Group, or SharePoint site does not automatically label every item created inside it.
- A label on a source file does not guarantee that a separately exported MP3, WAV, or MP4 receives the same label.
- A third-party audio generator is not covered merely because its output is uploaded to Microsoft 365.
- Inheritance does not grant access that the user did not already have.
For an audio workflow, identify the exact Copilot application, source type, output type, and storage destination. Verify inheritance with a controlled test instead of relying on the label displayed on the source item.

Audit the AI interaction as well as the audio artifact
Labeling the final file answers only one question: how is the artifact classified or protected? Administrators should also review how the AI system used protected information to create it.
What Purview activity views can show
Microsoft Purview Audit and activity-explorer experiences can provide events for AI interactions, including prompts and responses, the services involved, references to Microsoft 365 files, and labels associated with those referenced files. Use the views available in your tenant and follow your organization’s audit permissions and retention configuration.
Suggested review procedure
- Identify the user, Copilot experience, date, and output file.
- Search the relevant audit or activity-explorer view for the interaction.
- Review the prompt and response events, referenced files, and associated labels.
- Confirm that the source files were ones the user was authorized to use.
- Compare the recorded source label with the label on the generated artifact.
- Escalate mismatches, unexpected references, or missing events according to your incident and compliance procedures.
Audit records are evidence for governance and investigation; they do not replace access controls or the file-labeling process.

The label control is missing for an MP4
- Confirm that the item is stored in SharePoint or OneDrive and is recognized as MP4.
- Verify that the administrator enabled
EnableSensitivityLabelForVideoFilesin the geo that hosts the file. - Check whether tenant rollout is complete.
- Review supported label configurations and confirm that the user has permission to label the item.
An MP4 label appears, but the file cannot be downloaded
Check whether the selected label applies encryption. Microsoft documents that encrypted labeled MP4 files cannot be downloaded. Test playback and in-service access, then choose a workflow and label whose controls match the delivery requirement.
Copilot cannot use the labeled source
- Confirm the user has ordinary access to the source item.
- For encrypted labels, verify both VIEW and EXTRACT rights for the supported AI application.
- Check whether the Copilot scenario supports the source format and the requested operation.
- Look for user-defined permissions or configuration that prevent access or inheritance.
An MP3 or WAV file was expected to auto-label
The documented automatic-labeling and DLP file lists do not establish that behavior for standalone audio formats. Stop treating the file as covered, identify a supported method for the exact service and client, and obtain tenant-specific confirmation before relying on it.
A labeled site was expected to label every generated file
Container labels are not automatically inherited by items in Teams, Microsoft 365 Groups, or SharePoint sites. Apply and verify item-level labeling through a supported workflow.
Operational checklist for administrators
- Record the output format: MP4, MP3, WAV, or another type.
- Record the storage location and geo.
- Enable and verify SharePoint and OneDrive video-file labeling before handling MP4.
- Use manual labeling for MP4; do not promise automatic or default labels.
- Warn editors and downstream systems about the encrypted-MP4 download restriction.
- Do not extend MP4 guidance to MP3 or WAV without a documented, tested method.
- Test Copilot with the real source label, user permissions, and application scenario.
- Grant VIEW and EXTRACT only when the protected source is intended for that AI use.
- Check whether a supported Copilot scenario inherits a source label; never assume inheritance for exported audio.
- Review Purview records for prompts, responses, services, referenced files, and associated labels.
- Re-test after tenant, geo, label-policy, or Copilot configuration changes.
Recommended decision path
For an AI-generated MP4 that remains in SharePoint or OneDrive, enable the video-label feature, apply the approved label manually, and test playback, permissions, and download requirements. For a standalone MP3 or WAV, do not claim that Microsoft’s documented MP4 or automatic-labeling workflow applies; verify a method for the exact format, service, client, and protection requirements first. In both cases, evaluate Copilot rights separately and use Purview to audit the AI interaction as well as the resulting file.
