Manage an LLM context window as a finite, tokenized working set—not as a guarantee that every included sentence will be noticed. Start by identifying the facts, constraints, decisions, and exact wording that must survive. Count the full request, remove duplicated or stale material, then choose the smallest strategy that still supplies the evidence the task needs: a curated prompt, retrieval, filtering, summarization, or provider-managed compaction.
After every compression step, test the result. Ask the model to restate non-negotiable requirements and check that restatement against your source notes. This combination of selection, explicit preservation, and verification is more dependable than simply buying a model with a larger advertised window.
What a context window is—and why more tokens do not guarantee better memory
A context window is the maximum amount of tokenized input a model can process for a request or conversation, subject to the provider and model’s rules. It can include system instructions, developer messages, tool definitions, previous turns, retrieved passages, and the space reserved for the answer. Google describes the useful analogy directly: “An analogy for the context window is short term memory.” See the Gemini long-context guidance.

Being inside the limit only means the model can receive the material. It does not mean every fact will be retrieved with equal accuracy. Position, repetition, distractors, wording, and the task itself affect what the model uses. In Lost in the Middle, Nelson F. Liu and coauthors found position-related degradation on tested retrieval and question-answering tasks. The paper’s GPT-3.5-Turbo multi-document task reported 56.1% closed-book accuracy, and its NaturalQuestions-Open case study found only about a 1.5% marginal improvement when increasing retrieved documents from 20 to 50 (about 1% for Claude-1.3). Those are results for the paper’s models and setups, not a universal limit for current systems.

Later work illustrates why you should not turn one benchmark into a blanket rule. Google Research reported strong Gemini 2.5 Flash performance on a single-needle factoid test across document positions, while accuracy varied for multiple needles. Read the Retrieval Quality at Context Limit results as task-specific evidence, not a promise that long documents are always safe.
1. Define what must survive before you shorten anything
Make a preservation list before editing the prompt or transcript. This list becomes the reference for evaluating a summary, retrieved context, or compaction result.
- Goal: the outcome the next model turn must produce.
- Hard constraints: format, audience, jurisdiction, libraries, budgets, deadlines, safety rules, or other requirements that cannot be relaxed.
- Decisions already made: selected options, approved wording, rejected alternatives, and assumptions that should not be reopened.
- Key facts and provenance: the value, document name, section, page, URL, commit, or record where each fact can be checked.
- Open questions: unresolved choices, missing inputs, and dependencies blocking the next step.
- Exact text: legal clauses, code identifiers, API field names, quoted language, filenames, or user preferences that must not be paraphrased.
Separate “must be reproduced exactly” from “can be summarized.” A sentence such as a contract exception or a variable name is not interchangeable with a semantic paraphrase. Keep the original excerpt or a precise source pointer available even when the working prompt uses a shorter description.

2. Measure the real budget, not just the document size
Estimate the complete rendered request before trimming. A useful planning equation is:
available context = model limit − system/developer instructions − tools and schemas − conversation history − retrieved text − expected output reserve.
Token counts are not word counts: punctuation, code, tables, and different languages tokenize differently. Use the provider’s token-counting facility when one is available, and count the actual serialized messages and tool definitions rather than only the visible document. Limits and counting behavior vary by model and API, so verify the current documentation for the system you are implementing. Google’s guide directs developers to its current model documentation for specific context sizes.

Leave headroom for the answer and for any tool calls that may be added during the turn. A request that fits exactly can fail when a longer-than-usual answer, tool result, or safety message is inserted. For production systems, log token counts, truncation events, latency, and errors so you can see when the budget is being consumed by history instead of useful evidence.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minute3. Remove low-value bulk while preserving recoverable evidence
Trim material in a deliberate order. First remove exact duplicates and repeated instructions. Next remove stale tool output, superseded drafts, pleasantries, status chatter, and boilerplate that the next task does not use. Then collapse long explanations into a fact plus a source pointer. Do not delete the pointer merely because the prose was shortened; it is the route back to evidence when a later question depends on a detail.
Keep mutually inconsistent statements until you resolve them or label which one is current. Quietly dropping one version can make a summary look coherent while preserving the wrong decision. For code, retain the failing test, error message, relevant function signature, and file path; unrelated logs usually belong outside the context.
A curated prompt is often best for a bounded task: select the few passages that answer the question, identify them by document and section, and state what the model should do with them. This avoids building retrieval infrastructure for a one-off document review.
4. Choose the smallest sufficient context strategy
There is no universal ranking of long context, retrieval, and summarization. Choose according to the workload, the cost of a missed fact, and how often the same material will be queried.
| Strategy | When it fits | Advantages | Risks and costs |
|---|---|---|---|
| Curated prompt | One bounded task or a small set of source passages | Simple, transparent, and easy to audit | Manual selection can miss a relevant passage; repeated work does not scale |
| Full long context | The source is manageable and the model has demonstrated reliable use of it | No retrieval index or chunking pipeline; surrounding context remains available | Consumes tokens on every turn, increases latency and cost, and can expose the model to distractors or position effects |
| Retrieval-augmented generation (RAG) | Large corpus, repeated questions, or changing documents | Sends a smaller, query-specific set of passages and can cite source locations | Depends on chunking, indexing, query formulation, and reranking; a missed passage cannot be answered from the retrieved set |
| Filtering or sliding window | Streaming conversations, logs, or a rolling working set | Predictable token use and low latency | Older information disappears unless it is promoted into durable state |
| Summarization or compaction | Long-running conversations and agent workflows | Reduces repeated history while preserving a smaller state representation | Compression can omit exact details; summaries require validation and a recovery path |
Google’s long-context documentation discusses summarization, sliding windows, retrieval, and filtering as alternatives. OpenAI and Anthropic document server-side compaction for supported APIs, but the feature names, headers, and behavior are implementation-specific and can change.

5. Make summaries auditable instead of treating them as memory
A useful handoff is structured, short, and linked to the material it represents. You can use a format such as:
GOAL: What the next turn must accomplish.
HARD CONSTRAINTS:
- Requirements that cannot change.
DECISIONS:
- Decision, date or turn, and why it was made.
KEY FACTS:
- Fact — source document/section, page, URL, or record ID.
EXACT TEXT TO PRESERVE:
- Verbatim excerpt or identifier.
CURRENT STATE:
- Work completed, files changed, tests run, and results.
OPEN QUESTIONS:
- Unresolved item, owner, and information needed.
NEXT ACTION:
- The single next step for the model.
Keep critical excerpts or references outside the summary so a later turn can verify them. A summary should point to evidence, not replace it permanently. If a requirement is ambiguous, record the ambiguity rather than inventing a resolution during compression.
Use a compact state summary after a meaningful milestone—such as a design decision, completed implementation, or change in user requirements—rather than after every message. Excessive summarization can spend more tokens on bookkeeping than it saves.

State which document or passage a question concerns. If several files contain similar terms, name the file, section, or record ID and tell the model how to handle conflicts. For a multi-part task, number the required outputs so the model can map each answer to a requirement.
Test the strategy with representative prompts before adopting it. Put a required fact near the beginning, middle, and end of a context. Then test several required facts together, surrounded by plausible distractors. A system that succeeds on one distinctive “needle” may still fail when it must find multiple needles or reconcile conflicting passages.
Anthropic’s historical study, Prompting Claude’s long context window, found that a scratchpad containing relevant quotations helped in its tested setups. The reported Claude 2 score rose from 0.939 for the baseline to 0.961 for the best prompting strategy, described as a 36% reduction in errors. The experiment used older models and a particular task; use it as evidence for testing quotation-based prompting, not as a current-model guarantee.

7. Use provider-managed compaction with its API-specific rules
OpenAI Responses API
The OpenAI compaction documentation describes server-side compaction configured through context_management and compact_threshold. Compaction triggers when the rendered token count passes the configured threshold, and the returned compaction item carries prior state in an opaque, non-human-interpretable form. The same page documents standalone compaction.
When chaining stateless input arrays, preserve the returned output items; they are part of the state needed by the next request. When using previous_response_id, pass only the new user message and do not manually prune the prior chain. These rules are specific to that API and should be checked against the current documentation before implementation.
Anthropic Messages API
Anthropic’s compaction documentation describes server-side compaction for long-running conversations and agentic workflows. The reviewed page identifies the feature as beta and shows the compact_20260112 strategy with the compact-2026-01-12 beta header. Availability, names, and required headers can change, so treat those values as versioned API details rather than portable prompt syntax.
Google Gemini
Google’s Gemini guidance covers large context windows in some models and recommends considering summarization, sliding windows, retrieval, and filtering. It cautions that multiple-fact or multi-needle retrieval may be less accurate than a simple needle-in-a-haystack test and directs developers to current model documentation for exact limits.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.8. Re-check the state after every compression event
Compaction is a boundary at which information can be lost. Immediately afterward, ask the model to restate:
- The current goal in one sentence.
- Every non-negotiable constraint, including exact strings.
- Decisions that are already final and alternatives that were rejected.
- The evidence and source location for each critical fact.
- Unresolved questions and the next action.
Compare that response with your preservation list or an independently stored state record. If a requirement is missing, restore the original excerpt or source passage before allowing consequential work to continue. Do not ask the model to grade its own summary without giving it access to the reference; self-confidence is not evidence of preservation.

9. Measure quality, cost, and recovery—not just whether a request fits
Create an evaluation set from real tasks. Include long documents, repeated terminology, contradictory revisions, exact-string requirements, and questions whose answers occur at different positions. For each strategy, record:
- Critical-fact accuracy: whether every required value, constraint, and decision is correct.
- Retrieval coverage: whether the passages needed to answer are present and correctly attributed.
- Unsupported claims: statements not backed by the supplied material.
- Token use and repeated processing: input and output tokens per turn and across a complete workflow.
- Latency and failures: time to first response, total time, truncation, or API errors.
- Auditability: whether a reviewer can trace an answer back to the original source.
- Recovery: how quickly the workflow can restore a lost detail from stored excerpts or documents.
A larger context can score well on one task while wasting tokens on another. Retrieval can lower cost but fail if the index or query misses the decisive passage. Summaries can make a conversation responsive while silently dropping a constraint. Compare these outcomes on your own representative workload instead of relying on an advertised maximum.
10. Troubleshoot common context failures
The model forgets an instruction from earlier turns
Check whether the instruction is still present, whether a later turn conflicts with it, and whether it was compressed into a vague sentence. Promote the instruction into the hard-constraints section of the state summary, preserve its exact wording, and request a post-compaction restatement.
Free tools Windows power users keep installed
One-click scans. No signup required.
The answer cites the wrong passage
Inspect the retrieved set for near-duplicate or superseded documents. Add document and section identifiers, label the current version, and require a source pointer for each critical claim. If the passage is absent, improve retrieval or provide a curated excerpt; asking the model to infer missing evidence will not fix coverage.
The request exceeds the context limit unexpectedly
Count hidden contributors: tool schemas, system messages, prior outputs, retrieved chunks, and the output reserve. Remove duplicates and stale tool results, lower the number of retrieved passages, or compact at a threshold that leaves room for the expected answer. Do not simply truncate from the beginning or end without first promoting the information that must survive.
A summary is concise but wrong
Compare it with the source notes, not with the model’s confidence. Restore exact excerpts, add source locations, and split unresolved issues from confirmed decisions. For high-stakes work, keep the original transcript or documents available for human review and rerun the preservation checklist after each revision.
A single-needle test passes but real tasks fail
Expand the test to multiple facts, distractors, conflicting versions, and different positions. The Google Research results and the Lost in the Middle study demonstrate why a single retrieval score cannot characterize every task or model.
A repeatable context-management workflow
- Inventory: write the goal, constraints, decisions, key facts with sources, exact text, and open questions.
- Count: measure the serialized request, tools, history, retrieved material, and output reserve with the provider’s facilities.
- Clean: remove duplicate, stale, unrelated, and boilerplate content while retaining source pointers.
- Select: use a curated prompt for a bounded task, retrieval for a large changing corpus, a rolling window for streams, or summarization/compaction for a long-running dialogue.
- Structure: put instructions and the required output format near the task, identify source passages, and preserve exact strings separately.
- Test: probe early, middle, and late positions; use multiple needles and distractors; record accuracy, tokens, latency, and cost.
- Verify: after compression, compare the model’s restatement with the preservation list and restore any missing detail before proceeding.
- Retain recovery: store the original documents, excerpts, identifiers, and state summaries so a later turn can rehydrate information instead of guessing.
This workflow keeps the context small enough to operate reliably without treating compression as lossless. The right target is not the largest possible prompt; it is the smallest, testable set of evidence that lets the model complete the next task correctly.
