Make an animated video accessible by delivering two synchronized layers: captions that represent meaningful speech and sound, and audio description that explains essential visual information. Plan both while writing the animation, decide whether description belongs in the main narration or a separate track, then test the finished file in the player your audience will use. The W3C Web Accessibility Initiative (WAI) media guidance provides the general framework; accessibility obligations under local law can differ.
What captions and audio description provide
Captions cover speech and meaningful sound
Captions are not a dialogue-only transcript. W3C defines them as “a text version of the speech and non-speech audio information needed to understand the content.” They should represent spoken words, identify a speaker when the picture or context does not make that identity clear, and convey meaningful music, laughter, alarms, impacts, or other sound effects. Timing must match the relevant speech, sound, and action so a viewer can connect the text with what is happening. See W3C’s Captions/Subtitles guidance.
Closed captions are a user-controlled track that can be turned on or off. Open captions are permanently visible in the image. Closed delivery gives viewers control and lets you maintain text separately; open captions are useful when the distribution channel cannot expose a caption track, but every viewer receives them and they cannot be hidden.
Audio description supplies essential visual information
Audio description gives people who are blind or cannot see the video adequately access to information carried by the picture. W3C summarizes its purpose as: “Description provides content to people who are blind and others who cannot see the video adequately.” In animation, that can include who is acting, meaningful gestures and movement, a change of setting or time, a visual joke or plot point, and words displayed on screen. The W3C description guidance explains the technique.

Description is selective rather than a narration of every visible pixel. Include what a viewer needs to understand the message, instructions, relationships, or story. If dialogue already states a visual fact, do not repeat it unless repetition is needed for clarity.
Plan accessibility before you animate
Mark visual information in the script
During scripting, flag any information that exists only in the image: a character entering, a change in facial expression, an object being selected, a chart changing, a location transition, a visual punchline, or text appearing on screen. Decide whether the spoken narration can carry that information naturally. For a new instructional animation, integrating concise visual details into the narration can avoid a separate voice track while preserving the lesson.
Integrated narration is not automatically suitable for story-driven work. Adding every visual event to dialogue can make characters sound unnatural, spoil a reveal, or leave no room for other information. Treat the choice as a creative and accessibility decision, not as a shortcut.

Build an accessibility plan into storyboards and timing
- Mark pauses where a separate describer could speak without covering dialogue or essential sound.
- Reserve enough screen time for on-screen text to be read and described.
- Record which sound effects carry meaning so they appear in the caption script.
- Keep a single source script for dialogue, sound cues, visual events, and approved wording; this makes later caption and description updates traceable.
- Decide whether your intended player can expose captions, an additional audio track, or timed-text description before producing those deliverables.
Planning early reduces rework. W3C notes, “When accessibility is considered before videos are produced, it significantly cuts down on cost and effort to develop description.” This is qualitative guidance, not a quantified saving.
How do I add captions to an animated video?
Use the final mix, not an early dialogue script, as the source. Music edits, sound effects, pickups, and timing changes can all affect what viewers need.
- Review the completed audio. Watch the animation with the final dialogue, music, ambience, and effects. Note every non-speech sound that changes the meaning, mood, or sequence of events.
- Create a full text transcript. Transcribe spoken words exactly enough to preserve meaning, and add meaningful non-speech audio in concise labels such as a relevant sound or music cue. Do not caption incidental noise that adds no information.
- Identify speakers when needed. Add a name or other clear identifier when two or more voices could be confused, when an off-screen voice matters, or when the image does not show who is speaking. Omit redundant labels when the speaker is unambiguous.
- Set accurate timings. Align each caption with the speech or sound it represents. A caption that appears early, lingers after the sound, or misses a reaction can change the perceived sequence. W3C’s video guidance states, “Captions must be synchronized with the visual content to contextualize them”; see Video Captions.
- Format for reading and placement. Break text into short, natural units that can be read before the next event. Keep captions away from essential labels, faces, diagrams, or other visual evidence; move their position when the picture would otherwise be obscured.
- Load the track in the target player and review it in context. Check the actual published encoding and controls, not just the authoring editor. Verify that viewers can find and turn on the captions and that the text remains synchronized after seeking or replaying.
What captions should include besides dialogue
- Speaker changes: identify a voice when identity is not otherwise clear.
- Meaningful music: include a cue when lyrics, a recurring theme, or a musical change conveys information.
- Meaningful sound effects: include events such as a warning alarm, knock, explosion, phone ring, or action that a sighted viewer would use to interpret the scene.
- Vocal reactions: include laughter, sobbing, gasps, or a shouted reaction when it affects the meaning.
- Synchronization: time each item to the corresponding audio and visual event.
A video with no meaningful audio has no audio information to caption. That narrow exception does not make silent visuals accessible to everyone: visual information may still require audio description, and a transcript or other alternative may be needed for people who cannot see the animation.

How do I write audio description for animation?
Choose information, not exhaustive detail
Start by watching without looking at the script. Ask what a viewer would miss if the picture disappeared while the soundtrack remained. Prioritize actions that change the story or task, relationships between characters and objects, scene and time changes, readable text, and visual humor or emotion that is not expressed in speech.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteUse objective language in the present tense, active voice, and third-person narrative style, as recommended in W3C guidance. “A red door opens” identifies an observable event; “The frightening door slowly reveals danger” adds an interpretation unless the work itself establishes that fact. Match the vocabulary and names used by the main script so the audience can follow continuity.
Describe on-screen text
Convey text when it carries information the viewer needs: a title that identifies a section, an instruction, a label in a diagram, a message on a screen, or a location and date. It does not always have to be read word for word if the description communicates all of the necessary information. If exact wording is important—for example, a code, quotation, or warning—read it accurately and leave enough time to understand it.

Use the available pauses carefully
Place short description statements between dialogue and other essential sounds. Do not cover a line, a sound cue that establishes an event, or a deliberate silence. If the animation contains more visual information than the natural pauses can accommodate, consider an extended-description version that pauses the video to insert the necessary detail. Pausing is appropriate only when preserving the visual meaning is more important than uninterrupted playback.
Keep description from damaging the work
- Do not describe a visual fact that the soundtrack already states unless the repetition resolves ambiguity.
- Do not reveal a surprise before the sighted audience would receive it.
- Do not assign emotions or motives that the image does not establish; describe the observable expression or action.
- Do not turn every decorative movement into a sentence. Select details that support comprehension.
- Read the description aloud at the intended pace. If it sounds rushed, shorten the wording or create an extended version.
Should description be integrated, a separate track, or a separate version?
The right format depends on whether the animation is new or already published, how much visual information the soundtrack omits, the pauses available, and what the target player can deliver.
| Approach | Best fit | Advantages | Limitations and checks |
|---|---|---|---|
| Integrated description in the main script or narration | New instructional or training animation where visual facts can be spoken naturally | One version works in players that have no alternate-track controls; accessibility is planned into the original performance | May make dialogue unnatural, spoil story timing, or crowd the soundtrack. Confirm that the added wording does not replace essential dialogue or sound. |
| Separate described version | Published work or story-driven animation where a distinct narrated version is appropriate | Preserves the original cut and lets viewers choose the described experience | Requires production and maintenance of another version. Label it clearly and test that the audience can reach it. |
| Separate description audio or timed-text file | Players that explicitly support an additional audio or timed-text description resource | One video asset can serve multiple experiences while users control the description | Support is player- and delivery-dependent. Verify selection, synchronization, seeking, and fallback behavior before committing to the format. |
| Extended description | Visual information is essential but cannot fit into ordinary pauses | Provides enough time for a complete explanation without compressing speech | Pauses the video and changes pacing. Use only when the extra detail is necessary to preserve meaning, then test the resulting rhythm. |
For existing animation, first inventory the soundtrack and the visual events it omits. If ordinary pauses are sufficient and the player supports an alternate resource, a separate track may be practical. If the player cannot expose one, publish a described version or revise the main narration where that can be done without harming the work.

What WCAG says about captions and audio description
WCAG distinguishes prerecorded from live media and assigns different conformance levels. The W3C explanation for Success Criterion 1.2.5, Audio Description (Prerecorded), places audio description for prerecorded synchronized video at Level AA. The applicable Level A criterion accepts an audio description or a media alternative in the cases it covers. Captions are Level A for prerecorded synchronized media with meaningful audio and Level AA for live synchronized media in the W3C media guidance.
These are accessibility standards, not a universal statement of every country’s law, procurement rule, or platform policy. If a project has a legal or contractual requirement, obtain advice for the relevant jurisdiction and audience. Regardless of the conformance target, accurate synchronization and understandable content remain practical quality requirements.
Build a production workflow that stays maintainable
For a new animation
- Accessibility pass on the concept and storyboard: list visual information that cannot be inferred from dialogue or sound.
- Script pass: integrate only the visual details that fit naturally; mark the rest for a separate description track or version.
- Recording pass: capture clean dialogue and preserve sound effects and music stems so caption writers can distinguish meaningful cues.
- Caption and description drafting: work from the locked picture and final audio, not a provisional edit.
- Player decision: confirm which caption and description resources the publishing player can expose before exporting deliverables.
- Combined review: watch the final animation with captions on, with description on, and with both experiences checked for collisions and timing.
For an animation that is already published
- Collect the highest-quality available video and final audio; avoid creating text from a low-quality copy if a master exists.
- Make a visual-information inventory, then draft description around story, instructional, and text-on-screen essentials.
- Produce captions from the final soundtrack, including meaningful non-speech audio.
- Choose a separate track, timed-text resource, or described version only after confirming player support.
- Publish clear labels and update the caption and description resources whenever dialogue, timing, or on-screen text changes.
Review the finished media before publishing
Caption quality checklist
- Every meaningful spoken line is present and attributed when necessary.
- Meaningful music, sound effects, and vocal reactions are represented.
- Entry and exit times match the audio and the action.
- Wording is accurate, readable, and broken into sensible units.
- Captions do not cover essential labels, diagrams, faces, or action.
- The control to enable or disable captions works after seeking, pausing, and replaying.
Description quality checklist
- A viewer who cannot see the picture can follow changes in people, objects, settings, and time.
- Important gestures, visual jokes, plot points, and on-screen text are conveyed.
- Language is objective, present-tense, active, and consistent with the script.
- Description fits available pauses without masking dialogue or meaningful effects.
- The described version or track preserves the intended order of reveals.
- Where pauses are insufficient, an extended version is considered instead of rushed narration.
Test with the actual delivery setup
Check the published URL, app, or embedded player at the same display size and connection conditions your audience will use. Confirm that controls are discoverable, that a separate resource stays synchronized through seeking, and that open captions do not hide critical artwork. Include people who use captions or audio description in review when possible; their feedback can reveal ambiguities that a sighted, hearing reviewer misses.

When to get specialist help
Teams can outsource captioning or audio-description production when an existing animation needs remediation, deadlines are tight, or no trained describer is available. Provide the locked video, final audio, script, intended audience, player constraints, and terminology list, then review the delivered files in your own player. Verify a provider’s accessibility experience, quality-control process, language coverage, and current terms before engaging; general W3C guidance does not establish the suitability or pricing of any particular service.
