The quickest built-in option is Files’ Compress command. Find the scan, touch and hold it, tap Compress, then share the ZIP file that Files creates. Apple describes the ZIP as a smaller version for sending, but does not promise a particular reduction. If Mail says the attachment exceeds your account’s maximum, use Mail Drop instead; it solves delivery without shrinking the original PDF.
Choose the fix that matches the problem
There are three different problems that are often described as “the scan is too large.” A ZIP changes the package you send, Mail Drop provides another way to deliver an oversized attachment, and iCloud Drive sharing gives the recipient access without attaching a copy. A new scan can also be cropped or adjusted, although Apple does not state a guaranteed size reduction for those edits.

Check the destination before changing the scan
First identify what the receiving service actually requires. An email account may reject a normal attachment because it has a maximum message size. A web upload form may insist on a PDF and reject a ZIP, even if the ZIP is smaller. A colleague may simply need access to the file and be happy with an iCloud Drive invitation. These are different constraints, so the same “compress it” advice does not fit every situation.
If the form names an accepted format, follow that requirement before trying Files’ Compress command. A ZIP is an archive that contains the PDF; it is not a replacement PDF. If the form accepts archives, the ZIP may be convenient. If it accepts only PDF, keep the original PDF and use a permitted upload or sharing method instead. When an email warning specifically mentions the account’s attachment maximum, Mail Drop is the Apple-documented route.

Also check where the scan is stored. A document in Files can be compressed or shared there. A scan made in Notes is saved as a PDF in the note, and a scan made in Preview is also a PDF. You may need to save or share that PDF into the location expected by your destination before applying the next step.
Compress an existing scan in Files
Use this method when the scan is already saved as a file and the destination accepts ZIP archives. Files creates a separate ZIP; your original PDF remains available.
Make and share the ZIP
- Open Files and locate the scanned document.
- Touch and hold the scan.
- Tap Compress. Files creates a ZIP file from the scan.
- Touch and hold the new ZIP file and tap Share.
- Choose the email, messaging, or upload destination you intend to use.
Apple presents the ZIP as a smaller version for sending, but its instructions do not quantify how much smaller it will be. The result depends on the contents of the PDF, so do not promise a recipient or an upload service a specific reduction.
Tell the recipient what to expect
A ZIP is an archive, not a PDF. The recipient may have to unzip it before opening the scan. If an upload form specifically requires a PDF and rejects ZIP files, this method is not compatible with that form; use Mail Drop, an iCloud Drive link, or create a new scan with the page area adjusted.
When a ZIP is the wrong choice
- The recipient must open the document immediately and may not know how to extract an archive.
- The receiving service accepts only PDF files.
- Your goal is to get the PDF itself under a limit rather than to send a smaller package.
In those cases, keep the PDF unchanged and switch the delivery method, or make a new scan with less unwanted content.
Keep the original until delivery is confirmed
Because Files creates a ZIP alongside the scan, you can retain the original PDF for another destination. This is useful when one recipient accepts an archive but a later portal requires a PDF. Give the ZIP a recognizable name before sharing if several scans are stored together, and verify that you selected the newly created archive rather than the original document.
Use Mail Drop when Mail rejects the attachment
Mail Drop is the documented next step when an attached scan exceeds the maximum allowed by the email account. It addresses the email-size restriction; it does not compress or rewrite the PDF.

Send the scan with Mail Drop
- Open Mail and start a message.
- Attach the scan as a PDF.
- If the attachment exceeds the maximum allowed by the email account, follow the onscreen instructions to send it using Mail Drop.
- Finish addressing and sending the message after Mail presents the Mail Drop option.
The Apple guide for adding attachments does not state one universal attachment limit for every email account, nor does it state a single Mail Drop limit. The limit you encounter can therefore depend on the account and service involved. Mail Drop is appropriate when the error is specifically an email attachment-limit error, not when an upload site insists that the PDF itself meet a file-size rule.

What Mail Drop does and does not solve
- Solves: delivery through Mail when the account will not accept the scan as a normal attachment.
- Does not solve: a PDF-size requirement imposed by a government portal, employer system, learning platform, or other upload form.
- Does not change: the original scan stored on your iPhone or in iCloud Drive.
If Mail offers no Mail Drop prompt, read the wording of the error carefully. The attachment may not be over the account’s limit, or the failure may be at the recipient’s service rather than in Mail. In that case, changing to an iCloud Drive share or following the receiving service’s own instructions is more appropriate than repeatedly attaching the same file.
Share the scan from iCloud Drive instead of attaching it
If the recipient can use iCloud Drive, sharing access avoids sending a separate copy in an email. The file stays in iCloud Drive, while the recipient receives access according to the sharing permissions you choose.
Use sharing when access is more useful than an attachment
- In Files, locate the scan in iCloud Drive.
- Touch and hold the file and choose the sharing option.
- Invite the recipient to view or edit the item, selecting the permission that matches your purpose.
- Send the invitation through the available sharing method.
Sharing changes how the recipient gets the document, not the PDF’s size. Confirm that the recipient can use the shared file and that the permission is appropriate. For a one-time submission to a system that requires a direct PDF upload, an iCloud Drive share is not a substitute for that upload field.

Choose view access when the recipient only needs to read or download the scan. Choose edit access only when collaboration is intended. If the recipient cannot use the shared item, return to the original PDF and use the delivery method the recipient or portal supports.
Make a cleaner scan before you save it
If you still have the paper document, the most useful time to remove unnecessary image area is during scanning. Apple documents scanning in Notes and in Preview on iPhone. Notes saves the scanned document as a PDF in the note; Preview also scans documents into PDFs and supports scan adjustments.
Scan in Notes
- Open or create a note and start the document-scanning function from the note’s camera or attachment controls.
- Capture each page of the document.
- Review the captured pages and finish the scan.
- Use the note’s saved PDF when you need to email or share the document.
Notes’ documented result is a PDF saved in the note. The Apple instructions do not provide a guaranteed file-size target for a Notes scan.
Scan in Preview
- Open Preview and start its document-scanning workflow.
- Capture the pages you need.
- Use the available page adjustments, such as cropping or coloring adjustments, to remove surrounding material or improve readability.
- Save the resulting PDF, then choose Files compression, Mail Drop, or iCloud Drive sharing according to the destination.
Preview’s scan adjustments can keep a scan from including a desk, table, or other area around the page. Apple does not claim that a particular crop or coloring setting will reduce the PDF by a measurable amount, so treat the adjustment as cleanup rather than a guaranteed compression technique.

Crop tightly to the document edges when the original capture includes substantial surrounding content. This can remove irrelevant image data and makes the page easier to read, but the cited Apple documentation does not establish a specific number of kilobytes or megabytes saved. Avoid repeatedly changing settings just to reach an invented target; check the destination’s actual requirement and select the delivery method that addresses it.

For multi-page documents, review every page before saving. One page with a large border can remain in the final PDF even when the other pages are neatly framed. Make sure the text is still readable after an adjustment; a smaller-looking page is not useful if required information has been cut off.
Why the common fixes are different
A ZIP is a packaging change
Files’ Compress command creates a ZIP alongside the original scan. You send the archive, and the recipient extracts the PDF. Apple describes that archive as a smaller version for sharing, but gives no reduction rate. Because the original PDF is not replaced, you can still use it for a destination that requires a PDF.
Mail Drop is a delivery change
Mail Drop appears when Mail determines that the account’s normal attachment maximum has been exceeded. The PDF is still the same scan. This is useful when the obstacle is the email account, not a file-upload rule.
iCloud Drive sharing is an access change
With sharing, the recipient opens the item from iCloud Drive instead of receiving a duplicate attachment. The file size does not change, and the recipient’s ability to open it depends on the invitation and permissions.
Cropping is a scan-content change
Adjusting a new scan can remove unwanted page surroundings. It may affect the resulting file, but Apple does not document a guaranteed reduction for cropping or coloring adjustments. It is therefore a sensible cleanup step, not a promise that the PDF will pass a specified limit.
Emailing versus uploading: avoid the format trap
Email and upload services evaluate files differently. Mail may respond to an oversized attachment by offering Mail Drop, while an upload page may reject the same PDF because its own rule requires a smaller PDF. Zipping the file can help only when the destination accepts ZIP archives. It cannot turn a ZIP into a PDF or guarantee that an upload form will inspect the archive’s contents.
Before sending, read the destination’s wording: “attachment too large” points toward Mail Drop; “PDF must be under a limit” calls for a method accepted by that portal; “share a document” may be satisfied by an iCloud Drive invitation. If you are unsure, ask the recipient whether a ZIP, a link, or a direct PDF is preferred rather than sending several incompatible versions.

- The destination accepts ZIP files: use Files, touch and hold the scan, tap Compress, and share the ZIP.
- Mail reports that the account’s attachment maximum was exceeded: attach the PDF and follow Mail’s onscreen Mail Drop instructions.
- The recipient can work from iCloud Drive: share the file instead of attaching a copy, with the appropriate view or edit permission.
- You are scanning again: crop the page and make any available scan adjustments before saving the PDF.
- The upload field requires a PDF: do not replace it with a ZIP unless the service explicitly accepts archives; use the service’s permitted delivery method or make a cleaner scan.
Quick checklist before you send
- Confirm whether the destination wants a PDF, a ZIP, or a share link.
- Keep the original PDF until the recipient or portal confirms receipt.
- If you use Files’ Compress, select the new ZIP when sharing.
- If you use Mail Drop, make sure the Mail prompt is responding to an attachment-limit error.
- If you share iCloud Drive, check the recipient’s view or edit permission.
- If you rescan, inspect each page for missing text, excess background, or unreadable adjustments.
Troubleshooting
The ZIP does not appear to solve the problem
Apple does not promise a particular reduction from Files’ compression command. If the destination still rejects the ZIP, verify whether it accepts archives at all. If it accepts only PDFs, return to the original PDF and use Mail Drop or an iCloud Drive share where appropriate.

The recipient cannot open what you sent
If you sent a ZIP, explain that it must be unzipped before the PDF can be viewed. If you shared through iCloud Drive, check that the invitation grants the required access and that the recipient can use the shared item.
Mail does not offer Mail Drop
Mail Drop is presented when the attached file exceeds the maximum allowed by the email account. If no prompt appears, the account may not be treating the attachment as over its limit, or the issue may belong to the receiving service rather than Mail. For an upload portal with its own PDF-size rule, Mail Drop is not a size-reduction solution.
The scan includes too much background
Make a fresh scan in Notes or Preview and use the documented page-adjustment controls, including cropping where available. This removes unwanted area before you create the final PDF, while keeping expectations realistic because Apple does not state a fixed reduction amount.
The upload field rejects the ZIP
Return to the original PDF and read the portal’s accepted-format instructions. A ZIP is useful only when archives are allowed. If the portal requires a PDF under a stated limit, use the portal’s own permitted process or create a cleaner scan; Mail Drop and iCloud Drive sharing do not change that portal’s file rule.
You cannot find the scan in Files
A Notes scan remains a PDF in the note, while a Files scan is saved to the location selected in Files. Use the app where the document was created, then save or share the PDF to a location you can identify before attempting compression or delivery.

The Apple Notes guidance reviewed for this workflow is written for iOS 26. Apple’s Preview scanning guidance is presented for iOS 27. Apple’s general scanning guidance also describes Notes and Files workflows and mentions iOS 26 scan options. Menu names and feature availability can vary with the iOS version installed on your iPhone, so a label may appear in a different location or be unavailable on an older release.
The core distinctions remain useful across those workflows: Files can create a ZIP, Mail can offer Mail Drop when an account maximum is exceeded, and iCloud Drive can share access instead of sending a copy. None of the cited Apple instructions supplies a universal compression percentage, a universal email limit, or a guaranteed PDF size after cropping.

- For a ZIP, say that the scan is inside an archive and may need to be unzipped.
- For Mail Drop, explain that the message uses Apple’s large-attachment delivery path and that the PDF itself was not made smaller.
- For iCloud Drive, make clear whether the recipient may view or edit the shared item.
- For a fresh Notes or Preview scan, submit the PDF produced by the app and do not claim a specific reduction unless the destination confirms its own requirement has been met.
This keeps the solution aligned with the actual obstacle: package size, email delivery, recipient access, or excess material captured during scanning.
