You can create a useful AI memorial without uploading an entire digital life. Start with a small, family-approved collection of memories, remove information that identifies living people, and choose processing you can actually control. A fully local chatbot keeps prompts and source files away from a hosted inference provider when every component runs on your own equipment. A hosted memorial is easier to operate, but its provider and subprocessors may process, retain, or share content under their policies. In either case, label the chatbot as AI, keep a person responsible for reviewing outputs, and define who can access and delete the archive.

Decide what the memorial is supposed to do

Privacy decisions become much easier when the purpose is specific. A chatbot that answers questions from approved family stories needs far less data than a system intended to imitate a person’s voice, mannerisms, or conversational style. The lower-data option is usually safer and more honest: build a clearly labelled memorial assistant that retrieves relevant memories and says when the archive does not contain an answer.

Choose a bounded role

  • Memory guide: Answers from a curated collection of stories, dates, photographs and captions.
  • Conversation companion: Uses the same collection in a warmer dialogue, but still states that it is an AI reconstruction.
  • Voice or likeness simulation: Adds audio, video or stylistic imitation and therefore introduces additional biometric, consent and misrepresentation risks.

Avoid presenting generated sentences as the deceased person’s authentic words. A policy statement from MemoriaLove’s AI Policy (updated June 2026) says its system should not fabricate memories or create material that could be mistaken for the real person’s words without explicit consent. That is a vendor commitment, not a technical guarantee for every chatbot.

Write the boundaries before collecting data

Define who may use the memorial, what subjects are off limits, and what the bot should do when information is missing. A useful instruction is: “Answer only from the approved archive, identify uncertainty, never invent a memory, and say that you are an AI memorial assistant.” Keep a human administrator responsible for changing the source collection and handling complaints from relatives.

Build a minimum, curated source archive

Do not upload whole mailboxes, phone backups or social-media exports merely because they are available. Data minimisation means selecting material that serves the memorial’s purpose and excluding everything else. The Information Commissioner’s Office (ICO) uses a local-model example in which profile information remains on a device rather than being shared with a content provider or app store; its guidance is marked under review, so check the current page and the law in your jurisdiction before treating it as compliance advice: ICO guidance on security and data minimisation in AI.

Use a selection worksheet

  1. List the intended questions. For example: “Where did she grow up?”, “What recipes did he make?” or “Which family traditions mattered?”
  2. Collect only matching material. Prefer edited stories, captions, recipes, public writings and recordings that contributors agree to use.
  3. Remove unrelated records. Exclude complete email threads, contact databases, tax documents, medical files, account credentials, private addresses and financial information.
  4. Separate facts from interpretation. Mark a dated fact, a family recollection and an uncertain anecdote differently so the bot can communicate confidence.
  5. Keep an exclusion log. Record categories you deliberately left out, such as private correspondence or information about minors.

Redact living people’s information

Memories often contain names, phone numbers, diagnoses, home addresses, employment details or intimate stories about people who are still alive. Replace unnecessary details with descriptions such as “a cousin” or “a family friend.” Remove message headers, signatures and attachments that identify correspondents. Ask each living contributor for permission before adding a private story, message, photograph or recording. Consent from one family member does not automatically cover everyone appearing in the material.

The UK Government’s Data and AI Ethics Framework provides a general decision framework for responsible collection and use; it does not decide the legal status of a particular family archive.

Prepare clean files

  • Use a text file or document with one memory per section, including dates and places only when they are needed.
  • Give photographs descriptive captions instead of uploading an entire camera roll.
  • Transcribe only the portions of audio that support the memorial’s purpose.
  • Keep a separate, offline master copy so you can rebuild the chatbot if a service closes or changes its policy.

Choose local or hosted processing

“Local” means more than downloading a model. The model, retrieval index, prompts, logs, speech components, analytics and backups must all run in an environment you control. If an application sends text to a remote inference endpoint, cloud transcription service or telemetry system, that part is hosted even if the main model file is on your computer.

Decision factor Local processing Hosted service
Where inference occurs Can keep source files and prompts on your device or controlled network when the entire path is local. Content is sent to the service or its processors; inspect which data and recipients the policy names.
Retention You must secure files, indexes, logs, snapshots and backups yourself. Retention differs by service, content type, endpoint and configuration.
Setup effort Requires installation, updates, access control, monitoring and backup planning. Spain’s CCN has published guidance on installing and securing a local LLM chatbot. Faster to start, but you accept vendor and subprocessor handling.
Sharing You configure accounts, device permissions and archive access. Settings may be private, invite-only, link-accessible or public; verify the default and change process.
Assurance Local operation reduces one disclosure route but does not prove the implementation is secure. A privacy policy describes intended practice; it is not an independent comparative audit.

The CCN announcement and technical-report reference are available at CCN-CERT: Cómo crear un chatbot con LLM de forma local. Neither the CCN nor the ICO certifies a particular memorial application.

When local is the better fit

Choose local processing when avoiding disclosure to a hosted model provider is your primary requirement, you can maintain the computer securely, and the people who need access can use the same controlled system. Plan for encrypted storage, operating-system updates, a separate administrator account, screen locking, malware protection and encrypted backups. An encrypted external SSD can hold a curated archive or local backup, but storage hardware alone does not make a system private or offline.

When hosted is practical

A hosted service may be appropriate when several relatives need access, you do not want to maintain model software, or the service provides accessibility features you cannot operate locally. Treat every upload as disclosure to that service and its processors. Read the current policy and settings before adding any irreplaceable or sensitive material.

Map every data flow in a hosted memorial

Read the policy as a data-flow document. Identify what enters the system, where it goes, how long each type is retained, who can access it, and what deletion actually removes.

Questions to answer before uploading

  • Does the service collect prompts, uploaded documents, photographs, audio, transcripts, contact details, device identifiers or analytics?
  • Which subprocessors receive each category of data?
  • Is content used to train a general-purpose model, to improve the service, or for abuse monitoring?
  • Are recordings, transcripts, embeddings, logs and backups retained for the same period?
  • Can you export the archive in a usable format?
  • Does deletion remove live data only, or also indexes, backups and support copies?
  • Is the memorial private by default, and can anyone with a link view it?
  • Who can invite members, alter visibility or request deletion after the original creator dies?

What current policies illustrate

These examples show why policy reading matters; they are not a safety ranking.

Service policy Disclosed point to verify Source
MemoriaLove Its AI policy, updated June 2026, says memorial content is not used to train general-purpose AI models, AI features can be disabled, and third-party services do not receive personally identifiable information. These are the provider’s statements. AI Policy
Memori Its policy, updated May 20, 2026, names Twilio, Hume AI, Anthropic, Supabase, Vercel and Typeform in different roles. It describes call audio and transcripts, requests a parent’s consent before recording continues, and says recordings, transcripts and keepsakes are retained indefinitely for now unless deletion is requested. Privacy Policy
Afterlife AI Its policy describes an Australian-operated digital-legacy service for creating a representation while a person is alive. That is a different use case from building a memorial after a death from family-held material. Privacy Policy
Altar Its policy, effective July 5, 2026, says memorials are private by default, families control visibility and can request export, while guided-conversation text is processed by a third-party AI service. It describes the AI as organising what a user shares rather than speaking as the loved one. Privacy Policy
Soul Gift Its privacy page, updated July 20, 2026, describes invitation-only sharing, says memorial data is not used to train models, and gives a deletion timeframe for certain data. Confirm which data categories and timeframe apply to your account. Privacy

“Not used for training” is not the same as “never processed or stored.” For example, a service may still transmit text to an AI processor, retain transcripts, run abuse monitoring or keep backups. Vendor commitments are disclosures to evaluate, not independent audits.

Understand API and endpoint-specific controls

If you are building the memorial yourself, do not assume that one provider’s privacy setting applies to every product. OpenAI’s API data-controls documentation separates training use, abuse-monitoring retention, application-state retention and eligibility for zero data retention. Controls and exceptions vary by endpoint and configuration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make an endpoint inventory

  1. List every API call: chat or responses, embeddings, file storage, speech-to-text, text-to-speech, image analysis and moderation.
  2. For each call, record the exact endpoint, account tier, region and retention setting.
  3. Determine whether prompts, outputs, files or application state persist and for how long.
  4. Disable optional logging and analytics that are not required for the memorial.
  5. Test deletion by removing a sample record and confirming that your own database, index and backups follow the documented process.

Do not generalise API documentation to consumer chat products, and do not promise zero retention unless the exact endpoint and configuration qualify.

Secure a local build

Local processing reduces a disclosure path, but it shifts responsibility to the operator. A stolen laptop, an unencrypted backup or a web interface exposed to the internet can disclose the same memories you avoided sending to a provider.

Minimum technical controls

  • Use full-disk encryption and a separate non-administrator account for everyday use.
  • Require a strong passphrase and multi-factor authentication for any remote access.
  • Bind the chatbot interface to the local network unless remote access is essential; if remote access is needed, use a properly configured private tunnel rather than opening an unauthenticated port.
  • Encrypt backups, keep one offline copy, and test restoring it.
  • Review application logs and delete prompts or diagnostic dumps that contain source memories.
  • Disable cloud sync, telemetry and automatic uploads unless you have verified their destinations and retention.
  • Install security updates for the operating system, model runner, retrieval software and browser.

Check for hidden network paths

Inspect configuration files and network activity for model downloads, license checks, crash reporting, analytics, remote speech services and update mechanisms. A local model does not guarantee that a plugin, transcription feature or backup remains local. Document which components are allowed to connect and block unnecessary outbound traffic.

Set access, consent and continuity rules

Memorials can outlive the person who created them. Decide governance while contributors are available.

Access checklist

  • Name an administrator and a substitute.
  • Use individual accounts instead of a shared password.
  • Give relatives the least access they need: viewing, contributing or administration.
  • Review invitations and links periodically; revoke access when a relationship or device changes.
  • Keep a written record of who may approve new memories, change visibility and request deletion.

Consent checklist

  • Ask living contributors before using private messages, recordings, photographs or stories about them.
  • Explain where the material will be processed, who may see it and how to withdraw it.
  • Do not assume that permission to display a photograph includes permission to clone a voice or infer sensitive attributes.
  • Provide a way for a contributor to request removal of their material.

Deletion and succession

Ask what happens if the account holder dies, stops paying, loses access or closes the account. Confirm export formats and whether deletion covers source files, generated answers, embeddings, transcripts and backups. Service-specific examples differ: Altar describes private-by-default visibility and export rights, while Soul Gift describes invitation-only sharing and a stated deletion timeframe. Treat those statements as policy terms to verify at the time you sign up.

Review and label every answer

Retrieval can surface the wrong story, and generative models can fill gaps with plausible fiction. Keep a person in the loop for anything that will be saved, quoted or shared outside the family.

A practical review process

  1. Ask the chatbot a question whose answer is known and confirm the cited source memory.
  2. Try an unknowable question and verify that it says it lacks information instead of guessing.
  3. Test conflicting accounts and check that it presents them as differing recollections.
  4. Ask about a sensitive person or event to ensure the bot follows your exclusion rules.
  5. Mark the interface and exported responses as AI-generated memorial content.

Human review lowers the chance that a fabricated detail is mistaken for a memory, but it cannot make generated output error-free. Preserve the underlying source and date for each approved story so a family member can challenge or correct it.

A privacy-first build sequence

Use this sequence whether you are configuring a local system or evaluating a hosted service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Write the purpose and boundaries. Specify the questions the memorial should answer, prohibited topics and the required AI disclosure.
  2. Create the minimum archive. Select approved stories and captions; exclude complete personal archives.
  3. Obtain living contributors’ permission. Record what each person agreed to and how they can withdraw it.
  4. Redact and classify. Remove credentials, financial, medical and unnecessary identifying information; label facts, recollections and uncertainty.
  5. Choose the processing location. Select a fully local path if preventing hosted disclosure is paramount; otherwise identify every hosted provider and subprocessor.
  6. Configure retention and access. Set private or invitation-only visibility, individual accounts, strong authentication, export and deletion procedures.
  7. Test with harmless samples. Confirm retrieval, refusal behavior, logging, backups and deletion before adding irreplaceable material.
  8. Publish only reviewed output. Keep an administrator responsible for corrections, access changes and future policy reviews.

Common mistakes and recovery steps

Uploading an entire mailbox

Problem: It exposes correspondents and unrelated sensitive records. Recovery: Delete the import if possible, request removal of derived indexes and backups under the service’s process, rotate any credentials that were included, and rebuild from a redacted collection.

Assuming private-by-default means private forever

Problem: A link, invitation or account takeover can change visibility. Recovery: Revoke shared links, review members, reset credentials, enable multi-factor authentication and check the service’s access logs if available.

Calling a model “offline” while using cloud features

Problem: Speech, analytics, updates or backups may still transmit data. Recovery: Identify each network call, disable optional integrations, remove already-transmitted material through the relevant provider and document the remaining local-only path.

Letting the bot invent a comforting answer

Problem: A plausible sentence can be mistaken for a genuine statement by the deceased. Recovery: Tighten the system instruction, require source references, add an “I don’t know” response, and have a human review or remove the answer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What “without sharing private data” can realistically mean

No chatbot can promise that a digital memorial contains no private information: even a first name, photograph or family story may identify living people. The achievable goal is controlled disclosure. Collect less, obtain permission, redact aggressively, keep processing local when you can secure it, and inspect every hosted data flow when you cannot. Make the memorial’s limits visible so it supports remembrance without pretending to be the person who died.

Frequently Asked Questions

Can I guarantee that a hosted memorial service will never see my data?

No. A hosted feature normally receives the content needed to provide it, and processors may handle related data. Read the current policy, identify subprocessors and use only a redacted archive.

Is a local chatbot automatically secure?

No. Local operation can avoid one hosted disclosure path, but device access, malware, logs, backups, plugins and remote connections still need protection.

Should I upload private text messages from relatives?

Only with the contributors’ informed permission and after removing details the memorial does not need. A sender’s message may contain privacy interests that are separate from the deceased person’s.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should the chatbot say when it lacks an answer?

Configure it to say that the approved archive does not contain enough information and never to invent a memory. Label all responses as AI-generated memorial content.
