To make a vBulletin forum private, deny the Guests usergroup permission to view the channel and its thread content, then grant those permissions to the usergroup that should have access. Save each change, inspect inherited child forums, and test with accounts in every relevant usergroup. If the forum must also disappear from forum lists, enable and configure Access Masks.
What “private” means in vBulletin
vBulletin separates a forum’s existence from the content a visitor can read. The key controls are channel-level usergroup permissions:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Can View Channel controls whether a usergroup can enter or otherwise view the forum channel.
- Can View Thread Content controls whether members of that group can read the bodies of threads in the channel.
A forum can therefore be hidden from guests while remaining visible to an approved member group. You can also hide a restricted forum from forumhome or forumdisplay listings by using Access Masks, provided that option is enabled in your installation. A private setup is not complete until the intended audience can see both the channel and its thread content, while unauthorized accounts cannot.
vBulletin calls these settings Forum Permissions in some releases and Channel Permissions in newer documentation. The wording and menu location can vary by version, but the permission concepts are the same.

Plan the access groups before editing permissions
Write down which groups need access before opening AdminCP. Typical groups are Guests, a registered or approved-member group, moderators, and administrators. The approved group should be a real usergroup that every authorized member belongs to; relying on an individual account makes ongoing administration harder.
Remember that vBulletin users can belong to more than one group. A member’s primary group and secondary groups are all relevant when access is calculated. An unexpected secondary membership can grant access that you intended to deny, so include group review in your plan rather than treating the forum rule as the only control.
For documentation context, vBulletin defines a usergroup as “a means of grouping users (registered members of a forum), all of whom have the same permissions, or access rights.” The statement appears in the vBulletin Manual.
Make the forum private step by step
1. Open the forum or channel permission editor
- Sign in to the vBulletin AdminCP with an account that can manage usergroup and forum permissions.
- Open Usergroups > Forum Permissions. In releases that use newer terminology, look for Usergroups > Channel Permissions.
- Locate the forum or channel that should be private and open its permission settings.
Do not edit only the global usergroup definition and assume every forum will follow it. The privacy rule belongs to the target channel, so select the actual forum that contains the protected discussions.
2. Deny guests access to the channel
- Find the Guests usergroup in the target channel’s permission list.
- Set Can View Channel to No.
- If guests must not read thread bodies, set Can View Thread Content to No as well.
- Save the permission change before moving to another group or channel.
Denying channel viewing handles the main entry point. Explicitly denying thread content is still important when your release exposes that permission separately, because channel visibility and the ability to read thread bodies are distinct checks.

3. Grant access to approved members
- Edit the usergroup that represents approved members.
- Set Can View Channel to Yes.
- Set Can View Thread Content to Yes.
- Save the changes.
Saving is an operational requirement: the manual states that permission changes do not take effect until they are saved. If the editor offers separate save actions for separate groups, save each group’s change rather than assuming one submission applies to all rows.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches4. Give elevated groups only the access they need
Review moderators and administrators separately. A moderation team may need to read and manage the private channel, while an administrator may retain unrestricted access by design. Do not use elevated status as a substitute for a deliberate rule: assign the required channel and content permissions to each operational group, then verify those groups with test accounts.
Handle child forums and inherited permissions
Private areas often contain subforums for topics, departments, or projects. vBulletin inherits a parent channel’s permissions to child channels unless a child has an override. That inheritance can be useful, but it is also a common reason a supposedly private child forum behaves unexpectedly.
When inheritance is appropriate
If every subforum should have the same audience, leave the child settings aligned with the parent and document that the parent is the controlling rule. A new child created under the private parent should be checked after creation so an installation-specific default does not undermine the intended policy.
When a child needs a different audience
Open the child channel in the permission editor and inspect its own usergroup entries. A child-specific override can narrow or expand access relative to the parent. For example, an approved-member parent may contain a staff-only child; that child needs its own group rules rather than an assumption that the parent’s audience is sufficient.

How to audit the hierarchy
- Start at the private parent and list every child channel.
- Check whether each child inherits or overrides the parent rule.
- Inspect both Can View Channel and Can View Thread Content on any child with an override.
- Repeat the audit after moving or creating a child forum.
Hide the private forum from forum listings
Denying channel access protects the destination, but some administrators also want unauthorized users to stop seeing the forum name on forumhome or forumdisplay. That is a separate visibility goal.
Enable Access Masks
- In AdminCP, open the vBulletin option area for the relevant forum or channel-access behavior.
- Enable Access Masks if it is not already enabled.
- Configure the mask for the target usergroups so unauthorized users do not receive the forum in listings.
- Save the option and permission changes.
Access Masks can also set an individual user to No, denying that user access completely. This is useful for a per-user exception, such as removing one account from a private project, while the group rule continues to serve everyone else.
Access Masks do not replace the channel and thread-content permissions. Treat listing suppression and content authorization as separate layers: the former controls what appears in navigation, while the latter controls whether a request can reach the channel or its discussions.
Understand overlapping usergroups
vBulletin combines permissions from all usergroups attached to a user. In an overlap, the greater permission can override a No. A user who is correctly denied through a primary group may therefore regain access through an unintended secondary group.

- Open the test account’s profile or user-management record and list its primary and secondary usergroups.
- Compare every listed group with the private channel’s permission entries.
- Look for any group with Can View Channel or Can View Thread Content set to Yes.
- Remove the unintended membership, or change the group’s channel rule if that group should never access the forum.
- Save the membership or permission change and test again.
Use group membership as the first diagnostic when one user can see a private forum but another user in what appears to be the same role cannot. The difference is often a secondary group, not a caching problem.

Version-specific setting: “Show Private Forum”
The archived vBulletin 4.2.5 documentation includes a Show Private Forum setting that controls how users without permission are treated. Its label and available choices are version-specific, so do not assume that a setting seen in a 4.2.5 manual exists unchanged in your release.
When you find this option, read its description in the installed version and confirm whether it affects listing visibility, an access-denied response, or another presentation behavior. Keep the underlying usergroup permissions as the authority for channel and thread access; use the version-specific option only for the behavior it documents.
Choose the right privacy combination
| Goal | Guest setting | Approved-member setting | Additional control |
|---|---|---|---|
| Block guests from entering the forum | Can View Channel: No | Can View Channel: Yes | Save both group changes |
| Prevent guests from reading discussion bodies | Can View Thread Content: No | Can View Thread Content: Yes | Apply the setting on the target channel and relevant children |
| Keep the forum out of unauthorized listings | Use Access Masks for the unauthorized group | Allow the approved group through the mask | Enable Access Masks first |
| Remove one person without changing the group | Set that individual to No in an Access Mask | Leave the group rule unchanged | Check every other group membership for a conflicting Yes |
| Protect a parent and its subforums | Set the parent denial and audit inheritance | Set the parent grant and audit inheritance | Override a child only when it needs a different audience |
Verify the result with representative accounts
Do not verify privacy only while logged in as an administrator. Elevated accounts may have permissions that ordinary visitors do not. Use accounts that represent each access path and record the expected result before testing.
- Guest or logged-out browser: the private forum should not be readable; if Access Masks are configured, it should also be absent from the applicable listing.
- Approved member: the forum should appear as intended and thread bodies should open.
- Moderator: confirm the moderation role has the channel and content access it requires.
- Administrator: confirm administrative access is intentional rather than an accidental consequence of a broad group rule.
- User with a secondary group: use this account to detect an unintended permission increase.
Test the parent and every child channel that matters. Check both a forum listing and a direct attempt to open a thread, because hiding a listing and denying content are separate outcomes.

Guests can see the forum name
First distinguish a name appearing in a listing from the ability to enter the channel. Review Access Masks and confirm the option is enabled if listing suppression is required. Then verify that Guests have Can View Channel set to No on the exact channel being displayed. If the visible entry belongs to a child forum, inspect that child’s override.

Guests can open threads or read posts
Inspect Can View Thread Content for Guests on the target channel and its children. A channel-level denial without a content denial may not produce the behavior you want in every release, so set both to No when thread bodies must be private. Save the change and retest while logged out.
An approved member receives a denial
Check that the account actually belongs to the approved usergroup, that both permissions are set to Yes, and that the child channel has not overridden the parent. Also inspect secondary memberships for a conflicting configuration and confirm that each edited row was saved.

Compare the two accounts’ complete group memberships rather than comparing only their primary labels. The account with access may have a secondary group whose greater permission wins. If the difference is intentional, document the exception; if not, remove the unintended membership or adjust the group rule.
The setting appears to have no effect
Confirm that you edited the correct channel, saved the change, and tested with the correct account type. Then check parent-child inheritance, Access Masks, and the installed version’s labels. A release may call the editor Channel Permissions instead of Forum Permissions, and the 4.2.5-era Show Private Forum option may not behave the same way in another version.
Maintain privacy as the forum changes
- Include permission review whenever a new child forum is created.
- Remove former project or staff members from secondary groups as part of offboarding.
- Record which group is the approved audience so future administrators do not grant access to a broad registered-member group by mistake.
- After changing a group, test one account from that group and one account that should remain excluded.
- Recheck listing visibility and direct thread access separately after version upgrades, because menu labels and version-specific options can change.
These checks keep the privacy rule aligned with the forum hierarchy and with the memberships that vBulletin uses when calculating effective permissions.
