To make a printer discoverable, turn it on, connect it to the right network, then add it from your computer or phone’s printer settings. For Wi-Fi printing, the printer and device usually need to be on the same local network. If it still does not appear, use the system’s manual-add option or the printer’s model-specific setup instructions.
Check the printer and network first
- Check power and status. Turn on the printer and look at its display or wireless indicator. Resolve any displayed error, such as a paper jam, empty ink, open cover, or out-of-paper condition.
- Confirm Wi-Fi is enabled. If the printer has a wireless status screen or connectivity test, use it to verify that the printer is connected to Wi-Fi.
- Compare network names. Make sure the computer or phone and printer are on the same local network. A router, extender, or multiple access points may provide separate Wi-Fi network names (SSIDs), even in the same home. Microsoft and Apple both recommend checking this for network printing (Microsoft; Apple).
- Restart the printer if needed. Microsoft’s procedure is to turn it off, unplug it, wait 30 seconds, reconnect it, and turn it on. Then try adding it again (Microsoft troubleshooting).
“Discoverable” is not always a separate setting to switch on. For Wi-Fi printing, the printer generally needs to be powered on and connected to a network the computer or phone can reach. Bluetooth pairing and Windows printer sharing use different setup steps.
Add a printer in Windows 11
Find a network printer automatically
- Open Settings > Bluetooth & devices > Printers & scanners.
- Select Add device beside Add a printer or scanner.
- Wait for the list to populate, then select your printer and follow the prompts. The list can take a few minutes to appear.
If the printer is not listed, select Add manually or The printer that I want isn’t listed, then choose the option that matches your connection. The labels may differ somewhat in other Windows versions. See Microsoft’s Windows printer setup instructions.
Add a USB-connected printer
Connect the cable and turn on the printer. Windows often installs a local printer automatically. If it does not, open Settings > Bluetooth & devices > Printers & scanners and add it there. Windows Update may provide an updated or fuller driver.

If Windows still cannot find it
Windows 11 users can start with the printer troubleshooter in the Get Help app. Microsoft’s troubleshooting flow also recommends checking the wireless connection, restarting the printer, removing and reinstalling it, and printing a test page once it is added (Microsoft troubleshooting).
Add a printer shared from another Windows PC
A printer connected to another computer is different from a printer joined directly to Wi-Fi. On the computer connected to the printer (the host), confirm that printer sharing is enabled, along with Network discovery and File and printer sharing. Both computers need network connectivity, and Windows may request valid account credentials.

- On the computer that needs access, open Settings > Bluetooth & devices > Printers & scanners.
- Select Add device, then choose Add manually if the shared printer does not appear.
- Select Select a shared printer by name and enter the host and share names in this format:
\ComputerNamePrinterShareName.
Use the actual computer name and printer share name configured on the host. See Microsoft’s instructions for sharing a network printer.

- Open System Settings > Printers & Scanners.
- Select Add Printer, Scanner or Fax.
- Choose the printer if it appears, then follow the prompts.
If it does not appear automatically, you can add it by IP address if the printer supports a listed protocol: AirPrint, HP Jetdirect (Socket), Line Printer Daemon (LPD), or Internet Printing Protocol (IPP). Generic protocol connections may offer fewer printer features. macOS uses AirPrint when available; otherwise, Apple advises installing current printer software from the manufacturer. Managed networks may require a printer configuration profile or help from an administrator. Apple’s guide explains adding a printer to the Mac printer list.

Print from an iPhone or iPad with AirPrint
Check that the exact printer model supports AirPrint using Apple’s AirPrint printer list or the printer manufacturer’s documentation. Connect the printer and Apple device to the same Wi-Fi network, then:
- In an app that supports printing, open its share or actions menu.
- Tap Print.
- Tap No Printer Selected, then choose the AirPrint printer.
- Set print options and tap Print.
Not every app includes a print action. Apple’s AirPrint instructions for iPhone and iPad describe the workflow.

Set up a Bluetooth printer
Bluetooth discovery is separate from Wi-Fi discovery. Turn on the printer and make it discoverable using the procedure in its manual; the exact steps depend on the model. In Windows, open Settings > Bluetooth & devices > Printers & scanners, select Add device, and follow the prompts. See Microsoft’s Bluetooth printer guidance.

When USB can help with Wi-Fi setup
Some AirPrint-capable printers can be configured to join Wi-Fi through a USB connection to a Mac and a manufacturer-provided setup assistant. Follow the printer’s manual: use the specified cable, install the Mac software if required, run the setup assistant, then disconnect USB after Wi-Fi setup. If the printer has a display, selecting the Wi-Fi network and entering its password on the control panel is a common setup route. WPS is an option only if both the printer and router support it. Apple’s printer Wi-Fi setup guidance covers the general process; cable and setup requirements vary by model.

Choose the right route if there is more than one

Before choosing a manual method, check the printer’s exact model documentation for AirPrint or other protocol support, required drivers, configuration profiles, setup assistants, and cable requirements.
Test the connection and handle persistent problems
After adding the printer, send a test print. If the job fails or the printer remains unavailable, recheck its local status and network connection, then consult the manufacturer’s instructions for the exact model. Printer-specific setup details—including Wi-Fi onboarding, supported bands, router isolation settings, and firmware steps—depend on the printer and network equipment; the general steps above cannot establish those settings for every model.
