The dependable way to make a printable Pokémon TCG checklist is to identify the exact expansion in the official Pokémon Trading Card Database, copy its official card numbers and names into a spreadsheet, add collection checkboxes, and print one sheet for that expansion. If an official expansion checklist PDF exists, you can print it immediately; otherwise, the custom spreadsheet method gives you better filtering and fields for missing cards, duplicates, condition, and notes.
Keep the expansion, language, card number, card name, rarity, and variant information together. That prevents a visually attractive checklist from becoming difficult to reconcile with the cards you actually own.
What “from the Universe Site” should mean
The phrase “Universe Site” can refer to a Pokémon card information page that shows a set or its checklist. Treat that page as a starting point, not as the final authority for card identity. Confirm every row against the official Pokémon Trading Card Database, which is the authoritative place to identify card records and expansion membership.

Choose the right source before you collect cards
Use the official Trading Card Database for card identity
Search the official Pokémon Trading Card Database for the expansion rather than relying on a search-engine image, a marketplace listing, or a fan-made list. Filter by the exact set and language, then record the official card number and card name exactly as displayed. Preserve punctuation, accents, apostrophes, and any suffixes in the name.
Card numbers are especially important. They are the stable key that lets you compare a printed sheet with a physical card, even when two cards have similar names. If a set includes cards with different variants, keep the variant description in its own field instead of silently merging the rows.
Do not use the retired Card Dex as an export source
Pokémon Support states that Card Dex data “will not be exportable or transferrable in any way” and directs users to the Trading Card Database for card information. In practice, that means you should not build your printable file around an assumed Card Dex export button. Copy or transcribe the records from the current Trading Card Database instead.
Look for an official expansion checklist PDF
Some expansions have an official checklist PDF. The official Platinum checklist uses the instruction, “Use the check boxes below to keep track of your Pokémon TCG cards!” The Scarlet & Violet official checklist shows the same numbered, checkbox-based approach for a modern expansion.
When an official PDF exists for your exact expansion and language, it is the fastest route: download it, confirm the set name and numbering, print one test page, and then print the remaining pages. Do not assume that a PDF for one expansion covers another expansion with a similar name.
Method 1: Print an official checklist PDF
- Identify the exact expansion. Write down the complete set name, language, and any version or variant information shown by the official source.
- Open the expansion’s official checklist PDF. Confirm that the first and last card numbers match the expansion you intend to collect.
- Check the page orientation. Use portrait if the PDF’s rows are narrow and tall; use landscape if the checklist has several columns or long card names.
- Choose fit-to-page deliberately. In the print dialog, select the PDF viewer’s fit or shrink-to-print option only if it keeps the card numbers readable. Avoid “actual size” when it would clip a column.
- Print one test page. Mark a checkbox with a pen and verify that the line is large enough to use beside a binder or storage box.
- Print the full set. Keep the pages in their original order and write the expansion name on every page if pages could become separated.
The official PDF is visually consistent and requires little preparation, but it may not include the personal fields you want. If you need missing-card counts, duplicate tracking, condition grades, or notes, use the custom method below.
Method 2: Build a custom printable checklist in a spreadsheet
1. Create one worksheet for one expansion
Start a new spreadsheet and name the worksheet after the expansion. A separate worksheet per expansion keeps printing and maintenance manageable; a single master sheet can become unwieldy as you add more sets.

- Holds Up to 1080 Cards: The Card Binder includes 60 double-sided pages with 9 pockets per side, allowing storage for up to 1080 standard-size trading cards, game cards, baseball card, sports card.
- Great Gift for Kids & Collectors: A great card binder perfect for organizing game cards or trading cards—an ideal gift for young collectors or hobbyists.
- Removable 3-Ring Design Card Binder: Flexible 3-ring binder lets you easily add or remove pages to customize your card collection as it grows.
- Durable PU Leather Cover: Sleek, water-resistant exterior protects your cards from dust, scratches, and spills for long-lasting use.
- Zipper Closure & Carry Handle: Smooth zip-around closure keeps cards secure, while the built-in handle makes it easy to carry anywhere.
At the top of the sheet, add a title such as “Pokémon TCG — [Expansion name]” and a small metadata line containing language, source, and access date. Template text such as [Expansion name] is intentional: replace it with the actual set name before printing.
2. Add columns that preserve official identity
Use the following columns in this order. The first five preserve the card’s official identity; the remaining fields are your collection controls.
| Column | What to enter | Why it matters |
|---|---|---|
| Card number | The number exactly as shown by the official database | Lets you reconcile the sheet with the physical card and official numbering |
| Card name | The official spelling and punctuation | Prevents confusion between similarly named cards |
| Rarity | The displayed rarity, when available | Helps sort or review the set without changing card identity |
| Variant | Variant, language note, or treatment, if applicable | Keeps distinct versions from being merged into one row |
| Owned | An empty checkbox, such as ☐ | Provides the primary collection control |
| Missing | An empty checkbox or status field | Creates a focused shopping or trading list |
| Duplicate | An empty checkbox or quantity field | Shows cards available for trades or replacement copies |
| Condition | Free text such as sealed, near mint, or damaged | Separates ownership from physical condition |
| Notes | Any personal detail | Records binder location, trade source, or an issue to revisit |
If you prefer a simpler sheet, keep only Card number, Card name, and Owned. Do not remove Card number just to make the table narrower; the number is what makes the printout dependable.
3. Collect the rows from the official database
- Open the Trading Card Database and select the exact expansion filter.
- Set the language filter before copying records if the database offers more than one language.
- Copy the card number and name for every result. Add rarity and variant details while the record is visible.
- Sort by the official card number, not alphabetically by name.
- Compare the first and last numbers with the expansion’s official checklist or set information.
Copying in number order makes omissions visible. If the sequence jumps, return to the database and investigate rather than filling the gap with a guessed card name.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches4. Add usable checkboxes
You can use a checkbox control supplied by your spreadsheet application, or insert the empty checkbox character ☐ in each status cell. A printed checkbox must have enough white space to mark with a pen; shrinking a dense table until the box is only a few millimeters wide makes the sheet frustrating to use.
For a paper-only workflow, leave the Owned, Missing, and Duplicate cells empty. For a digital-and-paper workflow, use a real checkbox control for Owned and leave the other fields as text so you can type quantities or notes before printing.
5. Format the sheet for paper
- Freeze the header row in the spreadsheet so column names remain visible while you review a long set.
- Use a readable font and wrap long card names rather than truncating them.
- Set repeating header rows if the set spans multiple printed pages.
- Use alternating row shading sparingly; high-contrast black-and-white printing is easier to mark.
- Choose portrait for a compact three-to-five-column sheet and landscape when you include all collection fields.
- Set the print area to the used rows and columns, then select fit-to-width or fit-to-page only after checking readability.
6. Test, correct, and print
- Print one page at the final scale.
- Write in the Owned box, Missing box, and Notes column to test the available space.
- Check that card numbers are not clipped at the left or right edge.
- Correct page breaks so a header is not stranded at the bottom of a page.
- Print the full expansion and label every page with the set name.
How to choose between an official PDF and a custom sheet
| Need | Official PDF | Custom spreadsheet |
|---|---|---|
| Fastest path to paper | Best choice when the exact expansion PDF exists | Requires data collection and formatting |
| Visual consistency | Already designed for that expansion | You control the design |
| Owned checkboxes | Usually included in the official format | You can choose checkbox controls or symbols |
| Missing, duplicate, condition, and notes fields | May not be available | Easy to add as separate columns |
| Filtering and sorting | Limited on paper | Available before printing and during digital maintenance |
| Updates | Requires finding a revised official PDF | You can edit one worksheet without changing other expansions |
Use the official PDF when speed and a finished design matter most. Use a custom sheet when you actively trade, track duplicates, record condition, or expect to revise the list.

Database-first versus a third-party tracker
The official database should remain the source of card identity even if you use a third-party binder or collection tracker. Tools such as PkmnBindr and RipMath describe binder organization and printable missing-card exports, which can be useful for planning pages or generating a shopping list. Check their rows against the official card numbers before printing, because third-party interfaces and expansion coverage can change.
Recommended Free Tools
A practical division of labor is simple: verify names and numbers in the official database, then use a tracker only for conveniences such as binder placement, collection status, or export formatting.
Organize the printed checklist with the cards
Keep each expansion’s checklist with the cards for that expansion. A binder is a natural companion because the printed page can act as an index while you fill pockets in number order.
- Place the checklist at the front of the expansion’s binder section or in a pocket beside the storage box.
- Use the Card number column to locate a card quickly when a name is forgotten.
- Mark Missing only after checking every relevant storage location.
- Use Duplicate and Condition to distinguish a second copy from a replacement-quality copy.
- Keep a separate page for each expansion instead of renumbering a combined list whenever a new set is added.
Troubleshooting common checklist problems
The list contains cards from the wrong set
Cause: The source page was filtered by a similar set name or by a broad Pokémon search.
Fix: Return to the official database, select the exact expansion filter, and compare the first and last card numbers with the official checklist. Delete rows that do not belong rather than trying to annotate them as exceptions.

Card numbers skip or appear twice
Cause: A row was missed during copying, or variants were merged or duplicated.
Fix: Sort numerically, inspect every gap and duplicate, and check the corresponding database records. Keep a variant in its own row when it represents a distinct version you want to track.

Names are cut off on the printed page

Fix: Widen the name column, enable text wrapping, switch to landscape, or split collection-control columns onto a second page. Do not reduce the entire sheet until names and checkboxes are difficult to read.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Maintenance: keep the checklist trustworthy
Label the printout with the expansion name, language, and access date. When the database interface or an official PDF changes, make a fresh comparison before replacing the sheet. Keep the official card number unchanged even if you add personal fields or reorganize the page.
For a large collection, maintain a digital master and print expansion worksheets from it. A master sheet is useful for cross-set searching, while expansion sheets are easier to carry, print, and update. Do not let the master sheet replace the expansion labels that make physical storage understandable.

Frequently Asked Questions
Should I print one checklist for each language I collect?
Yes. Keep language as part of the worksheet metadata and do not combine rows whose names or numbering belong to different language editions.
Is a duplicate card a separate checklist row?
Usually no. Keep one official identity row and record the number of copies, or mark Duplicate, in your collection fields.
What should I do when a set grows after I print it?
Update the digital worksheet, record a new access date, and reprint only the affected expansion pages so unrelated sets keep their existing numbering.
