You do not need the root password for normal Virtualmin administration. Sign in at https://your-hostname:10000 (or https://your-ip:10000) with an existing Unix account that can use sudo. If that account was created for SSH-key access and has no password, set one over SSH with sudo passwd <username>, then use the account’s username and new password in Virtualmin.
Only set a root password when you specifically need to authenticate as root. A successful sudo or sudo su - session proves that the account can escalate privileges; it does not prove that the root account has a usable password.

Which account should you use?
Virtualmin can authenticate an administrative session with a sudo-capable system user. The account does not have to be named root. This is the normal approach on many Ubuntu-style and cloud installations, where the initial administrator receives SSH-key access while the root account has no password.
Choose the account that matches the task:

Virtualmin’s installation guidance states that, in most cases, you can log in with your sudo-capable user instead of root. A regular mailbox or FTP identity is not automatically an administrative Virtualmin account.

Sign in with your sudo-capable user
- Find the server address. Use the server’s hostname if DNS points to it. If the hostname is unavailable or not resolving, use the server’s IP address.
- Open the panel over HTTPS. Enter
https://your-hostname:10000in the browser. Port10000is Virtualmin’s HTTPS panel port. An IP-based address ishttps://your-ip:10000. - Handle the certificate warning if necessary. When you connect by IP address before a certificate is issued for that address, the browser may warn that the certificate name does not match. Confirm that you are connecting to the intended server and use the hostname once its DNS and certificate are ready.
- Enter the Unix username. Type the existing sudo-capable account, not automatically
root. Use the exact spelling and capitalization accepted by the operating system. - Enter that account’s Unix password. This is the password associated with the system user. An SSH private key that works for terminal access is a different authentication method and cannot be typed into the panel’s password field.
- Submit the form. If the account has the required Webmin permissions, Virtualmin opens the administrative interface without any root password.
When the sudo user has no password
Cloud images and Ubuntu-style installations often create a named user for SSH-key access and grant it sudo rights, while leaving password authentication unset. That arrangement is valid for SSH but gives the panel no password to verify.
Open an SSH session using the key that already works, then set or replace the Unix password for the same account:

The command asks for the new password and confirmation. After it completes, return to https://your-hostname:10000 and sign in with that username and password. You do not need to convert the SSH key into a password or change the root account.
If sudo passwd <username> reports that the current account cannot use sudo, stop and use an account that already has sudo authority. Being able to log in over SSH does not, by itself, grant administrative privileges.

When you genuinely need a root login
Use a root password only for a task that specifically requires root authentication or a workflow that does not accept a sudo-capable administrator. From an SSH session where sudo works, set it with:
sudo passwd rootAfter the command succeeds, return to the panel and enter root with the password you just established. Setting this password is optional for ordinary Virtualmin administration; the sudo-capable account remains the preferred route when it provides the required permissions.
Do not infer that root has no password merely because sudo su - succeeds. Sudo authenticates the invoking user and then performs the permitted escalation. It does not test whether root’s own password exists or is accepted by Virtualmin.
Why SSH works while Virtualmin says “login failed”
SSH and the panel can use different authentication paths. Check the following in order:

1. You entered an SSH key user but supplied no Unix password
Use the same account name that appears in your SSH command, then set a password from that SSH session with sudo passwd <username>. A private key cannot be pasted into the Virtualmin password field.
2. You are using a non-administrative account
A mailbox or FTP user is generally managed through Usermin. A successful login for that identity does not imply access to the full Virtualmin/Webmin interface. Use the sudo-capable administrator, or confirm that the person is the domain owner with Webmin login enabled.
3. The username is correct but Webmin permissions are missing
Virtualmin must recognize the system account as an administrator or grant it the relevant Webmin capabilities. If the account is a domain owner, enable Webmin login for that virtual server and assign only the privileges needed for the job.
4. The address or port is wrong
Verify the hostname or IP and include :10000. Try the IP address when DNS is not ready, then use the hostname after DNS and TLS are configured. An IP connection can produce a certificate warning without meaning that the credentials are wrong.

5. The password was changed for a different account
The command sudo passwd <username> changes the named user. If you changed a domain owner’s password but are entering the sudo administrator, or changed the administrator’s password but are entering root, the panel will still reject the combination. Match the username, password, and intended privilege level.
Logging in as a domain owner
A domain owner can have Virtualmin access without being root. The virtual server must permit Webmin login for that owner, and the owner must have the capabilities required for the requested tasks. This is separate from giving the person unrestricted system administration.

If the owner cannot reach port 10000 or receives an authentication error, an administrator should verify that Webmin login is enabled for the domain and that the owner’s account is not merely a mailbox or FTP identity.
Create a passwordless login link
Virtualmin provides an official create-login-link command for issuing a generated URL. It is useful when a domain owner or Usermin mailbox user needs access but should not be asked to type a password into the panel.

Run the command in a shell with the authority to create the link:
virtualmin create-login-link --domain name
virtualmin create-login-link --user name
virtualmin create-login-link --usermin-user nameChoose the correct form
--domain namecreates a link for a domain owner.--user namecreates a link for a Virtualmin user.--usermin-user namecreates a link for a Usermin user.
The generated URL acts as a credential. Send it only to the intended recipient, avoid posting it in tickets or chat rooms that contain unrelated people, and treat it with the same care as a password. The command also has a --root option for a root login link, but a sudo-capable administrator normally does not need that option.
Virtualmin versus Usermin access
Virtualmin is the hosting administration interface, while Usermin is intended for ordinary users such as mailbox owners. A regular mailbox or FTP login may be valid for Usermin and still be rejected by the full Virtualmin interface. This distinction prevents accidentally granting server-wide controls to an account that only needs email or file-management functions.
When choosing a generated link, use --domain for a domain owner and --usermin-user for a mailbox or other Usermin identity. Do not send a domain-owner link to a person who should have only Usermin capabilities.
Security practices for non-root administration
- Use named accounts. A personal sudo-capable account makes it possible to identify who performed an action instead of sharing one root credential.
- Limit privilege. Grant only the sudo and Webmin permissions required for the role. A domain owner does not need the same authority as a server administrator.
- Keep SSH keys and panel passwords separate. A key can remain the preferred SSH method while a strong Unix password is maintained solely for panel authentication.
- Protect generated links. Anyone who obtains a login URL may be able to enter the associated interface without typing a password. Deliver links privately and revoke or replace access according to your normal account-management process.
- Use HTTPS. Connect through the HTTPS panel address and verify that the hostname or IP belongs to the intended server before entering credentials.
- Avoid routine root sessions. Use the sudo-capable account for day-to-day administration and reserve root authentication for a documented requirement.

What to remember
The root password is not a prerequisite for Virtualmin. Start with a sudo-capable Unix account, give it a password if it currently relies only on an SSH key, and use the HTTPS panel on port 10000. Set a root password only when root authentication itself is required. For delegated access, enable the appropriate Webmin permissions or issue the matching domain, Virtualmin-user, or Usermin login link.
