To limit an AI agent that connects to Google Workspace through an OAuth app, review the app’s requested scopes in the Admin console and set its access to the narrowest level that supports the task. Use Specific Google data to allow selected scopes, Limited to allow unrestricted services only, or Blocked to deny Google data access. Avoid Trusted as a least-access default: it permits access to all Workspace services, including restricted services.
These controls apply to OAuth app access. First confirm how the integration authenticates; an AI agent may use a service account, delegated access, or another method instead. Google’s built-in Gemini features have separate controls.
Confirm how the agent connects
“AI agent” does not identify an authentication method. Check the vendor’s integration documentation and your tenant’s Admin console to determine whether the agent uses a Google OAuth client, a service account, delegated access, or something else. The app-access procedure below is for integrations managed as Google OAuth apps.

For an OAuth app, go to Admin console > Security > Access and data control > API controls. Under app access controls, review configured and accessed apps. Identify the app by its name and OAuth client ID, then inspect the services and scopes it requests. Google’s app access control guide explains the available controls.

Do not rely only on the scope list shown during an access-setting change: it may include scopes the app has ever requested rather than its current configuration. Open the app details to see the exact configured scopes, and review which users are affected.
Choose the narrowest app access level that works
Google provides four app access levels. Their effect depends on the services the app needs and the policy applied to the affected users.

Prefer Specific Google data when the task can be supported by a defined set of scopes. Choose only what the agent needs to do its approved job—for example, distinguish between reading data and modifying, sending, or deleting it. Use Limited if the integration needs unrestricted services but not restricted ones. Choose Blocked when access should be denied. Reserve Trusted for a deliberate exception after reviewing the breadth of access.

Google documents service restrictions and additional high-risk OAuth scope restrictions for Gmail, Drive, Docs, and Chat. Review the agent’s requested scopes for each service and allow only the operations its task requires. For example, an agent that needs to find information may not need permission to modify or delete it; an agent that drafts messages may not need permission to send them.

To stop an agent from accessing a broad set of Drive files, first determine whether its OAuth scopes and the available service controls let you narrow access sufficiently. The app-level scope settings are not a substitute for checking the content permissions and controls that apply to the user or data. Do not assume that an “AI agent” label implies access only to a selected folder or department.
Apply the policy to the right organizational units
Where practical, scope the change to the organizational units whose users need the restriction. Before applying it, review the existing organizational-unit policy and inheritance behavior; do not assume a new top-level policy automatically replaces a more specific setting. Check which users have installed or accessed the app so the change does not unexpectedly affect other teams.

App access control requires the Security settings administrator privilege. If the app controls are unavailable in the Admin console, verify that the administrator account has the required privilege.
Roll out the change and validate its effect
- Record the app identity and current policy. Note the OAuth client ID, configured scopes, affected users, and organizational units before changing access.
- Select the access level and scope restrictions. Apply the smallest set of scopes and services that supports the approved task.
- Test the integration with an affected account. Confirm that required operations still work and that operations outside the approved need are denied.
- Check failures against the policy. If the agent stops working, identify the specific service or scope it requires before expanding access. Avoid switching to Trusted merely to silence an error.
- Verify the policy and app details after the change. Google notes that the accessed-app list can take time to update after token changes, so validate against the app and policy details rather than treating an immediately unchanged list as proof the change failed.
Restricting a service can interrupt previously installed apps that are not trusted and revoke their tokens. Plan for reauthorization or disruption where applicable, and communicate the change to affected users.

Keep Gemini controls separate from third-party app controls
Google’s built-in Gemini features are not governed by the OAuth app setting for an external agent. Google Workspace Learning Center states: “Gemini has the same access to Workspace data as you do.” In practice, Gemini’s access follows the user’s Workspace permissions; Google cites Drive owner restrictions on copying or downloading and excludes delegated Gmail inbox content from Gemini access. Administrators can restrict Gemini entirely or limit some or all of its Workspace data access. The Gemini app on/off setting is managed separately, and it does not control every Gemini feature embedded in Workspace services. For the app setting, follow Google’s instructions to turn the Gemini app on or off.
Do not confuse OAuth scopes with device access controls
Device-risk protections address whether access from a device is safe; they do not narrow the OAuth scopes an app has been granted. Google’s Security advisor for app access protection describes settings that can warn about or block access from specified unsafe devices and points administrators to Context-Aware Access for further device-based controls. Use those controls alongside—not instead of—app scope restrictions when the concern includes device risk.
