The safest default is least privilege: give an AI agent only the files, applications, accounts, actions, and network paths required for one task, then review and remove that access when the task ends. Do not look for a universal “safe mode.” Effective control is layered across resource scope, allowed operations, execution environment, identity, approvals, logging, and revocation.

The exact controls depend on the agent, operating system, browser, and integrations. Use the product’s current documentation for click-by-click settings, and apply the framework below to decide what those settings should permit.

Start with the five questions that define access

An agent’s authority is not one switch. Before changing settings, describe its access along five dimensions:

  • Resource: Which files, folders, databases, applications, browser sessions, APIs, and accounts can it reach?
  • Operation: May it view, create, edit, send, delete, purchase, publish, or execute?
  • Environment: Is it working in a trusted, dedicated workspace or reading untrusted web pages, email, documents, or code?
  • Oversight: Are actions automatic, recorded for later review, or paused for human approval?
  • Revocation: Can you inspect and remove the permission quickly when the task is complete?

NIST’s 2025 tool-use taxonomy separates read-only, constrained-write, and write capabilities and notes that the practical access pattern depends on implementation and deployment conditions. Its article states: “Some tools may enable read-only actions, while others enable (“write”) actions that impact state.” (NIST, August 5, 2025.)

Inventory what the agent can already reach

Do not begin by granting a new permission. First make a short inventory. The agent may have more authority through a connected account, saved browser session, environment variable, or remote service than its visible chat interface suggests.

  1. List data locations. Record the folders, shared drives, cloud storage, databases, notes, calendars, contacts, photos, and message archives that the agent can access. Include inherited access through a parent folder or shared workspace.
  2. List applications and integrations. Identify mail, calendar, document, project-management, finance, source-control, browser, and automation connections. Note whether each connection is account-wide or limited to selected resources.
  3. List tools and actions. Separate search and retrieval from file modification, code execution, sending messages, deleting records, purchases, publishing, and permission changes. A tool that appears to “manage files” may include several of these actions.
  4. List identities and secrets. Check the user account, service account, API keys, OAuth grants, browser cookies, SSH keys, password managers, and environment variables available to the runtime. Record who owns each credential and when it expires.
  5. List network paths. Determine whether the agent can reach the public internet, internal services, local network devices, metadata endpoints, or only an approved set of domains.
  6. Test the inventory. In a disposable workspace, ask the agent to enumerate visible files and available tools. Compare the result with your intended boundary. Treat unexpected visibility as a permission problem, not as something the agent should be instructed to ignore.

Write the inventory down. A simple table with resource, operation, identity, environment, and owner makes later review and revocation much easier.

Design the smallest useful permission set

Least privilege means allowing only the access needed for the assigned task, reviewing it, and removing it when the need ends. NIST applies this principle to processes and system accounts in SP 800-171 Rev. 3, whose controls address protection of controlled unclassified information in nonfederal systems. That document is not a consumer-agent configuration manual, but the principle transfers well.

Decision Narrow design Broad design to avoid
Resource scope One project folder, selected records, or a dedicated workspace Entire home directory, all cloud storage, or a whole app account
Action Read or create a draft; edits and sends require approval Unrestricted edit, delete, send, purchase, or permission changes
Identity Separate service identity with short-lived credentials Your primary account with access to unrelated personal data
Environment Isolated runtime with explicit file mounts and network allow-list Unrestricted host access and unrestricted internet egress
Oversight Logged actions and confirmation for consequential steps Silent, automatic state changes
Revocation One integration or token can be disabled immediately Permissions spread across many accounts with no central review

Keep the grant tied to a task, not to the agent’s identity forever. A document summarizer may need read access to a selected folder for an hour; it does not need permanent access to every document you own.

Choose read-only, constrained-write, or write access deliberately

Read-only access

Read-only tools can list, search, retrieve, and analyze data without changing the source. They are the right starting point for research, classification, summarization, and audits. Confirm that “read-only” really excludes downloads to uncontrolled locations, exports, sharing changes, and execution of retrieved code. A read-only API can still expose highly sensitive personal information, so limit the dataset as well as the operation.

Constrained-write access

Constrained write permits a defined, reversible change: creating a draft in a staging folder, updating approved fields, or opening a pull request instead of merging it. Set boundaries such as allowed paths, file types, record fields, maximum item count, or a requirement for human approval before commit.

Write access

Unrestricted write can alter state, send messages, delete data, publish content, or trigger downstream automation. Use it only when the task genuinely requires it. Add transaction limits, confirmation gates, backups, and an identity that cannot reach unrelated systems. If a product cannot express these limits, use a different tool or perform the final action yourself.

Restrict files and folders

Exact labels vary by operating system and agent, but the control pattern is consistent.

  1. Create a dedicated workspace. Put task data in a new folder or project space. Copy only the files required for the job; do not point the agent at the root of your home directory.
  2. Grant the narrowest path. Select that folder rather than an entire drive. If the product offers file or folder selection, leave unrelated locations unselected. Check whether subfolders inherit the grant.
  3. Use a separate operating-system or service identity. A dedicated account should own the workspace and have no access to private folders, password stores, SSH keys, or system configuration.
  4. Set filesystem permissions. On systems that support them, remove write and execute permission when the agent only needs to read. Avoid mounting sensitive directories into a container or virtual machine at all.
  5. Separate temporary output. Give the agent a scratch directory for generated files. Review and move approved results manually or through a narrowly scoped transfer step.
  6. Verify both visibility and effect. Ask the agent to list its working directory, then test a harmless read and a deliberately denied write. A successful denial confirms the boundary; a refusal message alone does not.

File selection is not a substitute for account security. If the agent runs remotely, your local folder permissions may not govern copies already uploaded to the service. Review the service’s retention, workspace, and deletion controls separately.

Limit connected apps, APIs, and browser sessions

Use app-specific scopes

Connect only the application needed for the task. Prefer a scope such as “read selected documents” over “full account access.” For mail and calendars, separate viewing from sending, deleting, or changing invitations. For project systems, distinguish reading tickets from editing status, assigning work, or closing items.

Prefer a dedicated identity

Create a service or secondary account with only the required workspace membership. Do not connect your personal administrator account merely because it is convenient. Remove the account from groups that grant inherited access, and use an expiration date where the provider supports one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Protect API keys and tokens

Store credentials in the product’s secret store rather than in prompts, documents, source files, or shell history. Give each integration a unique token so that revoking one connection does not require rotating every credential. Set the shortest practical lifetime and restrict allowed IP ranges, endpoints, or operations.

Constrain browser access

A browser session can expose every tab, saved login, download location, and web application available to it. Use a separate browser profile or a dedicated automation session with no personal cookies. Allow-list the domains required for the task, disable password-manager access, and require confirmation before form submission, file upload, purchase, or message send.

Isolate code execution and untrusted automation

When an agent can run code, treat the runtime as a separate security boundary. NIST’s CSRC glossary defines a sandbox as “A restricted, controlled execution environment that prevents potentially malicious software, such as mobile code, from accessing any system resources except those for which the software is authorized.” (NIST CSRC glossary, citing CNSSI 4009-2022.)

A practical isolation design can include:

  • A container or virtual machine created for the task and discarded afterward.
  • Only the required files mounted, ideally read-only.
  • No access to host credentials, device nodes, private keys, or metadata services.
  • Network egress disabled by default, with an allow-list for necessary domains.
  • Resource limits for CPU, memory, disk, process count, and runtime duration.
  • A clean snapshot or image so each run starts from a known state.
  • Logs showing commands, file access, network requests, and attempts to cross the boundary.

Sandboxing is a boundary to configure, not a guarantee that every risk disappears. A vulnerable host, an over-broad mount, a permitted network route, or a credential injected into the environment can defeat the intended isolation. Test the boundary and keep the host patched.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Treat web pages, email, and documents as untrusted input

Indirect prompt injection occurs when content the agent reads contains instructions intended to redirect its behavior. A web page might tell the agent to reveal secrets; an email might ask it to forward a file; a document might contain text that looks like a system command. The content should not gain authority merely because the agent encountered it.

NIST’s January 2026 CAISI request for information identifies adversarial data, including indirect prompt injection, as an agent-security concern and asks about interventions that constrain and monitor access (NIST CAISI RFI). Apply that principle operationally:

  • Keep tool permissions fixed while the agent reads content. Do not let a document authorize a new connector, secret, or network destination.
  • Separate instructions from data. Mark retrieved text as untrusted content and require the agent to quote or summarize it rather than follow commands embedded in it.
  • Use a tool broker or policy layer that checks every call against the task’s allow-list.
  • Pause for approval before sending, deleting, publishing, changing permissions, or executing code discovered in content.
  • For high-risk work, process files in an isolated environment first and pass only the approved result to the trusted workspace.

Limiting tools reduces the damage an injected instruction can cause. Even if the model is manipulated, it should not possess a powerful action that the task never required.

Build approval, logging, and monitoring into consequential actions

Not every operation needs a person in the loop. Reading a set of public documents may be automatic; sending an external message or deleting records should normally require confirmation. Define approval thresholds before the task starts.

Action type Typical control
Search and summarize selected data Automatic, read-only, logged
Create a draft or staged file Constrained write, destination restricted, logged
Edit shared records Field and record limits, preview, human approval
Send, publish, purchase, or delete Explicit confirmation immediately before execution
Change permissions or install software Separate administrator approval and independent audit

Keep logs that answer who or what acted, which identity was used, what resource was touched, what tool was called, what data left the boundary, and whether a person approved it. Review failed authorization attempts as well as successful actions.

NIST’s guidance for software designated as critical under Executive Order 14028 discusses fine-grained access control, logging, and continuous monitoring (NIST EO-critical software FAQs). That guidance has a defined critical-software scope; it is a useful security pattern, not an automatic consumer-agent checklist.

NIST is also examining identity and authorization for software agents, including access to diverse data, tools, and applications (NIST, February 5, 2026). Project status and implementation resources can change, so check the current page before relying on a particular control.

Review and revoke access when the task ends

Access that was appropriate for a one-time job becomes unnecessary risk if it remains enabled. Make cleanup part of the workflow, not an occasional audit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Inspect the agent’s current connected apps, file grants, tokens, browser profiles, mounted paths, and network rules.
  2. Read the activity log for unexpected files, destinations, commands, failed checks, and actions outside the intended task.
  3. Delete temporary copies and outputs that contain personal or confidential data, subject to your retention requirements.
  4. Disconnect integrations no longer needed and revoke their OAuth grants or API tokens.
  5. Remove the agent’s service identity from shared folders, groups, and projects.
  6. Rotate any credential that may have been exposed to prompts, logs, generated files, or an untrusted runtime.
  7. Record what was changed and when. This makes the next task easier to scope and gives you evidence if something goes wrong.

For recurring jobs, schedule a periodic access review and set an expiry on grants where possible. A recurring agent should have a documented owner, purpose, data set, allowed actions, and shutdown procedure.

Understand the cloud-agent and local-permission boundary

Local operating-system permissions control only processes running under that operating system. A cloud-hosted agent may receive uploaded files, access connected accounts through an authorization grant, or execute tools in the provider’s environment. In that case, restricting a local folder does not revoke a cloud copy or an app-level token.

Ask the provider where processing occurs, which data is retained, how connected-account permissions are represented, whether administrators can audit tool calls, and how deletion and revocation work. If those answers are unavailable, keep the data set non-sensitive and avoid connecting a primary account.

Conversely, an agent running locally may still access more than expected through your user account, browser profile, network shares, or environment variables. Check the process identity and inherited permissions rather than assuming that a local label such as “assistant” is an isolation boundary.

Apply the framework to common tasks

Task Minimum practical grant Keep outside the grant
Summarize project documents Read-only access to a dedicated project folder; output to a separate scratch folder Personal documents, shared-drive administration, sending, deleting
Draft replies from a mailbox Read selected threads and create drafts; no send or delete permission Archive-wide mail search, contacts export, automatic sending
Update a project tracker Read records and edit approved fields in one project; preview changes Billing, user administration, bulk deletion, cross-project access
Run a data-cleaning script Isolated runtime, read-only source mount, constrained output path, no network by default Home directory, credentials, production database, unrestricted package installation
Research on the public web Browser session without personal cookies; selected domains or controlled egress Password manager, private tabs, file uploads, form submission, purchases

Troubleshoot common permission failures

The agent can see too many files

Check inherited folder permissions, shared-drive membership, mounted parent directories, and whether a browser or cloud connector is using your primary account. Move the task data to a dedicated workspace, remove the broad grant, and retest enumeration under the intended identity.

The agent can read but still changes state

Look for a second tool with write capability, an automation rule triggered by a read, or a credential that bypasses the read-only connector. Disable the write tool, separate draft and commit steps, and require approval immediately before the state change.

A sandbox cannot reach a required service

Do not solve this by opening the entire network. Add the smallest domain, port, or proxy route required, then test that unrelated destinations remain blocked. If the service requires credentials, inject a narrowly scoped, short-lived token rather than a personal key.

An untrusted document causes unexpected behavior

Stop the run, preserve the log, and revoke any credential the agent could have exposed. Reprocess the document in an isolated workspace with tools disabled or restricted, and add a policy that treats document instructions as data rather than authority.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You cannot determine what the agent did

Assume the boundary is not auditable enough for sensitive work. Enable provider, application, operating-system, and network logs where available, or move the task to a tool that records calls and approvals. Lack of evidence is not evidence that no access occurred.

A repeatable preflight checklist

  • Have I named the exact files, records, apps, and destinations required?
  • Can the task work with read-only access or a staged draft?
  • Is the agent using a separate identity without unrelated personal data?
  • Are code execution and untrusted inputs isolated?
  • Are send, delete, purchase, publish, and permission changes approval-gated?
  • Are network access, credentials, and browser sessions limited?
  • Will logs show the identity, tool, resource, result, and approval?
  • Do I know exactly how to disconnect and revoke access afterward?

If any answer is “no,” narrow the design before supplying sensitive data. The goal is not to make an agent incapable; it is to make every capability intentional, observable, and removable.
