There is no single switch that turns off every AI feature or data-sharing path in Google apps. To limit them, review three separate Workspace smart-feature controls, Gemini’s Connected Apps, and Gemini Apps Activity. Each controls a different experience or use of information, and changing one does not automatically change the others.
Which Google controls should you change?
Start by matching your goal to the setting that governs it. Google’s labels and availability can change, and some options depend on account type, location, and eligibility. The controls below address different paths rather than one shared AI setting.

These controls can affect feature availability as well as data use. Turning off a smart-feature scope may remove the experiences Google associates with it; disconnecting an app from Gemini limits that connected-app data path but does not disable public information from Search or YouTube. If you use a managed work or school account, an administrator may control some of these options.
A useful way to compare the settings is to ask three questions: Where is the feature happening—inside Gmail, across Workspace, or in another Google product? Which data path is involved—Workspace smart features, a Gemini Connected App, or Gemini activity? And are you changing a personal account setting or asking an administrator to control a managed account? Answering those questions helps avoid switching off one setting and assuming it covers another.

Turn off Workspace smart features in Gmail
Google documents a web route through Gmail settings. The Gmail/Chat/Meet choice and the two Workspace smart-feature choices are separate. Turn off each scope you want to limit, then save the changes.
- Open Gmail on the web. Select Settings, then See all settings.
- Open the General tab. Find the section labeled Smart features in Gmail, Chat, and Meet.
- Turn off the app-level setting. Uncheck Turn on smart features in Gmail, Chat, and Meet if you want to disable the experiences governed by that setting.
- Open the Workspace controls. In the Google Workspace smart features area, select Manage Workspace smart feature settings.
- Choose the scopes independently. Turn off Smart features in Google Workspace, Smart features in other Google products, or both, according to your goal.
- Save your changes. Do not leave the settings page without using its save control.
Google also documents routes to these settings through Calendar, Chat, Drive, and Meet. The Gmail route is useful because it exposes the three distinct choices in one place. Follow the labels shown in your account if the page layout changes.
What each Workspace option changes
The Gmail, Chat, and Meet setting governs app-level features such as Smart Compose, Smart Reply, and summary cards. The broader Workspace setting covers cross-app experiences Google identifies, including events created from Gmail in Calendar, personalized search, and Gemini features in Workspace. The other-Google-products setting covers certain uses of Workspace data outside Workspace. These are independent: turning one off does not turn the others off.
Think of them as three scopes rather than three versions of the same master switch. If you want to retain Gmail’s in-app smart features but limit cross-app Workspace experiences, the Workspace setting is the relevant one. If you want to limit Workspace data being used in some other Google products, that is a separate choice. If you want to address all three categories, review each checkbox and save rather than stopping after the first change.
Some experiences have their own controls. Google specifically notes that Chat conversation summaries and Smart Reply may have individual settings and may remain available even when the Gmail/Chat/Meet smart-feature setting is off. If a particular feature still appears, look for a setting for that feature rather than assuming the broader control failed.
Check the result across devices
Google says changes to Gmail, Chat, and Meet smart-feature settings apply across devices and apps where you are signed in. However, the mobile interface may not immediately show the change. Google advises updating the mobile app if it does not display a change notification, and notes that some changes made on a computer may not be reflected in the mobile app interface. A missing notification is not, by itself, evidence that the web setting was not saved.
Disconnect apps from Gemini Personal Intelligence
Gemini’s Connected Apps are separate from Workspace smart features. If your goal is to stop Gemini from personalizing responses with information from connected Google services, manage the connections in Gemini itself.

- Open Gemini and select Settings & help.
- Open Personal Intelligence, then Connected Apps.
- Turn off the apps you do not want connected, such as Google Workspace or Search services when those choices are available for your account.
- Review the connected-app list for other eligible services, which may include Contacts, YouTube, and Google Photos or Wallet depending on the account and current eligibility.
The available set can vary. Use the options actually displayed in your account rather than assuming every listed service is available to every user. Disconnecting an app limits app-based personalization; it does not prevent Gemini from using public information from services such as Search or YouTube.
Changes or deletions in a connected Google service may take days to affect the Gemini experience, according to Google. Disconnecting a service therefore should not be treated as an instant removal of information Gemini may already have used or retained in activity.
Connected Apps is the control to use when the issue is a link between Gemini and a service. It does not delete a Gemini chat, erase the source email or file from Workspace, or change the three Workspace smart-feature settings. Consider it a forward-looking connection choice, then separately review activity if you want to address information already associated with Gemini.
Manage Gemini Apps Activity and Keep Activity separately
Connected Apps and Gemini Apps Activity control different things. Disconnecting an app does not delete Gemini conversations or activity that already contain connected-app information. Deleting activity in Gemini does not erase the underlying information in the connected Google service. If you want to limit both future connected-app use and Gemini’s retained history, review both controls.

In Gemini’s activity controls, you can manage or delete Gemini Apps Activity and turn off Keep Activity. Google says turning off Keep Activity stops future chats from being used to improve Google AI. Google also says deleting activity prevents future product-improvement use, except where data has already been reviewed by trained reviewers. Do not interpret deletion as a promise of an immediate purge from every system or as deletion of data stored by another Google service.
A practical sequence is to disconnect the relevant app first, then review and delete the Gemini activity you want removed, and finally check whether Keep Activity should remain on. This addresses the connection, existing Gemini activity, and future activity handling as separate decisions.
Keep Activity is not a substitute for disconnecting an app: it addresses future chats’ use for improvement, while Connected Apps controls app-based personalization. Likewise, deleting activity is not a substitute for deleting data at its source. If the original content is an email, file, or other item in a connected service, manage that content in the service itself as well as reviewing Gemini activity.

Understand what the settings mean for data use
Google describes the Workspace controls as independent and says that enabled smart features can use Workspace content and activity to personalize experiences. The product context matters when considering Gemini: Google’s stated handling for Gemini in Workspace is not the same as its stated handling for Gemini Apps Connected Apps.
Gemini in Workspace
For the specified Gemini experience in Gmail, Calendar, Chat, Docs, Drive, Slides, Sheets, Meet, and Vids, Google says it uses Workspace content to provide more useful responses to prompts and does not use that content to train or improve Gemini or other generative AI models. Google also says this listed experience does not store prompts or generated output without permission. The help page scopes these statements to Google AI plan users and notes that Workspace Experiments participants are subject to a separate privacy notice and terms.
These statements apply to the described Gemini-in-Workspace use case. They should not be read as a blanket statement about every Gemini product, every connected app, or every way Google may process activity. In its Gemini-in-Workspace help, Google says, “Your data is yours and under your control.” The associated details and eligibility scope are important: that sentence does not make the separate Connected Apps and activity policies identical.
Gemini Apps Connected Apps
Google’s Connected Apps guidance says Gemini Apps Activity that includes connected-app information may be used to improve Google services, including to train generative AI models, when Keep Activity is on. Google distinguishes using complete data stores directly for training from using summaries, excerpts, generated media, and inferences to answer prompts and improve models. Some summaries can contain a short email or file. Google also describes human review of a subset of connected-app data.
This is why disconnecting an app, turning off Keep Activity, and deleting activity are not interchangeable actions. One controls an app connection, another affects future activity handling, and deletion addresses activity already associated with the Gemini account subject to Google’s stated qualifications.
Keep the two product contexts distinct when weighing privacy claims. The Workspace statement concerns the specified Gemini features in Workspace for the stated users and terms. The Connected Apps guidance concerns Gemini Apps Activity that includes connected-app data, with different conditions when Keep Activity is on. Avoid treating either statement as a universal description of every Google AI feature.
Account for region and account management
Google says smart features are off by default for residents of the European Economic Area, Japan, Switzerland, and the United Kingdom. Defaults elsewhere may differ. A setting being off by default does not mean other controls, such as Gemini Connected Apps or Gemini Apps Activity, are also off; check each relevant area rather than infer its state from one default.

For some other-product data uses, Google identifies additional controls, including Web & App Activity and linked-services controls associated with the Digital Markets Act in the European Union. Google also says screen actions that share Workspace data with Gemini can make some other-product smart features available even if Smart features in other Google products is off. That qualification matters if you use an explicit screen action to share Workspace information with Gemini: the general other-products toggle does not necessarily govern every user-initiated sharing path.
On work or school accounts, the administrator may restrict Gemini entirely, restrict some or all access to Workspace data, or limit Gemini conversation sharing. Gemini generally has the same Workspace access as the user, subject to content-owner settings and product-specific behavior. If a setting is unavailable, locked, or insufficient for an organization-wide restriction, contact the Workspace administrator; individual user settings may not override managed policy.

- Reduce AI-style features in Gmail, Chat, and Meet: turn off Turn on smart features in Gmail, Chat, and Meet, then check individual controls for features that remain available.
- Limit smart features across Workspace apps: turn off Smart features in Google Workspace as well. This is separate from the Gmail/Chat/Meet control.
- Limit Workspace data use in other Google products: turn off Smart features in other Google products and review any additional relevant controls, such as Web & App Activity or EU linked-services settings.
- Stop Gemini from personalizing with a connected app: disconnect that app under Settings & help > Personal Intelligence > Connected Apps.
- Remove Gemini activity already associated with your account: manage or delete Gemini Apps Activity separately; this does not delete data in the connected service.
- Limit future use of Gemini chats for improvement: turn off Keep Activity, bearing in mind Google’s qualification for activity already reviewed by trained reviewers.
- Apply restrictions to a managed account: ask the administrator to review organization-level Gemini access and data-sharing controls.
Troubleshoot settings that seem not to take effect
A feature remains after turning off smart features
Check whether it has an individual setting. Chat conversation summaries and Smart Reply are examples Google says may have their own controls and may remain available when the broader Gmail/Chat/Meet option is off. Also confirm that you changed the scope associated with the feature: app-level Gmail settings and cross-app Workspace settings are distinct.
The mobile app does not show the change
Confirm the change was saved on the web. Google says the settings apply across signed-in devices and apps, but a mobile app may not show a notification or reflect some computer-side changes in its interface. Update the app if Google’s change notification is missing.
Gemini still appears to know something after disconnection
Disconnection limits use of the connected app for personalization but does not erase prior Gemini activity. Review and delete the relevant Gemini Apps Activity or chats if your goal includes removing remembered information. Also allow for the delay Google describes for updates or deletions made in a connected service to affect the Gemini experience. Public Search or YouTube information can still be used.
A control is missing or cannot be changed
Check whether you are using a personal account or an organization-managed account, and whether the service is eligible in your account. Availability varies. For work or school accounts, an administrator may have restricted Gemini or access to Workspace data; ask the administrator to confirm the applicable policy.

How do I turn off AI features in Gmail?

How do I stop Gemini from accessing my Google apps?
In Gemini, open Settings & help > Personal Intelligence > Connected Apps and turn off the apps you do not want connected, when those options are available for your account. This limits app-based personalization, but does not delete existing Gemini activity or prevent use of public Search or YouTube information.
Does turning off smart features delete Gemini activity?
No. Workspace smart-feature settings and Gemini Apps Activity are different controls. Manage or delete Gemini Apps Activity separately, and remember that deleting it does not erase data in the connected Google service. Google says deletion prevents future product-improvement use except for data already reviewed by trained reviewers.
If I disconnect an app, will Gemini forget information it already used?
Not necessarily. Disconnecting limits the connected-app data path for personalization, but does not delete Gemini conversations or activity already associated with your account. Do Workspace and Connected Apps data have the same Gemini protections?
Google describes different handling for the specified Gemini-in-Workspace experience and Gemini Apps Connected Apps. For the Workspace use case and eligible users it names, Google says content is not used to train or improve generative AI models. Connected-app information in Gemini Apps Activity may be used to improve services, including training, when Keep Activity is on. Check the scope and terms for the product you use.
Why can’t I change a Gemini or Workspace setting?
The option may depend on account eligibility, or a work or school administrator may have restricted Gemini access, Workspace data access, or conversation sharing. For an organization-managed account, ask the Workspace administrator to confirm the policy.
The Bottom Line
To limit Google’s AI features and data sharing, change each relevant control separately: Gmail/Chat/Meet smart features, Workspace smart features, other-product smart features, Gemini Connected Apps, and Gemini Apps Activity or Keep Activity. Disconnecting an app does not delete activity, and deleting Gemini activity does not erase the source data. Check your account’s available options and, for work or school accounts, involve your administrator.
