Before you leave a reliable internet connection, save the actual boarding pass or rail ticket in the operator’s app, add it to Apple Wallet or Google Wallet when supported, download any PDF or attachment, and keep a screenshot as a separate backup. Then switch on airplane mode and open every copy you plan to use. A booking confirmation is useful for reference, but it may not be the scannable document required at the gate or platform.
Know which travel document you actually need
Travel bookings commonly produce several documents: a confirmation email, an itinerary, a receipt, a boarding pass, and sometimes a rail e-ticket. They are not interchangeable. The confirmation usually proves that a reservation exists and contains useful details such as dates, route, passenger name, and booking reference. The boarding pass or ticket is the document designed to be scanned or checked for boarding.
VIA Rail explicitly distinguishes these documents: its printed booking confirmation cannot be used to board, while an emailed boarding pass and a supported wallet pass can be used separately. Treat that distinction as a rule for planning any trip. Save the confirmation for reference, but find the item that contains the scannable code or the operator’s specific boarding authorization.
Separate the files in your phone
Create a simple folder or album for the trip and give each item a clear name, such as London–Paris boarding pass – Smith or Train ticket – 18 October. Keep the confirmation, boarding pass or ticket, passport or visa documents where applicable, and hotel or transfer details together, but do not assume that one file replaces another. For a group booking, save or identify each passenger’s pass if the operator issues separate documents.

Compare the best offline storage choices
No single storage method works for every carrier, route, device, or ticket type. Use at least two accessible copies when possible, and choose them based on whether the item is truly downloaded, how quickly you can find it at a checkpoint, and how easily it can become outdated.
| Storage location | What it is good for | Offline behavior | Important limitation |
|---|---|---|---|
| Operator app | Current booking details and the carrier’s own boarding pass or ticket | Some apps retain downloaded documents and passes without a connection | Offline features are provider-specific; live updates and payments may still require internet access |
| Apple Wallet or Google Wallet | Fast access from the phone’s wallet at a checkpoint | A pass downloaded to the device can display without a network connection | The airline or rail provider must support the pass; adding some passes requires internet access first |
| Downloaded PDF or email attachment | A durable local copy of a confirmation, ticket, or boarding document supplied as a file | Opens from local storage after download | An email that remains only in an online mailbox is not an offline copy |
| Screenshot | A quick visual backup of a barcode or QR code | Stored in the phone’s photo library and available in airplane mode | It is a static image and may not reflect a later change |
| Printed copy | A fallback when the phone, battery, or app is unavailable | Works without a device or network | Acceptance and replacement rules differ by operator and location |
Wallet and app passes are usually easiest to find at a busy checkpoint, while a downloaded file or screenshot gives you a second route if an app fails. A printout removes dependence on the phone entirely. The strongest setup combines a primary digital pass with a separate local backup and a known paper or staffed-counter procedure.
Use this before-you-leave workflow
- Open the booking while online. Use a reliable Wi-Fi or mobile connection rather than waiting until the airport, station, or border crossing. Sign in to the airline or rail operator’s app or website and open the specific reservation.
- Locate the boarding pass or ticket. Do not stop at the confirmation page. Look for labels such as boarding pass, mobile boarding pass, e-ticket, barcode, QR code, or add to wallet. If the operator issues the pass only after check-in, complete that step while connected.
- Download the operator’s offline content. If the app offers a download button or stores travel documents for offline viewing, use it for the booking and the pass. Jet2, for example, says that booking details, boarding passes, and pre-downloaded travel documents can remain viewable offline; its real-time updates and payment functions still need a connection.
- Add an eligible pass to a wallet. Select the operator’s Apple Wallet or Google Wallet option and wait for the pass to finish downloading. Air Canada says its Wallet boarding pass is downloaded directly to the device and does not need a network connection to display. Apple and Google both note that wallet support depends on the participating airline or provider.
- Save every supplied PDF or attachment locally. Use the device’s download or save command and confirm that the file appears in local storage, not just in an online inbox. Keep the original file if it contains booking references or instructions that may be needed at a counter.
- Capture a screenshot of the scannable pass. Include the entire barcode or QR code and the passenger name if both appear on the screen. Emirates describes a screenshot as an option. On Pixel phones running Google Wallet version 3 or later, Google documents adding a boarding-pass screenshot to Wallet; the add-to-Wallet process needs internet access, but a saved pass can later be opened offline.
- Check that the image is readable. Open the screenshot at full brightness and zoom. Do not crop away the code, name, flight or train information, or instructions that a staff member may need. If the code spans more than one screen, save each relevant screen rather than relying on a partial image.
- Organize by travel segment. For a multi-leg journey, keep the passes in departure order and label them with the date, route, and passenger. This prevents selecting an old or connecting-sector pass under pressure.
- Reconnect for final checks. Before entering an area with unreliable service, open the reservation again and look for schedule, gate, platform, seat, or document changes. A screenshot and a downloaded file are separate copies; neither automatically updates when the itinerary changes.
- Test the exact copies you will use. Turn on airplane mode, close the app, and then open the app pass, wallet pass, downloaded file, and screenshot. If one does not open, fix it while you still have a connection and retain the working alternatives.
- Prepare the fallback. Find the operator’s instructions for printing or replacing a pass and note where a staffed desk is located. If a paper pass is practical for your trip, print it before departure instead of assuming the airport or station can do so.
Understand what each provider’s offline support covers
Airline and rail apps
Offline support is a feature of the individual provider, not a universal property of travel apps. Jet2 says its app can keep booking details, boarding passes, and pre-downloaded travel documents available offline, while real-time updates and payments require a connection. Transavia says its app displays bookings and travel details offline and allows boarding passes to be downloaded. These examples show why you should read the instructions for the carrier on your itinerary rather than assuming that another airline behaves the same way.

An app may open without internet but still show only information that was downloaded earlier. If the app displays a loading spinner, an empty reservation, or a message that a connection is required, use the wallet pass, local file, screenshot, or printed fallback instead of waiting at the scanner.

Apple Wallet and Google Wallet
A wallet pass is useful because it puts the boarding document in a predictable place and can be opened without returning to an email or an account login. Apple says the pass must be eligible and supported by the airline. Google Wallet likewise depends on participating providers. The wallet itself is not a conversion service for every PDF: the operator must provide a supported pass, or Google must support the documented screenshot-import method on the relevant device and software version.
Complete the add-to-wallet step while connected. Google’s screenshot workflow requires internet during setup even though a saved pass can subsequently be accessed offline. If the wallet shows a pass but the operator has issued a new one, reconnect and replace the old pass before you leave service.
Email, PDFs, and screenshots
A downloaded PDF or attachment is independent of the mailbox that delivered it, so it remains available when you cannot sign in or load email. A screenshot is even faster to open, but it is only a snapshot. It cannot receive a changed gate, platform, seat, boarding group, or reissued barcode. Use it as a backup, not as proof that the trip details can never change.

Rail operators can define their own rules for which document is valid. VIA Rail’s guidance is a useful warning: a printed booking confirmation is not a boarding document, while an emailed boarding pass and wallet option are described separately. Read the wording on your own ticket and save the item the operator identifies as valid for boarding.

Keep offline copies current
Offline storage solves the connectivity problem; it does not freeze the travel plan. A carrier can change a schedule, gate, platform, seat, or boarding document after you download a file. Before each major departure, reconnect and check the operator’s current information. Then download the latest pass again, refresh the wallet entry if needed, and replace an old screenshot.
Use a simple timing rule:
- At home or the hotel: download the app content, wallet pass, PDF, and screenshot.
- After online check-in: confirm that the pass shown is the final boarding document, not only a check-in receipt.
- Before leaving service: review current updates and resave anything that changed.
- At the checkpoint: open the primary pass first, with the backup already easy to reach.
Do not delete an earlier pass until you know whether the operator expects it for a previous segment. For a return journey, keep outbound and return documents clearly separated so that an offline screen does not lead you to present the wrong date.
Test the setup in airplane mode
A test takes a few minutes and exposes failures that are difficult to solve in a queue. Perform it on the same phone you will carry, with the same user account and pass files.
Recommended Free Tools
- Finish all downloads while connected.
- Turn on airplane mode. If your phone allows Wi-Fi to remain enabled in airplane mode, turn Wi-Fi off as well so the test represents a true no-connection situation.
- Open the operator app and navigate to the saved booking or pass. Confirm that the barcode or QR code appears.
- Open Apple Wallet or Google Wallet and select the pass. Check that the code and passenger details are visible.
- Open the downloaded PDF or attachment from local storage, not from the email’s online view.
- Open the screenshot in the photo library and verify that it is sharp, complete, and easy to enlarge.
- Lock and unlock the phone once, then repeat the quickest access path. This checks that you can reach the pass without relying on a web page left open.
- Turn connectivity back on and resolve anything that failed. Do not assume that a pass that displayed once will remain available after an app update, sign-out, or replacement.
The test is a practical precaution based on the providers’ stated offline behavior; it is not a substitute for the operator’s own rules about valid documents.

Plan for a dead battery, lost phone, or failed app
Vueling says a passenger can obtain a printed boarding pass at the desk at no extra charge when the phone fails or its battery runs down. That is a carrier-specific policy, not a guarantee for every route. Other operators may charge, require identification, restrict the service to certain airports, or direct you to a different counter. Check the operator’s current replacement instructions before travel.
Keep at least one option that does not depend on the phone. A printed boarding pass is the clearest choice when the operator accepts it. If you cannot print, write down the booking reference and the location of the staffed desk, and keep the confirmation available for the representative; remember that the confirmation itself may not be accepted for boarding.
A small USB-C power bank can be a useful secondary safeguard against a dead battery, but its suitability and carriage rules depend on the country, airport, airline, and battery specification. Treat it as extra resilience, not as a replacement for a paper or counter fallback, and verify the applicable rules for your itinerary.
Troubleshoot common offline failures
The app shows the reservation online but not offline
Reconnect and look for a download, save, or offline-travel-documents control. Open the pass once before disconnecting. If the app still cannot display it in airplane mode, use the wallet, local PDF, screenshot, or print option rather than relying on an online-only view.

The wallet option is missing
The operator may not support that wallet, the pass may not be eligible, or the booking may not yet have a boarding pass. Check the carrier’s instructions and complete any required check-in while online. Save a local file or screenshot even when a wallet pass is available.
The screenshot-import process will not complete
Google’s documented screenshot-to-Wallet process needs internet while the pass is being added and applies to Pixel phones running Google Wallet version 3 or later. Reconnect and retry only if your device and software meet those conditions. Otherwise, keep the screenshot in the photo library and use the operator’s own pass or a downloaded file.
The flight or train details changed
Reconnect immediately, open the current booking, and replace the wallet pass, PDF, and screenshot that contain old information. A static image cannot update itself, and an offline app view may contain only the last content it downloaded.

Use the printed document if accepted, or go to the operator’s staffed desk and follow its replacement process. Vueling’s no-extra-charge desk replacement is one example; do not assume another carrier offers the same terms.
Staff reject the confirmation
Ask which boarding document or ticket format the operator requires and show the saved pass, barcode, QR code, or printed ticket identified in its instructions. For rail travel in particular, confirm that you are presenting the ticket rather than a booking confirmation.
Assemble a compact offline travel packet
| Item | Primary copy | Backup | Check before disconnecting |
|---|---|---|---|
| Boarding pass or rail ticket | Operator app or supported wallet pass | Downloaded file, screenshot, or printout | Scannable code and passenger name are visible |
| Booking details | Downloaded confirmation or attachment | Second local copy or printout | Reference number, dates, route, and names are readable |
| Travel documents | Local files supplied by the operator | Printed copies where appropriate | Files open without an account login or network |
| Replacement plan | Operator’s desk, print, or reissue instructions | Written booking reference and identification | You know which counter to use and what the operator says it can provide |
Keep the packet accessible from the lock screen only if your device and privacy choices allow it; otherwise use the shortest reliable unlock path. Avoid scattering the only copies across apps that each require a separate sign-in. The goal is not to save every message, but to ensure that the valid boarding document, its reference details, and a recovery route are all available without a network.
