The safest way to keep notes available on every device after changing apps is to treat migration and synchronization as two separate jobs: preserve an independent copy, import and check a small sample, complete the migration, and only then configure the new app’s sync service. Keep the old library until the new copy has been checked on every phone, tablet and computer you use.
That order prevents the most damaging mistakes: deleting the only usable copy, importing a format that flattened your notes, creating duplicate files with two sync systems, or assuming that a successful import automatically means your other devices are up to date.
Use this migration sequence
Follow the same sequence whether you are moving between mobile apps, desktop applications, or a local-file notebook. The exact buttons differ, but the control points are consistent.
- Preserve the source. Export the source library, copy its files, or make another independent backup before signing out, deleting an account, or removing the old app.
- Identify the destination import route. Find out which formats the new app accepts and whether importing is available on desktop, mobile, or both.
- Run a representative test. Import a small set containing plain text, formatted text, attachments, links, and any special note type you depend on.
- Compare the test result. Check content, layout, attachments, links, folders, search and editability against the originals.
- Import the rest. Keep the source copy untouched while the full import runs.
- Verify the destination. Check counts, organization, media, links and search before considering the migration complete.
- Configure sync. Sign in to the destination account or connect its documented storage method, then allow the initial upload and download to finish.
- Test both directions. Make a harmless edit on one device and confirm it appears on another; then edit on the second device and check the first.
- Retain a separate backup. Sync propagates changes, including accidental deletions. It is not your only recovery copy.
Do not remove the old app or source files until the last verification step has passed on the devices that matter to you.

Make an independent copy before changing anything
A sync account is not an archive. If a deletion or formatting error reaches the server, every connected device may receive it. Make a copy that is outside the destination app before you begin.
Choose a copy you can open later
- Use the source app’s export function when it produces editable files or a complete archive.
- For local-file systems, copy the entire notes folder, including subfolders and attachments. Obsidian, for example, stores a vault as ordinary files in a folder; that folder can be backed up to another location such as an external drive.
- If the source offers several export formats, keep the most complete editable format as well as a human-readable fallback when practical.
Open a few files from the copy before proceeding. A backup that was never tested may be incomplete, encrypted, or missing attachments. Keep the original library read-only or otherwise unchanged during the migration so you can compare it with the imported version.
Check the destination’s import formats and limits
Import fidelity depends on the format, not just on whether the destination accepts the file. A PDF can preserve how a page looks while losing the editable structure, embedded metadata, or links that made the original useful. Ask these questions before selecting an export:
- Does the destination have a direct importer for your source app?
- Does the importer preserve folders or notebooks, or does it put everything in one location?
- Are attachments copied, linked, or omitted?
- Do tables, checklists, tags, handwriting, drawings, audio and internal links remain usable?
- Can you edit the result as normal notes, or is it only a rendered document?
- Is import available on the desktop version only?
Obsidian’s documented import tools cover OneNote, Evernote, Apple Notes, Google Keep and other applications. Its notes are non-proprietary Markdown text stored locally, which makes the files accessible even without the app. Evernote’s desktop import settings accept PDF, TXT, HTML, Markdown and DOCX and can convert those files into editable notes. Its documented routes for Apple Notes and OneNote use PDF exports, so inspect the result carefully if you need editable structure rather than a visual snapshot.
Test a small, representative batch
Do not begin with your entire library. Select enough notes to expose conversion problems, but few enough that you can inspect each result.
Include these note types
- A short plain-text note and a long note with headings and lists.
- Bold, italic, links, tables, checkboxes and other formatting you use regularly.
- At least one note with images, files, scans, audio or other attachments.
- A note containing an internal link, tag, folder assignment or notebook location.
- A note with unusual characters, dates, code or copied web content.
Record which source notes you selected, then compare the imported copies side by side. Look for missing paragraphs, altered line breaks, broken links, blank attachment placeholders, flattened checklists and changed dates. A vendor’s importer documents the route it supports; it does not guarantee that every feature in every source note survives conversion.
Complete the import and verify it before enabling daily use
After the test passes, import the remaining notes without modifying the source. Verification should be systematic rather than based on opening one or two recent notes.

Check the library itself
- Compare the source and destination note counts, allowing for deliberate exclusions and any known conversion rules.
- Confirm that folders, notebooks, tags and saved searches have a usable equivalent.
- Open representative old, recent, short and long notes.
- Open every attachment type you rely on and check that it is stored in the destination rather than merely referenced from the old app.
- Follow internal and external links, and run searches for distinctive words that should appear in both versions.
- Edit an imported note, close it, reopen it and verify that the change persists.
Keep the old copy available during this review. If the destination has lost important structure, you can revise the import method without having destroyed the source.
Configure sync only after the content is sound
Note applications use different synchronization architectures. Knowing which one you are using explains where files live, what must be online, and how conflicts can occur.
Cloud notebooks managed by the app
Some applications store notebooks in their own cloud service and present the same account on each device. Microsoft’s documented cross-device OneNote workflow places notebooks on OneDrive. Apple Notes uses iCloud: the same Apple Account must be signed in on each device, with Notes enabled in iCloud settings. iCloud notes can also be viewed through iCloud.com in a browser.
Folder-based cloud storage
File-based providers monitor a designated local folder and replicate changes between devices. This can work well for a local-file notebook, but the provider and the note application must agree about how files are written and locked. Obsidian’s guidance warns that iCloud Drive on Windows can lead to duplicated or corrupted files and advises keeping OneDrive vault files available offline. Do not place the same vault under multiple competing file-sync systems unless the app explicitly documents that arrangement.
A dedicated note-app sync service
A dedicated service connects each local vault or notebook to a remote copy using the application’s own protocol. Obsidian describes Obsidian Sync as its straightforward, officially supported method across Windows, macOS, Linux, iOS and Android; local copies remain on the devices. Offline changes are queued and synchronize when the internet returns and Obsidian is open.
Set up the destination on every device
- Install the same destination app edition that supports your devices and sign in with the account used for the imported library.
- Choose the documented sync method. If the app uses a cloud notebook, open that notebook; if it uses local files, select the same vault or folder on each device.
- Allow the first synchronization to finish before making large edits. A library that is still indexing or downloading can appear incomplete.
- Confirm that the notes you verified on the primary device are present on the second device.
- Make a harmless change, such as adding a temporary sentence, on device A. Wait for synchronization, then verify it on device B.
- Make a different harmless change on device B and verify it on device A.
- Remove the test text after both directions have worked.
For local-file workflows, mark the vault or folder as available offline when the provider offers that option. A file that exists only as an online placeholder may not be readable when you have no connection.
Platform-specific migration and sync details
Obsidian
Obsidian stores notes as Markdown and other local files inside a vault. This makes the library portable: you can inspect, copy and back up the files without relying on a proprietary database. Its import guide lists migration tools for several major note applications.

For cross-device use, the documented choices include Obsidian Sync, third-party cloud folders such as iCloud, OneDrive and Google Drive, and local or version-control approaches. Obsidian Sync is described as the officially supported, straightforward route for Windows, macOS, Linux, iOS and Android, while retaining local copies on devices. With its offline queue, edits made without an internet connection synchronize after connectivity returns and Obsidian is open.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsFolder-based approaches need more care. Obsidian’s guidance specifically warns about possible duplication or corruption when an iCloud Drive vault is used on Windows and recommends that OneDrive vault files be kept available offline. Keep one independent copy of the vault before changing providers or moving it.
Apple Notes
To make iCloud notes appear on multiple Apple devices, sign in to the same Apple Account on each iPhone, iPad and Mac, then enable Notes in iCloud settings. The notes can also be reached at iCloud.com from a browser. If you are importing from Apple Notes into another app, test whether your chosen export retains editable text, attachments, checklists and links; a PDF export may preserve appearance without preserving the original structure.
Microsoft OneNote
For the documented phone-and-tablet workflow, OneNote notebooks should be stored on OneDrive. Older notebooks created before OneNote 2010 for Windows may need to be upgraded to a newer format and moved to OneDrive before they can synchronize to iPhone or iPad.
Very large notebooks can create performance or stability problems during the first synchronization on iOS devices. If the initial sync struggles, work with a smaller notebook or allow the first download to finish before opening many sections and attachments.
Evernote
Evernote states that notes synchronize automatically across connected devices. Its desktop import process accepts PDF, TXT, HTML, Markdown and DOCX through the Settings import area; imports are performed on desktop rather than mobile.
Reinstalling the desktop application can force a complete re-download from the cloud, but that is a troubleshooting action, not a migration method. It does not replace exporting or preserving the source library before a move.

Prevent duplicates and sync conflicts
Most conflict problems arise when two systems write to the same files or when an import is run repeatedly.
- Choose one sync authority for the migrated library. Do not simultaneously point the same local vault at several file-sync providers.
- Finish the initial sync on one device before opening the library on another.
- Do not edit the same note on two offline devices and then reconnect them unless the app documents how it merges changes.
- Give each migration run a distinct destination folder or notebook until you have verified it. Repeating an import into the same location can create duplicate notes.
- If a conflict copy appears, preserve both versions first. Compare timestamps and content, merge the needed text manually, and only then delete the redundant copy.
- Keep the original export until conflict resolution and attachment checks are finished.
A provider’s ability to synchronize files does not prove that the note app can safely merge simultaneous edits. The app’s own documentation should be the authority for supported conflict behavior.
Keep notes usable offline
Offline access has two parts: a local copy of the data and an application that can open it without contacting the server. Cloud notebooks may download content automatically, while folder-based services can leave files online-only. Check a few old notes, a recent note and an attachment with the device disconnected from the internet.
In Obsidian, local vault files remain on each device, and queued changes wait for connectivity before synchronizing. In a OneDrive-based workflow, ensure the notebook or vault files are available offline rather than represented only by cloud placeholders. For any app, perform an airplane-mode test before relying on it during travel or an outage.
Maintain a separate backup and an exit route
After migration, schedule or perform periodic exports and keep at least one copy outside the live sync location. An external SSD or hard drive can hold a local backup; it is storage, not a synchronization service. Keep backup dates and, when possible, more than one historical version so an unnoticed deletion is recoverable.
Prefer destinations that leave you with readable files or a documented export process. Obsidian’s Markdown files are directly accessible outside the app. For proprietary cloud notebooks, periodically verify that the export still opens and contains attachments, rather than assuming an account will always remain available.

Troubleshoot the common failure points
The imported note is blank or missing formatting
Return to the independent source copy and test another format or a direct importer. Compare a single problematic note before repeating the full migration. A rendered export such as PDF may need to be replaced with an editable format.
Attachments are missing
Check whether the export stored attachments inside the package or merely linked to files in the old app. Re-export a note with its media, then verify that the destination can open the files with the source app closed.
The second device shows an incomplete library
Leave the app open and connected until the initial download finishes. Confirm that both devices use the same account and that the selected notebook or vault is the one you imported. For file-based storage, make the folder available offline and check that the provider has finished downloading placeholders.
Recommended Free Tools
Duplicate files or conflict copies appear
Stop editing the affected library on other devices, preserve every copy, and identify whether two synchronization systems are watching the same folder. Remove the competing connection, then merge the content manually after comparing versions.
OneNote will not sync an old notebook to iPhone or iPad
Check whether it was created before OneNote 2010 for Windows. Upgrade it to a newer notebook format and move it to OneDrive, then retry the mobile sync. If the notebook is very large, allow the first synchronization to complete before opening many sections.
Evernote import options are missing on a phone
Use the desktop application for the import. Evernote’s documented import area is not available on mobile; once the desktop import is complete, let the account synchronize to connected devices.
