Keep automation for repeatable, rules-based processing, but require named people to review material judgments, exceptions, configuration changes, and the final evidence package. A reliable automated close is not “hands off”: it is a workflow in which software performs consistent tasks and accountable professionals validate whether the results are complete, accurate, and appropriate.

What human review should mean in an automated close

Human review is not a person reperforming every automated calculation. It is a documented control that puts professional judgment where rules, data quality, estimates, or unusual transactions can make an automated result wrong. The reviewer should be able to see what the system received, what it did, what it produced, which exceptions occurred, and how those exceptions were resolved.

AICPA & CIMA’s 2026 report Future-Ready Finance: Productivity at the Human–Technology Crossroads says that critical thinking, ethical judgment, and communication are required to review and validate AI-generated outputs. The same principle applies to scripted reconciliations, workflow tools, robotic process automation, and machine-learning features used in a close. Automation changes the work performed by people; it does not transfer accountability to software.

Internal control is also not a choice between “manual” and “automated.” The COSO-based Internal Control – Integrated Framework: An Implementation Guide for the Healthcare Provider Industry (2018) describes controls as a mix of preventive or detective activities and manual or automated procedures. Use the combination that addresses the risk and produces evidence your organization can defend.

Which month-end close steps still need a human reviewer?

Start with the risk and the control objective, not with the tool. A stable, rules-based task may be automated end to end if access, configuration, and exception handling are controlled. A task involving estimates, interpretation, unusual facts, or significant external reporting consequences needs an identified reviewer even when the arithmetic is automated.

Close activity Good automation candidates Human review that remains necessary Typical evidence
Bank and subledger reconciliations Importing transactions, matching rules, aging, and status updates Review unmatched or manually cleared items, stale reconciling balances, unusual timing, and whether the source feed is complete Dated reconciliation, exception list, supporting statements, reviewer sign-off, and resolution notes
Recurring journal entries Posting entries from approved templates with fixed accounts, dates, and calculations Confirm the template is still valid, inspect changes, verify period and account mapping, and approve exceptions or reversals Template version, change record, generated entry, approval, and post-close review
Accruals and estimates Calculating amounts from approved inputs and reversing prior-period entries Assess assumptions, new information, completeness of the population, and whether the estimate requires specialist or management judgment Input support, calculation, assumptions, variance analysis, reviewer comments, and approval
Revenue, reserves, impairment, and other judgments Gathering source data, applying documented rules, and producing schedules Evaluate contract facts, indicators, policy interpretation, estimates, and unusual transactions; escalate when the accounting conclusion is uncertain Technical memo or conclusion, source documents, model version, review questions, and sign-off
Intercompany and consolidation Matching balances, eliminating standard pairs, and flagging differences Investigate breaks, confirm counterparties and currency translation, review late entries, and approve nonstandard eliminations Matching report, break log, elimination support, approvals, and final consolidated tie-out
Foreign-exchange remeasurement Loading approved rates and calculating remeasurement entries Validate rate source and date, inspect new currencies or unusual movements, and investigate outliers Rate file, source confirmation, exception analysis, and journal approval
Tax and statutory schedules Population extraction, formula-based calculations, and roll-forward schedules Review jurisdictional changes, uncertain positions, data completeness, and sign-off requirements applicable to your entity Source population, calculation, review checklist, and approval record
Management reporting Refreshing dashboards, variance calculations, and distribution lists Challenge material variances, confirm definitions and cut-off, and ensure narrative explanations agree with the ledger Report version, variance commentary, distribution evidence, and reviewer approval

This table is a design starting point, not a universal approval matrix. Your risk assessment, accounting policies, audit arrangements, and regulatory obligations determine which items are material and who is qualified to approve them.

Build the review into the workflow before automating

  1. Map the close. List each task, input, output, dependency, owner, due date, and control objective. Mark whether the task is rules-based, judgment-heavy, or a mixture. Identify where an incomplete feed, a changed configuration, or an unusual transaction could create a material error.
  2. Define the automated action. Record the exact rule, script, model, workflow condition, or configuration that will run. State what the automation is allowed to do and what it must stop or route for review. A control that silently accepts missing data is not equivalent to one that blocks processing.
  3. Name a control owner and a reviewer. The owner makes sure the control operates; the reviewer evaluates the result. Assign a backup for absences and specify escalation to a controller, accounting policy specialist, tax professional, or other qualified person when the issue exceeds the reviewer’s authority.
  4. Specify the review procedure. Write the checks in observable terms: compare the input population to a completeness source; inspect changes to logic; compare totals to an independent expectation; investigate every exception above the defined risk criterion; verify that unresolved items are carried forward and escalated.
  5. Set criteria from risk, not a generic number. Use the entity’s materiality assessment, account risk, reporting obligations, and fraud-risk analysis to define what requires approval, secondary review, or escalation. The cited COSO and AICPA materials do not prescribe one universal dollar threshold, percentage, reviewer-independence rule, or close duration.
  6. Test in a controlled period. Run the automated procedure alongside the existing process long enough to compare populations, exceptions, and final balances. Investigate differences before retiring a manual control. Record test results and open defects.
  7. Activate the approval gate. Do not let a workflow mark a task complete merely because a job succeeded. Completion should require the reviewer’s identity, date, conclusion, and disposition of exceptions. For a high-risk item, require a second approval or documented escalation.
  8. Reassess after change. Revisit the control when the ledger, interface, chart of accounts, business process, accounting policy, reporting requirement, or automation logic changes. COSO-based guidance emphasizes keeping risks and controls aligned with objectives as strategies and circumstances change.

Choose the right control mix

Compare alternatives by the risk they address, the judgment they require, their dependence on reliable system access and change controls, how quickly they detect an error, and whether they produce usable evidence.

Design choice Best use Strength Watch for
Automated preventive Blocking invalid accounts, periods, duplicate entries, or incomplete required fields before posting Stops known errors early and applies the rule consistently Bad configuration can block valid work or allow every transaction that fits an incomplete rule
Automated detective Scanning posted transactions for duplicates, threshold breaches, unusual combinations, or missing reconciliations Efficiently reviews large populations and creates a focused exception queue Someone must investigate, document, and resolve the queue; an alert with no action is not a control
Manual preventive Approving a nonstandard journal, estimate, or policy-sensitive conclusion before posting Places judgment before an irreversible or externally reported outcome Can become a bottleneck or an uncritical signature if criteria and evidence are vague
Manual detective Reviewing a variance, reconciliation, management report, or post-close sample Allows context and professional skepticism where rules are difficult to encode Late review may leave little time to correct the close; sampling can miss a systemic issue
Periodic monitoring Scheduled evaluation of control design and operation, such as monthly or quarterly review Practical for governance, trend analysis, and formal deficiency tracking Problems can persist between reviews
Continuous monitoring Assessing transactions and system activity as they occur or on every run Can cover the full population and surface failures quickly rather than relying only on samples Requires reliable data, alert ownership, tuned rules, and capacity to investigate noise

The COSO-based guide notes that automated controls tend to be more reliable and efficient when relevant information-technology general controls are implemented and operating. If access, program changes, interfaces, backups, or operations are not controlled, a manual procedure may be the safer compensating control.

Make the review reproducible with an evidence package

A reviewer’s initials beside “OK” rarely explain what happened. For each significant automated control, retain an evidence package that another qualified person can understand after the close.

Access

Give users only the permissions needed for their roles. Review privileged access, remove leavers promptly, and separate the ability to develop or change automation from the ability to approve the resulting accounting entry where practical. Log failed and unusual access attempts.

Change management

Require a documented request, testing, approval, deployment record, and rollback plan for changes to scripts, rules, integrations, report definitions, and master data. At close, the reviewer should confirm whether any relevant change occurred during the period and evaluate its impact.

Interfaces and operations

Monitor scheduled jobs, file transfers, API calls, and data transformations. Reconcile record counts and control totals between source and target systems. Define alerts for missing, late, duplicated, or partially processed feeds, and give each alert an owner and response time.

Run a practical human-in-the-loop close

Before the close window

  • Confirm the close calendar, control owners, backups, and escalation contacts.
  • Review open deficiencies, recurring reconciling items, and changes deployed since the prior close.
  • Validate that integrations, rate tables, account mappings, and approval workflows are available and current.
  • Predefine the reports and extracts reviewers will retain, including their cut-off times.

During processing

  • Let automation handle approved, repeatable work and stop on failed prerequisites rather than producing a partial “successful” status.
  • Route exceptions to a queue with an owner, due date, risk classification, and required evidence.
  • Require reviewers to inspect unusual items and judgment-heavy calculations, not just the absence of system errors.
  • Record overrides and late entries separately so they receive focused review.

At sign-off

  • Reconcile automated totals to the ledger and to relevant independent sources.
  • Confirm that all material exceptions are resolved, accepted by an authorized person, or formally escalated.
  • Review the final trial balance, significant variances, late changes, and unresolved differences.
  • Complete the sign-off with the reviewer’s identity, date, conclusion, and links or references to the evidence package.

After close

  • Log failures, overrides, late changes, repeat reconciling items, and control deviations.
  • Assign remediation owners and target dates; prioritize issues that could affect external reporting or recur next month.
  • Retest controls after fixes and preserve the retest result.
  • Use trends to adjust rules, staffing, training, or the mix of manual and automated controls.

Common failure modes and how to correct them

“The job completed, so the balance must be right.”

A completed job proves only that the software ran. Add completeness checks, independent expectations, and exception review. Require a reviewer to investigate zero-result or unusually small populations as well as large variances.

One person owns the rule, runs it, and approves the result

This concentrates error and override risk. Separate development, operation, and approval where resources permit; otherwise add a compensating review by someone with appropriate authority and document the reason.

Reviewers approve every exception without reading it

Reduce noise by tuning thresholds and grouping predictable, low-risk alerts, but never hide a material class of exception. Require a reason code and evidence for overrides, and periodically sample resolved items for quality.

The evidence is trapped in an editable spreadsheet

Retain a dated system output or protected export, the source population, formula or rule version, and the final approved file. Restrict editing and preserve the original.

Automation changed but the control description did not

Connect change management to the close-control inventory. A change cannot be considered complete until its impact assessment, testing, reviewer update, and any revised evidence requirements are recorded.

Speed becomes the only success metric

AICPA & CIMA’s Controller Series: Best Practices: The Soft Close explicitly addresses the tradeoff between internal controls and a faster close. Its related learning outcome is to select procedures that can be automated to mitigate human error, not to remove review. A faster close that increases unexplained adjustments, late corrections, or unresolved exceptions is not an improvement in control quality.

Measure whether human review is working

Track a small set of measures that expose both speed and control quality:

  • Percentage of automated controls that ran successfully and produced retained evidence.
  • Exception volume, aging, recurrence, and the percentage resolved before sign-off.
  • Overrides and late changes by preparer, account, reason, and approval status.
  • Reconciliation differences, post-close adjustments, and restatements or corrected reports where applicable.
  • Control failures caused by access, configuration, interface, or data-quality problems.
  • Remediation items past their target date and retest pass rate.
  • Reviewer workload and time spent on investigation compared with time spent on routine preparation.

Use these measures for improvement, not to pressure reviewers into superficial approvals. A rise in well-investigated exceptions may indicate better detection rather than worse performance.

Train reviewers to challenge inputs and assumptions, recognize outliers, document conclusions, and communicate unresolved uncertainty. Training should include examples of valid overrides and examples of unacceptable “rubber-stamp” approvals. A reviewer who cannot explain the control objective or the source population should not be the final approver.

Management should periodically evaluate whether controls are designed and operating as intended. The COSO-based guide describes ongoing or periodic evaluations and corrective-action tracking; continuous monitoring can assess all transactions and system activity in a process area instead of relying only on sampling. Select the monitoring cadence and population based on risk and system capability.

Boundaries of the guidance

The COSO implementation guide cited here was written for healthcare providers. Its control concepts are useful design guidance, but its examples are industry-specific and it is not a current accounting standard or a substitute for jurisdiction-specific requirements. AICPA & CIMA’s 2026 materials are professional education and guidance, not binding regulatory rules. Neither source establishes a universal materiality amount, mandatory reviewer independence rule, required close length, or required technology configuration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For optional professional education, AICPA & CIMA lists Controller Series: Best Practices: The Soft Close and Accelerating the Close. The latter frames process improvement around gaining control, accuracy, and completeness while work is completed sooner. Treat these as learning resources and verify current access and applicability to your organization.

A concise implementation checklist

  1. Inventory every close task and classify its risk, judgment, and repeatability.
  2. Document the automated rule, allowed actions, stop conditions, and dependencies.
  3. Assign a control owner, qualified reviewer, backup, and escalation path.
  4. Define evidence, exception criteria, approval levels, and retention before go-live.
  5. Test automation against the existing process and resolve differences.
  6. Gate completion on review and documented disposition, not on job status alone.
  7. Protect access, changes, interfaces, operations, and recovery for underlying systems.
  8. Monitor failures, overrides, late changes, recurring differences, and deficiencies.
  9. Assign remediation owners and retest after changes.
  10. Reassess the control mix whenever risks, systems, processes, or reporting obligations change.
